Secure Access Secure Access (SA) is the new method of accessing the following Department for Education (DfE) secure sites: COLLECT This is used for Statutory Returns eg School Census, School Workforce Census S2S This is used for the secure transfer of files between schools eg Common Transfer Files (CTFs) Key to Success (KtS) This holds the national pupil database Why is this needed? No formal exercise has ever taken place to get schools to reset their current passwords since the system was first set up. As a result the sign in details in some schools might be know by multiple administrators, some of whom may no longer work in the school. Secure Access became live on 10 December 2012. The web address is: https://sa.education.gov.uk Please save it as a favourite once you ve accessed it. In order to access it for the first time you will need your existing Username and password for the above systems (this is also your Teachernet Username and password) and a PIN (see below). Each school will need someone to manage Secure Access. You are strongly advised to have completed the initial login procedure before the School Census takes place on 17 th January 2013 as you will need to access COLLECT via the new method in order to add confirmation or explanatory notes to your School Census returns. Securenet, please contact ScoMIS on 01392 385300 or email scomis@devon.gov.uk PINS Your PIN has been sent to you via the Secure Data Transfer community within RMSecurenet. It is in a SNP file similar to the ones you use for finance so you shouldn t experience any difficulties in opening it. This PIN is only required for your first log in to Secure Access. Once you have completed the procedure please retain your PIN for six weeks after 10 December in case of difficulties. To download your PIN follow the instructions below. Log in to RMSecurenet and select Secure Data Transfer from the communities down the left-hand side. Select Secure Data Transfer If you can t see this community please ask the person in school who manages Securenet to give you access. Click on File Transfer This will take you to the download screen where you will see a file called 878nnnn_878xxxx_PN (where nnnn is your 4 digit school number). Before you Select the file and download it, please check where the file will be downloaded to by clicking on the Browse button Page 2 of 16
at the bottom of the Download screen. You can select a more appropriate secure destination if you want to. Browse to where you want the file to be saved. Then click Select Click here to see or amend the file path First Log in to Secure Access Each school will need to designate someone to manage the Secure Access system. That person will need the existing Username and Password (ie as for Teachernet, COLLECT ect) and the new PIN. Go to the Secure Access website at https://sa.education.gov.uk Please note that if you need any assistance with this system the DfE have set up a Secure Access helpdesk who can be contract via an online form which is available on most screens. Type in your current details, tick to agree the Terms of use then click Login Below are the terms of use. If you don t know your existing Username and/or Password contact the DfE SA helpdesk via the online service request form. Page 4 of 16
Enter your PIN then click Submit Online form If this is your school, please click Confirm, otherwise please complete the online form. Please check and confirm your Organisation details. If this is not your establishment please complete the online form. Page 5 of 16
Enter your own question and answer. Answers are case sensitive. Click Submit once you have completed all the above information. Note: The Username for the school will remain the same ie your existing username but you can select whichever randomly generated password you prefer. You will need to enter your First Name and Last name and the general email account for the school and then confirm it (you will need this email address if you should forget your username or password). The email address will be used by the system should you need your username or password to be re-set. Finally, for security purposes, you will need to enter a question eg place of birth, mother s maiden name, favourite colour and record the answer. The security answer is case sensitive! Please ensure that all school users for each of the systems ie COLLECT, S2S or KtS are notified of the password. The security question and Page 6 of 16
answer will be needed in order to amend the password or in the event the username or password has been forgotten. Please ensure all relevant users are aware of this. You will then have the option to select the system you require ie COLLECT, S2S or KtS. These no longer have their own login screens. However you will need to logout of the system eg COLLECT and then log out again, but this time from Secure Access. Page 7 of 16
Additional Functions Editing Your Details Whilst in Secure Access you can amend details within your account. To do this click on Your account. Page 8 of 16
If you wish to amend any data eg name or position, select Edit. Page 9 of 16
Click Save once you have made your changes You will receive confirmation that the changes have been made. Page 10 of 16
Changing Your Password within Secure Access Select Change Password from the left-hand side of the screen and enter your existing password. Then choose one of the randomly generated passwords and click Apply. Enter your existing password Select from the list of passwords supplied Click Apply You will receive confirmation this has been successful. Page 11 of 16
Changing the security question Click on Change your security question from the left-hand side of the screen and enter your current password. Then select your new secuty question and provide the answer (remember this will be case sensitive). Enter password Select question and provide answer Subsequent Logins Click Save Remember that your Username has remained the same as the one you previously used for Teachernet, COLLECT etc but you will need to enter the new password you have chosen and to tick to agree the Terms and Conditions before you can click Login. (You no longer need the PIN you were sent but are advised to retain it for six weeks). If you have forgotten or mislaid your Username or password click on Forgotten username or password. Enter the email address you previously registered with SA on your initial log in. Enter your email address Select as appropriate Click send Page 13 of 16
You will receive a response e.g. When you receive the email you will need to click on the link at the bottom of the page: This link will take you into Secure Access where you will need to confirm your Security Question. Then click Apply. Page 14 of 16
Answer your security question and Apply If it was a password that was forgotten you will be given another list of randomly generated passwords to select from. Choose a new password and Submit If it was a username that was forgotten the system will generate a new username for you. Page 15 of 16
Click Continue to get to the Applications screen. For there you can either access one of the applications or log out. Remember to notify people in school who access this system of the new username or password. Page 16 of 16
