1 Computer Inventory & Standards Report (12/1/2008) Executive Summary Computer inventory for IVC is based on a technology refresh cycle of three years. This equates to, approximately, one-third replacement of computers and other technologies annually. This model is widely used in the industry and is recommended by state Chancellor s office. Three year life cycle is reflected the typical maintenance agreement that comes with each PC or Mac. Technology Services attempts to apply this same cycle to other technology equipment such as printers and projection systems as seem to have similar failure rates timeframes. Additionally, it is more difficult to repair and find parts for these commoditized items after three years. Refresh Cycle As stated, a three-year refresh model is used for most technologies on campus. A relational database acts as the front and back-end application containing inventory information. There is, approximately, 1200 active computers in the system that are PCs and Macs being used in labs and faculty & staff offices. The chart below shows the various labs and models. Additionally, we index the refresh based on the model of the computer as this is a good indicator of end-ofcycle (warranty expiration). For example, this year, most lab computers that are Dell GX620s will be refreshed as they have reached the 3 year warranty period. Next year, GX620s for faculty and staff will be addressed. Apple imacs were refreshed this year. Though we address refreshes throughout the year for faculty and staff, the majority of lab upgrades are scheduled for summer, with a few exceptions, such as small labs where the change-out times are short. GX270s & GX280s are models that were refreshed earlier this year. Models to be refreshed in the coming years are GX620s and GX745s. Some functions and areas may continue to use older models because of lack of need or requirement. For example, print stations, where processing of a swipe card is the only requirement, may not need upgrading. Software compatibility is another driver that may require systems to remain such as those used in CDC. The same reasoning and practice are applied to other equipment refresh such as notebooks, printers, and data projectors. More often than not, replacement at the end of three years is necessary on these items. Cost of repair and availability of parts out-weight the purchase of new technology. PC & Mac Standards Standard configuration and specification of technologies are reviewed periodically, typically, at time of refresh. Consultation with our Dell, Apple, and Cisco representatives throughout the year helps us to look at trends and roadmaps. This allows for better decision making and longevity and support of products.

Once received, the units are imaged based on location and requirements. Software loads contain applications such as antivirus, programming software, escape, e-term, and MS-Office. The systems are tagged and entered into the database. Technicians coordinate with users to schedule an appropriate time for change-out. Faculty and staff refreshes take the most time because of user specific needs. Classroom Standards Classrooms on campus are equipped with a standard multimedia installation. Technology and equipment consistency across classrooms is the objective as well as reliability of product. Given this, our practice is to stay with reputable vendors such as Sony, 3M, Dell and Apple. We also set technical standards such

5 as 5000 lumens for data projector brightness. Working with faculty, this brightness level seems to work the best in a classroom environment given the balance of cost and technology. 8 IDF Spaces Intermediate Distribution Frame (IDF) is a space for interconnecting and managing network and telecommunications cabling between end user devices (e.g. PCs, phones, printers) and a main distribution frame (MDF). The MDF is located in Powerhouse1 (PH1). PH1 is also the Main Point of Entry (MPOE) for our campus and AT&T Central Office (CO). IVC IDFs require proper ventilation because network equipment (switches, UPSs, etc.) require proper environmental conditions to run reliability. Most IDFs on campus are co-located with electrical equipment. Each floor or section of a building has an IDF based on cabling requirements. IDFs also play an important role in the configuration of e911. The list is below. Location Description IDF A123 Located within storage area of A100. The computers in that closet are used for the A+ Hardware class but can be moved. B206 Storage closet contains racks of documents and other items not part of Technology Services. However, maintenance has allowed us to store some classroom items there such as an instructor podium which originated from B304 - now used by Music. B208 is a closet inside B209. That space does not belong to Technology Service. The only TS item in that space is an amplifier and mixer that powers the speakers located in the front of that classroom.
