2 REGISTRATION OF SUPPLIERS Kenya National Bureau of Statistics (KNBS) is a statutory body of the Government of Kenya, and is in the process of registering suppliers for various goods and services for the year Interested eligible candidates may obtain further information of the document at the Procurement Division, (Senior Manager, Procurement office, Room 226), 2nd Floor, Herufi House. Registration document is free of charge and can be accessed through our website; SECTION B: INTRODUCTION 1. KNBS will pre-qualify prospective candidates for the supply of goods and services from among those who will have submitted their Registration documents in accordance with the requirements to undertake the assignment as described herein. 2. Eligible candidates are invited to submit a Registration document for the supply of goods and services. The Registration documents will be the basis for the Registration and eventual invitation to bid for the supply of goods and services as and when need arises. 3. Eligible candidates may apply for one or more categories of items but must purchase a separate set of Registration documents for each category. 4. The candidates must familiarise themselves with the requirements of the Registration documents including all attachments. 5. KNBS will not be responsible for any costs or expenses incurred by candidates in connection with the preparation and delivery of these Registration documents 6. KNBS requires that candidates observe the highest standard of ethics during the prequalification process. In pursuance to this policy,knbs Defines for the purpose of this provision, the terms set forth below as follow; 1) Corrupt practice means the offering,giving, receiving or soliciting of anything of value to influence the action of an officer in the prequalification process 2) Fraudulent practice means a misrepresentation of facts in order to influence the Registration process to the detriment of the public procurement entity Will reject an application if it determines that a candidate has engaged in corrupt or fraudulent activities in the prequalification process. Will declare a candidate ineligible for Registration if at any time it determines that the candidate has engaged in corrupt or fraudulent practices in competing for or in executing a similar contract. Will have the right to inspect the business premises of the candidate 7. Candidates shall furnish information as described in the registration document 8. The registration documents should be prepared and submitted in a plain sealed envelope marked: KNBS/PQ/./ REGISTRATION FOR THE SUPPLY /PROVISION OF And be addressed and delivered to; THE DIRECTOR GENERAL, KENYA NATIONAL BUREAU OF STATISTICS, P.O.BOX , NAIROBI, KENYA. 2

3 OR be deposited in the Tender marked Tender Box located at the reception area, 1st Floor, Herufi House so as to be received on or before 20 th February, 2014 at 10.00am on the closing date as contained in the Registration notice. Opening will be carried out immediately thereafter in KNBS boardroom 1 st Floor, Herufi House. Candidates or their representatives are invited to witness the opening. 9. This is a registration of suppliers and not a tender for supply of goods and services. 10. Canvassing is not allowed and will lead to an automatic disqualification. Only successful candidates will be notified in writing. SECTION C: MANDATORY REQUIREMENTS Candidates: 1. Must be registered or be incorporated in Kenya and a copy certificate of registration/incorporation must be attached. 2. Must provide Certificate from Treasury 3. Must provide copy of current trade licenses 4. Must have registered offices or Business premises. Evidence of the same must be provided. 5. Must be Tax compliant with the Kenya Revenue Authority and be up to date with income and VAT returns. Evidence of a current Tax Compliance certificate must be attached. 6. Must attach a copy PIN Certificate. 7. Must attach a copy of VAT certificate 8. A company profile and copies of CV. 9. 6 SECTION G: TERMS OF TRADE Terms of Trade (Payment Terms) KNBS will make payment after delivery of goods and services upon issuance of a local purchase /service order. Payment will be made within 30 days upon receipt of Invoice and delivery note. This has to be supported by certifications raised by the KNBS s Inspection and Acceptance Committee. N/B: Please indicate your payment terms and credit period allowed.
