1 Understanding How Video Impacts Employee Communications in the Enterprise Executive Summary Enterprise Video Communications is the process by which rich media is created, managed over time, published and distributed to constituents both internally and externally, and reported on for the purposes of communication and knowledge advancement. Key attributes are: security, scalability, reliability, and extensibility - while leveraging existing & future technical infrastructure. A fully realized Enterprise Video platform solution deploys the power of streaming video to combine the video technologies found in collaboration tools, social media tools, video teleconferencing, mobile technologies and webcasting into an environment where the video assets and related rich media are centrally managed through their life cycle - live, re-broadcast, on demand, archived. The benefits of video includes costs savings around reduced travel costs, increased productivity, reduced time to knowledge, and improved morale, compliance and many other attributes that ultimately provide higher revenue. The selection of an Enterprise Video solution is a strategic decision. EXAMPLE USE CASES The CEO delivers the employee all-hands meeting with live streaming and Q&A for time zone A. Then, the same video presentation is re-broadcasted automatically for other time zones with executive team members monitoring the live Q&A. The most successful sales rep video annotates and uploads his proven star presentation slides to share best practices with the rest of the team. The CFO brainstorms over the holiday about a new revenue model. Using the webcam on his laptop, he records the before and after of a spreadsheet model and shares his ideas with stakeholders to be ready to discuss upon his return. A corporate trainer uploads new course materials each month to the central training portal where all employees receive customized access to continuing education based on their job level and department. A customer service rep uses video to more quickly illustrate a specific problem and suggest a resolution. The VP of Sales is traveling but wants to send a congratulations message to his team. He records a video using the camera on his ipad and easily uploads the message to the team portal and triggers a notification to team members. 1
2 Elements of an Enterprise Video Solution Create/Capture Video content and any other associated media (reports, graphs, slides) enter into the Enterprise Video solution work flow in this first step. Content may be new or brought in from existing sources. Some key capabilities of an Enterprise Video solution are the ability to accept multiple video formats (Windows Media, Flash, h.264) from a variety of sources (webcams, VGA capture, HD cameras, various encoders, video teleconferencing systems, collaboration tools, smartphones and tablets) and to handle live broadcasting of the content and/or its storage for later broadcast or for use as video on demand. Employee Generated Content (EGC) Upload As organizations seek to increase the use of video, more and more are including social video features that facilitate the uploading of content to share with colleagues. Content is controlled via automatic transcoding to approved formats and bit rates, and sent through an approval workflow prior to final publishing. In today s video rich world, the creation of video is being democratized to all employees and is no longer just a studio based activity. Most employees are now accustomed to using their smartphone to capture and upload video in their personal lives. This increased familiarity with video is harnessed through social video initiatives for the benefit of overall corporate communications. Manage Video has value over time. The centralized control and management of video assets and their related media within the context of enterprise IT standards and practices is a critical aspect of any broad video strategy. It includes a repository that separates the storage from the meta data as well as a flexible, roles based, administration. The life cycle of video is simply managed by configuring the platform to interact with existing infrastructure such as LDAP/AD, CDNs, streaming servers in existence within the enterprise. Publish Publishing is a critical supporting area. Publishing refers to the process where video content is accessed from various web portals or applications. In the corporate context, this means having the Enterprise Video solution capable of providing integration to and syndication (RSS) feeds while also having a way to place content on either its own portal (web page) or integrate with the enterprise s existing employee portal, such as one based on Microsoft SharePoint or IBM WebSphere or any JSR286 compatible portal. Distribute Networks are the highway for delivery. Either internal or external. Typically, the cost models are explored and in many instances a combination methodology is used to deliver video to targeted constituents. Distribution controls how the video content actually reaches the recipient via the intranet or internet. Stream splitting, hierarchical delivery and advancements in providing more network intelligence into the solution bottlenecks and negative network impacts can be eliminated. An enterprise video solution should be able to leverage both public and behind the firewall CDNs simultaneously, and in some cases provide a hybrid approach for customers who have multiple CDNs options in various locations. Experience A viewer s experience still drives adoption. This includes capabilities such as ratings and reviews, clipping, sharing, and promoting content of interest. For live communications this also includes audience polling capability, Q&A, and incorporating a conversation feed during a live broadcast. Report Accurate reporting on viewer statistics is critical. Reporting provides critical feedback to the creators of the video message as to whether the content is reaching its intended target audience. Drill down reports show specific user views, such as which programs were watched to completion vs. those that were only watched for a few seconds or minutes. Additional reports provide IT with needed statistics for video distribution by edge location to ensure successful network transmission. 4 What does this mean for the Enterprise? Over the past decade, organizations have been adopting video at a rapid pace. The number of use cases continues to grow and the amount of video has exploded. Certainly, there are no two enterprise customers that have exactly the same infrastructure, use cases or vision for video. Moreover, the ecosystem surrounding video has and will continue to evolve. There is a not a single vendor that controls all the moving parts within the industry. A proven, dynamic vendor that has a track record of not only supporting this change, but embracing it, is a necessity. Organizations considering Enterprise Video technology need to look for the following attributes in solutions they are evaluating: Scalability The axiom of preparing for success is an important aspect in that a system should not need to be replaced since it cannot support a growing number of constituents. Security Both authentication of users and dynamic authorization are functionality important to secure certain content for a multitude of reasons including confidentiality, compliance and streamlining of search and visualization of content. Completeness The breadth of the solution is evidence of choice and the ability to incorporate many use cases into the video strategy. No Rip and Replace The solution must integrate with existing IT infrastructure. This means integration with enterprise LDAP/Active Directory, Single Sign On, DRM, and portal technologies and existing network (Intranet and Internet) content distribution capabilities. Future Proof The solution must grow with future investments in LAN and WAN hardware, video teleconferencing systems, and video use cases. Extensible The solution must allow the creation of new applications and integration through a well-documented, versioned web services interface. Flexible Deployment The solution must be fully productized and deployable in a manner that is compatible with current and future enterprise standards and preferences including Cloud, appliances, virtual appliances, and software on enterprise hardware. Furthermore, the architectural flexibility must allow for many variables of DMZ, standard three tier web based deployment models. 4

Functionality of both portal capabilities and also the ability to develop mobile applications that take advantage of the all the considerations mentioned above are extremely valuable Mobility Bring Your Own Device (BYOD) has become the defacto approach to mobility. The challenges with video are only exasperated with mobile devices. A true Enterprise Video solution must address the various aspects of mobility including video format, transcoding, adaptive streaming, mobile application, HTLM5 standards, device management to name just a few. Partners The reality is the video ecosystem is vast. An open platform along with a recognition that many technology vendors play a significant role in any solution.
