Courses can begin on any Monday where appropriate or as stated in the brochure. We reserves the right to alter or cancel the course programme, change teachers and location and alter dates & fees from those stated in the brochure without prior notice. 1.2 When registering you accept the published General Terms and Conditions. The registration should be filled online through the form on the website. In exceptional cases, the application may also be sent in writing through our printed material. 1.3 It is the student s responsibility to ensure that they have the correct visa type and appropriate leave to remain in Italy If Unicostaviola finds that a student does not have the appropriate leave to remain his/her course will be terminated. In this case tuition fees are non-refundable. 1.4 BOOKING CONFIRMATION Once your completed application form and deposit have been received and accepted you will receive a confirmation of booking by . Please note the deposit cannot be returned under any circumstances (unless we are unable to accept your booking). 2. Minimum age: Minimum age of admission for courses is 18. Students under the age of 18 may be accepted for group/individual courses, provided that they are staying with their parents or legal guardian. If any student under the age of 18 wishes to study on any course at Unicostaviola, the person or people with parental responsibility for them should complete a Parents Agreement form. This form outlines the rules and conditions that will apply for the school to be able to accept a booking for a student under 18. The form can be obtained from the school. If for any reason the school does not receive the Parents Agreement form, it will be assumed that the general rules and conditions outlined in the form have been accepted by the parents/guardian of the student. 3.Payment methods: All payments should be in Euros Università Popolare Internazionale Costa Viola 1

2 3.1. The deposit must be paid within 7 days after registration to continue the enrolment process. The deposit includes 100% of the registration fee. Fees must be paid in full 4 weeks before the start of the course. Your course will be cancelled if we do not receive the payment and you do not contact us about this. For last minute enrolment (= < 4 weeks before arrival), the entire amount must be paid immediately upon receipt of the official confirmation from the school Payment by bank transfer: Together with the confirmation of the booked language course, students receive automatically the relevant bank details. A copy of the bank transfer receipt should be sent by fax or as proof of payment. IMPORTANT: By payments, you must provide the name and surname, the reason for the payment and the period of study chosen. Note: please write your name, country, date of birth (dd, mm, yyyy) and the date of your arrival in the notice field of the transaction. (Example: Serena Gonzales, Mexico, , August ) Cash payment: In exceptional cases cash payments are accepted especially for last minute registration and have to be made on the first day of the course to the secretary s office Services, which are booked additionally on site (= extensions, excursions, individual lessons or activities offered within the weekly program) can only be paid in cash. Registration fees (for administrative fees) are not refundable. Once paid the attendance fee, it cannot be refunded, except for serious reasons (illness, hospitalization, etc.) duly certified. Those who will not comply with the payment of fees will not be accepted in the classroom. WARNING: The bank above must be used exclusively for the payment of fees relating to the registration and, if the attendance. Any other reason for payment is not permitted (accommodation, guided tours, etc.) All extras (guided tours, transfer, baby sitter, car rental, etc.) must be paid once arriving to the University (on the first day by the registration). The fees are listed on the Pricelist on the homepage of the University. The transfer is the only extra service, which you have to book at the moment of the enrollment, given in your enrollment form. All other extras can be booked during your stay. The secretary staff of the University will keep you informed The student is entitled to participate in the course, once copies of the payment records have been presented. 4. Concerns and Complaints: We want you to have an enjoyable and positive experience with us. If you have enjoyed your stay please tell us what you liked and what you enjoyed, as this will help us to plan our future courses. Of course, we also want to know if you are unhappy or having problems, so that we can try to find a solution. We take our students opinions very seriously and welcome your views about the school and your experience at Unicostaviola. If you have any positive comments or problems with your language course, please speak to the Academic Manager or the Course Director. They will note down any compliments you make, and make sure they are passed on to the appropriate person. If you have a problem or complaint, they will listen to your problem and will try to resolve the issue fairly. If they do not have an immediate answer, they will write down your concerns and come back to you with an answer as soon as possible, usually within 24 hours or by the next working day. Any concerns or complaints should be taken directly to the school management. You will also have a general opportunity to give us feedback at the end of your course. 3 Unicostaviola cannot accept responsibility for complaints made after a student has left the University. 6. Cancellation: 6.1. If you decide to cancel your course this must be done in writing by or fax to our office. Cancellation fees are as follows: Cancellation period More than 30 days before your arrival Less than 30 days before your arrival Less than 7 days before your arrival Course cancellation fee 100 % of the registration fee 100 % of the registration fee + 50 % of the course fee 100 % of the registration fee % of the course fee 6.2. There will be no course refunds in the event of a cancellation once the course has begun Course start up days are fixed. There is no refund for any missed lessons, early termination of a course or for missing the start of class In order to Obtain a student visa from the Embassy or Consulate, you must pre-pay the entry fee, to receive a letter of invitation from the university. It should be noted that, in the case of nonparticipation in the courses on the dates agreed, after registration and payment of the deposit or the full amount of the courses, including the fee and in the case of non-eu citizens after having received the letter of invitation to obtain a visa to study in Italy for the duration of the course if they are unable to attend for any reason, the amount of 30% of the total received by the school will not be returned according to law. 7. Inscription fee: The registration fee of 250 Euros includes: Presentation including a welcome Café Guided tour of the city where your course will take place City map with tourist information, tips on excursions. Club Card (discounts in shops / facilities / restaurants / beaches) Written and oral grading tests Teaching materials Schoolbag Insurance during the lessons and activities inside the school buildings Free internet access in offices Language Centre Free use of our audio and DVD rental (with use in the classrooms) Language assistance in emergency cases during all your stay Goodbye party Participation certificate Services included in the registration are neither transferable (to any other party) nor refundable should they not be used. 8. Classes: Università Popolare Internazionale Costa Viola 3

4 8.1. Lessons take place from Monday to Friday and will either be scheduled from 9:00 am to 1:00 pm or in the afternoon from 2:00 pm to 8:00 pm. During high-season lessons could also be scheduled between 1:00 pm and 2:00 pm. The timetable is decided by the school. Special timetable or scheduling requests can apply only to individual lessons and must be requested by or fax before arrival. The book is always excluded from the cost of the course On national holidays, group courses will be cancelled without scheduling any make up classes. Only private lessons will be made up In case of late arrivals, early departure or absence due to illness of the participant, booked group lessons cannot be made up. Booked private lessons can possibly be rescheduled, but only after consultation and based on teacher availability. 8.4 It is your responsibility to check the level of language needed for the course you wish to take. If you are unsure of your level, please contact us before booking so that we can advise you. If your level is not suitable for the course you have booked, we reserve the right to move you onto a different course or to refuse you admission to the school On the first day of the course (Monday), all participants, without exception, are required to take a written and oral placement test. Classes are then formed based on exam results and in accordance with the Common European Framework of Reference (CEFR). Should there be no 3-6 grouping available at a student s level, the student will be placed in a 1-2 student to teacher ratio setting. If this occurs, the number of lessons will be reduced by 50%. Should a student not be satisfied with the classification, it must be reported to the office immediately. The placement test will then be retaken and a reclassification made. The student is called throughout the stay to give feedback on the lessons, which must be communicated directly to the office However, no change can be made to a pre-booked course after your arrival in Palmi. Therefore, any request for a booking change must be made prior to your arrival In combination with a language course students can book individual lessons and additional activities (music -, dance-, sport- cooking etc.), at a lower price Language courses will take place in Palmi. 9. Accommodation: 9.1. The accommodation (unless otherwise specified) should be booked and paid directly to the accommodation provider (Landlord/Hotel/B&B/Camping/etc.). The payment and cancellation conditions should be agreed between the student and the accommodation provider. We can give you a hand to find the best accommodation for your stay and to help to book it. Our partners, who will always guarantee the best price for our students are listed on our website under accommodation. The student (who is not granted the scholarship) can decide to organize his/her own accommodation without the help of the University Students are asked to report any problems with their accommodation within 24 hours and reports should be directed to the office. 10. 5 Half-day and full day excursions are subjected to a minimum number of participants. The school reserves the right to cancel excursions if the minimum number of participants is not reached. 11. Changes 11.1 After the confirmation of your enrollment you cannot ask for any changes regarding it within 15 days before your arrival. In the previous period, based on your written request, we will try to meet your needs, if possible. Any requested changes may have their extra costs, which will be previously communicated If you want to postpone your course, you must do this in writing. You may not postpone courses due to start within the next 28 days. You may only postpone if there is space available on the new course dates you wish to attend If you want to extend your course this is possible, provided there is space available. Please note it may not be possible for you to remain with the same accomodation if you choose to extend your course. 12. Insurance We strongly recommend that you take out travel and health insurance. The school will not be responsible for resolving any issues that arise from lack of insurance cover on the part of the student. The students are insured through the school only for activities during their stay in the school buildings but not by the accommodation provider against sickness, accident, theft or loss of personal property. We therefore recommend taking out special insurance It is judicious to take out insurance against sickness, injury or accident during a stay in Italy. Participants from EU countries, who are in possession of the National Insurance Card (former E111) are entitled to receive free medical care in Italy. This card can be obtained from the health insurance service in the country of origin. Participants from other countries should ask their health insurance service if coverage in foreign countries is included or can be added on. However, even with no specific health insurance, emergency medical care in Italy is still guaranteed and it is free We also recommend taking out travel cancellation insurance, which covers course and accommodation costs in the event of cancellation prior to departure or in case of early termination of your language study (due to illness, accident, death of a family member, etc.). 13. Visa: Western European citizens do not require visas to enter Italy, unless their stay exceeds 90 days. Citizens of other countries should inquire at the nearest Italian Consulate about entry formalities and requirements. A document confirming the study holiday will be issued only after full registration of the participant, and upon receipt of payment for the entire language stay. Students are responsible for obtaining the visa and any corresponding costs. 14. Privacy: The participant authorizes the Universitá Popolare Internazionale Costa Viola to use his/her personal data for processing the registration and for demographic or statistical analysis and promotional materials. The participant may, according to Italian law (art. 13, 675/96), request the deletion of personal data at any time. Università Popolare Internazionale Costa Viola 5

6 14.2. The participant authorizes the Universitá Popolare Internazionale Costa Viola, to publish photographs taken during their stay at the school. If the participant does not agree, he/she must report this on the 1st day of school to the office. 15. Programs and prices: The school reserves the right to change course programs and prices for services. To be updated about the structure and technical info of the courses, see the Technical Course Guide on our website. 16. Holiday Schedule: The school will be closed on Easter, Easter Monday, 25 th April, 1 st May, 2 nd June, 15 th August, 1 st November, 8 th December and from 23 rd December 2015 to 13 th January ATTENDANCE AND CONDUCT Students will only receive a Certificate of Attendance if their attendance has been 80% or more. If your attendance is less than 80%, the school will, at its discretion, issue an enrolment certificate, confirming that you were enrolled on a course in the school. If you are a sponsored student, poor attendance will be reported to your sponsor. We reserve the right to exclude any student who behaves in an unacceptable manner. In this case you will have to pay all course fees and any additional costs (e.g. for any damage caused). It is your responsibility to provide us with your contact details while staying in Palmi (including mobile phone number if possible), the contact details of your next of kin in your own country and a copy of your passport and visa if appropriate. 18. Policy statement Unicostaviola is committed to equality of opportunity and will endeavour to make reasonable adjustments and/or provide reasonable support to students who declare a learning difficulty or disability. If a student or his or her parents or sponsor feels that the student has any specific learning requirements or special needs (for example dyslexia) or physical disabilities, then they are strongly urged to declare them at the application stage. In this way the University can ensure that we are in a position to consider any such requirements in a professional and appropriate manner. All declared special needs or disabilities will be assessed by the Academic Manager or the Principal on a case by case basis. In some cases the University may feel that it does not have the resources or expertise to deal with certain levels of need, and this will be communicated to the parents or student concerned prior to arrival 19. FORCE MAJEURE The school is not liable for failure to perform its obligations if such failure is as a result of Acts of God (including fire, flood, earthquake, storm, hurricane, infectious diseases or pandemics or other natural disaster that are beyond the reasonable control of the parties), war, invasion, act of foreign enemies, hostilities (regardless of whether war is declared), civil war, rebellion, revolution, insurrection, military or usurped power or confiscation, terrorist activities, nationalisation, government sanction, blockage, embargo, labour dispute, strike, lockout or interruption or failure of electricity [or telephone service]. 7 If the school asserts Force Majeure as an excuse for failure to perform its obligations, then the school must prove that it took reasonable steps to minimise delay or damages caused by foreseeable events, that the school substantially fulfilled all non-excused obligations, and that the other party (student, agent etc.) was timely notified of the likelihood or actual occurrence of the event. 20. Acceptance of general terms and conditions of participation: It is understood, that after having read the school s general terms and conditions of participation and having made a booking request, the student accepts these terms.
