Create a Backup Backing up your information is an important part of data security. Based on your school s unique network configurations, you can use the Backup feature to make sure that your Administrator s Plus data is secure and available in case of an emergency. By creating a backup through the AdminPlus Backup feature, you can save data and set up scheduled backups on your computer. To create a backup, do the following: 1. Make sure that all AdminPlus users are logged out of the system. Note: All other users must be logged out to ensure that an error doesn t occur. 2. On the toolbar, click Tools > Backup & Restore. 3. Click Backup. 4. In the Administrator s Plus Backup dialog box, configure the following settings: Administrator s Plus RS4 Folder: Browse your computer, and select the location of your RS4 folder. Backup Type: Do one of the following: Select School Year to back up data from a specific school year. If you select School Year, select the following: School: Select your school name. Year: Select the school year that you want to back up. Items to Include in the Backup: Select which items you want to include in the backup. The more items you include, the larger your backup file becomes. For example, Pictures may not always be necessary to back up. 1 Backup Process in AdminPlus
Select Users to back up AdminPlus user data. Select Enter RS4 Folder to back up your entire AdminPlus database, all school years, and all users. Destination Folder: Browse your computer, and select the location you want to store your backup data. 5. To save these specifications for a future backup, click Save Template, and enter a name for the template. 6. Click Save. 7. Click Begin Backup. If the backup completes successfully, you see a message saying, Backup Complete! A notepad document appears with various notifications that you can close. If the backup is unsuccessful, a notepad document appears with notifications of any errors that occurred during the backup process. Schedule an Automatic Backup By using the Backup feature, you can schedule automatic backups to occur at regular times. If you schedule frequent backups, it s recommended to do current year and scheduling year backups. It s also recommended to back up the entire RS4 file occasionally to secure your data during an emergency. Note: Your computer must be on when your backup is scheduled. To schedule a backup, do the following: 1. On the toolbar, click Tools > Backup & Restore. 2. Click Backup. 3. In the Administrator s Plus Backup dialog box, select a saved template from the Current Backup Template drop-down list, or configure the following settings: Administrator s Plus RS4 Folder: Browse your computer, and select the location of your RS4 folder. Click Save Template to save and name this template. 5. Click Schedule Backup. A message appears. 6. Read and confirm the message to learn what time your backup is scheduled. 7.
