4 Performance Management Online J. J. Keller Mobile has several contexts in which you may look at your fleet Driver Management, Vehicle Management, and Performance Management. The Performance Management context contains performance statistics. From the J. J. Keller Mobile dashboard, select the Performance Management tab to see the Performance Management Online content. The Performance Management dashboard contains detailed employee and unit performance statistics and alerts, as well as maintenance information. 1

5 Customizing Your Dashboard You may also customize the Performance Management dashboard, like all other dashboards/contexts, by selecting Customize after your name in the upper left of the page. You may choose any items (alert boxes) listed and move from column to column by using the left, right, up and down arrows. If you choose not to have the alert box show on your dashboard, you may highlight the item, and select the X at the bottom of that column s box. To return to the Performance Management dashboard, select Return to Home Page in the bottom left of your screen. The content available in Performance Management Online is divided into: Employee Performance Unit Performance Unit Maintenance Reports & Forms 2

6 Employee Performance To view your employees detailed records regarding hard braking, idle time, speed, and RPM, go to the Employee Performance tab. To view an individual employee, you can either: 1) Type their name in the search box on the left, 2) Type the employee code in the search box on the left, 3) View the All Employees List in the center of the page, or 4) Search by last name at the bottom of the page Click on the employee s name to view the file 3

7 To the left, you can see an employee s performance file. Note the date ranges shown at the top of the file. All data shown on the pages is for that date range only. To narrow or expand the date ranges, simply adjust the dates shown and select Go. Beneath the date ranges, you will find general employee information. You may Edit that information if anything appears incomplete or incorrect. The Hard Braking section lists any hard brakes recorded for this driver within the date ranges shown at the top of the employee s performance file. The occurrences that appear as hard brakes are contingent upon your hard brake settings for what constitutes a hard brake. Idle Time in Performance Management Online is any period greater than 5 minutes in which the truck is running, but not moving. The RPM section shows the average RPM for each day within the date ranges. Additionally, you will see a reporting of any minutes spent over the threshold you setup in the Keller Mobile settings. The Speed section shows the average MPH for each day within the date ranges. Additionally, you will see a reporting of any minutes spent over the threshold you setup in the Keller Mobile settings. 4

8 Unit Performance To view your units detailed records regarding hard braking, idle time, speed, and RPM, go to the Unit Performance tab. To view an individual unit, you can either: 1) Type the VIN in the search box on the left, 2) Type the unit code in the search box on the left, or 3) View the All Active Units list in the center of the page Click on the unit code to view the file 5

10 Unit Maintenance In the Maintenance area of Performance Management Online, there are several things that must be setup before utilizing for maintenance tracking and recordkeeping. Setup/Preferences/Lookup Values There are several items such as Unit Type, Unit Make, etc that must be setup before entering units into the system. Go through each item under the Unit heading on the setup page to ensure your fleet-specific information is setup. Additionally, there are several values, specific to Maintenance in the system, that should be addressed. 7

11 Maintenance Manager Look-up Values Fuel Units, Oil Units, Repair Description, Repair Reason, etc should all be setup prior to entering repair orders. Can enter fuel/oil costs for unit maintenance, so units of measurement needs to be selected For each repair order you put in, you can select repair description and repair reason which can be reported on 8

12 Tire Tracking If you want to closely track tire usage, you can track tire rotations, etc as maintenance is performed. 9

13 Parts Inventory You can track your inventory of parts at different locations and by a system code (which is an industryknown code for categories of parts). You can add purchased parts (adding to inventory) and perform repairs (using parts). Additionally, as inventory is taken on a quarterly or monthly, etc basis, you can adjust their inventory. Lastly, if using the Parts Inventory component, then you are alerted on their home page when they get to re-order points. 10

14 Maintain Unit Maintenance Info This section on the setup page contains additional items that can be configured for your company s needs. Additionally, the Settings determine how the system will function for you. Unit Maintenance Settings Billable would be utilized if your company does maintenance for others (and you want to upcharge for parts, etc). Mechanic You may setup your own mechanics and/or shops that you use to maintain your vehicles. Mechanic type can be selected for employee or vendor (example: Quality Truck Care), so that repairs can be noted as completed by appropriate shop/mechanic at the appropriate rate. 11

15 Part Vendor Part Vendor is a table more for reference than anything. By noting what vendor part was purchased from, valuable reporting can be produced to show how much money is spent with each vendor (that could be used to negotiate discounts/pricing). Tire Manufacturer To track tire position/usage, you must first entire each tire manufacturer that customer uses. 12

16 Unit Type Preventative Maintenance Preventative Maintenance must be setup by unit type. It can be triggered by a due date, time interval, and/or mileage interval (whichever comes first, if all setup). Maintenance for a specific unit can also be setup in that unit s maintenance file. 13

17 Fuel & Mileage Import Fuel card information can be imported to give accurate cost reporting by unit. It will be combined with depreciation, repairs, insurance, etc costs to give Cost Detail Report. You may create a fuel card schema for each fuel card that your fleet has. To add more than one, select Save & Add New. 14

18 Unit Maintenance Tab The Unit Maintenance tab is where the actual work is done and records are kept. Unit Cost Usage shows fuel and oil costs for that unit (fuel information is brought over from Fuel Tax fuel import/entry. 15

19 Repair Orders Repair orders allow you and/or your mechanics to maintain detailed records on any maintenance for your fleet. You can track cost for parts, mechanics, miscellaneous, as well as exactly what maintenance was done and when. You can add a repair order from within any unit s maintenance file. All Repair Orders and the Incomplete Repair Orders will be where the mechanics should go each day/when they go on shift. This will show them basically a todo list. 16

20 Parts You must add parts, before you can utilize them in a repair order. By setting re-order points by location, Parts Inventory alerts will be triggered. (Location can be top shelf, back wall, etc ) 17

21 Tires Tires must be added before you can start tracking usage and location on vehicles. 18
