Where Do I Start? Install TRS11 Software from the TRS Installation CD Contact Your Web Hosting Company Install ECIM from the installation link provided TRS11 must be installed prior to running and using the TRS ECIM. If you have not already installed TRS11, refer to the Software Installation Guide included with your TRS purchase for instructions on installing the program. If you need assistance with this step, contact JMM s Technical Support. A support representative will assist you. Contact your web hosting provider and ask for the settings you need to interface with ECIM. Each provider will have unique requirements. Follow the steps in the Install ECIM and Initial Setup sections of this guide to install ECIM. If you need assistance with this step, contact JMM s Technical Support. A support representative will assist you. Various documents may be referenced in this guide, such as the Hardware and Software Installation Guides, Knowledge Base articles and the TRS User s Guide. If you do not have printed copies of these guides, you can find the documents on the TRS Installation CD or on the Support/Documents page on the JMM website. Install ECIM Click the installation link to set up ECIM. If prompted whether to allow an unknown publisher to make changes to your computer, click the Yes button. The following screen displays: Click Next. The license agreement displays. JMM Software, Inc. ECIM Page 2

After reading the agreement, accept it by checking the I accept the terms of the license agreement box. (If you do not wish to accept the license agreement, you cannot install the program.) Click Next. Follow the prompts on the screens, accepting the defaults. It is recommended that you do not change any of the options during installation. JMM Software, Inc. ECIM Page 3

On the last screen leave the Run JMM ECommerce Integration Module now option checked and click Finish to exit the installation. License Key You will have received the license key to register ECIM in an email. When the installation is finished and the program starts for the first time you will be prompted for that key (shown below).. JMM Software, Inc. ECIM Page 4

Initial Setup Automated Web Module Main Screen When you run ECIM, if the Web Module screen does not display on your screen, click the ECIM icon in the system tray and select Show. Define Settings To access the Settings options, select Edit>Settings from the main menu or click the Settings button on the right side of the main screen. POS Settings The POS Settings tab defines the fields that interface with TRS. Fill in the fields described here. Field Server Path User ID Password Test Connection Button Store ID for Web Sales Clerk for Web Sales POS Category for Web Sales Definitions Computer name of the TRS server. (Refer to the Details from Database Administrator topic below for more information.) Path to the directory where the TRS data file resides. (Refer to the Details from Database Administrator topic below for more information.) Leave set to SYSDBA Password used when you start TRS (typically masterkey ). Once the above fields are filled in, click this button to test the connection to the database. If the system can contact the TRS database, the Connection Success! message displays. Typically set to 1. If you have multiple stores using TRS, assign the Store ID to use as they are imported into TRS. Optional. Clerk ID to assign to web sales transactions. For example, enter Web or Online in this field. All transactions downloaded from your website will display this entry in the Clerk field in Review POS in TRS. To categorize the web sales as they are imported into TRS enter the category for web sales in the POS Category field. Case-sensitive field be sure to enter the category exactly at set up in TRS. The category must be defined in TRS in Edit Lists>POS. Refer to the Using POS Categories topic below for more information. JMM Software, Inc. ECIM Page 7

Field Image Path Use Product In-Store Notes for Long Description If State is More than 2 Characters Definitions Path to the directory where image files for TRS products reside. Enter the same path set in TRS in Edit>Preferences for Image Location. Note: Image files must all reside in one directory. There may be multiple images for one barcode. The primary image file name must match the TRS product Item ID (barcode) and the extension must be.jpg. Additional images for the item can be named by adding the tilde (~) and a number. For example, item 1234 would be named 1234.jpg, 1234~1.jpg, etc. If you use the Add Photo button in Inventory>Edit POS Products, the filename will automatically be created. Check this box to use the In-Store Notes field to populate the Long Description field on your website shopping cart. If the State field entered in the customer record on the website is more than two characters, indicate whether to truncate it to two characters or move it to the City Field Using POS Categories TRS can track your web and store sales separately and combined using POS Categories. When the POS Categories option is enabled, reports such as Cash Accountability and Profit by Department can be run by single category or for all categories combined. To use this feature: Define sales categories in TRS in Edit Lists>POS Categories (case-sensitive). For example, use Web and Store to denote your categories as shown below: Enable the POS Categories on each computer using TRS and assign them to the Store category. To do this, on the POS>Options screen, click to check the Prompt for POS Category check box and enter the appropriate category name in the Always Use the Following for this Station field (for example, enter Store, making sure it is in the same upper/lower case as defined in Edit Lists>POS Category). Details from Database Administrator You can find the entries for the Server Name and the Path to the TRS Database by using the TRS Database Administrator program. From the Start menu, go to the Total Retail Solution 11 Database Administrator. The following screen displays: The name of the TRS Server is listed in the Server column and the Path to the TRS Database is detailed in the Path column. Enter these details into the appropriate fields on the POS Settings screen. JMM Software, Inc. ECIM Page 9

Website Settings The Website Settings tab defines the fields that interface with your e-commerce website. Fill in the Website Settings as needed. Contact the web provider that hosts your shopping cart for the information. Field URL User ID Password Key ID Test Connection Button Definitions A special URL address defined by your web hosting provider for the ECIM interface to your website, not the URL customers use to access your website. If the system can contact the web database and verifies the credentials are valid (user ID, password, ID, and/or key) the Connection Success! message displays. JMM Software, Inc. ECIM Page 10

Modules Settings The Modules Settings screen defines which features automatically interface between TRS and your website. The settings are described here. Field Enabled Auto-Start Delay between checks Definitions Check the checkbox beside each module you d like it to interface with your website. (Initially, they are all enabled.) If unchecked, it will not display on the main screen. If checked, the module will start running automatically when the application is started. It is important to note that auto-start should not be set until all the settings have been tested and ECIM is running smoothly. The number of seconds to wait between checks. Initially, they are all set to 10 seconds. Note: Do not set any module to auto-start until the ECIM settings are tested and it is running smoothly. Auto-starting before everything is set up correctly will result in errors. JMM Software, Inc. ECIM Page 11

Payment Mapping Use the Payment Mapping screen to map payment (tender) types from the website to TRS. Each web payment type should be mapped (assigned) to a TRS payment type. If an order is downloaded with a payment type that is not mapped, it will be assigned to Misc. Tender. The payment mapping fields are described here. Click on the TRS payment field to correspond to the specified web payment type. Click "Map Payment" to add the mapping to the list. Lists the payment types mapped between TRS and your website. To remove a payment map, highlight it on the Mappings list and click the Remove button. JMM Software, Inc. ECIM Page 12

Using the Automated Web Module Overview The E-Commerce Integration Module (ECIM) can be set to automatically share data between TRS and certain website shopping carts. You have the option to integrate the following modules: Order Download orders placed on your website will download to TRS Point of Sale. They will update your sales figures, inventory levels and customer history. New Product Upload items from TRS (defined as On Web in POS Products) that are not on your website will be updated in the shopping cart. Product Update existing inventory item details will be updated from TRS to the website. Products that are deleted from TRS or are no longer marked as On Web will be deactivated on the website. Image files, if available, will also be uploaded. Classes and Enrollment Classes added in TRS will be added to the website. Class enrollment details will be downloaded from the website to TRS. Customers Customer details will be synchronized between TRS and the website. Each module can be started and stopped separately using the individual Start and Stop buttons. Or, use the Start All and Stop All buttons on the right to start and stop all enabled modules at once. Order Download This process will recreate the sales from the web cart in TRS. The transactions will be listed in Review POS with the Clerk ID you indicated in POS Settings (above). TRS inventory levels will be adjusted for all items on the order with matching barcodes in TRS. For existing customers (their email address matches the one entered on the web cart), sales history records will be updated. If no matching email address is found in TRS, a new customer will be created using the information from the web sale. Sales tax will be accumulated in Tax1. Departments may be mapped to website product categories contact your website host for instructions. New Product Upload Inventory items marked as On Web in POS Products will be entered on your web cart in the upload process. JMM Software, Inc. ECIM Page 13

Update Products Any changes to inventory items marked as On Web in POS Products will be updated in your web cart in the update process. Pictures of the product will also be uploaded, if matching image files are found. Note: Image files must all reside in one directory. There may be multiple images for one barcode. The primary image file name must match the TRS product Item ID (barcode) and the extension must be.jpg. Additional images for the item can be named by adding the tilde (~) and a number. Class/Section Upload Newly added class sections will be uploaded to your website, so customers can enroll online. Enrollment Download New class enrollments from the website will be downloaded into the appropriate class section in TRS. Enrollment Count Update The total enrollment count in TRS class sections will be uploaded on the website. This will update the amount available to be sold online. Customer Sync Details for new or modified customers will be updated between TRS and your website keeping the lists synchronized. Customers are matched by email address. JMM Software, Inc. ECIM Page 14
