Certificate of Good Standing - Can you confirm that we need to submit this certificate as part of our bid, and if so, can you confirm the actual date after which the certificate must be dated? Is it April 1, 2011? The Certificate of Good Standing must be submitted only as a condition of contract award, not proposal submission 2. General Would the State entertain a solution other than Cisco? 3. General 4. General 5. General Please confirm the date and time this RFP is due. The front page of the RFP says 2/15/12 at 2:30PM, but on page 13, 2 nd paragraph of the RFP it says 2/17/12 at 2:30PM Obviously in prior discussions we ve had, the fact that you currently rely on our Spectrum solution to help manage the current Network Infrastructure confirms for us that Spectrum would continue to play a role in this environment. In reviewing this RFP there are new requirements and objectives focused on VoIP that may not only require Spectrum, but other possible Network and Infrastructure Management solutions in our portfolio. Thus, the question that we are just looking to confirm is that there are no restrictions in this RFP that would preclude us or any other vendor from responding with other potential solutions which would extend the current Spectrum environment? Is that correct, and thus will the team consider additional software solutions in meeting the requirements as noted in this RFP? Is there a reason that you are only open to Cisco as a vendor for this project? a. Please note that there are several vendors that interoperate seamlessly with Cisco (with like OS), at a much better cost with a different support model (aka Lifetime Warranty) The RFP is due on 2/15/12 at 2:30 PM as reflected in the cover sheet and the schedule. The Transmittal letter on page 13 has a 2/17/12 date which is in error. This date will be changed to 1/15/12. The State has identified that monitoring needs will increase as we go through our core and VOIP upgrades. For this reason we have specified several monitoring, provisioning and troubleshooting tools within the bid. That said there are no restrictions on what a vendor may bid. They need to use the add tab in the BOM spreadsheet and complete the appropriate portions of Table F-10 Adds. If the tools replace one or more items in the BOM then those should also be added to the deletions tab on the BOM and indicated in Table F-10 Deletions.. RFP 2012-009 ADDENDUM #1 Page 1 of 14

6. BOM There are currently 2 Cisco platforms requested in the supplied BOM; these platforms have different operating systems, as well as certifications and parts. Has this been considered, since it was mentioned that the need to train the IT team on new OS s was part of the single vendor proposal? The State is taking responsibility for providing Cisco certified training classes on the operating systems. We expect the vendor to provide over the shoulder and workshop based training on the operating systems as they apply to the State deployment. 7. Requirements 8. General 9. General 10. In the field underneath this column, do you want a brief explanation in the table itself, or simply want us to provide the page number in our response where we have fully addressed this item? In order for us to do a lot of the migration work, the existing equipment needs to be covered by SMARTnet. It s our understanding that most of this existing equipment is NOT currently under SMARTnet. How do we address that? RFP says the State will provide for power redundancy can you elaborate? In the Proposal Organization section it States: Section VIII: Copy of the RFP and any signed Addendum (a) required in original Proposal only Confirm you want us to simply print and insert the 122 page original RFP document (and any addenda)? Either is acceptable We have added part number UWL-UPG-CMAPPS-STD to the BOM on the Addendum Tab. Power redundancy will take two forms. UPS s will be supplied at all locations for the core equipment (both VoIP servers and the NEXUS/ASR s). In addition these locations will also have Generators for the backup to commercial power. This may or may not hold true for locations off the core (agencies on major campuses and offices in remote locations no serviced by fiber). Confirmed, this printout in the original of the proposal confirms that both State and Vendor are dealing with the same RFP version. Signed Addenda are also needed in the original. Whose lease documents will we utilize, the State s or the Lenders? If the answer is the State s may we examine this lease? Either is acceptable. The State will publish a finance agreement in Addendum 2. Please note that the financing requirment has been made optional in Addendum #2 13. Financing Will this include an Escrow Account document? See the included State Standard Finance Terms. An Excrow Account may be used. 14. Financing Do you need payments to be laddered upwards so as to reflect the implementation schedule and the decrease in Centrex costs? Certain lease features, if selected can impact the rates of a finance plan. Does the State have preferences relative to a PO based payment plan, Fair Market Value or Tax Exempt Lease Purchase ($1 buyout), Termination for Convenience, Termination for Default, Termination for n Renewal, etc.? Will we be able to utilize an Escrow account and will the State agree to a draw down schedule and requirements? Doe the State want annual payments in arrears? Monthly, quarterly, semiannual, laddered to meet the Centrex take out schedule? Can the State provide more information about the current Berbee paging deployment(current licenses, size of deployment, features, etc.) Would the State like us to submit our leasing documents with our proposal for review? Do you have any detailed diagrams of the current infrastructure that can be provided? Will all existing Cisco devices be covered under SmartNET throughout the duration of the project?, the payments for the financing (not lease) agreement may be billed directly to the State, refer to attached Finance Document in Addendum 2. See the included State Standard Finance Terms. Escrow may be used., the State desires annual payments in arrears. Bidders should present payment options for: Monthly, Quarterly, Semi- Annual.. This is an Informacast paging system by Singlewire software. There are 1850 licenses. The State has 1150 phones configured over 23 paging groups within the Department of Safety cluster spread over three locations. [NOTE DOS is unaware of any other existing paging integrations ], Refer to Addendum #2 for standard State Financing Agreement. 1. they will be provided to the selected vendor at the time of contract award. 2.. If the vendor feels the memory is insufficient please identify and put into the Adds tab. If it is determined that an existing piece of equipment needs an operating system upgrade, the State is responsible to provide the license and the vendor is responsible to do the work. If it is determined that an existing piece of equipment which will remain requires a hardware upgrade, the State will be responsible for providing the hardware and the vendor will be responsible for performing the upgrade. we don t anticipate the vendor will be responsible for deploying any POE switches at the Agencies., See proof of Concept, Appendix C 34. Is RSVP currently utilized in the network? Is multicast currently utilized in the network? Please elaborate on the size and scope of the three shared Core Services. This may vary based on the Vendor s approach. For that reason we have asked the vendor to identify acceptance criteria, subject to State approval, see appendix D Topic 9., The State is not open to other tools which meet requirements.. If so, will the State be responsible for the upgrades? DOS Cluster has two such applications - Outlook Dialer and Informacast. DOS will need to verify with Informacast whether our current paging version works with Call manager 8.5-8.6 [NOTE DOS is unaware of any other existing JTAPI/CTI applications] 44. P41 Section II Same as Will certificates required to be installed on any of the servers? Unsure. If certificates are deemed necessary the State will procure them and the Vendor will need to install them. 45. P41 Section II Same as Are there any dry copper connections? If so will the State be providing an inventory along with extension numbers? Will the State be punching down any dry contacts that need to be moved to other blocks? Any dry copper will continue to be maintained by the State and is not a matter for this contract. 46. P41 Section II Same as Our understanding is that Berbee is in place providing paging functionality, what version of Burbee is currently in place? How many locations require paging? Informacast (Berbee) Ver 7.0 is in place for the DOS cluster- four locations are currently integrated. Paging is limited to the POC.. [NOTE DOS is unaware of any other existing paging integrations ] 47. P42 Section II B Upgraded Call Control Item 3 (Directory Integration) Will the State provide an exported/new user list for AD? Of the existing cluster, how many SRST sites exist? The number of required SRST sites is known at this time. There are approximately 27 SRST sites configured throughout the State. 52. Currently, there is one inter-cluster trunk that will need to be dissolved into the proposed State wide system design. Utilization reports will be provided to the awarded bidder. A list of locations, DN s and numbering blocks will be provided to the awarded bidder. 56. P43 Section II B Upgraded Call Control Item 5 (Endpoints) How many devices need to do a hook-flash transfer? VoIP telephones will use a simple transfer function to transfer to remaining POTS or Centrex lines. 57. 58. Are there any public space devices, if so how many? Are there legacy analog paging devices, intercoms, physical security, etc. that are on the existing system that will need to be integrated into the system? Can you please give a count of the current Auto Attendants on each cluster? If there are layers, how may Auto Attendants have layers? In regards to voice mail, do greetings, recorded user names, and PINS need to be maintained? Are there any voicemail servers networked together, if so, please provide information on which voicemail servers are networked and protocols being utilized? There are currently 10 IP communicator licenses in the DOS cluster that we would like to retain. The DRA and DOS cluster has approximately 12 Auto Attendants. Only two have a second layer. In the DOS cluster there are two geographically separated unity servers configured in an active-active State. RFP 2012-069 ADDENDUM #1 Page 11 of 14 2/9/12

How many emergency contact groups are there currently and how many will there be in the new deployment? Are the ERL s SNMP based or IP subnet based? Will access-list need to be modified if they are SNMP based? 303 ERLs exist in the DOS cluster. The number of new ERLs and emergency contact groups for the new deployment are unknown at this time. Does the State have required Cisco UCSS (Software Subscription) contracts to upgrade to migrate the 240 agents listed in the RFP to UCCX 8.5? Can you please clarify the number of agents and supervisors? Are there any database integrations /screen pops for these call flow scripts State is not aware that agents require licensing. Therefore no provisions / contracts to upgrade agents were anticipated. The DMV Contact Center 60 license seats however we have roughly 130 agents configured. Out of the 130, 26 are configured as Supervisor. The DRA Cluster has 50 license seats with roughly 70 agents configured. Out of the 70 agents, about 20 are configured as supervisors. Is Agent email being utilized on existing UCCX deployment? Currently there are two agencies utilizing agent email. 75. 76. 77. Does the existing UCCX cluster historical data need to be migrated to the new UCS platform? Or just agent/scripts and configuration data? Are there any call recording or quality management requirements? Are there any dashboard reporting or wallboard requirements?, historical data as well as user management, scripts, and configuration data should be migrated. One deployment utilizes the existing Contact Center functionality to record on a call by call basis. However third party software is currently used for recording at some locations. 78. 79.
