1. Introduction The new version 4.8 is based on the version 4.7. You can use the automatic download feature to upgrade easily from version 4.0-4.7 to version 4.8. Due to changes at the table structure all components have to be updated: Main Program (download from Administrator) Web Client (download from Administrator) MARI Service (distribution via MARICopy through Administrator) MARI Time Touch (distribution via MARICopy through Administrator) MARI Web (download from Administrator) MARI DTW (download from Administrator) Highlights: 1.1. Prerecording of Documents / AP Invoice for Several Projects A new process enables the processing of AP invoices in several steps. After the entry, the document is scanned and forwarded for approval to the project manager(s). Positions can be copied from purchase processes or contract positions. Missing purchase processes are created automatically. If an invoice is assigned to several projects, the invoice is split in a collective invoice with partial invoices for the individual projects. 1.2. Purchase Processes with Several Subcontracts For more complex contracts, purchase processes can be created directly through several subcontracts. 1.3. Management of Barcodes and QR-Codes To improve the workflow, information on paper can be processed in the Mobile Client through one dimensional barcodes or QR codes. This enables everyone to view database information, for example to a unit of equipment or machine. 1.4. Partial Invoice Statement for Fixed Price Projects For more complex fixed price projects, a new report allows showing the current invoice with the previous partial invoices and the open value. 1.5. Transfer Wizard Posted Items In addition to the transfer wizard for posted hours and travel revenues, also posted items can now be changed or transferred. 1.6. Location Handling for Equipment It is now possible to move own or rented units of equipment between the warehouse and the individual project. This allows you to view at any time where the unit of equipment, the machine or the vehicle is. 1.7. Cash Flow Module with Details A detail view has been added to the cash flow module to be able to precisely track the calculations. 1.8. Breakeven Analysis and User-Defined Columns for Contracts It is now possible to calculate and represent user-defined columns with breakeven analysis elements for individual contracts. 1.9. Fixed Assets in Web Client and Mobile Client The assets from the Fixed Assets add-on of SAP Business One can now be viewed in the Web Client and Mobile Client. 1.10. Demo Web Client and Mobile Client To present the Mobile Client, a simulator has been created which enables to represent different device sizes on a Windows PC. The installation of the Microsoft Internet Information Server (IIS) is not required. 1.11. New Mobile Client Design The design of the Mobile Client has been completely changed. Now icons in SAP yellow are used. 1.12. Synchronization of support modules When two companies are using ProjectManagement support tickets can be transfered from one company to the other. 1.13. Supported SAP Business One Versions ProjectManagement 4.8.000 based on SAP Business One has been tested with the following versions: SAP Business One 9.0 Beta: Right now not all new functions of the 9.0 are supported. For example the bin location feature is not yet exposed in the DI-API. The new fixed asset tables will be supported as a link to Equipment data with the version 4.8.001 SAP Business One 8.82 SP0 - SP10 SAP Business One 8.81 SP0 PL11 SAP Business One 8.80 SP0 PL21 SAP Business One 2007 SP0 PL49 SAP Business One 2007 SP1 PL17 The SBO version 9.0 offeres a new design. 2. Prerecording of Documents/Multi-Project A/P Invoice The new module for the prerecording of documents is designed for two different purposes. Workflow for finding the responsible person for an A/P invoice Processing of A/P invoices for several projects 2.1. Possible Workflow The purpose of the prerecording is the central entry of new incoming A/P invoices, for example in the secretariat. A scan of the invoice is created and attached to the new prerecorded document. Then an employee is selected who is probably responsible for the project or the vendor. The responsible receives an e-mail and can view the scan of the invoice directly from the e-mail in the Web Client. In addition, the responsible person can assign a project. Or the responsible person decides to forward the document to a colleague who in turn receives an e-mail. 2.2. Basic Settings Document Numbering: Prerecorded documents can have different number ranges per company. For this purpose, open Basic Settings > Settings: Contracts/Purchase Processes > Document Numbering and select the document type "Prerecorded Document". The documents start automatically with 1. To define the default number range, select Basic Settings > Settings > Document Settings > Purchase Documents > Prerecorded Document > Document Numbering: Select Number Range. To create a "Scan" tab for prerecorded documents, select Basic Settings > Settings > Folders > Prerecorded Document tab. Enter "Scan" and assign authorizations for the main program and the Web Client using the context menu. Select Basic Settings > Master Data > Notification Texts and Record > New to define a text for the search class Prerecorded Document. Use amongst others the placeholder [Link (LAN)] in the text in order to enable the recipient of the notification to open the document directly from the e-mail program. To enable the notification for the responsible employee, select Basic Settings > Settings > Document Settings > Purchase Documents > Prerecorded Document > Notifications. 2.3. Creating a Prerecorded Document A new document can be created under Purchase Processing > Prerecorded Document > New Prerecorded Document: A/P Invoice. Only the vendor, the date, the invoice number and the value of the scanned document were recorded in the example. 2012 by MARINGO Computers GmbH, Köln Page 6 of 70

Then the scan was attached by drag & drop, for example from the file explorer to the document. In the next step, the document is forwarded to the probably correct employee whereby the responsible person is entered in this field. 2.4. Check in the Web Client You can start the Web Client directly from the hyperlink in the e-mail and the employee can view the prerecorded document directly. The user can assign the project in the Web Client. Where appropriate, the user can forward the process to another employee. For this purpose, you can click on [Change] behind Responsible in the header. 2012 by MARINGO Computers GmbH, Köln Page 8 of 70

2.5. Assigning Projects and Positions The A/P invoice is processed in the main program. Accordingly all positions of the invoice have to be recorded and assigned. For this purpose, either new lines can be recorded or the positions are selected from purchase orders or sales orders. 2.5.1 Assigning Project If not already done in the Web Client, the project can be preselected as a filter in the entry at the top right. In addition, one or more projects and contracts can be entered in the "Assignment" tab. 2012 by MARINGO Computers GmbH, Köln Page 9 of 70

2.5.2 Selection from Purchase Order or Goods Receipt (Document Position) If positions are selected for example from a goods receipt, the corresponding references are set automatically. In the field "Full-Text Search" of the search window, a text can be entered which is searched in all columns. 2012 by MARINGO Computers GmbH, Köln Page 10 of 70

2.5.3 Search by Purchase Processes In addition to the documents, you can search by purchase processes. 2.5.4 Search for Contract Positions If a position on the invoice should not have been ordered yet, it can be that it has already been entered in the contract. The corresponding search form "Search for Contract Positions" allows a selection. 2012 by MARINGO Computers GmbH, Köln Page 11 of 70

2.6. Processing of Positions In the example, positions were copied from a purchase process. The figure represents already a special case where the two axles were separately shown on the purchase order but the vendor has charged one position with both axles. Thus a position was divided and assigned separately. 2.7. New Positions If there are new positions on the invoice, these can be simply entered. The newly created item line is red because it still has to be entered to which contract position it belongs. In the example, there is only one fixed price so that the fixed price is predefined as a selection. 2012 by MARINGO Computers GmbH, Köln Page 12 of 70

If the new position, however, should be created as an item at cost, <New> can be entered so that the position can be created. The new position has to be assigned to a purchase process. If there is only one open purchase process for the selected project and the selected vendor, this purchase process is preselected. 2.8. More Projects When the invoice contains more positions for other projects, these can be recorded as well or can be selected from purchase orders. If no purchase process is found, the purchase processes will be created in the billing wizard. 2012 by MARINGO Computers GmbH, Köln Page 13 of 70

2.9. Interruption of the Processing The processing of a prerecorded document can be interrupted at any time if, for example, details to a second project are still incomplete. The document can then be reopened under Purchase Processing > Prerecorded Document > List of Prerecorded Documents. 2.10. Transfer of the Invoice The wizard "Create A/P Invoice" analyzes all information and adds, where appropriate, missing data. 3. Purchase Processes for Several Subcontracts You can use the main contract now to create a purchase process directly which copies items from several subcontracts. In the example of hierarchical contracts, the contract Base Vehicle is selected. The new possibility can be enabled in the wizard "Create Purchase Process from Sales Contract" by selecting the option "Include also positions of subcontracts". 4. Barcode and QR Code Processing The networking of information and the transition between different media are necessary for the success of the project. ProjectManagement based on SAP Business One focuses for a long time on the communication of the participants in the form of e-mail or messages in the application itself. It thus has become normal to find a vacation request in the inbox and to approve the vacation request in the Web Client or Mobile Client by clicking on the link in the e-mail. The transfer from paper to the individual processes is more difficult. Since years, barcodes have been used for this purpose to avoid that the user has to enter number series. Technically, a distinction is made between one-dimensional and two-dimensional barcodes. The one-dimensional codes have the advantage to take relatively little space. Therefore, always a one-dimensional barcode is added to positions of a delivery note in order to keep the list simple and clear. 2012 by MARINGO Computers GmbH, Köln Page 18 of 70

Two-dimensional codes (e.g., the QR code) are suitable to include more information. ProjectManagement supports the creation of one-dimensional codes and QR codes with the version 4.8. The URL (Web address) of the respective object in the Web Client or the Mobile Client application is encrypted in the QR code. 4.1. Fixed Assets with QR Code The number of own assets is usually added to the fixed asset master. You often have an asset in hand and would like to know when and where it was purchased. Then you open the menu item Fixed Assets in SAP Business One in order to search for the number and to find the purchase document. For each asset, ProjectManagement can now generate a QR code which includes the address of the Web Client. This means you can use your smartphone with any QR code recognition software in order to switch directly to the fixed asset master after authentication in the Mobile Client. 4.2. QR Code Structure The QR code was invented by the Japanese company Denso Wave. The definition has been adopted in various standards, and the application is free for everyone. Only the name "QR Code" is a registered trademark of Denso Wave. 4.2.1 Reference to Own Web Server A Web address (URL) to the own Web Client and the respective record is encrypted in the QR code in ProjectManagement. Your own Web Server is defined below the Webserver field in the LAN Server and WAN Server area. If a WAN URL (wide area network) has been defined, it is used, otherwise the LAN address (local area network) is used. Then a code is used to go to the dimension (in the example Assets) and the number of the data record. 2012 by MARINGO Computers GmbH, Köln Page 20 of 70

4.2.2 Addition in Readable Form Below the graphic of the QR code, for example, you can display the number of the data record. Under Project Management > Administration > Reports > QR Code Setup, the additions can be defined per company. In order to print a corresponding sticker, a small form has been developed where you can show a text below the QR code so that the fixed asset number is visible. In our example, the search class "Fixed Asset Master" and then the corresponding companies are selected. A report template for the fixed asset is displayed using the <Print > button which can be customized to your own print labels. 2012 by MARINGO Computers GmbH, Köln Page 21 of 70

4.3. Application with any Smartphone An application to detect QR codes can be downloaded for any modern smartphone. If you hold the camera on the QR code, a Web address (URL ) is detected an the user can display the corresponding URL. Then the login screen of the Mobile Client opens and the user has to authenticate. This authentication is important to check the rights. Not all dimensions should be viewed by all users. Example: Users of the group Accounting/Controlling may see the fixed assets Users of the group Normal Users may, for example, see only support tickets but no fixed assets Customer users may, for example, see only their own support tickets It would also be technically possible to show information to the QR code without requiring the user to log on. For example, you could provide information on equipment and machines to the general public. This is currently not possible in the ProjectManagement Web Client but conceivable. The following figure shows a Samsung Galaxy SIII with a normal standard QR Code scanner App. This App recognizes that a URL is included in the code and opens the internal browser of Android. 2012 by MARINGO Computers GmbH, Köln Page 22 of 70

In the Mobile Client you can see information about the vendor and the activation date of the photographed asset. If you use the equipment module, it is useful to stick the QR code of the device in the database to the device because more information is saved there. 2012 by MARINGO Computers GmbH, Köln Page 23 of 70

4.4. QR Code in the MARINGO "Project Tools" App for iphone/ipad It has already been mentioned that the QR code with the Web address to the data record can be used with any QR code App. The QR code can be used in the mobile App from MARINGO in addition in the process. If you want to capture hours, the scan of a support ticket can be read directly. 4.4.1 Scan-Key The new version of the Project Tools App includes a button to activate the camera directly with the scan functionality. This enables you to switch from anywhere to the respective master data record. The advantage in contrast to other QR code Apps is that you need not to log on again. In case materials have to be reordered for a project, you can read the barcodes on the materials which are already there. When a new material requirements request is created, the project number can already be scanned on the first page provided it exists as a QR code: On the second page, items can be added. 8. Dimensions in cost accounting SAP Business One version 8.82 offers the possibility to manage five different dimensions in parallel for cost centers. In the following example the 1. dimension is still the cost center. The 4. dimension will be the industry and the 5. dimension will be the world region. 8.1. Basic Settings in the company master The use of the dimensions in ProjectManagement will be managed in Basic Settings > Master Data > Companies and the tab Cost Center Assignment. For each dimension in SAP Business One the visibility in ProjectManagement and the usage for the document creation can be defined. In the example the setting defines to overwrite the standard settings in each contract position. The industry will be defined by project business unit and the world region will be defined by each project. 8.2. Cost center determination Based on the settings in the last column the cost center for each dimension will be determind. When the cost center field is empty in the contract position, the setting from the contract is used. 10. Info Screen Management 10.1. Enhancements: Cash Flow Module The project cash flow module introduced with the version 4.7.003 has been extended by other data sources. In addition, the detail information has been improved to track the results more easily. 10.1.1 Rule Changes The following logical rules have been changed. Because a document can be paid by the customer or the vendor only in the future, open documents which payment date lies in the past are moved to the current day. But differences between planning budget and real costs are only taken into account in the future. If for example costs in the previous month were planned with 1,000 but only 800 were spent, the difference is not shown in the previous month but is transferred to the current month. Unused costs from the planning cannot be paid in the past. Open positions non-invoiced to the customer which due date is in the past are also brought forward to today's date because the invoice to the customer can be written only today. For this purpose, the due date is considered again. 10.1.2 New Data Sources Demand Confirmation Also demand confirmations can be considered now. These are created for MRP items in the form of an order confirmation to procure the materials about the warehouse. From the perspective of the project, the use of materials from warehouse has to be considered as cash flow relevant costs. Goods Issue to Project The goods issues for the project are considered in the same step. Lines in the positions of the definition can be faded out now. This possibility can be used to deliberately not use for example G/L accounts from the cost accounting. 10.4. Breakeven Analysis with Freely Definable SQL Statement The breakeven analysis receives its lines by different predefined data sources. Now two new sources were created that can use freely definable queries. Two forms are distinguished: Values of periodic SQL statements: Real costs or revenues are loaded from SQL tables which are considered in the calculation and the totals. The calculation of totals requires revenues with negative sign and cost with positive sign. For User Defined SQL Statements, deliver revenue negative. Factor of periodic SQL statements: The factor can be used as an intermediate result for a multiplication with another line. The results of the factors are not taken into account in the totals. The SQL statement must return two columns "Period" and "PeriodValue" for each considered month. 10.5. Print on multiple pages The calculated results from the info screen management can have many columns. 12 monthes with two columns each will not fit on one page. ProjectManagement contains a new feature to group the results in several pages and repeating the left columns. 12. DEMO Web Client A new program has been realized to present the functionalities of the Web Client and Mobile Client for example on laptops. It is no longer necessary to install the Microsoft Internet Information Server (IIS) on the laptop. Some devices are offered which differ mainly in the size of the display. Some Apple devices offer with the retina display a double resolution, for example 1536x2048 instead of 768x1024 for the ipad 3. Because the pixels are twice as tight, the same display results as without the retina display. The following device resolutions are supported: Apple iphone 3/4: 320x480 pixels Apple iphone 5: 640x1136 cut in half=320x568 pixels Samsung Galaxy S3: 720x1280 cut in half=360x640 pixels Apple iphone 1/2: 768x1024. The new ipad (ipad3) has the double resolution, thus halved the same again. The same applies to the ipad Mini which has the same resolution as the ipad 1/2. The connection to the ProjectManagement database is set analog to the Web client with the ProjectManagement Administrator, which can be started by pressing the button < Server Connection >. 12.0.1 Device View By clicking on one of the possible devices, a small simulator opens that displays the Mobile Client in the size of the selected device. The mobile version is displayed only if the logged on employee has a corresponding license. A small context menu enables to turn the device to the right. The display "upside down" is not supported by iphones. A click on the home button leads back to the logon screen. 12.1.Use of the Web Clients (without IIS) In addition to the Mobile Clients, also the Web Client can be presented via the demo browser. The current local browser is started using the <Default Web Browser > button. Representation of Quantity to be Invoiced in Time Sheet Entry Journal Invoiced hours were not shown when printing time sheet entry journals or project entry journals if the entry of invoicable hours for employees was disabled under Basic Settings -> Settings -> Company -> Settings: Time Sheet Entry. Thus the invoicable hours could be printed only when it was also possible to record invoicable hours. Now it is no longer checked for this setting but for the user specific setting under Administration -> User Administration -> Authorization Settings -> Acc Level -> Inv. Hours. Only if the option "Inv. Hours" is ticked and thus the hours can be analyzed, then the inv. hours for this user are displayed. 15.2. Folio Numbers For the country localizations in Chile, Costa Rica, Guatemala and Mexico, SAP Business One offers the opportunity to print so-called folio numbers. With these numbers, each paper printout is numbered consecutively to print an invoice not twice. This functionality is now reproduced in ProjectManagement. Installation Only two files are required for the installation of MARI Tools. MARIToolsAddOn.ard: Installation setup for SAP Business One MARIToolsAddOnSetup.exe: Installation program which is installed by SAP Business One. The add-on requires additional files for the further initialization. For this purpose, you can download the latest version of MARI Tools from the Internet or start the file MARIToolsSetup.exe. MARIToolsSetup.exe: second part of the installation program The second part installs all other components and creates the necessary tables. Automatic Download and Start of Installation (recommended): This option enables to download automatically the latest version of MARI Tools from www.maringo.de. After downloading the installation files, the installation will start automatically. Download of Installation Files from MARINGO Homepage: If the automatic download is not possible (for example if a proxy is used), then a browser window can be opened, to download the file MARIToolsSetup.exe from the Internet. After downloading the file, the third option has to be used to select the file MARIToolsSetup.exe manually from the download directory. Select MARIToolsSetup.exe from Folder or Share: This option enables to select an already existing MARIToolsSetup.exe and to start the installation. If the administrator has saved the file in a share, not all clients need to download the file. Later updates of MARI Tools are distributed automatically by MARICopy to all clients. 18.3.
