Introduction Welcome to Nodus Credit Card Encryption! Credit Card Encryption is an add on component to Microsoft Business Solutions Great Plains/Small Business Financials. CCE encrypts credit card numbers in all Great Plains/Small Business Financials database tables. Additionally, it masks all but the last 4 digits of a credit card number in all Great Plains/Small Business Financials windows and reports where credit card numbers are viewable. Credit Card Encryption is designed to work seamlessly with Microsoft Business Solutions - Great Plains and Microsoft Business Solutions - Small Business Financials. Features include: Encrypting credit card information in Great Plains and Small Business Financials tables Masking all but the last 4 digits of credit card numbers in all Great Plains and Small Business Financials windows and reports where credit card information is viewable. Ability to decrypt single credit card numbers on the fly In addition to the built-in features above, Credit Card Encryption has been designed to seamlessly integrate with Nodus Credit Card Advantage. Part 1: Setup This part of the User Guide outlines what is necessary in order to begin using Credit Card Encryption. Chapter 1: Installing Credit Card Encryption To successfully install and use CCE, make sure that the following softwares are installed: Windows 2000, Windows XP, Windows NT, or Windows 2003 Microsoft Business Solutions - Great Plains 9.0 refer to MBS Great Plains manual to install or Small Business Financials 9.0 with the latest Service Packs The workstation must meet the minimum hardware requirements of the Great Plains or Small Business Financials system If you are currently a Nodus Credit Card Advantage user, you must be on Credit Card Advantage 9.0 Build 10 or later. The most current version of Credit Card Encryption is available for downloading from our website To obtain the CCE*.exe: 1. Go to www.nodustech.com 2. Click on Products >> Downloads. 3. Enter in the required information and hit Submit. 4. Under Credit Card Encryption for Microsoft Business Solutions Great Plains, click on Click Here to Download. 5. The download should begin. To run the CCE*.exe, administrative privileges are required on the environment. When running the installation you must be logged in as the computer Administrator. There are 3 types of CCE Installations: Great Plains Server o Installs the necessary components and applies triggers to the MS SQL Great Plains/Small Business Financials Server Great Plains Server and Workstation o Installs the necessary components onto the Great Plains/Small Business Financials Server and Workstation, applies triggers to the MS SQL Server, and installs the Credit Card Encryption chunk file in the Great Plains/Small Business Financials directory. Great Plains Workstation
o Installs the necessary components onto the Great Plains/Small Business Financials workstation, and installs the Credit Card Encryption chunk file in the Great Plains/Small Business Financials directory. Credit Card Encryption Workstation components need only be installed on the Great Plains/Small Business Financials workstation that will need to access the Encrypt/Decrypt or Credit Card Info window. Credit Card Encryption does not have to be installed on all workstations, as the encryption/decryption is done at the database level. Great Plains Server Installation: 1. Login to the computer with administrative privileges. It is a good idea to go to Command Prompt and type change user /install before beginning. 2. Navigate to the location where you saved the CCE*.exe file and double click that file. 3. Follow the on-screen instructions. 4. You will be asked to select the setup type. Select Great Plains Server. 5. Setup will begin copying files. 6. Continue through the installation windows, following the instructions on screen until clicking the Finish button. Great Plains Server and Workstation: 1. Login to the computer with administrative privileges. It is a good idea to go to Command Prompt and type change user /install before beginning. 2. Navigate to the location where you saved the CCE*.exe file and double click that file. 3. Follow the on-screen instructions. 4. You will be asked to select the setup type. Select Great Plains Server and Workstation. 5. You will then need to specify where Great Plains has been installed. Change the default location to match the launch directory of Great Plains. 6. Setup will begin copying files. 6
7. Continue through the installation windows, following the instructions on screen until clicking the Finish button. Great Plains Workstation: 1. Login to the computer with administrative privileges. It is a good idea to go to command prompt and type change user /install before beginning. 2. Navigate to the location where you saved the CCE*.exe file and double click that file. 3. Follow the on-screen instructions. 4. You will be asked to select the setup type. Select Great Plains workstation 5. You will then need to specify where Great Plains has been installed. Change the default location to match the launch directory of Great Plains. 6. Setup will begin copying files. 7. Chapter 2: Registering Credit Card Encryption Credit Card Encryption can be used without a Product Key in the Great Plains Sample Company, Fabrikam, Inc. or the Small Business Financials Sample Company. In order to use Credit Card Encryption with your actual company data, you will need to enter the Product Registration Key: To register Credit Card Encryption: 1. Open the Credit Card Encryption Registration window (Tools >> Setup >> System >> Credit Card Encryption >> Registration) (Where * represents the build number) 2. Enter the Registration Keys provided by Nodus. 3. Choose Save. You must be logged into Microsoft Business Solutions - Great Plains / Microsoft Business Solutions Small Business Financials as sa when performing this task.
Chapter 3: Running Tables Setup and Conversion Before using Credit Card Encryption, tables must first be created for a fresh install or converted for an upgrade version by running the Create/Convert Tables routine. This needs to be run once on every company database that will be using Credit Card Encryption. To create or convert Credit Card Encryption tables: 1. Open the Credit Card Encryption Registration window (Tools >> Setup >> System >> Nodus Scheduled Payments >> Registration) (Where * represents the build number) 2. Choose Create/Convert Tables. You must be logged into Microsoft Business Solutions - Great Plains / Microsoft Business Solutions Small Business Financials as sa when performing this task. All users except sa must be out of Microsoft Business Solutions - Great Plains Microsoft Business Solutions Small Business Financials when performing this task until it is complete.
Chapter 4: Configure/Activate Encryption The Configure/Activate Enryption window allows you to apply encryption to a collection of Great Plains/Small Business Financials records. Additionally, it allows you to encrypt/decrypt an existing collection of Great Plains/Small Business Financials records. Applying encryption to a collection of records will automatically encrypt credit card information when new records are added to that collection. The Encrypt Now/Decrypt Now options will encrypt/decrypt the current records in the collection. To apply encryption to a collection of records: 1. Open the Credit Card Encryption Registration window (Tools >> Setup >> System >> Credit Card Encryption >> Registration) (Where * represents the build number) 2. Choose Configure/Activate Encryption. 3. Check the collection(s) of records that you would like to apply encryption to. 4. Click Done.
You must be logged into Microsoft Business Solutions - Great Plains / Microsoft Business Solutions Small Business Financials as sa when performing this task. To encrypt a collection of records: 1. Open the Credit Card Encryption Registration window (Tools >> Setup >> System >> Credit Card Encryption >> Registration) (Where * represents the build number) 2. Choose Configure/Activate Encryption. 3. Check the collection of records that you would like to encrypt. 4. Click the Encrypt now button next to the collection of records. 5. Repeat steps 3-4 for each collection of records you want to encrypt. To decrypt a collection of records: 1. Open the Credit Card Encryption Registration window (Tools >> Setup >> System >> Credit Card Encryption >> Registration) (Where * represents the build number) 2. Choose Configure/Activate Encryption. 3. Uncheck the collection of records that you would like to apply decrypt. 4. Click the Decrypt now button next to the collection of records. 5. Repeat steps 3-4 for each collection of records you want to encrypt. You must be logged into Microsoft Business Solutions - Great Plains / Microsoft Business Solutions Small Business Financials as sa when performing this task. 12
All users except sa must be out of Microsoft Business Solutions - Great Plains / Microsoft Business Solutions Small Business Financials when performing this task until it is complete. Chapter 5: Setting up Users Credit Card Encryption can be configured so that specified users can access the Credit Card Info window, which will display a credit card number unmasked. To specify Users that can access the Credit Card Info window: 1. Open the Credit Card View Audit window (Tools >> Setup >> Company >> Nodus Credit Card Encryption >> Credit Card Audit) 2. Choose Extras >> Permissions >> Open Permissions Window. 13
3. Mark the users that you would like to be able to access the View Credit Card Info window. 4. Click OK. You must be logged into Microsoft Business Solutions - Great Plains / Microsoft Business Solutions Small Business Financials as sa when performing this task. Only sa can access the Credit Card Permissions window. By default, sa will always have access to the Credit Card Info window, regardless of whether sa is checked/unchecked. Chapter 6: Upgrading Credit Card Encryption The steps to upgrading Credit Card Encryption are similar to those of a new installation. The old version of Credit Card Encryption must be uninstalled before installing the new version of CCE. The CCE*.exe file must be run on each machine that Credit Card Encryption was previously installed on. Additionally, a new Product Registration Key needs to be entered, and Tables Setup and Conversion must be run for each company database. Please refer to Chapters 2 and 3 for instructions on entering in the Product Key and running Tables Setup and Conversion. 14
If you are upgrading from a previous version of Great Plains/Small Business Financials, you must be on the latest build of Credit Card Encryption for that version, before upgrading to the new version and Build. To Upgrade a Credit Card Encryption installation: 1. Login to the computer with administrative privileges. It is a good idea to go to Command Prompt and type change user /install before beginning. 2. Go to Windows Add/Remove Programs and uninstall the old Credit Card Encryption software. 3. Navigate to the location where you saved the new CCE*.exe file and double click that file. 4. Follow the on-screen instructions. When uninstalling Credit Card Encryption, you will get an error message saying that the CCE.DIC file could not be removed. Click OK to bypass this message. Chapter 7: Modifying, Repairing, or Removing Credit Card Encryption At times it may be necessary to Modify, Repair, or Remove the Credit Card Encryption installation from your server/workstation. To Modify the Credit Card Encryption installation: 1. Go to Windows Add/Remove Programs. 2. Select Nodus Credit Card Encryption 9.0 and choose Change/Remove. The InstallShield wizard will be displayed. 15
3. Choose Modify and Click Next. 4. Follow the On-Screen instructions. To Repair the Credit Card Encryption installation: 1. Go to Windows Add/Remove Programs. 2. Select Nodus Credit Card Encryption 9.0 and choose Change/Remove. The InstallShield wizard will be displayed. 3. Choose Repair and Click Next. 4. Follow the On-Screen instructions. To Remove Credit Card Encryption: 1. Go to Windows Add/Remove Programs. 2. Select Nodus Credit Card Encryption 9.0 and choose Change/Remove. The InstallShield wizard will be displayed. 3. Choose Remove and Click Next. 4. Follow the On-Screen instructions. 16

Chapter 8: Viewing Credit Card Information for a single record Viewing unmasked Credit Card information for a single record is available from the following windows: Customer Maintenance Options Sales Payment Entry Sales Payment Inquiry Zoom Receivables Credit Card Entry Cash Receipt Entry Cash Receipt Inquiry Zoom Invoice Payment Entry Invoice Payment Inquiry Zoom etransaction Entry (CCA Window) Credit Card Setup (CCA Window) To view Credit Card Info: 1. Open the document that contains the credit card number you would like to view unmasked. 2. Choose Extras >> Additional >> View Credit Card Number. The Credit Card Info window will display the full credit card number, unmasked. 3. Click OK to close the Credit Card Info window. You can also view the ABA and Account number for echecks from the etrx Entry or Credit Card Setup window The View Credit Card Number option is only available for users that have been designated by sa to view the Credit Card Info window. The document must first be saved before you are able to view the unmasked number in Credit Card Info. If you are processing using a different credit card number from the Customer Maintenance credit card number to process via Credit Card Advantage, you must check the Save to Customer Card option in CCA, if you would like to view this unmasked credit card number view Credit Card Info at a later time.
Chapter 9: Viewing the Audit Trail Credit Card Encryption creates an audit trail every time a credit card number is viewed. The audit trail displays the DateTime, User ID, Customer ID, Transaction ID, and Credit Card Number for a particular record. This audit trail can be viewed by going to the Credit Card View Audit window. A report of the audit list can also be printed from this window. To view Audit Trail: 1. Open the document that contains the credit card number you would like to view unmasked. 2. Choose Extras >> Additional >> View Credit Card Number. The Credit Card Info window will display the full credit card number, unmasked. To print the Audit Trail Report: 1. Go to Tools >> Setup >> Company >> Nodus Credit Card Encryption >> Credit Card Audit. 2. Click on the Print icon at the bottom left hand corner of the window. 3. Specify a destination for your report. You can also specify a range to display records between that range. You can specify by Date, User ID, or Customer ID. To specify a range: 1. Go to Tools >> Setup >> Company >> Nodus Credit Card Encryption >> Credit Card Audit. 2. Click on the Lookup button. 3. Specify the range you would like to view and click OK. You can also delete the records currently displayed on the Audit Trail:
To delete the records: 1. Once the Audit window contains the records you want to delete, click Delete. If the Audit Trail window is displaying credit card numbers unmasked, that collection of records is currently unencrypted in the database. You may wish to encrypt these records by going to the Credit Card Numbers Encryption window. 20
