The Scope of Services, Attachment B has been changed to the attached document. To assure that all Proposers have received each addendum issued, Proposers are required to acknowledge receipt of Addenda by completing the Proposer s Information Form (Attachment A). Failure to acknowledge receipt of Addenda may be considered as an irregularity in the proposal. Reminder - There is no question and answer period for this RFP. 3 Introduction Background information about project Background The City of Palo Alto Information Technology Department (CPAIT) will be implementing a Disaster Recovery and Business Continuity as a strategic initiative. This will also provide a response to an audit report provided by Macias Gini & O'Connell LLP (MGO) Description The City of Palo Alto will hire a consultant to analyze our existing Information Technology environment and provide recommendations on a plan and provide types of solutions for the mission critical Information Technology (IT) services; including infrastructure, applications, data, and services integrated with the IT services, for the purpose of providing real time or very near real time restoration and availability for use of these assets and services, in the event of any failure or catastrophic event, to ensure business continuity. CPAIT Environment CPAIT provides several mission critical services to the City of Palo Alto internal business processes, and employees, and data provisioning for outside sources. These services are provided by core CPAIT infrastructure environments which include independent and virtualized servers participating in an Active Directory Security Domain. The CPAIT servers and domain are connected using several networking components including, routers, switches and firewalls. The Active Directory domain also provides internet connectivity and logon security using configured Network Services on communications servers. The CPAIT environment serves approximately 1,200 employees and provides additional services to the community such as online registrations for City recreation programs and ability to pay City utility bills. CPAIT has approximately 120 servers in a combination of stand-alone and virtual configurations. There is approximately 111 terabytes of total disk space including server and disk arrays with approximately 43 terabytes containing data. Additionally, CPAIT hosts approximately 200 applications. Many of these applications are simply stored on servers with others participating in client server architecture or providing Enterprise services such as Exchange and SAP services. Page 2

5 Project Scope Logical and Organizational The scope of this project includes the following seven (7) business critical IT Services, including all the integrated applications, software, and hardware and network infrastructure: 1. GIS 2. Internet Services 3. Network Services 4. Services 5. File Services 6. VoIP Telephone 7. SAP with all the modules Deliverables 1. A report that is a set of recommendation for DRBCP that includes but is not limited to cloud solutions. 2. A list of no less than 5 and up to 10 vendors who could best provide these services. 3. A recommendation for the complete lifecycle for DR-BCP of all the seven IT services. 4. A Disaster Preparedness and Business Continuity Recommendation that includes: o Standards Compliance o Regulatory Compliance o Preparedness and Recovery options o Project plan Page 4
