Piccolo xpress Lockout Feature Instructions for use
Procedure 1. Add authorized operators (It is highly recommended to add operators prior enabling operator lockout) a. On the Home Screen of the Piccolo xpress, select the Settings Icon: b. On the first Settings Screen, select the More Settings Icon: c. On the second Settings Screen, select the Security Icon: 2
Procedure d. On the Security Settings Screen, select the Operators button: e. On the Manage Operators Screen, select the Add Operator button: f. On the New Operator ID Screen, enter an ID for the new operator: If using the touchscreen on the analyzer, only numeric IDs are possible. If an external USB keyboard is connected to the analyzer, Alphanumeric IDs are possible. If a USB barcode scanner is connected to the analyzer, a barcode can be scanned for the ID. Operator ID s are limited to 14 characters. When the ID has been entered, press the Add Button to add the operator to the list of authorized operators and proceed to the Edit Operator Settings screen. The Operator ID can be canceled at this point by pressing the Back Button. 3
Procedure g. Press the Change Expiration Button to proceed to the Edit Operator Settings Screen: h. Edit the Date for the operator expiration date by using the up and down arrow buttons (when the first arrow is pressed the date will change to the current date). If the operator is to be authorized forever, press the Never Button (Default value for a new operator is Never) After the date set for the operator expiration, the operator will receive a warning that they need to be renewed. The operator will be able to continue to use the analyzer. However, a notice will print in the header of the result that operator renewal is required. If lockout is enabled, the operator will see the same warning, but will not be able to continue until their expiration date is updated. Press the Done button when the operator expiration date is set correctly. The analyzer will return to the Edit Operator Settings Screen. Press the Back Button from that screen to add another operator. 4
Procedure 2. Enable Operator Lockout a. With the Analyzer Off, insert Lockout USB key into one of the USB ports on the back of the analyzer. When the Lockout USB key is installed all lockout functions are disabled. Operators will not be prompted for their ID for any lockout functions. Turn-on the analyzer. b. On the Home Screen of the Piccolo xpress, select the Settings Icon: c. On the first Settings Screen, select the More Settings Icon: d. On the second Settings Screen, select the Security Icon: 5
Procedure e. On the Security Settings Screen, select the Lockout button: The Lockout button will only show on the screen when the Lockot key is inserted. f. Press the Analyze Button to enable Operator Lockout for analyzing samples. Press the Recall Results Button to enable Operator Lockout for recalling previous results. Press the Settings Button to enable Operator Lockout for changing settings. Lockout is enabled when a checkmark appears in the small box on the button. To cancel a lockout option, press the button again to remove the checkmark. Press the Home key to return to the Home Screen. g. Turn-off the analyzer and store lockout USB key in a safe location. The lockout button will not be displayed on the Security Settings Screen without the Lockout Key installed in the analyzer. 6
Operational Considerations 1. Analyzing Samples a. When Operator Lockout is enabled for analyzing a sample, the operator will be required to enter their ID twice for every analysis. When the operator presses the analyze button on the home screen the operator will be prompted for their ID and when the operator presses the Open button at the end of the analysis. The operator will also be prompted for their ID if the operator wants to cancel the analysis. If the ID is not on the list of Authorized Operators, they will see an Unauthorized Operator message and the drawer will not open. If their ID is on the list of Authorized Operators, but the current date is after their renewal date, they will see an Operator Renewal message and the drawer will not open. 7
Operational Considerations 2. Recalling Results a. When Operator Lockout is enabled for recalling results, the operator will be required to enter their ID to get to the Recall results screens. When they press the Recall Results Icon on the Home screen they will be prompted for their ID. 3. Settings a. When Operator Lockout is enabled for settings, the operator will be required to enter their ID to get to the settings screens. When they press the Settings Icon on the Home screen they will be prompted for their ID. 8
Common Problems Operator Forgets ID Lockout is enabled and Operator forgets ID. Ensure Operators have a way to find their ID. Empty Operator List Lockout is enabled without adding any operators to the Authorized Operators list. Locate the Lockout USB key and add Authorized Operators. Operator Resets Analyzer to Factory Defaults Lockout is enabled and an operator resets the Analyzer to factory defaults. This erases all the Authorized Operators. Locate the Lockout USB key and add Authorized Operators. To prevent this from happening, add Administrator Lockout for the second setting screen. Then only administrators can reset the analyzer to factor resets, as well as add or modify Authorized Operators. Administrator Forgets ID or Password Abaxis can reset the Analyzer at the factory. This will require shipping the analyzer back to Abaxis. Ensure the Administrator ID and password is stored in a secure location. Misplaced Lockout Key The Lockout key is misplaced/lost. Contact Abaxis Europe GmbH at +49 6151 350 790 for a replacement Key. Keys can only be made at the Abaxis factory. 9
