Logging in to Express E222 1. In Internet Explorer, visit vwdco.com 2. Click CSOS in the upper right corner Your username is your DEA Number 3. Once logged in, click on Create, Send and Manage e222 Forms Orders Page This page shows a list of all created orders that have not yet been submitted. Click Create a New Order. Order Creation Page Products available to order from this supplier are displayed. If this page does not have any products listed on it, please contact Customer Service. 1
Quick Search The order form has a Quick Search function. Orders can be created without having to search the product list. 1. Enter the desired quantity. 2. Begin typing the supplier s stock number, the NDC or the name of the product. As you type, matching products will be displayed. The more characters entered, the more precise the results. 3. Select the desired product from the drop down list and click Go. The quantity is filled in as shown below: Advanced Search The order form has the following filter options: Products ordered in the 12 months Products on your current order Products that match a specific product search Advanced search is most useful when typing order quantities directly into the list or comparing prices instead of using the Quick Search function. Any products that match your search criteria are displayed in the list. Products on the current order are also displayed, even if they do not match the search criteria. The search is run against Product #, NDC #, Product Name, Category and Source. For Example: If you type 50, the search results will include products with 50 in any fields. 2
Extended Product Information If additional information is available, the word MORE appears in the column on the far right of the product. Hover over MORE and a small pop-up window will appear with the additional information, price and quantity on hand. List Sorting The product list can be sorted by the following fields by clicking the column header. Product# NDC# Size Strength & Unit Product Name Category Source For example: Clicking the word Category in the column header will sort the list by Category in ascending sequence. A small arrow appears to the right of the word Category to remind you of how the list is sorted. Clicking on Category again will sort the list in descending sequence. The arrow icon will then point down. Saving or Signing Your Order When quantities are entered, the Save Form and Continue button is enabled. Click Save Form and Continue to save your order. 3
The Finalize Order Page is Displayed This page captures additional information to finalize your order. PO numbers can be added for tracking. The system assigns a Tracking ID as required by DEA for reporting purposes. Fields for contact information for the confirmation email and in the event there is a question about the order. Your normal email address and phone number are automatically populated, but changes can be made if needed. Special instructions can also be provided. If you are the DEA registrant who is authorized to sign controlled substance orders, click on the Send Order Now button. If you are not authorized to sign the order, you can enter all of the order information and then click the Save and Exit Without Sending button, so the DEA Registrant can come back into the system and sign it later. Valley Wholesale Drug Co. will not be notified of the order until Send Order Now is selected. Signing The order to be signed is displayed in the background and the Certificate Selection Dialog box is displayed on top. If there is one more than one certificate stored in the Internet Explorer browser, all will appear in the Certificate Selection box. The DEA is very strict about which certificates can be used for signing controlled substance orders, so use caution when selecting the applicable license. The certificate will have the DEA registrant s name in the Issued To column and CSOS CA in the Issued By column. If there are no certificates displayed or if none of them are issued by CSOS CA, please refer to the help document entitled Installing a Digital Certificate in Internet Explorer. If you are unsure which certificate to use, attempt to submit your order with the available certifications until it is successfully signed and transmitted. Administrative or coordinator certificates may appear in the list, but are not valid for signing orders. Attempts to submit orders with these certificates will receive an error message. If this occurs, continue the submission with another certificate until successful. 4
After a certificate is selected, you will be prompted to enter the password for that certificate. The example shows CSOS Digital Certificate but may say CryptoAPI instead. If it does, it is because the certificate was not given a meaningful name when it was installed, so Internet Explorer defaulted to CryptoAPI. If you are not prompted to type the password, there are two possible reasons: 1. When the certificate was installed, it was not installed with a high level of security. 2. You accessed the certificate within the last hour and the password has been retained. If the first reason is true, it is recommended the certificate be reinstalled and the high security option selected, as recommended by the DEA. Otherwise, anyone with access to your computer may access your certificate and apply your digital signature to an order or DEA report. If you cannot remember your password, only the person who installed your certificate or the DEA CSOS Help Desk will be able to help you. DEA Help Desk 877.332.3266 The e222 Form Submission Disposition Page is Displayed If the signed order passes all DEA electronic controlled substance order validation criteria, a message like the one below will appear. This indicates that your order was successfully transmitted and that you will receive a confirmation email shortly. If the signed order does not pass all DEA requirements, this page will tell you that the order was not successfully signed and transmitted and will explain why. Reasons might include: You used a non-dea-issued certificate to sign the order You used a DEA-issued administrative (not intended for order signing) certificate Your DEA-issued certificate has expired Your DEA-issued certificate has been revoked (by the DEA) Your supplier has a different DEA number on file for you than the DEA number in the certificate Your order contains controlled substances that your DEA license does not allow you to order We will proceed with the assumption that your order was successfully signed and transmitted. The status of your order has now changed from open to sent. 5
View Submitted Orders by Clicking Orders 3. All Submitted Orders Are Displayed 1. Select Create, Send and Manage e222 Forms. 2. Click on the Sent Orders tab. 4. The list is sequenced with the most recent orders at the top. To view the order you just signed and submitted, click on the magnifying glass icon. The Electronic Form 222 Both the email and the form on the Express222 site contain blank columns on the right, just like the DEA-issued form 222, that can be used to indicate the quantity and date received for each line item. The confirmation email sent to the email address provided during signing contains the same e222 form as pictured above. 6
Receiving an Order 1. Select Search for Sent e222 Forms 5. Enter the quantity received in the RECEIVED QTY box 6. Click the receive button 7. Receive all items and select Close this Window 2. Enter a date in the From Date: box 3. Click the submit button 4. Locate the desired order and click receive 7
