This guide helps you quickly restore any default preferences or settings in Office programs (Word, Excel, PowerPoint, etc.) that may have changed during the upgrade to Office 2013. NOTE: The first time you launch an Office 2013 application you will receive a message box stating that the program is configuring Office for the first time. This message can be ignored and will disappear quickly. OFFICE PREFERENCES THAT DO NOT CHANGE Macros Email signatures in Outlook Out of office settings in Outlook Calendar reminder defaults in Outlook Personal contacts in Outlook Spell check settings Quickstep buttons Quick Access toolbar buttons Microsoft Access and Microsoft Project will remain at 2010. These programs will not be upgraded to 2013. OFFICE PREFERENCES THAT WILL NOT SAVE Office program shortcuts on desktop Office program shortcuts on Windows task bar Ribbon toolbar view is hidden in Outlook Folder view is hidden in Outlook Calendars and Tasks view is hidden in Outlook Some Outlook archive folders need to be reconnected Office background colors and theme preferences NOTE: Office preferences that will not save are reset to Office 2013 defaults and will need to be reset to the user s preferences. 2
1 DESKTOP SHORTCUTS 1.1 DELETE OFFICE 2010 SHORTCUTS After the Office 2013 upgrade, you may see shortcuts pointing to Office 2010 programs on your desktop. Any desktop shortcuts that remain on your desktop for Office 2010 can be deleted by right clicking on the shortcut and choosing Delete. If an Office 2010 shortcut has been pinned to your Windows task bar, right click on the icon and select Unpin this program from taskbar. 1.2 ADD OFFICE 2013 SHORTCUTS To add Office 2013 desktop shortcuts to your desktop, click on Start, then in the search menu type in the name of the Office program you wish to add ex. Word. Right click on the application name, choose Send to, then Desktop. Your shortcut should now appear on your desktop. If you would like to pin the icon for a particular Office program to your Windows task bar, open the program you wish to pin, then from the task bar, right click on the icon and select Pin this program to task bar. 3
2 OUTLOOK PREFERENCES 2.1 PIN THE RIBBON TOOLBAR The main ribbon toolbar that appears across the top of Outlook may be hidden by default. To keep the ribbon in view, click on the Home tab across the top of the page. Then, click the push pin icon located in the right hand corner of the program window. NOTE: If you do not have a push pin button icon, the ribbon bar is already pinned to view and no further action is needed. 2.2 EXPAND FOLDER VIEW Folder view displays all of the email folders you have available to you in Outlook. This view may be minimized by default. To maximize this view, click on the > arrow. To minimize the folder view, click the < arrow. 2.3 CALENDAR AND TASK LIST BAR Calendar and Tasks view is disabled by default in Office 2013. To display the calendar and task view, click on the View tab in the top Outlook toolbar. From the layouts menu, click To-Do Bar. Select Calendar and Tasks to display these views. The calendar and tasks bar should now be visible on the right hand side of the screen. 4
2.4 OFFICE BACKGROUND COLORS AND THEMES Customize Office background colors and theme settings by clicking on the File tab located in the upper left hand corner of the application window and select Options. From the General tab, select your Office background color and theme. Click OK to save your settings. 2.5 RECONNECT ARCHIVE FOLDERS If you have lost the connection to any archive folders during the migration to office 2013, click File located in the top left hand corner of the screen. Select Open & Export and then Open an Outlook Data File. Browse to the location of your archive folder. NOTE: Default Archive folder locations are typically: C:\Users\(user name)\my Documents\Outlook Files\ G:\Email Profiles You can also run a search on your computer for.pst if you are having trouble locating your archive folders. 5
2.6 OUTLOOK SEARCH FEATURE CUSTOMIZE SEARCH OPTIONS 2.6.1 Disable Improved Search To help improve search performance, Outlook has limited the number of search items displayed and now requires you to click the load more link to continue searching. You can disable the improved search speed option by going to File Options Search and unchecking the box next to Improve search speed by limiting the number of results shown. This page is also where you can customize what folders are included in your search as well as include deleted items in your search results. Note: Please note that changing any search options on this page may result in slower search performance. 3 ONENOTE 3.1 SEND TO ONENOTE 2010 PRINTER IS NOT REMOVED FROM PRINTER OPTIONS When selecting the option to print, from any Office 2013 program, you may see an option to Send to OneNote 2010. This printer can be deleted by going to Start Devices and Printers. Right click on Send to OneNote 2010 and choose Remove device. 6
