1 Colleges Against Cancer Chapter Constitution PREAMBLE We, the members of American Cancer Society Colleges Against Cancer to fulfill our purpose of reducing cancer incidence and death and measurably improving quality of life for cancer patients and survivors do hereby adopt and establish this constitution as the guiding instrument of our organization. I. Colleges Against Cancer The name of our group shall be Rutgers University Colleges Against Cancer. II. Purpose American Cancer Society Colleges Against Cancer is a nationwide collaboration of college students, faculty, and staff dedicated to eliminating cancer by initiating and supporting programs of the American Cancer Society in college communities. III. Goals The main goal of Colleges Against Cancer is to fight cancer by volunteering for and instating and supporting programs of the American Cancer Society. Further goals include, but are not limited to: Conduct regular chapter meetings with all chapter membership. Pursue, plan, and execute programs supporting the four strategic directions of Colleges Against Cancer: advocacy, cancer education, Relay For Life, and survivorship. Pursue, plan, and execute at least two activities or events each school year. Raise money through American Cancer Society s approved fundraisers on campus. Contribute to the Colleges Against Cancer s growth as a collaborative effort among all students and student organizations on campus, as well as between and among this chapter, the local American Cancer Society office and staff, surrounding chapters, and the Colleges Against Cancer National Leadership Team.
2 Support the establishment of Colleges Against Cancer Chapters at surrounding colleges and universities. IV. Membership Section 1: "Membership shall be open to all Rutgers University students and must comply with federal laws prohibiting discrimination on the basis of race, religion, color, national origin, ancestry, age, sex, sexual orientation, gender identity and expression, disability, atypical hereditary cellular or blood trait, marital status, civil union status, domestic partnership status, military service, and veteran status, and any other category protected by law." "This organization shall abide by all applicable laws of the State of New Jersey and the United States." Section 3: "This organization shall abide by all applicable rules and regulations of the University and under the privileges as granted by the Division of Student Affairs and by the rules and regulations of the Board of Governors." V. Officers Section 1: The officers of the group shall be: a. President b. Vice President c. Secretary d. Treasurer e. Two Relay Co-Chairs f. Volunteer Development Chair 1. Officers will be elected by a majority of the voting membership of the organization in annual elections held at the December meeting of each year. 2. A member must have a cumulative grade point average of 2.0 or better to be eligible to hold an office. If the officer s grade point average drops below a 2.0, he or she must resign from their position. 3. Vacancies of office shall be filled by appointments made by the other officers and committees.
3 Section 3: President and Vice President The President and Vice President will be responsible for presiding over and calling meetings. They will each primarily assist two of the four committees, in order to provide coherency and complete communication within the chapter. Section 4: Secretary The Secretary is responsible for keeping track of attendance and memberships, sending s to current members, and taking minutes at all Colleges Against Cancer meetings and providing copies and/or access to the minutes to all members. He or she will also be responsible for regular meeting notification and updates. Section 5: Treasurer The Treasurer is responsible for working closely with Rutgers University Student Assembly (RUSA) in order to manage chapter finances as well as assisting with the Secretary s duties in his or her absence. Section 6: Relay Co-chairs The Relay For Life Chairs will be responsible for organizing the Colleges Against Cancer Chapter s involvement in a Relay For Life event, whether it be planning an event on campus or forming teams for another community or campus event. The Relay For Life Chairs will also encourage the presence of advocacy, cancer education, and survivorship at the event. Section 7: Volunteer Development Chair(s) The Volunteer Development Chair(s) will serve as support for interested volunteers, receive forwarded information about interested volunteers from all other CAC members, and help volunteers find the committee/event they'd like to work with. Along with these duties, the Volunteer Development Chair(s) will work closely with team captains for Relay For Life as well as providing those teams the opportunity to help with Relay, whether it be pre-event or day of, if they so choose. VI. Committees In addition to the elected offices, the chair(s) of the four main committees will also constitute the leadership of the organization: Advocacy and Cancer Education, Survivorship, Public Relations, and Webmaster. A. Committee chair(s) will be appointed by the officers and members of the chapter.
4 B. Every member of the chapter will serve on the committee(s) of their choice. Section 1: Advocacy and Cancer Education The Advocacy and Cancer Education Chair(s) will help maintain up-to-date information on the American Cancer Society s advocacy initiatives and cancer education and prevention programs, help to adapt these to the college community, and help to coordinate any local or nationwide advocacy events. Survivorship The Survivorship Chair(s) will maintain up-to-date information on local and regional survivor information and activities, as well as encourage and support survivors on campus. Section 3: Public Relations The Public Relations Chair(s) will be responsible for publicizing events and activities of the chapter. Section 4: Webmaster The Webmaster Chair(s) will maintain the chapter s website as well as the Relay For Life event s website. VII. Impeachment Through the impeachment process, an officer can be removed from office if they have displayed negligence or abandonment of duty to the organization, severe infraction of University policy while acting under the authority or representation of the organization, or any action which intentionally and maliciously harms the organization and/or any of its members. Such claims can be brought up against any executive or committee officer by any 3 members of the organization. The executive board will discuss if these claims are concrete and if so, they must notify the officer in question of any such charges against them as soon as possible. A hearing will then be scheduled to decide if the officer should be held accountable for his or her actions by a vote. The individual being considered for expulsion shall not have a vote and shall not be counted amongst the number of voting members present. A two-thirds vote is required to remove a member from office. If the President is the member being considered for expulsion, the Vice President shall run the proceedings. VIII. Advisors (optional position) The Colleges Against Cancer advisors will consist of one faculty/staff member from the college, as well as members of the local American Cancer Society staff.
5 IX. Finances A. In consideration of the nature and extent of the support afforded to this chapter of Colleges Against Cancer by the American Cancer Society, both locally and nationally, we hold ourselves subject to the standards and branding of the American Cancer Society in all activities and practices, as well as in our use of its trademarked and copyrighted materials. Any activity, practice, or use of these materials not explicitly or implicitly covered by said limitations will be considered only after consultation with official American Cancer Society staff. B. No funds shall be accepted on behalf of Colleges Against Cancer or the American Cancer Society that will directly and/or ultimately be put to use by agents other than the American Cancer Society itself. Furthermore, no monies received by Colleges Against Cancer shall reside in third-party accounts, even if the school itself administers those accounts. (In the event that a particular college or university allots funding to its official student organizations, said funding can be used for administrative purposes and is not regarded in the same light.) X. Amendments Section 1: Proposed amendments to this constitution shall be presented at a regular meeting at least one meeting prior to being discussed and voted upon. Having been properly presented, amendments may be adopted by a simple majority vote of the membership at a regular meeting. Section 3: Amendments shall go into effect immediately upon adoption.
