The Petals Exchange 2007 Update 1.1 Online Trading At the beginning of 2007, Petals Network released a major overhaul of Petals Exchange, the online ordering and tracking system for florists. This update brings a new level of simplicity and usability to the Petals Exchange, allowing florists to have the ability to receive and send orders at their fingertips The florist control centre looks like this (figure 1): Figure 1 1.2 The Control Centre Once logged in you will see the menu bar at the top of the control centre. The menu bar gives you access to the major functions available to you (Figure 2). Figure 2 From the menu bar you have the ability to Send an Order, Send a Message (either to HQ or a florist regarding an order), track your order history, have access to price lists and selection guides and find helpful information and FAQs for trading online with Petals.

1.3 The Dashboard One of the major changes made to the control centre, is the dashboard. The dashboard displays all the orders and messages that belong to you. The dashboard allows for you to view an order, accept or reject and order, and mark the order as delivered (Figure 3). Figure 3 No matter what page you are viewing on Control Centre, the Dashboard will be available to you; all information will appear in the panel below the dashboard. This includes contact information and help information. The only time you will leave the dashboard is to place an order or view an order. On the top right hand side of the dashboard, clicking on the Dashboard key link will display the meanings of the various icons, which are displayed on dashboard (Figure 4). Order icons are displayed on the left hand side of the dashboard; the different icons resemble the stage of an order. Figure 4 If an order has the new order icon on the left hand side, (figure 5) you are required to take action either to accept of reject the order. Figure 5 If an order has the today order icon on the left hand side, (figure 6) you have accepted the order and the order is due to be delivered today. Figure 6

If an order has the future order icon on the left hand side, (figure 7) you have accepted the order and the order is due to be delivered in the future. Figure 7 The Past order icon is displayed on the right hand side of the dashboard if an order was due to be delivered on a previous day, this order will remain on the dashboard until you mark the order as sent (Figure 8). Figure 8 The action icons are located on the right hand side of the dashboard. You use these icons to take action on an order. The green icon with a cross (figure 9) is present when an order is new and not accepted, you click this icon to either reject or accept and order (Please note, you have one hour for an order to be collected or rejected before it returns to Petals Network for re allocation) When you click on the collect an order icon you will be presented with the order details at this point you are required to either accept or reject and order. Figure 9 The white page icon (figure 10) allows you to view and order, which you have already accepted. Figure 10 The red icon with the negative sign (figure 11) allows you to reject an order, after you have collected and accepted the order, if you are unable to complete the order. Figure 11

The green icon with a tick (figure 12), allow you to mark an order as delivered. While this is optional we encourage all florists to use this function as it allows us to let the customer know the order has been delivered. Figure 12 1.4 Receiving an Order When you click on the green icon with a cross you will be taken to the collect an order screen (Figure 13) On this page you will be able to view the order details and will be required to accept or reject an order. Figure 13 If you can do the order click the Accept Order button: If you can t do the order click the Reject Order button PLEASE NOTE: You have 1 hour to collect order once the notification of the order has been sent to you. If you do not collect the order within 1 hour the order will expire and come back to HQ (Figure 15). 1.5 Sending an Order This process has been simplified to allow orders to be made quicker and easier. This page allows you to quickly enter the product code your customer has ordered for example c12.1.

Step 1 (figure 14) involves setting the currency and destination country. If you know the product code select the product code from the drop down list (please refer to selection guide for product codes) Figure 14 If you don't know the product code you can change the view and select the product from a list by clicking on "Change to List View link. This will show a country specific Selection Guide (figure 15). Once you have chosen the destination country, currency and product you will be directed to a form to enter all the other information about an order (figure 15). You can see at the top of the order form it has automatically inserted the product code and name of the product you have entered in the previous screen. Please check that the correct product has been ordered BEFORE you continue entering the order. Figure 15

If you are not sure of the item your customer would like to order OR you would like to order a STYLE of product i.e. a pink bouquet or a blue and white wreath on the quick order page there is a short catalogue listing popular item: Once you have found the item you require simply click on click here to order and you are then taken to the same order form as before and simply follow the above instructions. The next stage is to enter the recipient s details (Figure 16). We have removed the generate order number button as this field is not required. You may enter a recept number for your own business purposes, otherwise leave this blank and Petals will generate an order number when the order is confirmed. Figure 16 Another change made to the Petals Exchange is the information icons these icons allow you to hover over them to obtain information about the form you are filling out. If you do select your supplier the following screen will be shown (figure 17). Figure 17

From this screen you can either enter the member number directly (if you know it) or you can browse the suppliers Petals has in that area. To select a florist simply click on their little circle. 1.6 Tracking an Order & Order History Once an order has passed its delivery date it will be removed from the dashboard. But the ability to view the order is still available via either tracking the order by order number or viewing your order history from the main menu. The track an order function can be found at the top of every page (figure 18), simply enter the full order number (xxxx.yyyyyy) into the text box and click the search button. Figure 18 You are required to specify the number of past order you require or previous days you require. 1.7 Messages Messages will also appear on the dashboard below the orders. You will be able to read and reply to messages sent to HQ, regarding orders.
