5 About this Guide About this Guide 1.1 Overview This guide explains how to: Install SAP BusinessObjects Mobile client application on your mobile device. Use the SAP BusinessObjects Mobile features to interact remotely with business intelligence information located on a SAP BusinessObjects Business Intelligence platform server. The workflows described here are generic and do not take into account the differences between supported mobile devices or their operating systems. Your mobile device (or the operating system it uses) can offer additional menu options at various stages of the workflows. 1.2 Target Audience This guide is aimed at business professionals on the move, who use SAP BusinessObjects Mobile to interact with business intelligence data on a mobile device. 5

7 Introducing SAP BusinessObjects Mobile Solution Introducing SAP BusinessObjects Mobile Solution 2.1 Solution Overview The SAP BusinessObjects Mobile solution allows users on the move, to access and analyse business intelligence data using a mobile device such as BlackBerry, Symbian or Windows mobile; to take analytical decisions. This solution comprises of the following three major components: The SAP BusinessObjects Mobile Client The SAP BusinessObjects Mobile Server The SAP BusinessObjects Business Intelligence (BI) platform The above components are part of the SAP BusinessObjects BI platform installer. The SAP BusinessObjects Mobile Server The SAP BusinessObjects Business Intelligence (BI) Platform The SAP BusinessObjects Mobile Client 7

8 Introducing SAP BusinessObjects Mobile Solution The SAP BusinessObjects Mobile Client is an application that needs to be downloaded to each mobile device. A specific version of the client application is delivered for each of the following mobile operating platforms: BlackBerry Symbian Windows mobile This application is designed specifically to optimize the display of Business Intelligence (BI) content using the device appropriate features such as native rendering, single click access and user interactivity. Using this application end users can access and interact with the following type of BI documents: Web Intelligence documents Crystal report documents SAP BusinessObjects Mobile works on data infrastructures such as Edge, Wi-Fi and 3G networks. SAP BusinessObjects Mobile supports BI reports created using SAP Business Warehouse. Depending on the document type, you can view, analyze, and interact with the data contained in the documents The SAP BusinessObjects Mobile Server The SAP BusinessObjects Mobile server is a Web application server. It performs the following functions: Receiving the requests that are sent by the SAP BusinessObjects Mobile client and passing it to the SAP BusinessObjects Business Intelligence (BI) platform server. Receiving the response (for example, a Web Intelligence document or a Crystal report document) from the SAP BusinessObjects Business Intelligence (BI) platform server and sending it to the SAP BusinessObjects Mobile client. The Mobile server can communicate with multiple SAP BusinessObjects BusinessIntelligence platform Central Management Servers (CMS). You specify the CMS name in the "Connection Settings" screen of the Mobile Client application on each device. This means that different devices can connect to different CMS servers on your deployment. The Mobile server forwards the connection request to the CMS as specified on the device The SAP BusinessObjects Business Intelligence (BI) Platform 8

9 Introducing SAP BusinessObjects Mobile Solution The SAP BusinessObjects BI platform server projects the data captured from corporate databases and data warehouses as business intelligence documents or reports. It handles all aspects of the document lifecycle, including creation, catalog, refresh, content delivery, and report interactivity. The SAP BusinessObjects BI platform server processes requests sent by SAP BusinessObjects Mobile client through the SAP BusinessObjects Mobile server, and sends back responses (for example, a Web Intelligence document or a Crystal report document). For users accessing the portal through a desktop computer, the portal is referred to as the BI launch pad. For Mobile users, accessing the portal through a device, the portal is referred to as the SAP BusinessObjects Business Intelligence Platform server. 2.2 Supported Features and Functions With SAP BusinessObjects Mobile, you can manage your Business Intelligence (BI) documents and data, using a wide range of features and functions: Set up a default document or folder that opens automatically whenever you log into the application. Refresh reports to retrieve the most up-to-date data. View results using keypad shortcuts. Navigate to related documents by using hyperlinks in reports. View filtered results by modifying prompt values. Receive alerts when a specific document is modified, a condition is met, or a schedule is run. Perform follow-up actions by clicking on report cells to launch SMS, phone calls or s. Save documents locally and view them offline, to mitigate network interruptions and minimize communication costs. Sync all the document in the local store to get the latest copy of document to the local store. Send a link of BI documents by . Search BI documents in the Mobile category. When viewing Web Intelligence reports, you can also: Drill down results to analyze detailed or summary data. Track data changes through customizable highlighting (set up by the document creator) Document Design Recommendations The amount of memory available on your mobile device defines the size of the reports that you can view using SAP BusinessObjects Mobile. However, it is recommended that both the size and the 9

10 Introducing SAP BusinessObjects Mobile Solution complexity of reports designed for Mobile users conform to the SAP BusinessObjects best practices. This information is available in the Designing BI Documents for Mobile Users guide. By following some simple design guidelines, you can ensure that all reports displayed on mobile devices meet the usability requirements expected by users. 10

11 Downloading the Application to your Mobile Downloading the Application to your Mobile 3.1 Prerequisites and Supported Devices Before you download the SAP BusinessObjects Mobile application to your device: Verify that your mobile device model is listed in the supported mobile devices. You can either consult your IT administrator for this information or read the Products Availability Report (PAR) document available at: " Ask you IT administrator for URL of the application download website. 3.2 Downloading the SAP BusinessObjects Mobile Client Application There are two methods for downloading: You can download the client application from a web site using standard OTA (Over-The-Air) protocol for transmitting and receiving application-related information in a wireless communications system. Contact your IT administrator to obtain the web site URL. You can download the client application from your desktop computer, using another data transmission method, like the data cable supplied with your device or Bluetooth technology. Using the Desktop Manager software supplied by your device manufacturer. It is recommended that only IT and technical specialists use this method to download the application. This download option is useful for administrators or power users who want to test the application on a single device. 12 Downloading the Application to your Mobile The OTA download web application package is delivered as a standard SUN war file MobileOTA14.war. It includes: a Web application a Java servlet to enable device detection on the web page SAP BusinessObjects Mobile client application (one application version per device type) To deploy the client application on your device using OTA, perform the following steps: 1. On your mobile device, select the browser icon. 2. Download the client application from the standard OTA (Over-The-Air) protocol. Default Url: Address:Port/MobileOTA14 3. Select Click here to download SAP BusinessObjects Mobile for Blackberry. 4. On the Download SAP BusinessObjects screen, select Set Application Permission. 5. Select Download. 6. A pop-up window appears with the message "This application was successfully installed", select OK Using the BlackBerry Desktop Software You can also download the client application on your BlackBerry device using the BlackBerry desktop software. To download the client application on to your BlackBerry mobile device, perform the following steps: 1. Open the client\blackberry folder on the local drive of your desktop. 2. Launch BlackBerry desktop software on your desktop. 3. Connect your BlackBerry device using a data cable or a Bluetooth connection to your desktop. 4. In the BlackBerry desktop software, select Applications. 5. Select Import file. 6. Open Mobi.alx. 7. Select Apply. 8. Disconnect your BlackBerry device. The SAP BusinessObjects icon is now available on your BlackBerry device. 3.3 Restrictions and Recommendations for Specific Mobile Devices Due to design differences between mobile devices and the operating systems they use, your experience of SAP BusinessObjects Mobile can vary depending on the phone or device you use. 12

13 Downloading the Application to your Mobile Menu options and workflows Most SAP BusinessObjects Mobile menu options and workflows are the same regardless of which mobile device you use. However, some device-specific menus and options can alter the display of the SAP BusinessObjects Mobile menus. Installation folder name The folder where the SAP BusinessObjects Mobile application is installed can vary, depending on your phone and mobile operator. Prerequisites and Supported Devices 13

15 Accessing SAP BusinessObjects Mobile Accessing SAP BusinessObjects Mobile 4.1 Launching SAP BusinessObjects Mobile The SAP BusinessObjects Mobile icon is displayed with the other application icons on your mobile device. To launch SAP BusinessObjects Mobile, select the SAP BusinessObjects Mobile application icon, and then perform the relevant action for your device: Double-click the wheel or Click the center button or Select the application icon on the device touch screen with a stylus. The SAP BusinessObjects Mobile splash screen. A welcome screen is displayed after the splash screen. Logging into SAP BusinessObjects Mobile Client Application Running SAP BusinessObjects Mobile in the Background 4.2 Configuring your Device to Access the SAP BusinessObjects Business Intelligence Platform Server Before you configure your device to connect to the SAP BusinessObjects Business Intelligence platform server, make sure you have the following details: SAP BusinessObjects Mobile server URL Ex: " " Connection preference CMS name Server authentication type These details can be obtained from your IT administrator. 15

16 Accessing SAP BusinessObjects Mobile If your IT administrator has pre-configured the SAP BusinessObjects Mobile application before it is downloaded to your device, a connection is automatically made to the SAP BusinessObjects Business Intelligence platform server and no configuration is required. However, if the application was not pre-configured, you must enter the connection and authentication information manually when you connect to the SAP BusinessObjects BusinessIntelligence platform server for the first time. To enter the connection and authentication information: 1. Launch the SAP BusinessObjects Mobile application on your mobile device. A welcome screen is displayed after the splash screen. On the Welcome screen: Select View Sample Report to access the sample reports stored locally on your mobile device. Select Connect to Server to connect to your secure enterprise server. On selecting this option the login screen appears. If you do not want to see the Welcome screen on launching the application then, check the option Do not show this screen again on the Welcome screen. To uncheck this option, go to Application Preferences and check Show Welcome screen option. 2. Launch the device menu. 3. Select Connection settings. 4. To access the pre-defined connection settings screen, perform the following sub steps: a. On the Connection Setting screen, launch the device menu. b. Select Get Connections. c. On the Configuration server screen, enter the URL where MOBIserver.war file is deployed. d. Open the device menu, and select Get List. e. On the Connections screen, select the connection that you want to use. f. Open the device menu, and select OK. 5. If you want to manually set the Connection Settings screen, perform the following sub steps: a. In the Server URL field, enter the server URL provided to you by your IT administrator. b. In the CMS name field, enter the SAP BusinessObjects Enterprise server name. c. In the Auth. Method field, select the authentication method set up for you by your IT administrator. d. In the Connection Preferences field, select the connection preference. 6. Open the menu: Select Save to save your changes. Select Back to cancel your changes. 7. Return to the Login screen. 17 Accessing SAP BusinessObjects Mobile 4.3 Logging into SAP BusinessObjects Mobile Client Application Once you have launched the SAP BusinessObjects Mobile application on your mobile device, enter your valid login credentials. You can then access your local documents and SAP BusinessObjects Business Intelligence platform server documents. Your IT administrator must grant you the appropriate rights for you to access and interact with documents via SAP BusinessObjects Mobile. To log into SAP BusinessObjects Mobile: 1. On the Login page, enter the required information into the following mandatory fields: a. Username - the SAP BusinessObjects user name assigned to you by your IT administrator. b. Password - the password that you or your administrator define in SAP BusinessObjects BI launch pad. 2. If you want to view the password characters while entering the password instead of the asterisks (*)on your device, unselect the Mask password entry. To view this option on login screen,perform the following substeps: a. On your device, go to Preferences. b. Select Allow Password UnMasking. c. Relaunch the application. 3. If you want to start SAP BusinessObjects Mobile automatically each time you launch the application on the device, select Auto-connect. If you select this option, the Save password option is automatically selected and the Work offline option is disabled. Both options are hidden until you deselect Auto-connect. 4. If you want to avoid entering your user name and password each time you log into SAP BusinessObjects Mobile, select Save password. You can configure your login options so that each time you launch the SAP BusinessObjects Mobile application, you are logged into BusinesssObjects Mobile automatically. This saves time when you want to consult data quickly without spending time on the login procedure. Your connection to your live data on the server is automatic which can pose a security threat if your device is lost or stolen. 5. If you only want to access documents stored locally on your device and you do not want to access the SAP BusinessObjects Business Intelligence platform server online, select Work offline. After your first login, you can work with documents stored locally on your device without being connected to the SAP BusinessObjects Business Intelligence platform server. This is useful if you are experiencing wireless network issues or you simply want to work on business intelligence data 17

18 Accessing SAP BusinessObjects Mobile while on the move without incurring communication costs. Your first login must be on the SAP BusinessObjects Business Intelligence platform server, ensure that you can retrieve server documents and store them locally on your device. With subsequent logins, select this option to choose not to connect to the server and work with previously saved documents. 6. Open the menu and select Login to access SAP BusinessObjects Mobile. Connecting Automatically Working with Documents Stored Locally on your Device Accessing SAP BusinessObjects Mobile Home Page The application home page contain links to view the following types of documents: Local documents These documents are stored locally on your device. You can synchronize local documents with the online versions of the same documents as currently published on the SAP BusinessObjects Business Intelligence platform server. When you synchronize your mobile device with the SAP BusinessObjects Business Intelligence platform server, any local documents that no longer exist on the server are automatically deleted from your device. For example, you save a copy of a server document LocDoc1 to your device and the server version is deleted later. The next time you save a different server document to your device, LocDoc1 is deleted. Server documents These documents are stored on the SAP BusinessObjects Business Intelligence platform server and are therefore only accessible in online mode when you are connected to the server. Mobile-ready documents Users are allowed to view the documents that are available under Mobile category in the Business Enterprise repository. If your Mobile-ready documents link does not display any documents, this indicates that your administrator has either not set up the Mobile category, or the document list is empty. Search SAP BusinessObjects Mobile searches the documents that are categorized as Mobile-ready and retrieves the list of documents that matches the specified search string Recently viewed documents A list of the documents that you recently viewed is displayed. Select a document to open it > Open the device menu > Select Open. 18

19 Accessing SAP BusinessObjects Mobile To navigate to the home page from anywhere within the application, select the Go to home page option from the menu. You can override the home page behavior by setting a default folder or document. For information about setting a default folder or document, refer to the Related links. Setting Default Folder or Document Application Menu This menu is available once you have logged in to the SAP BusinessObjects Mobile session homepage screen. Option Open Description Opens the document that is selected by the user. Remove from Homepage Deletes the most recently viewed document from the homepage. Refresh list Refreshes the current document list within the application. Set as default Set the selected document or the folder as the default. The default set document or folder opens automatically when the application user logs into the application. Search Find documents and folders in the Mobile-ready documents. Alert management Views and manages the incoming alerts. Preferences Configure application preferences. For more information, refer to The Preferences Menu. 19

20 Accessing SAP BusinessObjects Mobile Option Hide Description Run the application in the background. Exit Exit or log out of the SAP BusinessObjects Mobile application A confirmation messgae appears. Select Yes to exit the application. Select No to return to the previous displayed page. Copy Copy the name of the document and paste it into any text editor. This is a standard feature supported by BlackBerry devices Connecting Automatically You can log into SAP BusinessObjects automatically when you launch the application, by selecting Auto-Connect in the login options. This helps you consult BI data quickly without spending time on the login procedure. The duration of a session, as defined by your IT administrator, ensures that SAP BusinessObjects Mobile disconnects from the SAP BusinessObjects server when the application is not used on the device after a specified time. However, when a mobile device has Auto-connect as its default, your password is saved so that your device connects automatically to the server and logs back in automatically whenever your session expires. This means that setting your login to Auto-connect and saving your password on the device can pose a security issue, if you lose your device. To configure automatic connection to the application homepage, perform the following steps: 1. On the Login screen, select Auto-connect. If you select this option, the Save password option is automatically selected and the Work offline option is disabled. Both options are hidden until you deselect Auto-connect. 2. Select Login. You are logged into the application and your automatic login preferences are saved. 20

21 Accessing SAP BusinessObjects Mobile Removing Automatic Connection Your device is configured to launch SAP BusinessObjects Mobile automatically each time you launch the application on your device. When Auto-connect is set on your device, you are connected to the SAP BusinessObjects Business Intelligence platform server automatically. You can remove the automatic connection option if you want to launch the application and/or log in manually. Manual login allows you to modify your login information, such as the server name and your password. To deselect automatic connection: 1. After logging, open the SAP BusinessObjects Mobile application menu and then open the Preferences menu. 2. Deselect the Auto-connect checkbox. 3. Click Save. The next time you launch the application on your device, the "Login" screen will prompt you to log in manually. Connecting Automatically Logging into SAP BusinessObjects Mobile Client Application 4.4 Running SAP BusinessObjects Mobile in the Background If you want to work with other tools or applications on your mobile device and remain in contact with the SAP BusinessObjects Business Intelligence platform server, you can opt to login to SAP BusinessObjects Mobile and run the application in the background. When you run the SAP BusinessObjects Mobile application in the background, you are free to interact with other applications and still receive business intelligence documents and alerts; they are pushed from the server to your device as long as you are logged in to the server. You can also run SAP BusinessObjects Mobile in the background without logging into the server. In this case, however, you do not receive alerts on your device until you log in. To run SAP BusinessObjects Mobile in the background while you work in another application on your device: 1. Log on to SAP BusinessObjects Mobile. 2. Open the device menu from any screen within the Mobile application. 21

22 Accessing SAP BusinessObjects Mobile 3. Select Hide. SAP BusinessObjects Mobile is sent to the background so you can continue to work with other applications on your device. If the login session times out while the Mobile client is in the background, the application automatically initiates the session. If the session cannot be reinitiated due to an authentication problem, an error message appears. Exit the application and login again. Subscribing to an Alert 4.5 Exiting the SAP BusinessObjects Mobile Application Closing the SAP BusinessObjects Mobile application ends your connection to the SAP BusinessObjects Business Intelligence platform server. To log out of the SAP BusinessObjects Business Intelligence platform server: 1. Open the application menu on the device. 2. Select Exit. If you have subscribed to any alerts, SAP BusinessObjects Mobile displays a message that informs you that if you exit the application, you cannot receive alerts until you next log in. If you want to continue receiving alerts while using different features or applications on your device, you can opt to run SAP BusinessObjects Mobile in the background. In this case, the application is no longer visible, but continues to run behind your other applications. If you confirm that you want to exit the application, SAP BusinessObjects Mobile closes and logs you out of the SAP BusinessObjects Business Intelligence platform server. 22

23 Interacting with Business Intelligence Documents 5.1 Searching Documents SAP BusinessObjects Mobile enables you to search BI documents in the Mobile Ready Documents. It provides easy and quick access to BI documents. SAP BusinessObjects Mobile searches the documents that are available within "Mobile" Category in the Enterprise Repository and retrieves the list of documents that matches the specified search string. To search BI documents, perform the following steps: 1. Log on to SAP BusinessObjects Mobile on your mobile device. 2. Click the Search option in the home page, or from the menu, select Search. 3. Enter the search string. 4. From the menu, select Search. The list of documents matching images the specified search string is displayed in the Search Results page. 5.2 Viewing Options You can use a range of viewing and navigation options, to customize the display of how you want to view your business intelligence reports and graphical elements (such as graphs). The Preferences Menu Setting Default Folder or Document Setting Your Viewing Options 23

24 Using the viewing options to customize the display of reports and charts, and choose how you want to navigate documents. The Preferences Menu Setting Default Folder or Document The Preferences Menu You can set general application options in the Preferences menu. You can access the Preferences menu from any menu that is displayed during your SAP BusinessObjects Mobile session. Option Zoom fit to screen Description Automatically resizes the current selected block of data to fit the mobile device screen. Zoom (n%) You can set the zoom percentage to a value between 30 and 150 for graphs and charts. This enables you to view of the report conveniently on your device. Scroll step (screen n%) Specifies the percentage of the screen used to scroll the display in Panoramic view mode. Alert time Time interval that elapses before a request is sent from the client application to the server to check for new alerts. This value is set in minutes and the minimum value should be greater than or equal to 5 minutes. Recover Local Store Retrieves all the locally saved documents from the server. Show status bar Displays the value of the selected cell and current zoom percentage in a status bar at the bottom of the screen. Show title Displays the title of the report when opened for viewing. Save local copy on view Saves a document copy in the local store whenever a document is viewed. 24

25 Option Auto-connect Description Saves your login options so that you are connected automatically when you turn on your device. Deselect this option to display the manual login screen the next time you turn on your device. Allow Password UnMasking This option enables the user to view characters while entering the password instead of asterisks (*). By default this option is not available on your device. To enable this, refer to: Preconfiguring the Mobile Client Application with Connection Setting Details section in Installation and deployment guide 4.0 fp 03. Show Welcome screen A welcome screen displays after the splash screen On the Welcome screen: Select View Sample Report to access the sample reports stored locally on your mobile device. Select Connect to Server to connect to your secure enterprise server. When you select this option, the login screen appears. If you do not want to see the welcome screen again, go to Preferences. Select the Do not show this screen again check box and save this setting. You are redirected to the login screen after launching the application. Set as default Set a default folder/document. Each time you log into SAP BusinessObjects Mobile server, you immediately see the default folder/ document. This option only appears in the Preferences menu if you have specified a default folder. Open first report Displays the first report of a Web Intelligence document when you open a document with multiple reports. 25

26 Option Show Report List Description Displays the report list when you open a Web Intelligence document with multiple reports. Open the last saved report Displays the last saved report when you open a Web Intelligence document with multiple reports. Open report name with - String: mobile Opens the report containing the specified search string as the report name. By default, "mobile" is specified as the search string. Setting Your Viewing Options Setting Default Folder or Document Connecting Automatically Viewing Documents in Panoramic Mode You can pan horizontally through wide reports or graphs, by viewing them in panoramic mode. Due to the structure of Crystal reports, when you navigate reports cell-by-cell on a device, it is difficult to navigate to adjacent cells. However, but when you view Crystal reports in Panoramic mode, you can easily scroll to specific columns and rows. When you are in panoramic mode, you cannot activate cell contents. For example, you cannot drill down on values or use embedded actions, such as send SMS. To enter or leave panoramic mode: 1. Open a document open on your device and, open the device menu. 2. Select Enter Panoramic mode or Leave Panoramic mode. The Preferences Menu Setting Default Folder or Document 26

27 5.3 Setting Default Folder or Document You can define a default folder or a document as default. Each time you log on to SAP BusinessObjects Mobile, your home page automatically lists the default folders or documents that you have selected. To change your preferences so that the application opens to the folder or document of your choice: 1. Navigate to the desired folder or document. 2. Launch the device menu. 3. Select Set as default. If you have set a default folder, SAP BusinessObjects Mobile jumps straight to this folder at startup. However if you have defined a default document, SAP BusinessObjects Mobile displays the default document instead. To view the list of documents, open the menu and then select Go to doc list. You can browse the folder hierarchy from the document display screen by selecting Go to top folder from the menu. If you delete your default document, which was stored locally on your mobile device as an offline document, SAP BusinessObjects Mobile cannot open this document by default when you log on to the application. Deselecting a Default Document or Folder Deselecting a Default Document or Folder You have a document set to open by default each time you log into the SAP BusinessObjects Business Intelligence platform server. If you no longer want this specific document to open automatically, deselect it. To deselect your default document or folder: 1. From within a document or from the "Login" screen, open the menu and then select Preferences. 2. To deselect a default document, click Keep report default or to deselect a default folder, click Keep folder default. These options only appear in the menu if you have previously set a default document or folder. The next time you log into SAP BusinessObjects Mobile, the home page with mobile related documents appears, if your administrator has grouped mobile documents into a category. Otherwise the list of 27

28 documents in the top-level folder on the SAP BusinessObjects Business Intelligence platform server appears. Setting Default Folder or Document 5.4 Language Support for Document Viewing Using SAP BusinessObjects Mobile, you can display documents containing foreign language characters, provided that you have the related language fonts installed on your device. For example, a Web Intelligence report with Korean text characters is displayed correctly on a device, on which the Korean language character set is installed. 5.5 Accessing Documents There are various ways of accessing the documents on the SAP BusinessObjects Business Intelligence platform server: the home page, which contains documents that can be viewed on mobile devices. the Mobile folder under Public Folders or the root folder specified by your IT administrator. a folder you set as your default folder. a document you set as your default document, which opens automatically when you log in to the server. Setting Default Folder or Document Opening Documents SAP BusinessObjects Mobile supports the following types of business intelligence documents: Web Intelligence Documents Crystal reports 28

29 It is recommended that you only use your mobile device to interact with documents designed specifically for mobile users. In most cases, these documents are grouped within a folder called Mobile on the SAP BusinessObjects Business Intelligence platform server. Your IT or business intelligence administrator can provide more information on the location of mobile documents, if necessary. You can also access other documents. However, depending on the document size and format, the display is limited by the size of your mobile device. To open a document, perform the following steps: 1. After logging into the SAP BusinessObjects Business Intelligence platform server, select the type of documents you want to access: Local documents Server documents Mobile-ready documents Search You can also access the most recently viewed documents from the home page. 2. Navigate to the document you want to open and select its title. With touchscreen smartphones, you can open the document/folder/report with a single tap on its title. 3. Open the device menu and select Open. The document is opened from the server. If the document you want to open is set to Refresh on open, but you do not have the authorization to refresh documents, a message appears informing you that the document cannot be opened. 4. Select Next or Back to navigate between pages. 5. Use the navigation features available on your device to navigate between document cells. Web Intelligence Document Features Crystal Reports Features Supported Features in Mobile Documents Depending on the type of document you are viewing on your mobile device, specific features may present some functional limitations. Web Intelligence Document Features 29

30 Crystal Reports Features Web Intelligence Document Features As a SAP BusinessObjects Mobile user, you can analyze and interact with business intelligence information contained in Web Intelligence documents in different ways. Drilling to details, aggregate data, and related documents Values in drillable report cells appear with a drill up or drill down arrow next to them or as a hyperlink. Depending on how the report designer has set up the drill hierarchy, you can drill up or down to view details, aggregates or alternative dimensions. If the report designer has included links to related documents, the name of that document appears in a tooltip. Clicking on a document link allows you to view more information on the data in the initial report. Using embedded SMS, Phone and commands Report cells can contain embedded actions that allow you to send an SMS or or to make a call to a pre-defined recipient. For example, a report row containing results for a specific geographical region can include a cell, which allows you to send comments on the results as an SMS to the Sales Manager for this region. Using prompts to filter the values displayed on reports Use prompts with filters so that when you refresh a Web Intelligence document, only the results relevant to your analysis are retrieved. Navigating documents containing multiple reports Web Intelligence document can contain one or more reports. If the document contains more than one report, the list of available reports appears. To navigate to the various reports: Display the menu on your device, then select Reports to display the list of reports contained in the document. Select a report from the list, then select the Open report or select OK. Each report within a Web Intelligence document is displayed according to the pagination options configured by the creator of the document. One document page corresponds to one screen on your device. This makes navigating between pages more efficient. Tracking data changes When Track Data changes is activated in a report, you can see how the data in the current version of the report has changed since the previous version. 30

31 While creating reports, if you use Strike through formatting option under Track Data changes, the strike through in the data will not be displayed on your BlackBerry device. This is a technology limitation in BlackBerry devices. Refreshing reports to see the latest data on the database When you refresh a Web Intelligence document, the latest data is retrieved from the data source and returned to the reports the document contains. Refreshing documents means you can see fully up to date results. However, depending on the size of the document the refresh operation can be time consuming. One possible workaround is for the report creator or administrator to schedule a refresh of the document. Scheduling report refreshes ensures that an updated version is always available for viewing on a mobile device. It is recommended that Web Intelligence documents intended for mobile users are created and edited using the Java interface for SAP BusinessObjects BI. This is, because the formatting can be tightly controlled using this editor for optimal results on mobile devices. Drilling Data for More Detailed Results Using Prompts and Parameters Drilling Across to Related Reports Crystal Reports Features Crystal Reports Features As a SAP BusinessObjects Mobile user, you can interact with business intelligence information contained in Crystal reports in limited ways. However, there are some navigation, display, and functional differences between Crystal reports viewed on a mobile device and on a desktop computer. Viewing reports You can view reports containing simple sections and details. The structure of Crystal reports means that when you navigate reports cell-by-cell on your device, you skip adjacent cells. It is recommended that you view Crystal reports in Panoramic mode, so you can easily scroll to specific columns and rows. You cannot perform drill actions on Crystal reports by using SAP BusinessObjects Mobile. Viewing charts on reports You can view all chart types available with Crystal Reports. 31

32 Web Intelligence Document Features Viewing Documents in Panoramic Mode 5.6 Navigation Menus and Shortcuts You can access the viewing options in the Preferences menu from the Login menu or from any menu that you can display on the device while viewing a document. Viewing options allow you to flip quickly through the pages in a report or document using the following commands: Next page Previous page First page Last page If you are viewing a Web Intelligence document that contains multiple reports, you can use the Reports menu to view the list of reports, and then select the report that interests you. For fast navigation, you can use keypad shortcuts. Quick Reference to Keypad Shortcuts The Preferences Menu Quick Reference to Keypad Shortcuts Using keypad shortcuts saves you time when you want to navigate through reports or set viewing options quickly. 32

33 Key Command Description 1 Toggle status bar Toggles the Show Current Cell Value display line on or off at the bottom of the screen in the status bar. 2 Toggle title bar Toggles the Report Name display line on or off at the top of the screen in the title bar 3 Show table headers Displays row and/or column headers of the table in the report title. The row and/or column headers are displayed in the following format: [row header].[column header] 4 Previous page Opens the previous report page. This only works if there is a next or previous page % Rendering Sets the zoom to be 100%, which means that one pixel rendered on the mobile device represents one pixel in the original document. 6 Next page Opens the next report page. This only works if there is a next or previous page. 7 Zoom out Incrementally zooms out from the current view. Minimum zoom=30%, Maximum zoom=150%, Increments=10%. 8 Fit to screen Sets the zoom view so that the currently selected block fits entirely within the mobile device screen. Reports not designed for mobile devices can appear too small when viewed using Fit to screen and cells that contain numeric data can be replaced by '###'. To view the cell values in the display line at the bottom of the screen, press key 1. 9 Zoom in Incrementally zooms in from the current view. Minimum zoom=30%, Maximum zoom=150%, Increments=10%. 34 5.7 Drilling Data for More Detailed Results Using drill analysis, you can drill down to a detailed breakdown of the values that make up the summary result displayed in a cell. you can also drill up to see how the value in a cell aggregates up. The exact levels where you can drill the data, depends on how the report designer has set up the drill hierarchy. You can only drill on a report if your document is saved in drill mode in the enterprise repository. On touch-screen devices, to perform any action on the cell (such as opening a link or drilling down to details), you need to touch and hold the relevant cell. Tapping the cell would only select or highlight the particular cell. Drilling on a Report Drilling on a Graph or Chart Drilling on a Report Drilling on a Report Web Intelligence reports can be made drillable by the report creator at design time. When you view a report in Panoramic mode drill is not activated. To activate drill capability, open the application menu from the document and select Leave panoramic mode. You cannot drill on Crystal reports using SAP BusinessObjects Mobile. You cannot drill on Web Intelligence reports created on hierarchical data on BEx queries. When you select the cell, an arrow indicates whether you can drill on the cell. To drill on a cell value,browse to the cell and: Select Drill Up to, to see aggregated values. Select Drill Down to, to see a more detailed breakdown of values. Drilling on a Graph or Chart Drilling Across to Related Reports 34

35 5.7.2 Drilling on a Graph or Chart Graphs and charts are made drillable by the report creator at design time. When you view a graph or chart in Panoramic mode, drill is not activated. To activate drill capability, open a document and from the application menu, then select Leave panoramic mode. Drilling on graphs or charts gives you a quick, graphical representation of how summary results relate to detailed values. To drill on a graph or chart: 1. Select and open the graph or chart from the list of available documents. 2. Scroll or navigate within the graph or chart to the drillable area. 3. In the device menu, select: Drill Up to, to see aggregated values. Drill Down to, to see a more detailed breakdown of values. Drilling on a Report Drilling Across to Related Reports Drilling Across to Related Reports Links from report cells to other documents are set up by the report creator at design time. SAP BusinessObjects Mobile does not support links to other documents included in Crystal reports. When you view a report in Panoramic mode, links to other documents are not activated. To activate this capability, select the Preferences menu on your device menu, and then open Leave panoramic mode. To drill to a related document from a cell value hyperlink: 1. Select the hyperlinked cell to open the device menu. 2. Select Open doc. The target document opens on the device screen. To return to the original document, select Back on the device. Drilling on a Report 35

36 5.8 Performing Follow-Up Actions Actions enable you to leverage the context and data displayed on reports to make better and timely business decisions. SAP BusinessObjects Mobile actions are triggered via hyperlinks embedded within document cells by the report creator at design time. If the mobile device you are using does not support the actions in a report, the actions cannot be used. When you view a report in Panoramic mode, embedded actions are not activated. To activate actions, select Leave panoramic mode from the application menu. Displaying Contact Details Using elookup/plookup Sending an SMS Making a Call Sending an Displaying Contact Details Using elookup/plookup Actions are embedded into reports as hyperlinks by the document creator at design time. The lookup action is obselete in SAP BusinessObjects Mobile 4.0 fp 3, and has been replaced by elookup and plookup local actions. However, documents designed in earlier releases using lookup action still works in SAP BusinessObjects Mobile 4.0 fp 3. The plookup action allows you to retrieve a phone number from your device address book, and then either call or send an SMS to that contact. The elookup action allows you to retrieve an address from your device address book, and then send an to that contact. To find an address book entry using the embedded lookup action: 1. Select the hyperlinked cell on the document. 2. Open the device menu, and select the required action.
