1. About RLSS Course Finder RLSS Course Finder is an invaluable tool to help candidates or parents, find the perfect course for themselves or their children. As an organiser of RLSS UK and IQL UK courses, RLSS Course Finder allows you to advertise your courses for free and reach a greater number of people, for the courses that you are organising. The RLSS Course Finder will make the job easy for you, putting you in control and helping you to attract a new audience and generate revenue. Benefits of the improved system include automatic authorisation for your courses, automatic email confirmation when a course is added and provisions to ensure that unwanted courses will not be advertised. Where people are looking for a new career or hobby, this easy to use, concise tool will be able to direct them to the course or qualification that perfectly suits their needs; letting them know what is available in their local area, the benefits of the course and how to get in touch with you, as Course Organisers. 3

2. How to add a course a. Who can add a course? Anyone can create a course, including TAs, Instructors, Course Organisers, Clubs and Approved Training Centre/Provider (ATC/P) Coordinators. However, if you are creating a regulated course for the first time and are not an ATC/P Coordinator, you will need to be authorised by the ATC/P coordinator of the course venue when creating your first course. An ATC/P Coordinator can assign various permissions with regards to creating courses. Once such permissions are agreed, this allows you to upload all future courses without continuous authorisation. For more information please see the Regulated Courses section. b. What is needed? You will need to login or register an account by visiting this link and following the instructions. Before registering, please ensure you do not already have an account with RLSS Direct. If you are an RLSS UK TA or have ordered materials from RLSS Direct before, you may already have one. All courses are loaded up by a Course Organiser. A Course Organiser is the person who creates courses for prospective candidates to search and enquire about. These candidates might be team members, volunteers or members of the public. To create a course, the Course Organiser will need the following information to hand: Name of the award/qualification Course location details or for regulated courses ATC/P number and postcode RLSS UK Society number and surname of the Trainer/Instructor 4

c. Adding a course 1) Login to your account. Please note that your login details to RLSS Direct may be different to those you may use in RLSS UK MyPage or MyPortal. 2) Once logged in, you can create a course by navigating to the Course area at the bottom of the page and select Add a Course. 3) You will now be presented with the Organising a new course screen. To create the course, simply fill out the required 6 criteria: I. The name of the course you are organising and if there are any add-ons II. The location of where is the course taking place (ATC/P number and postcode needed for regulated courses) 5

III. IV. The Trainer/Instructor who will be delivering the course (Society number and surname needed) When is the course taking place V. Number of places available on the course, cost of the course and any other relevant information about the course VI. Course Organiser details or contact details for the person receiving enquires about the course 6

4) When entering the venue of where the course is due to take place, there are two ways: I. Enter using an ATC postcode and ATC society number (compulsory for regulated courses) II. Choose to enter the address manually by selecting the option at the bottom of the map. Please note, if a course being delivered by an ATP is not at their registered address then they will be prompted to enter an address for where the course is taking place 5) When entering the Trainer/Instructor for the course, you must enter their surname and RLSS UK society number to confirm them as the Trainer/Instructor. These must match, otherwise you will not be able to add them. The Trainer/Instructor must hold the correct qualifications to deliver the course. 6) Enter all the relevant course information such as dates/times of the course, maximum attendants, cost and any other essential information. 7) Select Save Course at the bottom of your screen. 8) Your course will automatically be loaded on to the system. (See Regulated courses section). 9) An automatic email will be sent to the Trainer/Instructor (if different to the Course Organiser) alerting them to the new course that has been loaded on to the system where they have been detailed to deliver. RLSS Course Finder User Guide 7

d. Regulated courses The chart below details the qualifications that are regulated. If you are creating a course that includes any of these qualifications then please follow the details listed below: Regulated Qualifications National Pool Lifeguard Qualification (NPLQ) First Aid at Work (FAW) Emergency First Aid at Work (EFAW) Paediatric First Aid (PFA) Emergency Paediatric First Aid (EPFA) Automated External Defibrillation (AED) 1) Follow the steps detailed in the Add a course section of this user guide. 2) If your course is NOT regulated, your course will be live immediately, even if you are not an ATC/P Coordinator. 3) If you are an ATC/P Coordinator, your regulated and non-regulated courses will be automatically loaded. 4) If you are NOT an ATC/P Coordinator and are loading a course on to the system for the first time, your course will be saved as a draft. An automatic email will be sent to the relevant ATC/P Coordinator who will be asked to authorise your permissions. Once the ATC/P Coordinator has authorised your permissions, your course will be loaded on to the system and you will be able to load all future courses automatically for your entire ATC/P. 8

3. How to manage courses a. Edit a course A Course Organiser may wish to edit a course from time to time. This may include a change to the timings or dates of the course or a change of Trainer/Instructor. 1) To edit a course, you must first log into your account. Please note that your login details to RLSS Direct may be different to those you may use in RLSS UK MyPage or MyPortal. 2) You will only be able to edit a course if you have been given the relevant permissions by an ATC/P Coordinator. For more information see How to manage course organisers section of this user guide. 3) Once logged in, scroll down to the Courses area on your account and select My Courses. 9

4) You will now see a screen like the one below, providing you with a list of all courses you have loaded onto RLSS Course Finder. If you need to edit a course you have already added onto the system, then simply click Edit Details and make the necessary amendments. Please ensure you select Save Course to apply your changes. b. Cancelling a course A Course Organiser may wish to cancel a course from time to time. This may be due to various reasons such as lack of pool availability or sickness of a Trainer/Instructor. 1) To cancel a course, you must first log into your account. Please note that your log in details to RLSS Direct may be different to those you may use in RLSS UK MyPage or MyPortal. 2) You will only be able to cancel a course if you have been given the relevant permissions by an ATC/P Coordinator. For more information see How to manage course organisers section of this user guide. 3) Once logged in, scroll down to the Courses area on your account and select My Courses. 4) If you want to cancel the course, select the Cancel a course option and your course will be removed. You will need to enter a reason for the cancellation of a course. 10

4. How to manage Course Organisers An ATC/P Coordinator is responsible for ensuring that Course Organisers loading courses onto Course Finder at the ATC/P, are suitably trained to use the new RLSS Course Finder and have the appropriate permissions for the courses they are organising. Before a regulated course (e.g. NPLQ) can be created on Course Finder by a Course Organiser for the first time, an ATC/P Coordinator must first confirm their permissions. a. Permissions Once a person has loaded a regulated course for the first time, the ATC/P Coordinator will automatically receive an email notifying them. To authorise this person as a Course Organiser, permissions will need to be applied: 1) Firstly, the ATC/P Coordinator is required to log in their RLSS Direct account, scroll down to the Course Section, and click on Manage Course Admins. 2) In this section, an ATC/P Coordinator will have four options to set for all Course Organisers who have created a course under one of your ATC/Ps. If an ATC/P Coordinator is not sure on what each of the permissions do, hover over the i symbol in the table header for more information as shown in the chart below: 11

Manage Add/Edit Cancel Gives the Course Organiser permission to authorise other course organisers for regulated courses Gives the Course Organiser permission to add and edit regulated courses Gives the Course Organiser permission to cancel regulated courses 3) Activate the tick boxes Manage, Add/Edit or Cancel for the appropriate Course Organiser. This will change the permissions. 4) Please select Save to apply the changes. 12

5. How to find a course To find a course or qualification, visit RLSS Direct and click on the Course Finder icon available on the home page, or alternatively, click here. There will be a screen which shows the types of award/qualification or course available. a. Using the Wizard There are three ways to search for a course from this screen. You can: 1) Click on one of the five images shown 2) Scroll down and select a course suited to the situation by selecting whether this relates to an individual, a parent, a lifeguard or an employer 3) Scroll down and select a course based on what you want to achieve. 13

b. Using the map If the type or name of the course/qualification is known, click on the Map search icon at the top right-hand corner of the guide. 1) On the map page, type in the qualification in the search bar. 3) Once a qualification is selected, the search can be refined by entering a postcode. 4) The map will now show courses for the chosen award or qualification in the area, listed by distance from the postcode entered. Courses will be represented as pins placed on the map. Click a pin and it will show the details of the course, the date, where it is due to take place and how much it will cost. 14

5) Once a course is found, select the Contact Organiser option and fill in the contact form. This contact form will then be sent as an email to the nominated Course Organiser for that course. The Course Organiser will then be able to take the necessary action to book the candidate on to the course. 15
