Introduction Many customers have field operations that must be conducted in remote areas where internet access is not available, as well as the need for increased workforce analytics and reporting capabilities involving every asset and related activity. In response, irth Solutions is launching UtiliSphere TM version 2015.2 so customers can continuously support their asset-intensive field operations allowing them to communicate, reference, and capture data in the field, even while being disconnected from the internet. With UtiliSphere, customers can gain access to ALL DATA on ALL DEVICES for ALL FIELD ACTIVITIES, on ALL ASSETS while being both connected and disconnected from the internet. UtiliSphere key features and benefits in this release include: o Map layer separation to view responsibility and facility layers separately (Page 4) o Maps available locally on Windows mobile devices when disconnected from the internet (Page 4) o In-application email to send emails from within the UtiliSphere application (Page 5) o On-demand rules creation for field workforce scheduling (Page 6) o Workforce analytics for all field activities that help increase workforce performance, improve safety, and measure compliance (Pages 7-9) The new version of UtiliSphere is available April 20, 2015. 3
Map Layer Separation View responsibility and facility location layers separately The mapping responsibility area and facility location will be now separated into two individual map layers. Users can turn off the responsibility area to view only the facility location of the work. This update makes it easy to see if the work affects the facility and where the work is around of the facility. Microsoft Windows Desktop View Shown Access Maps When Disconnected Maps available locally on Windows mobile devices when disconnected from the internet By adding maps to the Microsoft Windows Desktop disconnected application, users can now access maps and custom layers that are stored locally on their mobile device even while disconnected from the internet. In-Application Email Send email from within the UtiliSphere application With UtiliSphere 2015.2, users can send email directly from the mobile application. The capability works while connected to the internet as well as when disconnected. As soon as users reconnect to the internet, any emails will send to their chosen contact. On-Demand Rules Creation Field workforce scheduling UtiliSphere 2015.2 gives supervisors and administrators the ability to set up rules that automatically launch other forms and schedule activities based on which form fields are completed. An example being a leak survey form that checked a leak detected field could automatically launch a repair form and/or assign that form to a field technician for repair. New Workforce Analytics For all field activities You can t manage what you can t measure. When managing a field workforce focused on the maintenance and operation of your mission-critical assets, there are four critical metrics to watch. These four metrics not only ensure workforce productivity, but also maximize asset performance, safety, and compliance. For example, many field service leaders ask: Performance How is the workforce performing? Efficiency How efficiently is my workforce operating? Availability Where does the workforce have extra capacity? Compliance and Safety Are the workforce processes complying with government regulations as well as internal policies and procedures? UtiliSphere 2015.2 seeks to give administrators increased visibility into their field workforce with the addition of 9 metrics to workforce analytics for all field activities. Metrics include dynamics for technicians, geographies, and activities with a time component to show trending. These metrics provide better insight into performance, efficiency, and availability requirements and are a valuable tool in meeting compliance audits, including: 7
Performance o Performance metrics allow management to measure worker performance based on the number of field activities closed versus the number of field activities assigned and also show what percentage of those items where closed on time. o This allows field service leaders to: Review the number of items closed based on the number of items assigned to a field technician or area to determine if the number of items assigned are being completed. Review the percentage of completed work to determine if the number of closed items are being completed within the scheduled date and time. o As an example: A low performance metric could show a field workforce is under or over scheduled in a geography and might need to reallocate work or field technicians to optimize performance. Efficiency o Efficiency metrics allow management to measure how efficient workers are in the field based on the time and quality of work performed when measured against the amount of rework required for each assigned item. o This allows field service leaders to: Review current first completion rates to determine if the workforce is re-opening completed jobs. Look for activities with multiple attempts to find activities that have changed status. Isolate reasons for incomplete activities to find reasons or trends such as specific technicians, times, etc. for status changes. o As an example: A low efficiency could show that a field workforce does not have access to information to complete their job the first time, lacks critical skills, or uncovers an issue with the policies and procedures for the activity. Availability o These metrics allow management to measure an area or an individual s total work capacity based on timeframe. o This allows field service leaders to: Review current workforce capacity to determine if the workforce is under or over capacity. Look for field technicians or geographies that are under/over capacity to find field technicians or geographies that have a low/high volume of job assignments. Isolate reasons for the low/high volume of jobs to find reasons or trends such as specific technicians, times, etc. o As an example: A high availability metric could show that a field workforce has the ability to handle more work in a given geography and reallocating work or resources would optimize workforce capacity. A low availability metric could indicate a growing area with more work and a need to hire additional resources to handle the volume. 8
Compliance and Safety o Compliance metrics enable supervisors to view the number of field activities not being completed within the assigned timeframe. o This allows field service leaders to: Review the number of items completed outside of the assigned timeframe. Establish a records trail that can be used for compliance audits. Assure internal SLAs are being met. o As an example: A high compliance and safety metric could show that a field workforce has insufficient skills, lack of education about government regulations or internal procedures, or an over utilized workforce that is contributing to not completing their work within the required parameters.
