4 General Introduction CPRT (Customer Provisioning Reporting tool) is a tool that helps to analyze AT&T UC Voice system usage. The CPRT receives SI (System inventory) files from the Cisco systems and generates a list of pre-defined reports. The system is a scalable, and redundant web based application for reporting generation. View & Screen The recommended resolution for your screen is 1280 x 768 pixels and higher. Clicking on the AT&T logo at the top of the screen causes the home page to display. Use the back arrow on the browser to open pages you had previously accessed. Latest Data Table (Landing Page) This table displays on the home page. It provides a broad overview by listing the total number of Sites, End Users, Devices, and Lines. It also lists the number of changes reported in the latest data file feeding this system. The data files contain data generated within a 24 hour period of time. Main page screen System Time & Clock The times shown in the reports are converted to your local time (for example, eastern standard time). 4

5 Facts Acronyms CPRT Customer Provisioning Reporting Tool CSV Comma Separated Values (an Excel file format) EM Enterprise Messaging IP Internet Protocol MAC Media Access Control (address of the telephone) MACD Moves, Adds, Changes, Deletes PDF Portable Document Format (the file format of Acrobat documents) Definitions Device A telephone or add-on device (such as an IP communicator). End User The person assigned to the phone(s). None, one, or multiple Devices can be registered to an End User. IP Communicator Softphone that operates on a PC or smart Device. Line A telephone Line supports a specific telephone number and is assigned to a Line button on one or more phones. Site This can be a physical location or a group of locations (for example, a building or a group of offices in a city). 5

6 Subscription A Subscription is required for a customer's End User to use AT&T UC Services. There are different Subscription types, which allows each customer to select the Subscription that suits the needs of their various End Users. Unique Add A Unique Add is an add or deletion to the system that has uncommon characteristics, such a single user being added on more than one occasion. Notes Reports are generated in a 24-hour time frame. The Device report lists all the Devices that are registered in the AT&T UC Voice system. The End User report and End User Device report are not the same. Some End Users may have multiple Devices and other End Users may have no Device. Reports can be exported in Excel or PDF formats. 6

7 Reports Features Hyperlinks Clicking on an active link allows you to see more data about the selected item. Active links can be found for End Users, Devices, Specific Sites, etc. For example, in the Site report illustrated below, "Site 1" is selected. This causes the End User report to open, which lists all End Users in Site 1. Hyperlinks in Each Report Site Report Selecting a hyperlink in the Site Name column opens the End User report. Selecting a hyperlink in the End Users column opens the End User report Site Subscription Summary Report Selecting a hyperlink in the Site Name column opens the End User report. Customer Unique Adds Report Selecting a hyperlink in the Customer Name column opens the Site report. Selecting a hyperlink in the Unique Adds column opens the End User MACD report. Selecting a hyperlink in the Unique Deletes column opens the End User MACD report. Site Unique Adds Report 7

End User Report Selecting a hyperlink in the Devices column opens the End User Device report. Selecting a hyperlink in the Lines column opens the Device Line report. End User Device Report Selecting a hyperlink in the Number of Lines column opens the Device Line report. Filter Data (Search) The following explains how the date filter functions: 1. If no data was imported into the system on the selected day, the filter automatically uses the nearest day (before the selected day) that has imported data. For example, if you selected April 18th and the nearest day with imported data is April 16th, then the date filter presents the data from April 16th in the report. Note that the report header contains the date of the data (in the above example it would be April 16th). 2. If there is no imported data for the selected day or prior to the selected day, no results are presented and a message stating this displays. 3. If you perform a search for a day in the future, the system presents the last day data was imported. 4. To perform a search (for a Site name, Device type, etc.), enter the text in the appropriate field then select the Search button. o The search engine attempts to match the text you entered against the text that begins the expressions in the data base. For example, to look up "chocolate, you could enter "choco" or "cho. o If you are unsure how the beginning of an expression is spelled, you can use the wildcard symbol (%). For example, to search for "chocolate, you could enter "%ate. o Searches are not case sensitive. Adjustable Columns It is possible to modify the column widths. The total width of the table is fixed; before expanding one column you must minimize another one. The system remembers any 8

9 changes made during a session. However, when you logout of CPRT, the column widths return to their default settings. Organization of Data The data in a report is organized according to the first column in the report, from the smallest to the largest alphanumeric sequence. For example, in the Site Device report, the data is arranged in the Device Name column. To organize the data under a different heading, click on the desired heading (for example, Site). The data will be rearranged, so that the information under the Site heading is ordered from the smallest to the largest alphanumeric sequence. Also, an arrow appears in the heading. If you prefer to see the information organized from the largest to the smallest sequence, click on the heading again. Moving Between Pages At the bottom of a report there are numbers representing the current page number and the total number of pages. When there are two or more pages, you can navigate through them using the arrows at the bottom of the report. The double arrows take you to the first or last page. Exporting To CSV or PDF Reports can be exported as Excel or PDF files. Large reports (such as the End User report, End User Device report, and Device Line report) may require longer processing times. 9

10 Reports Details Customer Unique Adds Report This report presents the number of Unique Adds and Deletes performed. You can retrieve this information from a range of dates. There are times when you might add, delete, then re-add an End User, Device, or Line. This may have been done because of human error or for another reason. In the End User MACD report, Device MACD report, and Line MACD report, the example above would be shown as three actions: two adds and one delete. In the Customer Unique Adds report, the example above would be shown as one Unique Add. It sees the first add and the delete as complimentary actions that cancel each other, so these actions are not counted. Site Report This report presents general information about a Site, such as: time zone, address, city, etc. It also contains the total number of End Users and total number of Devices (per Site). 11 End User Device Report This report presents general information about each End User's Device(s), such as: Site name, End User , MAC address, etc. It also contains the number of Lines, which is calculated per Device. Site Device Report This report presents general information about each Device not associated with an End User. It also contains the number of Lines, which is calculated per Device. Device Line Report This report presents general information about each Device Line, such as: the End User's username, Device name, external phone number, etc. Subscription Summary Report This report presents information about the Subscriptions for the customer. For each Subscription it provides: the total number of Devices, End Users, and Lines. Site Subscription Summary Report This report presents information about the Subscriptions for each Site. For each Subscription it provides: the total number of Devices, End Users, and Lines. Site Devices Summary Report This report lists the total number of Devices and Lines that are not associated with End Users. For each Site, it provides the total number of Devices and Lines. End User MACD Report This report lists all actions performed on each End User. These actions include MACD (Moves, Adds, Changes, Deletes) as well as associate and disassociate. It also presents general information, such as: Site name, , time stamp of the action, etc. Device MACD Report This report lists all actions performed on each Device. These actions include MACD (Moves, Adds, Changes, Deletes) as well as associate and disassociate. It also presents general information, such as: Site name, MAC address, time stamp of the action, etc. Line MACD Report This report lists all actions performed on each Line. These actions include MACD (Moves, Adds, Changes, Deletes) as well as associate and disassociate. It also presents general information, such as: internal phone number and time stamp of the action. 11

12 Admin Customer Report This report presents general information about each customer, such as: address, city, postal code, etc. It also contains the total number of end users and the total number of Devices (per customer). Administrators can choose to see the data imported to the CPRT system on specific dates. This report is only available to administrators. Last 30 Days Import Errors This table displays on the home page. It should normally be empty. When it does list errors, verify that the Service Inventory (SI) files have been generated. SI files contain the data to be imported into the CPRT. Only administrators can view this table. The data from Asia region arrives in a day late consistently. It is indicated in the relevant reports, but not in the Last 30 Days Import Errors table. Users The Users page allows the admin and UC Voice Support users to view the Users list, add users, edit users, and delete users. Add a user On the Users page, click on the Create Users button at the bottom of the page. The User Details page opens. To add a user, enter information into the fields, then click on the Save button. Edit a user On the Users page, click on the user's address. The User Details page opens, showing information about that user. The administrator can change the user's timezone. Delete a user On the Users page, click on the user's address. The User Details page opens, showing information about that user. Use the Delete button at the bottom of the page to delete the user. There are 3 kinds of users Regular Users - these users are able to see their own data only. They have no access to Customer report Administrators - these users are able to see data of all customers in the system. Reports can be ordered by customers. UC Voice Support - these users are able to edit / add / edit users. They have no access to any of the reports. 12
