3 Inroducion Page 3 Tile Manager Summary Your Sison Tile Manager sysem is capable of serving as an in-house daabase and of generaing Advance Informaion shees and Caalogues. Through he generaion of ONIX or XML, i can also populae your company websie wih ile informaion and allow you o announce your fronlis o he indusry. This manual describes in deail he range of fields in Tile Manager, as well as he indusry sandards for wha daa mus be included in your ONIX messages. By he ime you have finished reading hrough his manual, you will have a comprehensive undersanding of how o ensure your ile feeds are ONIX complian and how bes o use your new Tile Manager sysem. SOME USEFUL TIPS ABOUT THIS MANUAL AND STISON TITLE MANAGER Mandaory Fields All fields considered mandaory in your ONIX feeds are marked wih *. These requiremens are based mainly on Nielsen Book Daa who is he mos rigid in erms of ONIX sandards. Once you have esablished ha your feeds are compaible wih Nielsen, hen you should have no problem submiing your ONIX messages o oher bibliographic daa agencies such as Bowker and BDS. Bear in mind ha i is bes o include as much daa as is possible for a paricular ile, so do no jus fill in he mandaory fields. More is beer! Bu if you do no fill in he mandaory fields, hen your ONIX feeds will be rejeced by he recipiens. Updae/ Creae Buons Every screen in he Tile Manager sysem has an Updae or Creae buon a he boom. Always ensure ha you click Updae or Creae when you are saisfied wih your changes/ addiions o he fields, oherwise he informaion will no be sored on he sysem. Tile Prefixes This is he leading word or words ha are normally omied when iles are alphabeised or indexed. Examples of ile prefixes: A, An, The. All iles added o he sysem, including book iles, series iles and ses iles, mus have he prefix in is correc place. Do no, for insance, in-pu he informaion like his: Hisory of he World in 100 Objecs, A. The sysem has been creaed o auomaically pull he prefix ou and place i in a separae field. The process will no work properly if he prefix is no iniially in he righ place. Also, bear in mind ha whils he sysem will auomaically pull ou he prefix, in some cases he prefix will need o say where i was, for insance, The Hague: A Guide o he Ciy. Simply override he change by manually adjusing he fields; he sysem will accep he change. For more informaion abou his, go o page 14 in he Book Indusry Sudy Group Bes Pracices documen. 4 Page 4 This is where you can see a complee lis of your acive books. The oal number of iles on your sysem is displayed under he Records Found heading. In he sample o he lef, he sysem has 2,305 iles on i. There are opions available hrough his window: To search for a ile manually, ype he name ino he Search for box and click Go. To round up a specific se of iles on he screen, click on he Advanced Filers buon. A new window will pop up wih he opion o Selec Filers o apply. Choose accordingly. Cusom Columns: To add or remove columns from he screen, click on Columns. Choose he relevan iem from he drop-down menu and a new column reflecing he daa will be added o your screen. You can also change he sequence of he columns by dragging he cross icon up and down. Cusom Query: This opion is no ye available. When i is, i will allow you o choose he columns you wish o see and add wha resricions you wish o place on he daa. You will be able o choose wha consrains are applied across he query wih drop downs on greaer han, less han, equals, conains ec. To add a column of images, ypically covers. To remove his column, click on Hide Icon. Afer icking a se of iles you wan o remove from he sysem, click on Remove Seleced. If he publicaion dae is less han 3 monhs in he fuure, he iles will be archived insead of deleed, as he sysem assumes you have already sen he records o he biblio agencies. To achieve Nielsen s Gold Sandard, you mus submi your ile records a minimum of 12 weeks ahead of pub dae, bearing in mind ha mos wholesalers and reailers expec ile informaion 6 monhs ahead of pub dae. For more informaion abou why you need o archive iles on your Tile Manager sysem, go o page 9. To view he iles ha missed heir pub daes and were cancelled from your publicaion schedule, click on Show Archived. To reurn o your full ile lis, click on Show Acive. 5 Page 5 Afer manually clicking on he boxes beside a se of iles, click on Show Currenly Seleced and a lis reflecing hose specific iles will come up on he screen. You can adjus he order of he books as hey appear in he lis by clicking on he column heading, for example: Tile; his will reverse he order of alphabeisaion. To amend he informaion of a book already on your sysem, click on he ile name and make changes o he fields where appropriae. To creae a new ile record, click on Creae New and fill in he following fields under he Tile ab: ISTC (Inernaional Sandard Tex Code): This code is used o link differen formas of he same conen, for example an E-Book wih is HB and PB counerpars. This means you don have o creae several differen records of he same conen bu can link i wih his number. For more informaion visi: These numbers aren used very ofen a he momen bu may be used more so in he fuure. * Full Tile: The complee name of a published produc as i appears on he book s ile page, inclusive of he prefix. Tile Prefix: This field will auomaically populae if here is a prefix in your ile. See page 3 for more informaion. Subile: A secondary or explanaory ile ha follows he main ile. This field mus be supplied if applicable. Former Tile: This field should only be filled in if you have sen he ile record hrough o he agencies wih a ile ha was no ye final. Every ime a ile is changed, he Former Tile field will need o be updaed wih he mos recenly supplied ile. * Language: This field refers o he language in which he ex is wrien. 6 Page 6 Original Language: This field refers o books ha have been ranslaed from heir original ediions. If your book was originaed in he language added o he Language field above, hen keep his field on Tex No Translaed. Oherwise, choose he appropriae iem from he drop-down menu. When you are finished adding informaion o he above fields, click on Updae and hen move ino he Conribuor ab. Conribuors are all of he individuals involved in producing a book s conen, such as he auhor, he edior of a collecion of maerial, he phoographer, ec. Three abs will come up as follows: Conribuors: * Conribuor s Role: Firs you mus define he conribuor s role. If he conribuor is an auhor, for insance, hen you will click on By (auhor) in he drop-down menu. * Conribuor s Name: Click on he blank field o access he full lis of conribuor names already on he sysem. Choose he appropriae conribuor. If he relevan conribuor does no already appear in he lis, hen you will need o add he name o he sysem. See page 23 of his manual for insrucions. To change he sequence of he conribuor names, drag he cross icon up and down. To delee a conribuor, click on he red X. To add anoher conribuor, click on Add anoher conribuor and follow he insrucions as wrien above. You are hen ready o move on o he nex ab: Conribuors Saemen: This is a single saemen ha is relevan o a paricular book bu i does no replace he biographical noe. A conribuor may have a conribuor saemen assigned o conen alhough i is suggesed ha biographical noes be used in preference for ease of mainenance. See page 23 for more informaion. Copy Biographical Noe: By clicking on he conribuor names, he biographical noes agains heir names will appear in he Conribuors Saemen box below. You can hen adjus he ex where necessary. 7 Page 7 Click Updae when finished. You are hen ready o move on o he nex ab. Corporae Conribuors: This works in much he same way as he Conribuor ab, as described above. Click Updae o save your changes. Once you are finished working in he main Conribuor ab, move ino he Forms ab. This opens up he following abs: Produc Forms: This is where you will specify he various formas/ bindings available for a paricular ile, such as Hardback, Paperback and Ebook (Elecronic Book Tex). * Form: Choose he appropriae iem from he drop-down menu. You will noice some of he fields change when you selec Elecronic book ex, for insance. This change reflecs he valid elemens for ha produc ype, ie: for form Elecronic Book Tex an Epublicaion Type classificaion [PDF, Epub, ec] is expeced. Only fill in he Produc Form Deail if you wan o add more specifics abou he forma; he same goes wih Addiional Informaion. Neiher of hese are mandaory. Epublicaion Type will become available when Elecronic Book Tex is seleced. Similarly, Audio producs will enable he Conen Type fields & DVD producs will enable he Region field. To add more formas, click on Add anoher produc form; fill in he fields. Much of he informaion already added for he original ediion (such as he Hardback) will populae he daa for subsequen formas of he same conen. You will know when o fill in daa separaely for each ediion because a se of abs, each labelled wih a differen ISBN, will sar appearing as you move forward hrough he Books abs: To delee a forma, you mus go back ino Books, click beside he relevan ile, hen click on Remove Seleced. 8 Page 8 Click Updae when you are finished. Conained Iems: This should only be used for mixed media producs or quaniy packs. This allows you o specify wha producs are included in he iem, for insance a book wih wo CDs. Add individual lines (by clicking on Add anoher conained iem) for each iem wihin he produc and hen fill in he fields for each: * Produc Form: Choose from he drop-down menu. Produc Deail and Addiional Descripion: Only fill in hese fields if you need o ge more specific wih he producion informaion. Number of Pieces: This is relevan when you have more han 1 of he same iem in a mixed media produc. For insance, if you had a book wih 2 CDs, hen you would add he figure for he CDs. If you have 1 book and 1 CD, hen you should leave his field blank. Pack Quaniy: This is he number of copies of he specified iem conained in a pack. I is relevan for couner packs and reail packs conaining a number of copies of he same iem or a quaniy of each of wo or more differen iems (such as a dump bin carrying copies of wo differen books, or a classroom pack conaining a eacher s ex and weny suden exs). ISBN13: Each iem wihin he mixed-media produc should have is own ISBN13 enered - if each conained produc has an ISBN13. Click Updae when you are finished. Exens: This paricular ab is used only for media producs such as CDs and DVDs, so ha you can specify running ime. Whils here are opions in he drop-down menus for page and word coun, do no use hese iems. You will need o add he page coun/ exens for he books under he Publicaion ab, which we will see on page 10. 9 Page 9 * Exen Type: eg. Duraion/running ime * Value: eg. 120 * Uni: eg. Minues Click Updae when you are finished and move ino he nex main ab. ISBN: This is where you will add all of he produc numbers o define your produc(s). There will be more han one ab in his screen if you have differen formas for he same produc (see page 7 for more informaion). Fill in he following fields: Is his ile: Tick on he relevan opions below: Visible on he Web This ensures he daa will appear on your websie. Included in ONIX This ensures he daa will be included when you generae an ONIX message. Archived/ Deleed You will need o use his when a ile has already been submied o he bibliographic agencies and hen subsequenly cancelled before publicaion dae. Sending a ile hrough o he agencies wih his iem icked will ensure ha hey remove he ile from heir daabases. These iles are hus no deleed from your sysem enirely, hey are moved ino an archived area. For more informaion abou archived iles, go o page 4. * Record Reference: This is he unique inernal idenifier for a produc and is auomaically added o he ile record when you fill in he ISBN13. ISBN: This refers o he 10-digi ISBN; a duplicaed ISBN will be rejeced by he sysem. * ISBN13: This refers o he 13-digi ISBN; a duplicaed ISBN13 will be rejeced by he sysem. 10 Page 10 Universal Produc Code: This is he cross-indusry produc numbering and bar-coding sysem adminisered in he USA by he Uniform Code Council. In he US book rade, his informaion is required for mass-marke ediions sold in supermarkes and oher non-book-rade oules.. Digial Objec Idenified (DOI): This is he inernaional idenifier for inellecual propery in he digial environmen. See for more informaion. Click Updae when you are finished. Then move in o he Publicaion ab, where you will add mos of he ile-specific informaion, including: * Ciy of Publicaion * Counry of Publicaion Announcemen Dae: Choose he dae from he calendar. Copyrigh Year: Such as * Publicaion Dae: Choose he dae from he calendar. Year firs published: The year when he work firs appeared in any language or ediion, if differen from he copyrigh year. Publicaion Season: The iems in his menu will vary depending on he publisher s requiremens. For insance, some publishers may use Auumn whils oher publishers may use July-Dec o denoe he auumn season. For more informaion abou adding iems o his menu, go o page 27. Number of Pieces: This refers o he number of iems wihin he produc. If he ile record is for 1 book wihou exra pieces, hen leave his field blank. If i is for a boxed se, for insance, hen ype in he number of books included in he se. You only wan o add his when he iems wihin he pack are all he same size and forma. For iems in differen media you will need o use Conained Iem, see page 8 for informaion. 11 Page 11 Heigh x Widh: The uni will be esablished hrough your sysem s configuraion. Mos UK publishers will use mm whils US publishers will use in (see general admin configuraion). Thickness: This refers o he hickness of he book s spine. Weigh: Of he produc; choose from he drop-down menu. Ediion Type Code: This is an ONIX code indicaing he ype of a version or ediion. Eg: Revised Ediion Number: The number of a numbered ediion. Normally sen only for he second and subsequen ediions of a work. Ediion Version Number: The number of a numbered revision wihin an ediion number. To be used only where a publisher uses such wo-level numbering o indicae revisions which do no consiue a new ediion under a new ISBN or oher produc idenifier. Ediion Saemen: A shor free-ex descripion of a version or ediion. When used, i should carry a complee descripion of he naure of he ediion, such as 3rd ediion, revised wih an inroducion and noes. Illusraion Noe: Free ex ha describes he ype of illusraions wihin he book, such as Over 1500 colour phoographs (see also illusraions on page 18). Promoion Campaign: Free ex describing he promoion and adverising campaign for he promoion. Promoion Conac: Free ex giving he name, deparmen, phone number, and address for main poin of conac for produc. Click Updae when you are finished. 12 Page 12 * Imprin: If you don have specific imprins, hen use your company name here. * Publisher: Your company name; may be he same as Imprin above. Audience Type: Choose an iem from he drop-down menu. There are opions for children s books such as Young Adul and Children/ juvenile. Alernaively, you can use General/ Trade for all oher books. If you need o add more audience ypes, click on Add anoher audience ype. Book Ranges: This is relevan o children s books; leave he iems blank if you are working on a general/ rade ile. Audience: Choose an iem from he drop-down menu, for insance Ineres age, years. Operaor: Choose eiher From, To or Exac, as relevan. Value: eg. 3 EG. Ineres age, years; from; 2 Book Series: This is where you will specify if a book is par of a series. Number Wihin: The disincive enumeraion of a produc wihin a series. Book Series: Choose he relevan series from he drop-down menu. For informaion abou adding new Series names o his lis, go o page 25. Produc Websies: This is where you can add URL s for furher rich conen on your own websie. If you have a ile-specific websie, for insance, or a sie ha has relevan informaion ha you would like o link o, you can add i here. p Hyperlinks Add he full link saring hp:// p Descripion This will appear as he name of he link. p You can add oher websies if necessary and o change he sequence of he links, move he cross icon up and down. 13 Page 13 Then move on o he Ses ab, where you can specify if a ile is par of a boxed se. In order for iems o appear in he Se Names drop-down menu, you will need o firs add he relevan informaion hrough Book Ses / Series, locaed in he lef-hand Tile Manager menu. See page 26 for more informaion. A se means a finie number of producs grouped ogeher under a ile. The producs may originally be published over a period of ime, bu generally hey have become or will become available for simulaneous purchase. A se may be raded as a single iem or in separae pars or boh. If raded as a single iem, a se should have is own produc idenifier such as an EAN-13 and/ or an ISBN. Click Updae when you are finished. Then move ino he Subjec ab where all of he caegories are sored. They are as follows: BIC Codes: These are UK specific caegories. Main Tick his circle o esablish which caegory is he mos relevan. Descripion Click ino his field and choose he relevan code from he lis. To add more caegories, click on add anoher bic code and fill in he descripion. I is encouraged o add as many relevan BIC Codes as possible, 3 being he ideal. Also, Nielsen will rejec he ile if you submi i level 1 or 2 codes. 14 Page 14 BISAC Codes: These are caegories specific o Norh America. Main Tick his circle o esablish which caegory is he mos relevan. Descripion Click on his field and choose he relevan code from he lis. Make sure you ge as specific as possible when choosing a BISAC code. For a cookbook abou bread, do no use CKB COOKING / General bu raher use CKB COOKING / Courses & Dishes / Bread. To add more codes, click on add anoher bisac code. 15 Page 15 LC Class: This is he Library of Congress Classificaion Number ha appears in he copyrigh page of every published book. Manually ype in he number. Subjecs and Themes: These are he subjecs and hemes specific o your books, and are used o classify and group your iles on your websie. Click on he drop-down menus and choose he relevan iems. To allocae more subjecs and hemes o a ile, click on Add anoher subjec or Add anoher heme and choose an iem from he drop-down menu. To delee any hemes or subjecs, click on he red X. To add more subjecs and hemes o he drop-down liss, you will need o do so hrough Subjecs and Themes Admin. See page 27 of his documen for more informaion. Key Words: Choose a se of key words ha bes describe your book. Key words are useful as hey will help furher classify iles on your sie. When visiors use he search opion o find specific conen, i s imporan o ensure ha he mos relevan iles o heir search come up accordingly. Try o hink abou all possible search words from he perspecive of a visior. To add more han one key word, click on Add anoher key word. To delee any key words, click on he red X. The informaion added in his ab only needs o be added once. All subsequen ediions of he book will auomaically be updaed o reflec he caegorisaion esablished for he firs ediion. Click Updae when you are finished and hen move in o he Supply ab where you will need o fill in he informaion separaely for each ediion. 16 Page 16 * Supplier/Disribuor: Will auomaically populae based on he informaion se up on your sysem by Sison; he defaul will be for he disribuion informaion relevan o your main marke. If you need o change he supplier, for insance when you are sending a feed hrough o a marke for which you have differen disribuion arrangemens from hose in he UK, hen you can updae he informaion in his field hrough he drop-down menu. * Availabiliy: Choose he relevan iem from he drop-down menu based on he curren sock siuaion of your ile. If sock has no ye delivered ino your warehouse, for insance, hen he appropriae opion o choose in he menu would be No Ye Published. This informaion will need o be updaed once he ile is in sock. Expeced ship dae: If he availabiliy saus is se as No Ye Published, hen you will have o fill in he Expeced ship dae. You don need o be 100% accurae; simply add a dae ha is a few monhs ino he fuure. * Price: All of he below iems are mandaory for your ONIX feeds. * Price Type: Choose he appropriae iem from he drop-down menu. 2 RRP including sales or value-added ax if applicable is used mos ofen in he UK. Use 1 RRP excluding any sales ax or value-added ex ouside of he UK, unless he iem specifically aracs ax. * Currency: Choose he appropriae iem from he drop-down menu, for insance GBP - Pound Serling. Then add in he * RRP and he Web Price, for insance 9.95 (leave he currency symbol ou). Web Price only needs o be populaed if you are using he sysem o generae a feed for your websie. Discoun codes: You can se discouns agains your iles where relevan, for insance if you wan o run a websie promoion. A drop-down menu of codes will be available here only if he discoun codes have been configured ono your sysem. If hey have no, hen he field will no be visible. 17 Page 17 To add oher prices, for insance US or Canadian, click on Add anoher price and go hrough he seps as above. This is relevan if your disribuor supplies o all of hese differen regions. If you have differen disribuors/ suppliers for differen regions of he world, hen you will need o Add anoher supplier/ disribuor and fill in he relevan availabiliy and price informaion. Reurns and Sock iems under Supplier/ Disribuor (if visible) can be lef blank as your disribuion company will generally be responsible for sending up-o-dae availabiliy informaion o he bibliographic agencies on a regular schedule. Click Updae when you are finished. Then move on o he Righs ab where you will specify where in he world you can sell your book. This is called he sales righs and does no refer o he ediions you sell o oher publishers who ranslae and publish hem in differen languages. For UK publishers, for insance, his refers o he English language ediion. You will need o fill in his informaion separaely for each ediion (HB or PB). Use eiher he counry OR he erriory for each row (NOT BOTH); use muliple rows for muliple counries. * Righs Type: Choose he appropriae iem from he drop-down menu. The iem mos ofen used for books originaed by you as he publisher will be 1 For sale wih exclusive righs in he specified counry/ies. 18 Page 18 Adding new erriories: You may wan o add new erriories o your sysem o avoid having o lis ou a se of counries. If you have only European righs for a ile, for insance, i will be much easier o simply grab Europe from he drop down menu raher han having o ick every counry wihin Europe individually. You can esablish new erriories ha will hen appear in your drop-down menu hrough General Admin. Counry: Choose he appropriae iem from he drop-down menu; use muliple rows for muliple counries where necessary. Leave his blank if you have specified he Terriory. Click Updae when you are finished. Then move on o he Oher ab where you will add furher rich conen abou your book: Illusraions: Type: Choose he appropriae iem from he drop-down menu. Coun: Manually ype in he number of illusraions. To add more illusraion noes, click on Add anoher illusraion and fill in as before. Prizes: Name: eg. Booker Prize. Awarded/ Code: eg. Winner. Year: eg Counry: Choose from he drop-down menu, eg. US. Jury: Free ex lising he members of he jury ha awarded he prize; variable-lengh ex, suggesed maximum lengh 500 characers. To add more prizes, click on Add anoher prize and fill in he fields as above. 19 Page 19 Oher Tex: You have all sors of opions here: you can add a chaper of he book, he back cover copy, a long descripion of he book, a review quoe, ec. The oher ex secion is very imporan. The more informaion you add here he more discoverable your book will be. Nielsen will only pass on all his informaion if you are subscribed o heir advanced service. On he sandard service only shor descripion and main descripion are passed o reailers. The informaion in his ab only needs o be added once and will hen be regisered agains all ediions. Name: Selec an opion from he drop-down menu, for insance Review quoe from a review of he produc. Tex: Then add he ex in he ex box. Tex Source Tile: The ile of he publicaion from which he ex originaes, for insance if i is a review quoe. Tex Auhor: The name of he auhor of he review or promoional quoe. To add more exs, click on Add anoher ex field se and follow insrucions as above. This is also where you can add bulle poins for your Advance Informaion (AI) shees (for more informaion abou generaing AIs, go o page 29), by choosing Descripion for sales people in he drop-down menu and hen adding he iems each as separae bulles wihin he ex box, as displayed in he image below: Click Updae when finished. Relaed Books: In he firs drop-down menu, choose he appropriae iem depending on wha he relaionship is wih he book, such as Replaced by. If you use Replace By under he Relaed Books secion, hen you will need o click in he blank field beside i o choose he book from he lis. Click on he appropriae ile. If here are many ediions available, hen each ediion will have is own ab on his screen. Oher Relaed Books Referencing This Tile: This is auomaically populaed when you add new ediions under he Forms ab (see page 7 for more informaion), as shown below. Bear in mind ha his won appear for iles where only one ediion is available. Click Updae when you are finished. Then move in o he Media ab where you can upload furher conen such as audio or video clips, downloadable PDFs such as eacher s resources, images, ec. You can upload iems o each forma ediion of he book or you can add he informaion under he ab Shared, so ha he iem will be displayed across all ediions of he ile. Cover Image: If you will be using he sysem o populae informaion and images o your caalogue files, hen i s bes o upload a CMYK high res TIFF here. Under he main Conribuors Admin opion in he lef-hand Tile Manager menu, you will see a complee lis of conribuors currenly on your sysem and will have opions o add furher daa. In order o delee a conribuor from he lis, you will need o ick on he box beside he conribuor s name and hen click on Remove Seleced a he op of he screen. To add a new conribuor o your lis, click on Creae New and fill in he following fields: * Firs Name * Las Name Image: You can upload he conribuor s phoograph here. Tile: eg. Sir. Qualificaions and Honours: eg. MA, PhD. Tiles: eg. Duke of Edinburgh. Biographical Noe: Free ex giving a brief descripion of he conribuor s credenials and biography. This informaion is preferred over he Conribuors Saemen, discussed on page 6. Click on Creae when you are finished and he new conribuor will appear in he main lis. Afer he basic, iniial daa has been added for a paricular conribuor, you can hen go back ino he record by clicking on he name. You may no have a sysem; leave blank if so. * Tile Tex: This is a mandaory field and will be he full name of he series iself. Tile Prefix and Tile Wihou Prefix: These fields will populae auomaically. See page 3 for furher informaion abou ile prefixes. Series Descripion: This is where you can add a bi of shor ex abou he series. Then click on Creae and you will be aken o he Books ab. In his par of he Tile Managemen sysem, you have 4 levels of caegorisaion available o you. * Subjecs: All iles added o your sysem mus have an accompanying subjec as his field can be used o drive your websie menus, for your AI shees and for inernal searching. Themes: Some publishers use hese for furher, deeper levels of classificaion. Caegories: Mainly used for impor. Pub. Season: This is where you creae your pub season codes. Click on Creae New. Type in he name of your season and click Creae. For more informaion, see page 10. Before your Tile Manager sysem is insalled, you should provide Sison wih a complee lis of subjecs relevan o your iles. This will ensure ha your subjecs are already waiing for you on he sysem when you sar adding new fronlis iles. You also have he faciliy here o add subjecs, hemes and caegories manually. This is useful when you sar adding iles o he sysem ha don fi ino he previously uploaded lis of subjecs, hemes or caegories. The insrucions for creaing new subjecs, hemes or caegories for your liss are similar. We will ake adding a subjec as an example. The lay-ou and emplae for your AIs will be esablished by you during he sysem s developmen sages and hus configured by Sison. You can choose which fields from he sysem o include in your AIs, bearing in mind ha he mandaory fields for he ONIX messages are a good saring poin. To creae an AI: Go back ino he main Books screen o he full lis of acive iles. When creaing an AI for jus one ile, search for he book in he Search for box; when i comes up on he screen, click on AI oward he end of he columns. A new window will come up promping you o choose he emplae; click on one of hree icons: HTML, Word or PDF. The sysem will hen promp you o eiher save he file or open i direcly, which is demonsraed in he following picure: You can also generae more han one AI a a ime. Click on Creae New o esablish a desinaion and fill in he following: * Desinaion Name: The organisaion receiving your feeds, eg. Nielsen Book Daa. * Sender Deails: This drop-down menu will be populaed on your sysem by Sison and is based on he people in your company responsible for sending ONIX messages. Choose he relevan name. * Desinaion Type: You can send ONIX messages direc o FTP sies or over . * Hos: This is where you pu he FTP sie URL. * User Name: This is provided by he recipien of your messages. * Password: This is provided by he recipien of your messages. Pah: This relaes o specific folders wihin a recipien s FTP sie. Nielsen, for insance, has a folder for Images and a folder for Daa. Noify (s): If here are recipiens who need o be informed when a feed is uploaded o heir FTP sie, add heir deails here and an will go ou as a maer of course. Encoding: The defaul is UTF 8. This is generic coding and can ake on any characer se. The recipiens of your ONIX messages will ell you wha hey prefer. Tag Forma: Recipiens will ell you wheher hey prefer Shor or Long. Unicode Acceped: This will auomaically be icked; leave as is. Clear Las Timesamp: This is he dae/ime when a feed was las sen and ensures subsequen feeds include only new iles or iles ha have had changes made o heir records. By icking his opion you ell your sysem o send a full ile file on nex send. Send Updaes: Esablish how ofen your sysem generaes and sends feeds ou. The Once opion is used for es files o esablish your ONIX compaibiliy. Afer a feed goes ou once, he sysem will updae his field o Off. 32 Generae ONIX Page 32 Your Tile Manager sysem is se up o generae ONIX messages auomaically on a schedule, and o send hem ou o he recipiens esablished in he ONIX Desinaions ab as described above. You can, however, generae separae ONIX messages yourself if he need ever arises. To do so: Curren Desinaion: This field is pulling in informaion abou encoding and ag seing, in oher words iems Tag Forma and Unicode Acceped, as described above. If Nielsen Book Daa, for insance, prefers o have UTF 8 and Shor ags, hen he ONIX message generaed by esablishing Nielsen as your Curren Desinaion in his screen will be in UTF 8 and will have shor ags. Show: There are hree opions here o esablish which records you wan in your ONIX message: All Records: By clicking on his you will send a full ile feed. Changes Since Las Send: When you click on his opion, he number under he Book Coun field will change o reflec a smaller se of iles raher han he complee se of iles on your sysem. Selec Tiles: When you click on his opion, your lis of acive iles will come up. You can hen choose he relevan books manually. You can see he Book Coun a he op of he page increasing and decreasing as you ick and unick he iles. Send ONIX: Once you are saisfied wih he ype of feed you are generaing, click on Send Onix and he sysem will promp you o save your ONIX message somewhere on your compuer. Remember, his ONIX message will no go ou direcly o any of your recipiens; his is a way for you o generae a message ha you can hen send ou yourself a a laer dae.
