Date: June 15, 2004 Product Bulletin: 565 Page 1 of 11 Revised Policy for Backup and Cluster Software Pricing This new policy eliminates the need for cluster channel license fees, provides order samples, and clarifies the server and software configurations allowed Effective June 15, 2004, a new policy for pricing and providing support of any RightFax server software, modules, connectors, or channels intended for use in a backup scenario will be in effect. This bulletin supercedes the August 7, 2000 pricing announcement for backup and clustered server pricing, and product bulletins 545 and 557 which were published earlier in 2004. SUMMARY OF POLICY CHANGES Discontinue requirement of 50 percent fee for cluster channel licenses when deploying in a Microsoft Cluster environment Discontinue use of cluster channel part numbers 2901-00000-36 and 2901-00000-05 Clarify configuration requirements: Cold spare systems must now be exact mirror of primary system Cleanup of language in configuration descriptions Provide samples with guidelines Revised backup server support pricing SERVER QUALIFICATIONS The following backup configurations apply to this policy: Cold Spare: A RightFax system pre-installed on a secondary server system that is intended for use as a cold spare in the event of a disaster, shut down, failure, etc, of the primary RightFax server, such that the secondary server will expedite recovery time. The secondary server configuration must exactly mirror the configuration of the primary server. The secondary server may share components of the primary server such as telephony or remote board servers. Test/Development System: A RightFax system used as a testing platform, in parallel with their primary RightFax server. Test/Development servers are typically smaller configurations than the primary server and will not send or receive any customer business related faxes. Installed in a Microsoft Cluster: Installed in a cluster using remote board servers as depicted and explained in the examples below. NON-QUALIFIED SERVERS Hot Spares: Systems that are available and for backup purposes but are doing actual sending and receiving of customer business related faxes are considered hot spares and not backup systems. These systems are not eligible for any discounts per this policy. Additional s and s over LAN/WAN: This policy is not intended as a promotional discount for secondary RightFax servers designated to be running full-time (e.g., in production or online). In addition, this offer is not intended to be a discount program for customers who wish to have additional RightFax s, Remote

Board s, or Satellite s in a distributed LAN or WAN environment for the intended use of load balancing, least cost routing or distributed processing. Customers with these requirements should purchase servers and support at standard Captaris RightFax prices. Special Promotional s: This policy is not inclusive of various special promotional products that are in effect at any given time. Please contact your Captaris Representative to verify eligibility for any promotional servers. Captaris Associates must contact Product Management for internal verification before any quotes or orders are accepted. QUALIFIED PRODUCTS The backup server and module pricing is available for new or existing RightFax system orders in 2004 and forward, including, but not limited to: RightFax Small Business RightFax Business RightFax RightFax Satellite RightFax Suite RightFax Integration RightFax for SAP; RightFax for Oracle RightFax Financial Edition; RightFax Healthcare Edition RightFax Modules and Connectors RightFax Fax Channels NON-QUALIFIED PRODUCTS The backup server discount is not available for the following: Fax boards Miscellaneous hardware Services (Training, Professional Services, Solutions, etc.) OEM s Special or promotional bundles ELIGIBILITY All Captaris resellers and distributors are eligible for this program. Standard partner and distributor discounts apply. End user customers will qualify for the 2004 pricing by meeting criteria as defined by the 2004 RightFax backup and cluster system guidelines defined in this policy (see next section). Bundle: None. An Suite or Integration for example, can have an as a test or development system. 50 percent off MSLP for the Test/ Development server, modules, connectors and channel licenses. No discount on fax boards other than standard Captaris Partner discounts. The customer must purchase a Captaris Standard, Premium, 7X24 Premium or Maintenanceonly support plan for the Test/Development server. Pricing of the support plan for the Test/Development server is based on the plan s normal percentage applied to the 50 percent discounted pricing of the Test/Development server and the application of a 50 percent discount to the minimums associated with each support plan. In addition, Captaris strongly recommends the purchase of a membership in the Captaris Developer Program for any customers developing applications using a Captaris RightFax server. Multi-server discounts on support do apply for the backup/test server. Additional Modules or Connectors: Software modules, fax channels, or other connectors may be an exact mirror, or, scaled down for a test or development system. For example, a customer with an, eight channels, and an email gateway in their primary system may wish to only have an with two channels and no gateway in the test or development system. Miscellaneous: May or may not have fax boards in the test or development system. Fax boards remain at full price with no special product discounts other than normal channel partner discounts. (see below for clarification) : YES Bundle: YES Connectors, Modules: YES Clarification: : Must be an exact mirror of the primary system s server configuration Bundle: Must be exact mirror of the primary system s bundle type. For example, if an Integration bundle was sold for the primary system, then a Backup Integration bundle must be ordered for the secondary system in a cluster. 50 percent discount from MSLP on second CPU/node s server software, modules, connectors, or bundles. Fax channels are sold at full price (standard Captaris Partner discounts apply). No discount on fax boards other than standard Captaris Partner discounts. The customer must purchase a Captaris Standard, Premium, 7X24 Premium or Maintenanceonly support plan for the primary node at current Captaris support pricing. The customer must then purchase an identical type of support plan on the secondary node. Pricing of the support plan for the secondary server based on the plan s normal percentage applied to the 50 percent discounted pricing of the secondary server and the application of a 50 percent discount to the minimums associated with each support plan. Multi-server discounts on support do apply for the secondary node. Additional Module/Software Restrictions: Software modules, and connectors must match the primary system exactly. Miscellaneous: Must be using Remote Board s for channel attachment to the cluster. Backing up Remote Board s is highly recommended. No discounts on the additional fax boards and fax channels, except for normal channel discounts. ORDERING DETAILS When placing an order please note the use of the 29 prefix in the part number, with the remaining 7 digits identical to that of the primary server and modules. This helps identify the components as intended use for a backup system. For example, a RightFax version 8.7 uses a 2000-87000-20 part number. Total $32,517.30 Use of 29 part number prefixes for the backup components. The 23 fax channels on the cold spare are at 50 percent of MSLP since they are considered cold channels (not in use until a manual failover). Therefore, they are ordered separately using the 2900 part number. Full MSLP was quoted for the fax boards, which were shown in each table as there are no discounts for fax boards that are installed in a system determined to be a cold spare, a test or development system, or even within a cluster. CLUSTER SAMPLES AND GUIDELINES Important Cluster guidelines: Captaris only supports clustering with the use of Remote Board s. All channels are considered live or active, since they are installed in the remote board servers, which attach to the cluster (see diagram). All fax channels are full price (instead of full price plus 50 percent cluster fee, this additional fee was removed). UNDERSTANDING WHAT TO RECOMMEND FOR RIGHTFAX SYSTEMS IN CLUSTERS There are two basic ways in which you can advise the customer on redundancy considerations for the RightFax system in a cluster: Software redundancy only Software, modules and connectors have redundancy only. Remote board servers are not redundant, and in most cases totals two, with the total amount of fax channels split between the two board servers. If a remote board server fails, there is no backup for it and channel capacity becomes reduced. Software and remote board server redundancy Software, modules and connectors have redundancy. Remote board servers have redundancy. Typically, a third or fourth board server is used to provide backup for the first two. If one board server fails, there are still at least two running with the total fax capacity maintained. Customer will typically purchase more channels than is required to ensure a minimum capacity in the event a remote board server fails. (Example, if a 48 channel system is required at all times, and the customer wishes to provide redundancy in the event a board server fails, it is recommended that they purchase 72 fax channels, and have 24 channels installed in to three remote board servers). All 72 channels are considered live channels and sold at full price. Additional fax boards must be sold as well. SAMPLE ORDERS RIGHTFAX SYSTEM RESIDING IN A CLUSTER Cluster Example (small system): In this scenario, the customer wishes to create redundancy for their software, while always maintaining a total of four fax channels at any given time. If one of the remote board servers fails, then two channels will be lost. Usage: Primary System: Backup System: Microsoft Cluster, 2 CPU nodes running RightFax s, and remote board servers. In the above example #2, you will note the following: Use of 29 part number prefixes A total of 4 channels were ordered at standard price of $795 each in step #1, even though these channels will be physically split between two remote board servers. There is no need to have to order these channels separately anymore. Since the fax channels are split evenly between two remote board servers, two individual two-port fax boards were ordered to accommodate this (instead of a single four port board). This is the supported method. Cluster Example (LARGE system): In this scenario, the customer will not only create redundancy for the server and software components, but also for the Remote Board, meaning if one fails, the total channel capacity remains at the same, since there will be a third board server. This configuration requires additional investment in fax boards and channels, but the entire system, including board servers and their channels, are redundant. Usage: Primary System: Backup System: RightFax s in a Microsoft Cluster, distributed between two CPU nodes and remote board servers.
