1. Overview Welcome to the HDR Online Milestones Quick Guide. The purpose of this guide is to teach you how to submit your HDR milestones online, and what kind of notifications you can expect to receive from the online milestone system. Please note that your research program may have specific requirements regarding your milestone submission. Always communicate with your HDR administrator, supervisor, chair of panel, and delegated authorities to ensure that you are meeting their expectations. 2. Glossary of Terms Term HDR Milestone ISIS / Horus Online Form, Online Milestone Report, Milestone Template Delegate, Delegated Authority Definition Higher Degree by Research Master of Philosophy, Doctor of Philosophy or Professional Doctorates. A specific requirement that research students must complete as part of their candidature Self-service interfaces. ISIS being the student self-service interface and HORUS the HR or employee interface This term refers to the Milestone report form that students will complete. These will be rich text format (rtf) documents that will be generated by the system and then uploaded by students (and supervisors etc). Not all milestones will have an online form available. The Delegated Authority is a person who has been provided the delegation to sign off on the progress and completion of a research student. 1
3. Instructions Submitting an Online Milestone Report 1. Log into ISIS. 2. Navigate to Research > Research Reports 3. The Research Reports page contains a list of all your milestones, their due dates, and their status. 4. If your milestone is online-enabled, it will contain a link in the column View Report. Click on this link. Note: If you do not see the View Report column, your milestones are not enabled for online submission. 5. The Student Milestone Report page contains the history of all of your submissions. 6. To upload your report, you must first generate a blank Milestone Report Template. To do this, click on the Generate Report Template button. 2
7. The browser will download and open the Milestone Report Template as a Word Document. Milestone Template Example: 8. Fill out the Milestone Report Template per the instructions of your research administrator, and save it locally (e.g. to your desktop). Note: Please see Appendix for milestone report samples. 9. When you are ready to submit your milestone report, click on the 3
button. This will open a File Attachment window. 10. Within the File Attachment window, browse the locally saved Milestone Report and click the button. 11. Once you ve uploaded your Milestone Report, you can add a comment for your Supervisor, Chair of Panel, or Delegated Authority. 12. The system will send an email to the person you selected from the dropdown (your Supervisor, Chair of Panel, or Delegated Authority) once you click the button. 4
13. The Student Milestone Report page will reflect the time and date of your report submission, as well as your comments (if you chose to include any). Note: It is not necessary to sign the report unless you are specifically instructed by your administrator to do so. 5
Updating an Existing Milestone You may need to make changes to a milestone that you have submitted into the system. To do this, you will download a copy of the latest version of the milestone and re-upload it once you have made your changes. Note: The system permanently records each uploaded version of the milestone document. 1. On the Student Milestone Report page, the latest milestone version can be opened by clicking on the Current Report File link. 2. The browser will download and open the latest version of your Milestone Report as a Word Document. 6
3. Make any desired changes to the Milestone Report, and save it locally (e.g. on your desktop). 4. When you are ready to submit your updated milestone report, click on the button and follow the same process as you would if you were uploading a new Milestone Report. 7
Student Notification As an HDR student, you will receive notifications via email to inform you of upcoming milestone due dates. Each milestone email will contain a list of all of your incomplete milestones where the due date is less than three months away. Overdue milestones will be highlighted in red. Example Email: When your milestone has been marked as Complete by your Research Student Administrator, you will receive an email notification. You can also view the progress of your milestones on the Student Milestone Report page. 8

Please note that these samples may be outdated and therefore slightly different than the templates you will download from the system.
