Emphasis is placed on providing the most effective end user experience in a given environment. This course also delves into implementation strategies, template design concepts, client customization recommendations, and training plan development. 2 2 1 - Training Agenda 1.1 Day 1 HP WorkSite Application Essentials - Course Curriculum - Day 1 Module 1 - WorkSite Concepts and Terminology The objectives of this module provide an understanding of essential WorkSite concepts, features, bene ts, and basic operations.this module identi es the different elements of the WorkSite system architecture, de- nes the core components of the WorkSite product suite, describes the matter-centric model and how it applies to WorkSite, and describes how WorkSite organizes documents, de nes key WorkSite terms, and identi es the major components of the FileSite/DeskSite window. Module 2 - Workspace Management The objectives of this module provide a detailed understanding of the WorkSite navigational structure. This module identi es the most commonly used objects in the structure (e.g., Matter Worklist, My Matters, My Favorites, etc.) and their functional differences, demonstrates how to search for Workspaces when saving documents, teaches you how to add shortcuts to and organize My Matters and My Favorites, and explains the My Matters permissions and how to share access with others via subscriptions. 3 1.1 Day 1 3 Table 1.1 continued from the previous page Module 3 - Workspace Design and Creation The objectives of this module demonstrate how to design, create, and con gure WorkSite Workspaces. This module shows you how to view the Workspace properties and de ne its permissions, demonstrates how to create a Workspace and add tabs and document folders to it, identi es Workspace design considerations, and describes the available security models in a Workspace, as well as how to assign access rights to the Workspace. Module 4 - Saving and Copying Documents The objectives of this module examine the options for saving and copying WorkSite documents in detail. This module demonstrates how to create a new version of a document, how to copy a document, how to differentiate between the commands File Save and Replace Original, how to import local documents into the WorkSite database, how to launch new documents using the New Document command, and how to share content as Public, View, or Private documents. Module 5 - Retrieving Documents The objectives of this module delve into the options for retrieving documents within WorkSite. This module demonstrates how to search for Workspaces, folders, documents, and s, and how to search for documents using the Express Search Panel. It identi es the key components of the Integrated Desktop and walks you through how to open a WorkSite document using the Open dialog, how to access earlier versions of a WorkSite document, how to de ne and identify a checked-out document, and nally, how to check-out and check-in a document. Module 6 - Advanced Searching The objectives of this module examine the advanced search options available within WorkSite, including document pro le criteria searches, WorkSite Indexer and full-text searches, stemming, exact phrase matching, and stopwords, default AND searches, wildcard searches, numeric and alphanumeric searches, searching versions and attachments, Boolean and proximity searches, special-character searches, and languagebased searching. This module also reviews how to analyze and understand your search results, how to work with Recent Searches and search folders, and walks you through how to use the Express Search and WorkSite Miner utilities. Finally, it provides information on how to troubleshoot search timeouts, errors, and unexpected results (e.g., the expected document isn t returned). This module discusses the bene ts of using management and how to save messages and attachments to Work- Site. It reviews the native ling options available in both the FileSite Toolbar and in the enhanced Outlook view. It discusses how to use advanced Management (EMM) and the advantages of server-side ling. It also walks you through using the Filing Toolbar to le, open, move, copy, search for s, and save attachments, how to con gure and use ling folders, how to use the enhanced options available in Microsoft Office 2010, how to enable/disable duplicate mail noti cation, how to attach WorkSite documents to messages, and how to preview NRL links. 5 1.2 Day Day 2 HP WorkSite Application Essentials - Course Curriculum - Day 2 Module 8 - Document Menu Commands The objectives of this module review working with documents in detail using the WorkSite Document menu commands. This module walks you through how to print the Document Grid, preview a document, declare a document as a record, export a document, check-out a document, view document history, create a document relationship, reassign documents to folders, modify document properties, and re- le WorkSite objects (i.e., repro le). Module 9 - User-configurable Options The objectives of this module provide a detailed understanding of the user-con gurable options available in WorkSite. This module discusses the Advanced Options dialog settings and common client customizations (e.g., reviews the existing WorkSite nodes, showing/hiding navigation items/nodes, navigating with WorkSite Explorer), and it demonstrates how to turn off the re- le dialog and how to manually register WorkSite to another document server. Module 10 - Integrated Applications The objectives of this module provide a detailed understanding of WorkSite application integration and how this integration works. This module de nes what application integration is, identi es the applications that integrate with WorkSite, de nes active versus passive integration, identi es what WorkSite-speci c commands are added to integrated application menus and what the most commonly integrated commands do, and describes the differences between Enhanced and Classic Application Integration modes. Finally, it demonstrates how to insert a Document ID into the current document, how to create a dynamic link to another WorkSite document, how to compare and merge WorkSite documents, and how to perform a Word Mail Merge using WorkSite documents. This module discusses the tool s purpose and reviews its usage in detail. It demonstrates how to modify the OffSite synchronization options, how to start WorkSite in standalone mode, how to synchronize documents offline, how to create and modify documents in standalone mode, how to synchronizing offline documents with the WorkSite database, and how to switch between Offline/Online modes. It discusses the OffSite intelligent cache, and nally, identi- es con ict resolution scenarios and how to resolve con- icts. Appendix A - WorkSite Web (optional) The objectives of this module introduce the WorkSite add-on tool called WorkSite Web. This module discusses the tool s purpose and reviews its usage in detail. It identi es the WorkSite Web program window components and demonstrates how to navigate the tool, how to add new web components, how to search for Workspaces and documents, how to create My Matters and My Favorites shortcuts, and how to create subscriptions. Appendix B - Next Steps This Appendix lists additional courses that are available to increase your knowledge of WorkSite and its associated products, and how to register for them. 7 7 2 - HP Autonomy Requirements 2.1 On-site Training Prerequisites For on-site training, the host must provide adequate classroom facilities for the visiting trainer in order to conduct the HP WorkSite Application Essentials training course. Each student will require an individual workstation in order to participate in the training. HP Autonomy trainers will bring their own trainer laptop. However, if your organization does not allow third parties to connect to your network, you must provide the trainer with an additional trainer workstation that includes Microsoft Office, so that the trainer is able to deliver the presentations and demonstrate the course exercises. 2.2 Training Desktop Requirements For on-site training, the HP WorkSite Application Essentials course now offers a plug-and-play, browser-based training environment available via a hosting company. The individual workstation required by each student must, at a minimum, be running a current version of MS Windows (with an up-to-date version of both Java and Internet Explorer) and have Internet access as listed below. For sites where the browser-based solution is not an option, the following additional requirements marked with an asterisk (*) must be met.
