Elizabeth City State University Information Technology IT User Account Password Guidelines Due to the sensitivity of the data stored in the Information Technology (IT) systems and to increasing occurrences of identity theft, password management is required for all users. Password management will place restrictions on the passwords for users and will require periodic selection of a new password. Each individual is responsible for safeguarding his or her user ID/username and password. Contents Banner (INB) Account Password...1 Email/Domain Account Password...3 Tips for Keeping a Secure Password You should remember to: Never share or loan your password with anyone else. Make your password unique to your life and not something that is easily guessed. Have a different password for each online account. Write down your password and store it in a safe place away from your computer. Passwords should be changed several times a year. Banner (INB) Account Password The Banner System will give you a message of warning five days prior to your password expiration date. If you do not change your password within the five days prior to expiration, your account will be locked and you will be unable to access Banner until it is reset. The user should immediately reset their password after initial login, by using the GUAPSWD form. Password Requirements for Banner Account Must have a minimum length of eight (8) characters. Passwords will expire every 90 days. Sample Passwords including Requirements Must contain at least one Letter in either Uppercase or Lowercase Must contain at least one Number Must contain only one Special character ( _ # ( ) +, / : = > < ;? &) o Recommended: _ (Underscore) o DO NOT USE the following characters: @ $ * 3xaMple! Change Your Banner (INB) Password 1. Log into Banner. 2. In the Go To field, type GUAPSWD (this form allows you to change your password). 3. In the GUAPSWD form, type your current password, then your new password, and then verify your new password as shown below: Enter your current password Enter your new password Click Save 4. If you do not adhere to the password requirements listed above, you will receive an error message and will be asked to re enter your information. Once your new password is accepted, click the OK button and you will be returned to the main Banner form. Once you complete these steps, your Banner password will be updated. You should use the new password each time you log into Banner from this point forward. IT User Account Password Guidelines 2 Revised (4/28/2015cdd/srr)

IMPORTANT NOTE FOR E~PRINT USERS: Once you change your Banner password, you will use your new password to log into e~print. IMPORTANT NOTE FOR USERS WHO LOG INTO TEST DATABASES (i.e. TEST or other databases): Your password has only been changed in the database you were logged into. For example, when logged into production and changed your password, this only updates your production password; it does not update your password for any of the other databases. If you use databases other than production and may want to keep your passwords synchronized, you should log into the different database(s) that you access routinely and update your password using the steps above. If you decide not to update your password in the test database(s), it will be updated the next time a clone of production data is copied to that database (this process DOES NOT happen on a frequent basis). Reset/Unlock Banner (INB) Account Password 1. Go to the following URL: http://www.ecsu.edu/vikingnet. 2. Log into VikingNet, select Information Technology, and select/fill out the appropriate online form: o IT User Account Reset Request Email vs. Domain Account Email/Domain Account Password Users Email Account Domain Account Faculty/Staff Log into Microsoft Outlook Web App Username (same for both accounts) Password (same and synced for both accounts) Log into Campus Computer to access Vikingland Student Log into Gmail Username (same for both accounts) Passwords (different for both accounts and not synced, must manually sync) Log into Campus Computer to access Vikingland Email/Domain Account for Faculty & Staff Faculty and Staff use Microsoft Outlook Web App to access their ECSU email account. The campus domain account is used to log into a campus computer to access local resources. The two accounts have the same username and password (changing one password automatically changes the other). Email/Domain Account for Students Students use Gmail to access their ECSU email account. The campus domain account gives students access to local resources such as logging into a computer in the computer lab, accessing the campus network from their dorm room, and/or accessing remotely to the library electronic databases. The two accounts have the same username; however, they are unrelated. The passwords have to be synced manually by the student (changing one password does not automatically change the other). Password Requirements for Email/Domain Account For faculty and staff, users are required to change their email/domain password every 90 days (effective November 13, 2014). These changes were made to comply with the University Network Security Policy 700.2.2, and will apply consistently to all applications (Banner, SciQuest, etc.) on campus. For students, users are required to change their domain password every 90 days. ECSU policy requires an Email/Domain account to include at least 8 characters (i.e. letters, numbers, and a symbol) from at least 3 of the 4 categories listed below. Must use at least 3 of the 4 categories Uppercase letter Lowercase letter Numbers Special character (e.g. _! @ # *?) The sample passwords are for instructional purposes only. Sample Passwords including Requirements 3xaMple! SaMpLe_1 Trctr_0714 Change your Email/Domain Account Password using Microsoft Outlook Web App (Faculty/Staff) Note for Faculty/Staff only: changing your password using Microsoft Outlook Web App will automatically change both your email and campus domain password. The two accounts have the same username and password (changing one password automatically changes the other). 1. Log into your Email Account. 2. Click on the Options button. 3. Select the Change Your Password link. 4. In the Change Password section, type in Current Password. 5. Type in New Password and Confirm your new password (Password is case sensitive). 6. Change your Domain Account Password (Faculty/Staff & Student) Note for Faculty/Staff only: changing your password using the Windows feature will automatically change both your email and campus domain password. The two accounts have the same username and password (changing one password automatically changes the other). 1. On a campus computer, log into the computer with your domain username and password. 2. Press CTRL + ALT + DELETE keys. 3. Select the Change a Password link. 4. Type in Old Password. 5. Type in New Password and Confirm Password (Password is case sensitive). 6. Click on the circle with the arrow. Reset Email/Domain Account Password (Faculty/Staff & Student) 1. Go to the following URL: http://www.ecsu.edu/administration/it/email/resetemailpassword.cfm. 2.
