New UIIA Insurance Submission Requirements
New Insurance Submission Requirements Effective August 1, 2012 agents submitting paper certificates to the UIIA via e-mail, fax or mail will be required to utilize the ACORD 22 Certificate of Insurance form. No other certificate forms will be accepted after August 1, 2012. Only exception to this will be state workers compensation insurance policies will continued to be accepted on the state fund provided certificate forms. Use of other forms when providing insurance to the UIIA may result in delays in updating your insured s account. ACORD 22 certificate of insurance form version 03/2010 will continued to be accepted until the end of 2012. IANA has reached out to agency management software vendors encouraging them to include the revised ACORD 22 certificate of insurance form in their library of forms. 2
ACORD 22 Changes Effective April 30, 2012, the cancellation language shown on the ACORD 22 Certificate of Insurance was changed to match what is currently shown on the ACORD 25 form. 3
UIIA Required Cancellation Notice Revision to ACORD 22 cancellation language does not change the advanced notice of cancellation required under the UIIA. Required Notification is 30 days advanced notice of cancellation is required unless cancellation is a result of non-payment of premium in which 10 days notice is required. The Motor Carrier is contractually obligated to ensure that their agent is aware of these requirements when binding coverage for them to make sure that should cancellation occur, the UIIA is provided with proper notice. 4
Completing the ACORD 22 Certificate of Insurance Form Agent Details - Agents should remember to provide their contact details on the ACORD 22 form: Name, phone, fax & e-mail. Insurance Companies - The corresponding letter of the insurance company for each type of coverage must be provided. Policy Details - Policy Limits, Deductibles, Policy Numbers, Effective date and Expiration dates for each policy listed on the certificate must be included as well. Umbrella/Excess Policies listed on the certificate must identify what primary coverage these policies are over. 5
Completing the ACORD 22 Continued - Description of Operations Remember to check the box to confirm that the Truckers Uniform Intermodal Interchange Endorsement is part of the auto liability policy(ies) and that the EPs your insured does business with are additional insured. EP Checklist If providing additional insured information, don t forget to include the EP Checklist to identify the companies that have been endorsed to the appropriate policy as an additional insured. If an agent is using an alternative list to provide the additional insured information make sure that the appropriate asterisks (*) have been placed next to the EP s company name to indicate what policy they are addl. insured on. Signature - All certificates must be signed. Failure to sign the certificate will delay your insured getting updated until a signed certificate is provided. 6
Insurance Updates Updates to Insurance Please remember that each time you provide insurance information to the UIIA office that all appropriate information must be included with the Certificate of Insurance. This is true even if the insurance policy numbers remain the same. Additional Insureds Check the box on the ACORD 22 certificate and remember to include the EP Checklist or alternate listing of companies that are listed as additional insureds on the Motor Carrier s insurance policies. Make sure to check all EPs that your insured does business with each time you submit insurance to our office. UIIE-1, CA23-17, TE23-17B or Equivalent Endorsement Each time you provide auto liability on the Certificate of Insurance make sure to check the box on the ACORD 22 certification confirming that the Truckers Uniform Intermodal Interchange Endorsement (UIIE-1) is endorsed to the auto liability policy. Agents may also provide the actual endorsement. Note: Failure to provide the appropriate information each time insurance updates are submitted may result in an adverse impact to your insured s account. 7
Alternative Insurance Submission Method Register for Online Submission Agents can register to become authorized to submit insurance online to the UIIA. Registration is available from the Insurance Agency login page on the UIIA website at www.uiia.org. Agents complete online registration and fax signed copy of registration form back to the UIIA. UIIA confirms that both the agency and the individual agent have active licenses and activate the account. Agent will receive e-mail with account number and password to log into the UIIA system. Agent will need to obtain their insured s SCAC Code and Insurance Agent Code the very first time they go to submit insurance online for the company. After the initial link of the company is made to the agent s account, each time they log into the system the insured will be shown on their list of Motor Carriers. 8
