Alliance Behavioral Healthcare RFP Questions 1. Are the LCD monitors required to be commercial grade with an extensive resolution look-up table and 3 year warranty or can consumer grade LCD TV s be proposed. A separate quote for commercial grade so that ABHC can determine if cost difference is worth the upgrade. 2. The RFP calls for S-Video (standard definition) cameras. Is this correct? If so, is a video conference system that supports standard definition video acceptable? S-Video standard and other analog formats are becoming obsolete. New standards are digital - is digital preferred? Digital is preferred. 3. Is there a requirement for one or more of the rooms to be capable of conducting a video call with more than one additional location? If so, how many other locations will need to be able to join in on a call? Do all of the rooms need this multi-site calling capability? Initially four: From 4600 Emperor to Falls of Neuse, Smithfield, and Fayetteville. 4. There is a description of a video conferencing system with a housing that includes casters and a retractable display. Is the video conference systems supposed to be mobile or is the equipment to be integrated into the rooms that have this requirement? The equipment is to be integrated within the room but movable, not necessarily mobile. 5. The RFP requests (2) Mobile Smart Board systems. A section in the RFP requests the integration of the Smart Board with the video conference system. Are all rooms with video conference to have an input/output plate to enable this integration?. Reference 5.1.4 6. The RFP requests the ability to record audio and video. Is recording this to a DVD acceptable? Are there any streaming capabilities needed? Are there particular video formats that are compatible with your existing distribution methods? Ability to record to both with PC being primary and DVD for large recordings. 7. There is mention of a laptop connection to the display in each room. Are there some rooms that will require more than (1) laptop connection? No, only 1 laptop connection 8. What video signals should be supported at each laptop connection(s) (i.e. VGA/Audio, HDMI)? VGA, Audio, and HDMI 9. Besides the laptop and the video conference codec, in some rooms, are there any other sources that need to be displayed? LCD s, ceiling mounted projector, and SmartBoard. 10. The Computer Training Room @ Emperor Blvd. requests a Portable Smart Board, but the pricing also shows a ceiling mounted projector. If the ceiling mounted projector is required, do we need to install a screen, connections, etc.? NO 11. Can we substitute what we feel is better solution in regards to the digital signage aspect of the RFP?, we only provided examples of digital signage : We did not specify a specific manufacturer. 12. Please expand on the recording application. Recording events can be accomplished by utilizing a personal computer equipped with a hard drive and a DVD. 13. Please expand further on the retractable display requirements. Projector Screen (manual) 14. Will the prevailing vendor be expected to provide network, such as LAN provisioning? Alliance currently has an Ethernet local area network in place as well as a wide area network based upon Metro E technology. The selected vendor will be responsible for ensuring that video conferencing events will traverse the network. 15. Page 18 5.1.4 Functionality Sought A. #3 Presentations via LAN - there are numerous technologies that could fit this requirement - is a specific technology in mind? Alliance envisions presenters utilizing a personal computer equipped with either a wireless card or network card accessing information stored on a server or from the Internet. B. #6 all codec features based on the Polycom 8000 HDX or another model? Polycom 8000 HDX C. #8 Wireless microphones in addition to wired microphones. Wireless D. #9 Video capture - should captured video be available for remote viewing via PC?. E. #10 - Are all PCs to be furnished by owner? What is the total # of PCs? All personal computers or laptops will be furnished by Alliance. The selected vendor will be responsible for ensuring the correct specifications are provided to Alliance to enable the level of integration sought. There is 1 desktop issued to each conference room F. #11 - Smart Board capture in addition to video capture requirement from #9.. G. #14 - Projector screen, manual or electric? Manual 16. Since the smart boards (885) are 16:10 aspect ratio please confirm the screen will match. It is the responsibility of the respondent to ensure that the screen and aspect ratios are compatible. 17. Page 18-5.2 General AVVC Solution Components A. #7- Typically PCs are outside of AV scope so as to better match owner s standards for OS, security & performance. All personal computers or laptops will be furnished by Alliance. The selected vendor will be responsible for ensuring the correct specifications are provided to Alliance to enable the level of integration sought. 18. 7.3-1 Please define the requirements of the Safety Training requirement. 19. Section 5.1.4 Presentation from a local PC - Is it correct that a single laptop connection is preferred rather than dedicated PC and laptop connectivity? Presentation via the LAN Please provide clarification as to the desired functionality requested. A PC or a laptop would be connected to a work area outlet via a Category 6 patch cable allowing the laptop to access the Alliance LAN, and therefore servers or the Internet which might contain information to be presented. 20. Section 5.3.2.2 Should the existing VGA and HDMI Cabling need to be included in the configuration? If so, should they be available for local display and or presentation via the video conferencing codec in each room?, that is correct. 21. Section 5.3.2.3 Should the existing VGA and HDMI Cabling need to be included in the configuration? If so, should they be available for local display and or presentation via the video conferencing codec in the room?. 22. Section 5.3.2.4 Please confirm that the East Main Street location requires no additional products or Pro services? The East Main Street location has Polycom video conferencing capability. Respondents to this RFP are responsible for ensuring that the proposed system will integrate with the proposed system; i.e. video conferencing can take place to and from this location. 23. Section 5.3.2.5 Please confirm that the Executive Place location requires no additional products or Pro services? The Executive Place location has Polycom video conferencing capability. Respondents to this RFP are responsible for ensuring that the proposed system will integrate with the proposed system; i.e. video conferencing can take place to and from this location. 24. Section 5.4.1.1 Is audio from the presenter or presenters the primary concern? Please confirm that audience participation will be covered by floating wireless microphone/s. Please confirm that 4 microphones per side (104/105) is the desired configuration. Audio from presenter is primary. 2 microphones per side (104/105) Is the USB connection referenced in the description a requirement of a specific system used by end users? If the USB connection is not a requirement of the video system can it be ignored? The USB connection referred to in the requirement is not for a specific use at this time; however, it should not be ignored. That is correct. Please confirm that the recording capabilities can be provided by a central resource for all rooms rather than a dedicated appliance or PC configured for each room.

25. Section 5.4.2.1 When not in a video call is it preferred to view the laptop connection on all display devices? Video Conferencing content should be displayed only on the flat panels? Flat panels and the projectors in the training room. Please confirm that the recording capabilities can be provided by a central resource for all rooms rather than a dedicated appliance or PC configured for each room. 26. Section 5.4.2.2 27. Section 5.4.2.6 Is it correct to assume that USB connectivity will reside with the Smart Board? 30. Section 5.4.4 Would a single display device be preferred if it reduced cost? A flat panel and a projector are specified in requirement 5.3.2.3 Falls of Neuse Road Configuration Details. Does a screen already exist? No If not, Please confirm that preferred form factor for the projection screen is ceiling recessed manual pull down. That is correct.

31. In the Board Room in each location do you want to be able to display something other than the PC in the credenza and the video conference codec? If so, what other connections would you like and from where (i.e. at the table)? Guests may bring presentations on laptops. Also, please comment on how the overhead projector would function with the codec., PC connections at the table in addition to the credenzas. 32. In the Board Room in each location do you want the ability to send either the codec or computer to any of the monitors/projectors or can the same image be displayed on all the monitors/projectors?
