1 Creating a Complete Backup of Shelby v5 Data Backup the Shelby folder and all its contents Since the Shelby v5 software now stores information in the \Shelby\ssv5.dat folder as well as in the SQL database; we recommend that the Shelby folder and its child objects be backed up every day to either a: CD burner Tape Drive USB drive External hard drive Another PC s drive. Create a Backup Schedule for the SQL Database If your server remains powered on at night, you may configure your backups to be automatically run at the time that you desire. The backups can be made at any time. However, it is recommended that they be made after work hours when no one is in using the Shelby database. You may choose to keep multiple backup copies on your system using this method. After the number of saved files reaches the number you chose, the oldest fiel be automatically delete when a new one is created. However, it is recommended that you monitor these files to make sure that the Scheduled Backup is running as scheduled and to delete any old files that are no longer needed. 1. Choose the Shelby SQL Backup-Restore Utility Icon from the Shelby v5 program group. 2. Highlight the Shelby Database from the appropriate server in which to backup (e.g., ShelbyDB). 3. Click the Create Backup Schedule Icon located on the tool bar or right click and choose Create Backup Schedule. You can also click Options located on the menu bar and choose Create Backup Schedule. 4. Proceed to the Options Tab to continue the process.

2 Options Tab 1. Choose the Database Type from the drop down list. Master Database File - This is the file that contains all of your current data. You would usually make backups of the Master Database on a regular basis. Purge Database File - This is the file that contains the data that has been purged for certain modules through Closing Procedures. Unlike the Master Database, you may only choose to backup the Purged Database File either once a year or after purging data through the Closing Procedures module. 2. Enter or choose the Back-up File Name (e.g., C:\SHELBY\SSV5.DAT\BACKUP\ShelbyDB.BAK). It is recommended that the backup be made to the SHELBY\SSV5.DAT\BACKUP directory, which may be located on the database server or another computer such as a Novell server. 3. Check the box Compress file on Backup completion (ZIP) if desired. Using this feature helps conserve disk space since data files are compressed to a much smaller size. The following Zip Options are available if checked. Compress To File: - (e.g., C:\MSSQL7\BACKUP\ShelbyDB.Zip) Only Keep Compressed Version - The.bak file will be deleted if this option is checked. Password Protect - You are prompted to Enter Password and RE-Enter Password for verification. This will require a password when restoring the backup. 4. Click Next to continue.

3 Schedule Tab 1. Choose when the scheduled backup Occurs. Daily (recommended) If you choose Daily, then choose the number of days between backups. Weekly Choose the number of weeks between backups (EVERY), and then choose which days of the week the backup will run on (WEEKS ON).

4 Monthly Choose the Day of the month and how many months to skip between backups; or choose the first, second, third, or fourth occurrence of a day of the week and how many months to skip between backups. 2. Choose the Daily Frequency. OCCURS ONCE AT: Select the hour of the day and specify AM or PM. OCCURS EVERY: Select the number of hours or minutes between backups. 3. Choose the Duration. Choose the START DATE (defaults to current date) and the END DATE or NO END DATE.

5 File Retention Tab 1. Choose the # of copies to retain of this backup schedule s files. 2. Click Start to accept and begin the schedule. You will see the message Schedule Created. Make an Off-Site Backup Backup the ShelbyDB.bak and ShelbyDBPurge.bak files and the Shelby folder daily to either a: CD burner Tape Drive USB drive External hard drive Another PC s drive. Then take that backup to off-site storage. Your off-site storage area can be as simple as taking the backup home or as secure as a safety deposit box in your local bank. NOTE: Shelby recommends that you keep a current backup off-site for greater security. This will provide you with a way to recover your data in the event of theft, fire or flood. Your Shelby v5 programs can always be downloaded from our website and reinstalled, your data, however, cannot be recreated as easily making timely backups stored in a safe place a necessity.
