What hipos Retail offers What is hipos? The hipos is a Retail POS Touchscreen Software whose primary objective is to give the user/owner a computer aided system which controls & monitors its existing line of business in a more better, effective & optimized way. Primarily this is a desktop Application. The system can be used onscreen/ or by classical method of Computing in a very easy & effective way. It synchronizes the data from DB to the cloud on a time to time basis preferably uploading differential data on an hourly basis (option is there to manage manually). The hipos Features Inventory Control / Purchase Orders Good inventory control means balancing the expectations of your customers and your bankers, so you must avoid being either under stocked or overstocked. Here are some inventory control features: Flexible- Auto-generate purchase orders using a variety of calculation methods. Current- Get up-to-the-minute reports for sales, inventory, low stock, over stock, and on-order items. Precise - Read data from a portable stock counting device/ Barcode Scanner. In Control- Do on-screen preview and editing of purchase orders. Fine Tuned- Consider base/ minimum stock, re-order points, re-order quantities and sales performance when calculating orders. Focused- Limit any report to selected items, suppliers or departments. Goods/ Product Received- A physical good received section should be accounted or captured based on the raised PO. It should also affect the stock when the goods are received. Stock Procurement- The system will also keep a track on the number/ category/ types of products/ items procured. Accordingly it can update the stock. The inventory system includes a wide selection of processes from receiving & transferring stock to importing & exporting stock data. The system also uses the internet to transmit inventory ads & changes, sales logs and stock levels between stores or to and from head office. Invoicing With hipos Retail you can choose to use the built-in accounts receivable system or transfer all you open invoices to QuickBooks. The built-in invoicing system has: Fast payment and reprinting options. ST & VAT applies for items individually. Client oriented displays - it s always easy to pull up all invoices. Monthly statements and late charges. Option to open the invoice database in MS-Excel/ PDF format & of course by default it will fetch data on screen as requested. A screen for reviewing any client's invoices in QuickBooks and making payments on them. Supplier Module This has a flexibility to add/ edit & delete a supplier. By this we can also keep a track on the supplier, the kind of product it supplies to the shop. Reports For hipos Retail, the report section should be flexible or customizable as per the choice of the user, but there should be some basic blocks on which we will define our reports. Please note that the choice of the report generation should be dynamic, based on the choice of the user. Please note that this actual data which will disclose the total turnover of that shop. Purchase Invoice Report- This is a report with respect to the Purchase Order Issued to the supplier. This report will be generated daily, fortnightly, monthly, yearly based on the sales data. It should be by category, by products, by date, by payment mode, number of PO generated etc. Supplier Wise Report- This is a report with respect to the suppliers. This will highlight the facts on the actual PO generated/issued to the supplier & goods received retrospectively. Profit & loss ratio- This is a report which will calculate the profit & loss ratio on a month on month sale & yearly sale. Tax head wise report- Report based on Taxation based on accumulation & payable (IT, ST, VAT ETC). Inventory Performance- It measures the performance of a particular item, category, or subcategory. Sales/ Returns- It evaluates returns in relation to sales. Vendor Comparison- It compares each vendor's sales performance against your investment in that vendor's merchandise. SMS Gateway Integration/ Caller ID & Email The SMS Gateway & the caller ID section will be used to track the customer & on every purchase, a SMS will go to a customer with the total bill amount & total number of Items purchased with Categories. At the time of data Reconciliation a final SMS will go to Owner of the retail shop about its total sales figure achieved in that day with available stocks/ available quantity of items of all categories (It is not required to have a break up only a figure/ just a number can meet the purpose). A Daily Stock report with a category wise break up should go to the shop owner via email at the end of the day. Provision to be kept for expansion. Convenience Features The goal of retail management software is to let you concentrate on your sales and customers, not on your computer. The convenience features in hipos are: Extensive use of pick lists for finding items, invoices or clients (including client lookup by name, company phone number or customer number). Help screens free of computer jargon, available at the push of a button. Support for multiple inventory files - and stock transfers between stores. Sales tracking by product, department and client. Comparative sales histories. Price quotes that can be recalled and processed as sales. Set Discounts on individual items or offers for categories and products to increase the sale. Flexible currency format (for example if used in India then INR, for US its USD, for Australia its AUD, etc). Import inventory from other databases. Store all data in a common file format for access by other programs. Stock code duplication check. Bar code generation mechanism/ Self edge Bar code Label/ Ticket generation mechanism. POS screen can display the all-time total spent by a client. Log Tracing. Security Features Security refers to two different things: 1. The ability to limit access to information or program functions. This is used to make sure that staff cannot make unauthorized transactions or see confidential information. Each employee is assigned a password to determine their access level. Some of the hipos password features are: Passwords determine the functions a person can use. All sales transactions are logged with the date, time and name of the sales person. Optional requirement for a manager's password before the system will void a sale. Employee Login: They will see the POS system and every transactional data will be saved in the live DB A training mode, in which all POS functions can be used but no data is saved/ changed. 2. The ability to roll back (restore) your data to a previously saved version. This is used to undo the results of serious errors. For example, say you delete twenty invoices and then discover that they were the wrong twenty. Everyone who works with computers has days like that (bar none). An easy way out can avoid big headaches. The hipos rollback features are: Selective roll back - the user can choose sales, inventory, client or invoice data. Selective or batch backup - back up selected files or do them all at once. Automatic warning if your disk space runs low. Hardware Device Compatibility The system is compatible with the following Hardware s: Barcode Scanner: This is used to enter the product/items which has Bar codes & for products which don t have barcodes the user can input its data manually into the system. POS: The Printer which normally used In shop/ Big retails House. Vacuum Fluorescent Display (VFD): The output screen normally used to show a display of products, price & total Billing Amount to the customers. hipos Installation Run setup and choose whether to install database or not (for non-database server OS like XP, Win7 etc). Create license request file and get a license file in exchange from the vendor. Feed the license file to this application (from the prompt you get).
