WHAT IS THE BROKERBASE AUTOMATED MARKETING PROGRAM? The BrokerBase Automated Marketing Program (BAMP) is a new way of collaboration between Mortgage Brokers and Preferred Lenders that will help drive business to you. It wraps your clients in customized and branded marketing plan that will keep you top of mind. This system also strategically captures cross sell opportunities on your behalf earning you more revenue streams. All you need to do is turn on the lender programs of your choice. Then complete your deal as usual, with a lender from D+H that is participating in the Program. Then, you will receive a customized Mortgage Plan document by email, which you can then send to your client. Your client will receive emails over the course of the mortgage, such as a Thank you email, birthday emails, and renewal reminders. You will get a copy of the email after they receive it, so you know what is happening. You can also use this as a trigger if you want to do any personal follow up with your client. By the time maturity is coming up, you will have had numerous contacts with your client, with little to no extra effort for you. 1
WHAT YOU GET WITH THE BROKERBASE AUTOMATED MARKETING PROGRAM The BrokerBase Automated Marketing Program consists of a number of different emails that will be sent to you or your client over the life of the mortgage. They are automatically generated based on the information from your D+H deal. The automatic marketing emails provided are sent to the client, and once delivery confirmed, sent to you: The Mortgage Plan (just sent to you as a PDF, to forward to your client) Thank you with referral request Survey with referral request Happy Birthday Anniversary of mortgage Quarterly newsletter (just sent to clients) Renewal reminder 6 months from maturity Renewal reminder 3 months from maturity Renewal reminder 2 months from maturity Renewal reminder 1 months from maturity Each of the emails to your client will include: Your name and email in the FROM line Your client s name to personalize it Links to your MortgageWeb page, where they can submit comments, questions, referrals, etc. A custom signature block including o Your name o Your contact information as provided by your D+H profile o Your address as provided by your D+H profile 2
HOW IT WORKS WITH VERICO DYNAMICS Verico Dynamics also has an automated marketing engine to send similar emails. Verico Dynamics and the BrokerBase Automated Marketing Program have been designed to not duplicate the marketing of the two marketing options. For any firms that have a Verico Dynamics account, the deals that get imported from D+H are flagged if they qualify for marketing under the BrokerBase Automated Marketing Program. All of the Verico-provided marketing in Verico Dynamics will check that flag to see if marketing should be sent to that deal. The BrokerBase Automated Marketing Program also checks to see if the agent s firm has a Verico Dynamics account before it sends each email. If so, it will market accordingly. MARKETING PLAN MATERIALS THE MORTGAGE PLAN What it is: A detailed plan for your client that will show details about you, and their mortgage What are the conditions to qualify: It must be an actual deal (not a pre-approval) on one of the BAMP lenders that you have activated the program for. Who will receive it: It will be emailed to you. You can then send it to your client personally. When will it be sent: the day the deal is received by BAMP, which is usually the day after the deal is set to closed / paid or enrolled in CRM in D+H Expert. 4
BROKERBASE AUTOMATED MARKETING PLAN EMAILS The automatic emails to your client will be sent automatically to your client on the day-of the particular event (ex. birthday, 6 months from renewal, etc.), usually in the morning. They will show as from you, with your email address (per your D+H profile). See the following section to see an example of each marketing piece. Your deal will qualify for marketing if it is an approval (not a preapproval) deal on one of the BAMP lenders that you have activated the program for. Deal with a status of Cancelled won t be marketed to. THANK YOU EMAIL WITH REFERRAL REQUEST What it is: A thank-you for your business email, including a referral request link Conditions to qualify: Deal must have been triggered for BAMP within 2 days after the Interest adjustment date. Agent must be current Verico member. Recipients: It will be emailed to the primary applicant. Upon successful delivery, you will get a notification email. When it will be sent: 3 days after the interest adjustment date (assuming the deal has been triggered for BAMP by 2 days after the interest adjustment date). 6
SURVEY EMAIL WITH REFERRAL REQUEST What it is: A second thank-you for your business email, including a survey request link and a referral request link Conditions to qualify: Deal must have been triggered for BAMP within 6 days after the Interest adjustment date. Agent must be current Verico member. Recipients: It will be emailed to the primary applicant. Upon successful delivery, you will get a notification email. When it will be sent: 7 days after the interest adjustment date (assuming the deal has been triggered for BAMP by 6 days after the interest adjustment date). 7
HAPPY BIRTHDAY EMAIL What it is: A Happy Birthday email for your client on their birthday. Includes the name of the brokerage. Conditions to qualify: Birthdate must have been provided. If firm has a Verico Dynamics account, it won t be sent by BAMP. (Verico Dynamics has priority for non-mortgage marketing.) Agent must be current Verico member. Recipients: It will be emailed to the primary applicant. Upon successful delivery, you will get a notification email. When it will be sent: On the day of the client s birthday 8
ANNIVERSARY OF MORTGAGE EMAIL What it is: A Happy Anniversary email on the anniversary of their mortgage. Includes a referral request link. Conditions to qualify: It won t send before the first anniversary, or on the final year (on maturity). Agent must be current Verico member. Recipients: It will be emailed to the primary applicant. Upon successful delivery, you will get a notification email. When it will be sent: On the day of the client s mortgage anniversary 9
QUARTERLY NEWSLETTER What it is: A custom version of the Verico @ Home Newsletter. It will have different content every quarter, generated by the Verico @ Home publishing team Conditions to qualify: If firm has a Verico Dynamics account, it won t be sent by BAMP. (Verico Dynamics has priority for non-mortgage marketing.) Agent must be current Verico member. Recipients: It will be emailed to the primary applicant. Due to the potential volume of deliveries, you will not get notifications. When it will be sent: It will be sent on February 10 th, May 10 th, August 10 th, and November 10th 10
RENEWAL REMINDER 6 MONTHS FROM MATURITY What it is: A reminder for client that their mortgage is 6 months from maturing, so they can consider renewing Conditions to qualify: Maturity date must be provided in deal. Recipients: It will be emailed to the primary applicant. Upon successful delivery, you will get a notification email. When it will be sent: 6 months before the maturity date. Notes: Will be sent on behalf of firm and link to primary broker s MortgageWeb page instead of on behalf of agent if agent is not current Verico member. HOW TO ENABLE BAMP LENDER PROGRAMS Before you can start benefitting from the BrokerBase Automated Marketing Program, you must first enable it. To do that, log in to your BrokerBase account at www.brokerbase.ca. Go to Tools at the top, and select BAMP Settings. Then click Manage Activations. You will then be given the option of which programs to activate. There are two types of Lender programs you can choose from: Tier 1 and Tier 2. Under each lender, there is a checkbox. Check the boxes for the lenders you would like to activate, so it goes dark: When you ve checked all the Lenders that you d like to activate, scroll to the bottom and press the SAVE button. TIER 1 Tier 1 lenders are custom branded with the lender program, and may make mention of the Lender program or lender in the email. TIER 2 Tier 2 lenders are VERICO branded, and have generic language in the email. The lender is not mentioned in the email, though links will go to that lender program s version of MortgageWeb. HOW TO TURN BAMP LENDER PROGRAMS OFF If you wish to turn off any lender programs, just return to this page, uncheck the lender program, and press SAVE. Note that this only turns off the lender program for any new deals going forward. Any deals already on the program will continue to receive emails. 19
DOING DEALS IN D+H Now that BAMP lender programs are enabled, you can take advantage of them just by doing deals. There are some conditions that a deal must meet in order for this program to work. 1. You need to enter enough and accurate details, such as the applicant s email address 2. It must be an approval deal (not pre-approval) 3. You must select a participating lender 4. The deal must close (this marketing program is not appropriate for deals that weren t successful) 5. You must use one of the triggers when the deal is closed in order to begin the process. APPLICANT DETAILS There are some things to remember when filling in the applicant details to get the best (or any) results. 1 2 3 4 1. The name as typed is how it will appear on marketing. So if you enter JOHN SMITH, the emails will start with Hello JOHN, 2. Happy Birthday emails will be sent to the applicant on this date. 3. An email address is needed. Otherwise, the marketing plan will not work. 4. (Future Update) Marketing will be sent in the applicant s language 20
MORTGAGE INFORMATION 1 2 3 1. Application Type must be approval (pre-approval option in future version) 2. Initial thank you emails are based off the interest adjustment date it is the starting date of the plan. It also determines the maturity date (3) with the term length, which the anniversary and renewal reminder emails are based off of. So this must be accurate. 21
LENDER SELECTION For each lender program, you must select an appropriate lender in order for it to work. Not all options for a lender are participating in this program. TRIGGERING THE MARKETING PLAN Once a deal is closed successfully, you can trigger the deal in D+H to be brought into BrokerBase to start the marketing plan. Make sure you ve updated the applicant details and mortgage information before you do this, as you will not be able to afterwards. There are two options on how you can trigger the plan to start. Whichever is done first will start the process. OPTION 1: SET THE DEAL STATUS TO CLOSED OR PAID If you set the deal status to either Closed or Paid once the deal is closed, the deal will import into BrokerBase the next day. Marketing will begin from there. Reminder that the first emails (thank you and survey emails) are 3 and 14 days from the interest adjustment date. OPTION 2: ENROLL IN CRM If you don t use the deal statuses Closed or Paid as part of your mortgage process, you can still trigger the import by using the CRM enrollment function of D+H. 1. Go to Services section, and click the CRM Enrollment button. 23
2. In the form that comes up, there is a good deal of fields that come up. You can ignore most of them. Just set the brokerbase.ca dropdown to Include, and set the Enrollment Date to the next day s date. (If you use today s date or a past date, the deal will not import. You can also set another future date, but just be aware that if you set it too late, you may miss the initial thank you and survey emails if that date is too far past the interest adjustment date.) 3. Press Save. Note: It is possible to set an old deal to trigger, either by changing the status to closed/paid, or by setting an enrollment date, in order to try to market on it. The BrokerBase Automated Marketing Program is not designed to market to older deals. There are some safeguards in place to try to avoid marketing errors on older deals, but it can t account for every situation. So triggering a past deal may cause some unpredictable marketing. It is highly recommended to only trigger new deals, however you are responsible if you want to attempt marketing on older deals. 24
WHAT HAPPENS NEXT After you ve set up the plans, and closed a deal for the BrokerBase Automated Marketing Program, you will receive the Mortgage Plan the day after the trigger. You can forward that to your client. Then, after an email is sent to you client, you will receive a notification of the email. You will receive notifications of all emails over the course of the mortgage, except for newsletters. 25
FAQ Can I select which emails go out? Or can I create my own, or change what the emails say? BAMP has a fixed set of marketing materials. There is no option to select which emails go out, or make your own. If you wish to have that option, we suggest trying Verico Dynamics (www.vericodynamics.ca). D+H says CRM enrollment. Does this mean there is a CRM I can log into to see and edit my BrokerBase deals? BAMP is entirely automated. There is no CRM for you to use for BrokerBase the CRM enrollment was a built-in multipurpose section in D+H that BrokerBase takes advantage of. Verico does provide a CRM option with Verico Dynamics, though any changes done on deals in Verico Dynamics do not affect BAMP marketing. Do all of my applicants get the marketing emails? At this time, only the primary applicants are able to get the emails. What if I do CRM enrollment for a deal with a lender that isn t listed in BAMP? Can that deal get the marketing? Only approved lenders that are part of the program will receive any marketing. Setting the CRM enrollment on non-bamp lenders won t have any affect. If I forgot to change my deal s status or enroll in CRM, and a few weeks has passed since the deal closed, can I still get the deal on BAMP? Yes, you can still change your deal status to closed or paid, or enroll in CRM. You will be sent the Mortgage Plan, and the client will be on the marketing plan. Note that the initial Thank you and Survey emails are based off the interest adjustment date, so the client will not receive these emails. But the rest will still be sent as normal. What if a deal is stopped before maturity? For example, if it gets refinanced? How do I stop the marketing from continuing? BrokerBase can t tell if a deal is over. There isn t a way at this time for you to stop marketing to that client directly. So go to www.vericosupport.ca to open an Automated Marketing Program case with the application ID, so we can stop marketing to that deal. If I click unsubscribe in the notification emails, does that stop marketing to my client? Clicking unsubscribe will unsubscribe your email, not your clients. Which means 26
your client will continue to receive emails, but you won t get any notifications. It is also not recommended to have your client click unsubscribe, as it would also unsubscribe their email for all future marketing, even on the next deal. What if an agent leaves the firm? Does the marketing keep going? If an agent is deactivated in D+H, BrokerBase will stop general marketing for that deal. It will still send out renewal notices, except that they ll be on behalf of the firm, and the links in the email will go to the MortageWeb page of the broker owner of the firm. Note that it is important to update agent statuses in D+H, so BAMP doesn t continue to market under that agent s name. What if my firm leaves Verico? BrokerBase and BAMP are exclusively for the benefit of Verico members. All marketing for past clients will be stopped. My information in the signature box is wrong. How do I change that? That information is pulled for your D+H profile. If you update that, it will be updated in BAMP the next day, and will be updated in the marketing. I made a mistake in my data entered. How do I change it? There isn t a way for you to directly change the information on a deal that is already part of BrokerBase BAMP. If there is some critical info that needs to be changed, you can request it at www.vericosupport.ca with the details of the deal and what you need changed. Note that our capacity is limited, so a few days notice may be needed to affect the change. It is recommended to confirm the information entered as much as possible before submitting. I see you market to Approval deals. What about Pre-Approvals? We are currently working on a marketing program targeting pre-approvals for an upcoming release. 27
