How to Edit a file in OneDrive OneDrive allows you to edit documents in the browser using Office Online. Below is an example using Word, but this works with Excel, PowerPoint and OneNote as well. Start by clicking the document you wish to edit and then click Edit Document followed by Edit in Word Online You can also choose Edit in Word if you have Office installed on your PC and you need to make more substantial changes. Word Online will now open and you ll be able to edit the document If any functionality you need isn t available you ll need to use the Open in Word option to use the installed version of Word on your PC. Remember to save the changes when you are done (File, Save), saved changes will be stored on the OneDrive and not the local machine. Multiple users can edit the same document at the same time. How to Share a file with One Drive You may wish to share a file on OneDrive with other Students or Staff members. You can do this if you wish to share a file type that can t be submitted via TurnItIn, or if you wish to allow multiple users to edit a single document. To share a file select the file in your OneDrive and click the Share button In the next screen you will have 2 options: Invite people or Get a link Using Invite People should be the default way of sharing documents as this will restrict access to those people you invite. Sending a link is quick and easy, but if the link is shared security is compromised. Sharing: Invite a Person Click Invite a person. This takes you to a page where you can compose an email invitation to other students and staff. Begin by typing the person s name into the top box (this is the To field of the email). A drop down menu will appear and begin narrowing down the choices available. Sharing: Invite a Person You can share a document with as many people as you like at the same time. Once you have added all the recipients to the text box take a moment to make sure the permissions you set are correct. Once you re ready click the Share button highlighted above. The default permissions is Can Edit, but you can change this to Can View if you do not want the other users to be able to make changes. Every recipient in the email will have the same permissions, but you can send multiple emails if you wish to give one group Edit and another group View permissions. Sharing: Get a Link Getting a link allows you to quickly and easily share your document with others. However a link is less secure than an email invite if you give the link to someone and they pass it on, the third party now has access to your document with the same permissions as the person you intended to share with.
