1 Information Technology Department Exchange Migration Please note: accessing your mailbox during its migration could result in irreparable damage to your . Please read the instructions in this document. As part of the Judson University upgrade project, Information Technology will be migrating all employee mailboxes (including adjuncts) from Judson s current Exchange 2003 to the new Exchange 2010 servers. Mailboxes will be scheduled for migration throughout the end of March and into late April. Nightly migrations will run during the week and on weekends beginning at 10 PM and will be completed by 5 AM. You will be notified by IT prior to your mailbox s migration. Once your mailbox move has started, the average time per mailbox is about 45 minutes. It is imperative that you not access your during its scheduled migration. Doing so may cause irreparable damage to your mailbox including the possible loss of your s. During the migration do not access your Judson using any of the following: o o o o o Outlook on your PC or Mac Internet browser Smartphone ipad, Android, or other tablet Any other device that accesses your Desktop shortcuts for and calendars will not work. They will need to be recreated. Mailbox signatures may not be preserved across the move. Post-Migration Instructions Please follow the instructions below to prepare using the upgraded system provided by Exchange Server Before proceeding make sure you are connected to the internet, but NOT connected to the JudsonPublic wireless network, as these instructions will not work on that network. Microsoft Outlook (Windows) 1. For the evening that your mailbox is scheduled to be migrated, please close Microsoft Outlook. 2. When you return the next morning, open Outlook and you should see no error messages or any dialog boxes within Outlook. Outlook will automatically find your new Exchange 2010 mailbox. 3. If you forgot to close Outlook prior to the migration, simply close it (ignore any error messages) and re-open it. Outlook will now find your new Exchange 2010 mailbox.

2 Judson University IT Department Exchange Migration P a g e 2 Apple Mail 1. Click Mail on the menu bar and then click Preferences 2. In the window that opens, click Accounts from the top menu. Make sure your Judson account is highlighted in the left pane and click the minus ( - ) button to delete your old account. Click remove or delete account if prompted. 3. Once the account is deleted, click Mail on the menu bar and then click Quit Mail 4. Now you must set up your Judson in Apple Mail. There are two different sets of instructions depending on whether you had other accounts set up in Apple Mail or did not. If you did

3 Judson University IT Department Exchange Migration P a g e 3 not have any other accounts in Apple Mail (Gmail, icloud, AOL, etc.) continue to step 5. If you did have other accounts in Apple Mail, skip to step Open Apple Mail. You will be prompted with a setup window like this: 6. Enter your first and last name, your full Judson address, and your password. Click Continue. 7. After verifying your username and password your account should auto-configure and open a verification window.

4 Judson University IT Department Exchange Migration P a g e 4 8. Click Create and you re done! 9. Open Apple Mail. Click Mail on the menu bar and then click Preferences 10. In the window that opens, click Accounts from the top menu. Click the plus ( + ) button to create a new account. 11. An Add Account window will open. Enter your first and last name, your full Judson address, and your password. Click Continue.

6 Judson University IT Department Exchange Migration P a g e 6 Microsoft Outlook 2011 (for Mac) 1. Prior to the upgrade, Outlook 2011 for Mac would not work with Judson s . After your migration you will be able to take advantage of Outlook. Just launch Outlook 2011 and follow the prompts as it auto-discovers Judson s new Exchange system

7 Judson University IT Department Exchange Migration P a g e 7 ios device mailboxes (iphone, ipad, ipod Touch, etc.) Please note: ipad screenshots are shown, but these instructions will work with any ios device. 1. If your Judson is already setup on your ios device continue with step 2. If you are adding a new Judson account, skip to step Open Settings on your ios device and select Mail, Contacts, and Calendars. Select your Judson account, which may be called Exchange. 3. Select Account (with your address listed next to it). 4. Change the information on your device to match the following: Your full Judson address. Server: webmail.judsonu.edu

Domain: jc-d1 Username: The first part of your address. o i.e. cnorris or chuck.norris Password: Your Judson password. Description: What you want to name the account. o i.e. Judson , etc. 5. Press Save in the upper right-hand corner. You are done! (Do not continue with steps 6-9 but please read the Additional Information section after step 9.) 6. Open Settings on your ios device and select Mail, Contacts, and Calendars. Select Add Account " 7. In the Add Account menu, select Microsoft Exchange. 8. Enter the following information: Your full Judson address. Server: webmail.judsonu.edu o This may not show up initially, but you will need to enter it. Domain: jc-d1 Username: The first part of your address.

Press Save in the upper right-hand corner. You are done! Additional information: The domain field is no longer optional for Judson . You will need to enter this information. Be sure that Use SSL is turned ON Be sure that S/MIME is turned OFF.

10 Judson University IT Department Exchange Migration P a g e 10 Android Devices Please note: These instructions apply to Android version v4.0.4, also called Ice Cream Sandwich. If your Android version is different, then the screenshots may vary. 1. Open Settings on your device. 2. Select Accounts & sync. 3. Select Add Account.

11 Judson University IT Department Exchange Migration P a g e Select Corporate. 5. Type in your full Judson address and password. Click Next. 6. Your username and password should auto-fill. Add jc-d1\ in front of your username. For the server, make sure it says webmail.judsonu.edu in the box. Click Done.

12 Judson University IT Department Exchange Migration P a g e 12 Outlook Web Access (OWA) Outlook Web Access (OWA) is the browser interface for your . The old system is incompatible will all browsers except Microsoft s Internet Explorer. OWA in the new Exchange 2010 is fully compatible with Chrome, Fire Fox, Safari, Internet Explorer, and many others. To access OWA directly, use the following address: Any shortcuts or bookmarks you created for Judson s old OWA will need to be changed to the new OWA address. Here is the old Exchange 2003 OWA login page: After your mailbox is migrated, the new Exchange 2010 OWA login page will look like this: Due to increased security measures, you now need to precede your ID with the Judson domain, which is jc-d1\ Recommended (but not required): With the Judson computer allocated to you, click the button for This is a private computer before logging in. We also recommend doing this when using your personal computer.

13 Judson University IT Department Exchange Migration P a g e 13 Once you log into the new OWA, you will see your , organized like this: Exchange 2010 OWA is a very significant improvement over Exchange 2003 OWA. The new OWA looks and acts very similar to Outlook on your PC or Mac.
