1 Hong Kong Institute of Vocational Education (Morrison Hill) Evening Class Circular No. 3 04/05 Class Make-up and Cancellation It is the responsibility of each part-time lecturer to be present for all class meetings at the scheduled time. Departments should be responsible for administering all class make-up and cancellation for their own lecturers. The practice of employing substitute teachers will not be permitted in any circumstances as it will disrupt the continuity of lessons and create administrative difficulties. 2. Class Cancellation Part-time lecturer must inform the Evening Studies Section as soon as possible of any unavoidable absence and should inform the students of any class cancellation. He/She must complete either Notification of Cancellation of Classes - Appendix A or Application for Cancellation of Classes Appendix B and submit to Evening Studies Section for record. If a lecturer fails to attend his class without notice, the class will be dismissed after waiting for a reasonable period. This obviously causes considerable inconvenience to students and it is hoped that such cases will be very exceptional. 3. Class Make-up (a) Any class meetings cancelled should be made-up by arranging other classes within a reasonably short period of time. In order to monitor class cancellations and subsequent make-up classes, all arrangements for making-up classes will be undertaken by the Evening Studies Section. Part-time lecturers should contact Evening Studies Section and submit a form Arrangement for Make-up Classes Appendix C enclosed in PTE Lecturer Handbook to Evening Studies Section either by fax or by tray, when requesting make-up classes with adequate prior notice. (b) The provisional booking has to be confirmed by submitting the formal class make-up form within 3 working days. After approval, the Part-time lecturer concerned will be notified either by phone, by post or . (c) For class making up in workshops or laboratories, the part-time lecturers should approach their respective Departments for arrangement. 4. For Part-time Lecturers who teach at outside centres, they may submit the form to Evening Studies Section via the Liaison Officer on duty.
