Project Managers can create a single contract that crosses over multiple work divisions (e.g. Electrical, Plumbing, and HVAC), and can easily look at an overall project that has had many added segments over the life of its original contract. 1
The Project Level module gives users the ability to create a single invoice for all jobs within a project and post one accounts receivable transaction. The appropriate revenue accounts are updated based on the division assigned to each job, allowing on-screen financial analysis. The Project Level module allows users to combine jobs together into a project status and view the committed, posted, estimated, and forecasted costs. These segments will then provide a top-to-bottom view of project performance from the big picture down to a snapshot of individual activities within a given project. PROJECT MANAGER'S ADVISOR MODULE This module is designed specifically to give project managers access to job information without conducting lengthy, timeconsuming searches. Enhanced security features can restrict project managers to view only their assigned jobs. Module configurations can allow for (or prohibit) entering forecast revisions and change orders directly. In addition, most information can be provided in a "read-only" format. The Job Status window allows extensive "drill downs" to the cost code and detail levels of a job. Automatically sort and print critical project management reports directly from the window. Detailed labor breakdown windows give project managers instant details on labor costs and hours, including variances and projected costs. SUBCONTRACTOR MODULE Unexpected subcontract costs at job completion can destroy margins and erode your working capital. The Subcontractor module enables you to more effectively manage subcontract agreements. You can track important information such as: Subcontractor information including insurance and worker's compensation expiration dates, draw requests, retention percents, and certificate expirations. Change-order status tracking for inclusion on AIA billings. Drawings, submittals, documents, and other paperwork associated with contracts. Payment control when paid by the customer (pay-whenpaid). In pay-when-paid situations, automated controls hold items for payment until the customer has paid the related invoice. Tight payment controls can keep track of retainages owed and protect the contractor from cutting checks to subcontractors when insurance certificates or other administrative compliance items have expired or have not been received. This provides management with the controls needed to optimize cash flow. This module also allows notes to be attached, to capture information, or alert you to datesensitive issues. ADVANCED SUBCONTRACTOR MODULE The Advanced Subcontractor module provides additional functionality to the Subcontractor module. With this enhancement, you can easily manage a higher volume of vendors and subcontractors, and can automatically add subcontractors to a job from the purchase order entry screen. Our Subcontractor Status window, a special feature of the Advanced Subcontractor module, summarizes contract information for a specific subcontractor and acts as a central location for accessing additional data. Advanced Subcontractor also offers additional business reports, plus payment and retention features, and allows tracking of multiple insurance types across all jobs for a subcontractor. Failure to obtain any particular document can place the project, and even the company, at considerable risk. With the Advanced Subcontractor module, you can track contract and subcontract paperwork for multiple projects. Documents, such as change orders, permits, proof of insurance, performance bonds, certified payroll reports, and other contract-related information, are readily accessible. Advanced Subcontractor module also automatically prints and tracks lien waivers. GRAPHICAL SCHEDULING The Graphical Dispatch Board enables you to easily manage your job activities by displaying a visual picture of your entire field staff. Each color-coded bar on the grid represents a job activity. Different colors are used to identify the activity type (e.g. red = excavating, green = piping, purple = electrical, etc.), and are user definable. Using the drag-and-drop capability of the Graphical Dispatch Board, unassigned job appointments can quickly and easily be applied to an empty time slot. You can also use this feature to reassign a job appointment from one crew to another. Used in conjunction with the Service Management Series, Graphical Scheduling allows you to effortlessly assign a technician to a job, or from a weather-related job cancellation to a service call. 3
REPORTING Accurate, up-to-date information is critical for making profitable business decisions. Job Cost's Report Writer and Crystal Reports are customization tools that allow you to quickly and easily create new reports, or modify one of the hundreds of valuable pre-defined lists and reports included in Job Cost. The possibilities range from very simple user-defined lists to sophisticated custom reports. Building report s is as easy as pointing and clicking on any field in the database to drop information into a report design template. You can summarize information at any level, insert formulas to perform calculations, and apply conditions to filter the information that prints. Once designed, reports can be placed on shortcut toolbars, which can be customized for each employee, giving them quick, easy access to the reports they use most often. Multiple billing types are supported, including time and material, AIA formats, cost-plus, cost-plus NTE, fixed price, percent complete, and scheduled billings. As your project progresses, charges flow into the billing system from various sources, such as Accounts Payable, Inventory, and Payroll. Direct entry invoicing on a project can be done on-demand. Time and material or costplus projects are created by marking up labor and other expenses. Flexible billing rates, overhead allocation, mark-up rules, and multiple billing methods give managers control over how projects are billed. Unique formats for different types of charges can be established, such as detailing labor charges and recapping expenses by type. Other entries can be entered directly and calculated on a percent-complete basis, based on scheduled events for milestone projects. TIMETRACK The Job Cost TimeTrack module is designed to make the most of your business by streamlining the collection of labor and related expenses. Users can capture, validate, track, review, approve and post labor, travel and employee expenses to various projects. This information may also be posted to the General Ledger and Payroll for processing purposes, and can be sent directly to ADP. Even employees working away from the office can submit time and expenses, via the Internet, to a central site for automated processing. Used in conjunction with Job Cost or Service Management Series, TimeTrack quickly and easily expedites time card processing for payroll. Users are able to enter service, job cost, and unbillable payroll transactions for an employee, on a daily basis, all from the same window, providing more accurate information and eliminating double-entry. Supervisors and managers can quickly review timecards and simultaneously post labor transactions to billing and payroll functions. Fixed asset changes can also be posted to jobs. This single point of entry means a faster billing cycle, better cash flow, and quicker management reporting cycles.
