Welcome to the Users Quick Start Guide for Meeting Room Manager 7 Getting Started Meeting Room Manager is the easiest-to-use, most flexible and customizable room and resource scheduling solution available. Get your organization on the fast track to organized bookings including meeting rooms, equipment, and catering services by using Meeting Room Manager today. This guide will give you the information you need to start utilizing Meeting Room Manager now. You can use it as a desk reference tool to keep quick information at your fingertips. More details are available in the User Guide and the online help system if you need them. Let s get started! Main Screen The main screen is the first screen you see when you log into Meeting Room Manager. Each time you exit a dialog box, you also return to the main screen. The main screen is the springboard to the features you will need as a user. From it, you can glance at room availability, find specific meeting rooms, find existing bookings, and most importantly, book your own reservations! The main screen contains the reservation grid. On it, you can see which resources are available and create reservations for the resources you have permissions to. If you require more permissions than what you ve been given by your MRM Administrator, you can contact him or her to request changes. Search One of the two search forms available to users is the Reservation search form. This allows users to find an existing reservation based on the user s own specific criterion. Examples of criterion are host, location, and resource name. Available fields by which to search criterion are dependant upon how your MRM administrator has designed each search the form. The second of the search forms available to users is the Resource search form. This allows users to find rooms and resources based on the user s specific criterion. The Reservation Form The fastest way to create a reservation is to click on an empty space in the reservation grid. The Reservation form opens with the time slot and resource you chose already selected. Once the Reservation form is open, you can enter and save your details. Order Services in the Reservation Form MRM Enterprise allows you to schedule the services that your MRM administrator has made available to you. These services can be anything your organization offers for reservations. Catering, telecommunication equipment, and audio visual equipment are some common examples. Create Reservations in Microsoft Outlook The Meeting Room Manager (MRM) Enterprise Edition comes with a plug-in that enables you to schedule the resources and services that are managed by MRM directly in Outlook. Ensure that your MRM Administrator has installed the MRM plug-in on your workstation by following the instructions in the Enterprise Administrators Guide. Once the component is installed, you can begin scheduling the resources in Meeting Room Manager through Outlook To schedule a reservation using Outlook, double-click on an empty space in the calendar, or click the Meeting Room Manager toolbar and select Appointment. In the MRM Reservation form that opens, enter the meeting s title in the Subject field. Order Services Using Outlook Similarly to using the Reservation form in the Meeting Room Manager interface, you can use the MRM Reservation form in Outlook to schedule services along with your reservation. Click the text Add Requirements for Selected Rooms at the bottom of the Meeting Room Manager tab of the MRM Reservation form in Outlook.
