4 This document describes enhancements to PDMWorks Enterprise in the following areas: Bill of Materials (BOM) Replication ERP Import and Export Bill of Materials (BOM) You can perform the following tasks with the new PDMWorks Enterprise BOM features: Save named BOMs from computed BOMs as separate editable BOM documents. You can then check in or check out the named BOMs. See Computed BOMs on page 2 and Named BOMs on page 3. Control access to BOMs. See Authorization for BOM Feature Access on page 4. Define multiple views of a BOM to display filtered information in different formats. See BOM View Filters and Options on page 5. Compare BOM documents and export them. See Comparing BOMs on page 7. You can access all features described in this document from PDMWorks Enterprise, unless it is expressly noted that you can access a new feature from the PDMWorks Enterprise Administration tool. Bill of Materials View and File View The standard File view lists components. The Bill of Materials view lists the BOMs for file folders in your vault. You can toggle between these two types of views. What s New for PDMWorks Enterprise 1

5 To display the Bill of Materials view: Select Views, Bill of Materials, or View, Bill of Materials. To display the File view: Select Views, Details, or View, Details. To select a BOM from the File view: 1 Select a component or assembly from the File view. 2 Select the Bill of Materials tab and select a BOM from the BOM list. To select a BOM from the Bill of Materials view: Select a BOM from the list of BOMs in the Bill of Materials view. Named BOMs and Computed BOMs PDMWorks Enterprise differentiates between two types of BOMs from the Bill of Materials tab: Computed BOMs Named BOMs Computed BOMs Computed BOMs are BOMs that can be recalculated. Computed BOMs are recalculated each time you view them. The values in computed BOM columns are derived from the data cards of all components referenced by the computed BOM. You cannot add items to a computed BOM. Also, you cannot check in or check out computed BOMs, and you cannot use them in a workflow. However, you can check out selected items that are listed in a computed BOM, and modify data values for these items. The computed BOM is updated when you check in the assembly document. If you edit properties or quantities in a computed BOM, the BOM is updated when you save it. User access rights assigned by your administrator determine whether you can view a computed BOM. To edit a computed BOM and save the changes: 1 Check out the assembly used to create the BOM. 2 Select the computed BOM for the assembly, and click Save BOM. To display computed BOMs in the File View for a Bill of Materials: Select the computed BOM from the BOM list, and check Activated. What s New for PDMWorks Enterprise 2

6 Named BOMs You can save computed BOMs as named BOMs. When you do, you can check them in and check them out, modify values, and add items to the BOM. This type of BOM is treated as a stand-alone document and is not recalculated each time you view it. You can use named BOMs to save a specific configuration or layout for an assembly, or to save a BOM in a particular format. You can use named BOMs in a workflow. To edit a named BOM and save the changes: Select a named BOM and click Save BOM. To save a computed BOM as a named BOM: 1 Select a computed BOM. 2 Click Save as BOM. 3 Enter the BOM name in the field provided. 4 Click OK. To edit a named BOM and save it as another named BOM: 1 Select a named BOM and edit the BOM. 2 Click Save as BOM. 3 Enter the BOM name in the field provided. 4 Click OK. Revision Management for Named BOMs When you save a BOM as a named BOM, it is a working document. Each time you check in a BOM after editing, you create a new version of the BOM. For example, you can add components to a BOM. PDMWorks Enterprise maintains the version and revision history for each BOM. To display the revision history for a named BOM: From the Bill of Materials view, right-click a named BOM document in the file explorer and select History. To check in or check out a named BOM: From the Bill of Materials view, right-click a named BOM document in the file explorer and select Check In (or Check Out). What s New for PDMWorks Enterprise 3

7 Drag and Drop Reordering for BOM Components You can reorder a list of components using drag and drop: 1 Select one or more components in a named BOM. 2 Drag them to another location in the list. Authorization for BOM Feature Access Administrators can set access rights for different users or groups for different types of BOMs or BOM layouts from the PDMWorks Enterprise Administration tool. Administrators can grant or limit access to: The Reference Count (quantity) field Different computed BOM types To control user access to features, including BOM features: 1 After creating users or groups, double-click a user or group. 2 Check or clear user permissions from each of the tabs in the User (Group) Properties dialog box as required. From the Assigned Folder Permissions tab, you can specify folder-based permissions, including those for viewing and activating computed BOMs. Computed BOM Types and Access Control Administrators can create computed BOMs of different types for different groups of users listed in the PDMWorks Enterprise Administration tool. For example, administrators can create: BOMs that display only a subset of columns, such as those required by the purchasing group in your enterprise BOMs that display all columns, for example, for use by engineers To create a computed BOM type and specify its access: 1 After setting up PDMWorks Enterprise users or groups, right-click Bill of Materials and select New Bill of Materials in the PDMWorks Enterprise Administration tool. 2 Type a name for the computed BOM in the Bill of materials name field. 3 For each BOM column you require, click New Column. 4 Under Selected column: a) Select a variable to use for the BOM computation from the Variable list. 8 b) Edit the BOM column name in the Name field. c) Modify the alignment and default width to your requirements. 5 Select a configuration option for the selected column: By default, the variable is computed from all configurations. You can also compute the variable from selected configurations, referenced configurations, active configurations, custom properties, or for specific values. If you select Look for variable in a given list of configurations, click Add Configuration to add a configuration to the list. Re-order or remove listed configurations as necessary: Remove Configuration. Move configuration downwards. Move configuration upwards. 6 For each user or group listed, assign access rights: a) Select a user or group, and check appropriate access rights under Permissions. b) Repeat for each user. 7 Click OK. BOM View Filters and Options You can use the following display options for computed BOMs: You can display different views of the list view for a computed BOM: Indented. The hierarchical indented view is similar to a tree view. Parts and sub-assemblies are indented from their parent assemblies. Parts-only. The parts-only view displays only parts in a flat view with accumulated quantities. Top-level. The top-level view displays only top level entries in the BOM list hierarchy for computed BOMs. You can filter BOMs to show or hide selected top node document files. You can toggle the display for the tree view of a computed BOM for an assembly. To select a view option for computed BOMs: Select one of the following: Indented Parts Only Top Level Only What s New for PDMWorks Enterprise 5

9 To view a selected assembly or drawing from the File List in a computed BOM: 1 Select the SolidWorks drawing or assembly from the File view list. 2 From the Bill of Materials tab, check Show Selected. To hide top level assembly or drawing documents in a computed BOM: 1 Select the SolidWorks drawing or assembly from the File view list. 2 From the Bill of Materials tab, clear Show Selected. To toggle the tree view display for a BOM: Click Show Tree or Hide Tree. BOM Search You can search for items in a BOM. To search for words in a BOM: 1 Click Search. 2 Type search words in the Search for field. 3 Select Find next or Find previous. 4 Click Search. Quantities and Configurations in BOMs If you create multiple configurations for an assembly, you can select a configuration from the Configuration list. You can re-use the same BOM for multiple configurations by recomputing a saved BOM with different configurations. Your administrator can set up a computed BOM so that some variables in the BOM reference specific configurations. When you include part and material quantities (Reference Count) in a BOM, they are linked to configurations. Consequently, you can have different quantities for different configurations. To recompute a saved BOM for multiple configurations: 1 Select the Bill of Materials tab in the BOM preview and click a document in the File View to open a BOM. 2 Select a configuration from the Configuration list. 3 Optionally save the BOM under a new name. 10 Referenced Properties in BOMs PDMWorks Enterprise stores references to file properties in the database, including the following properties: Reference Count (computed quantities), which can be overwritten in computed BOMs when the selected document is checked out Referenced properties, such as values of checked out documents Comparing BOMs You can compare two named BOMs, or a named BOM to a computed BOM. After you compare two BOMs, you can export the BOM comparison data to a.csv file. When you compare two BOMs: The union of all entries from both BOMs appears in the BOM comparison. Data for the original BOM appears first. Changed data in an entry that is common to both BOMs appears as a single color-coded BOM entry in the BOM comparison. Changes in the new BOM are indicated in square brackets. BOM entries derived only from the original BOM are color-coded. BOM entries derived only from the new BOM are color-coded and the data appears in square brackets. To compare two BOMs: 1 Click Compare when viewing a BOM. 2 Select the BOM from the BOM list. 3 Select the version from the Version list. 4 Select the configuration from the Configuration list. 5 Click OK. To revert from a BOM comparison to the original BOM: Click Exit Compare when viewing a BOM comparison. Other BOM Features The following are new features: Exporting a BOM to Excel Toggling from the As-Built Version of a Computed BOM to the Latest Version What s New for PDMWorks Enterprise 7

11 Exporting a BOM to Excel You can export a BOM directly to Excel by clicking Open as CSV File. Toggling from the As-Built Version of a Computed BOM to the Latest Version You can view different versions of a computed BOM: You can view the BOM for the assembly as it was built originally. You can view the BOM for the assembly from its latest version. To toggle from the as-built version of a computed BOM to the latest version: Select As Built to display the as-built version. Clear As Built to display the latest version. What s New for PDMWorks Enterprise 8

12 Replication PDMWorks Enterprise 2008 includes improvements to replication. Progress and Selection Options for Replication Administrators can schedule PDMWorks Enterprise replication to update documents in the local file vault at regular fixed intervals. However, if you require access to a document that is not currently updated on the local server, an ondemand replication of the document takes place automatically. On-demand replication occurs when you select one or more individual document files that are not currently available in the local file vault. With PDMWorks Enterprise 2008, you can: Test the connection between servers. Replicate the latest version, while not replicating other versions. Replicate only files that have revisions. Include children of replicated files. Replicate files in specified states. Stop replication after a specified period of time. What s New for PDMWorks Enterprise 9

13 ERP Import and Export PDMWorks Enterprise 2008 includes the ability to import and export PDMWorks Enterprise data to an ERP system. Import and Export ERP Data Administrators can perform the following import/export tasks in the PDMWorks Enterprise Administration tool: Create sets of variable aliases to map PDMWorks Enterprise BOM variables to ERP data. Import data from an ERP application into SolidWorks by creating an import rule. Export data from SolidWorks to an ERP application by creating an export rule. Specify import/export options, including the default folder for importing spooled ERP list data. When users export data from PDMWorks Enterprise, the data is exported to an XML file. Users of the ERP system can import the PDMWorks Enterprise export data contained in the XML file into the ERP system. Administrators create import and export rules to specify directories, file names, and other data that users can re-use for import and export. Once the administrator defines export rules, they can apply them to workflow transitions. To create a set of alias names to identify BOM variables as ERP variables for import or export: 1 Expand Data Import/Export, right-click Variable Alias Sets, and select New Alias Set. 2 For each variable in the set: a) Click under the Variable column and select a variable from the list that appears. b) Type an alias for the variable name in the Alias column. To create an export rule: 1 Expand Data Import/Export, right-click Export rules, and select New Export Rule. 2 Fill in the data as required and click OK. You can define the following in an export rule: Rule name The name of the BOM to export What s New for PDMWorks Enterprise 10

14 A card variable used to identify the exported file BOM columns and other features to export A set of alias names to map ERP variable names from BOM variables in the exported ERP data file Configurations to be included with the exported data File references to be included with the exported data A folder in which to place ERP data in XML format Exported ERP data file name To see the format of the exported XML, export ERP data, and open the exported file. You can also view sample XML data export files provided on the product CD under Support\ERP. To create an import rule: 1 Expand Data Import/Export, right-click Import rules, and select New Import Rule. 2 Fill in the data as required. You can define the following in an import rule: Rule name A folder in which to find ERP data in XML format A set of alias names to map ERP variable names to BOM variables from the imported ERP data file The XML format required for import is similar to that of the XML file for exported ERP data. You can view sample ERP data import files provided on the product CD under Support\ERP. To assign an export rule to an ERP-based workflow transition action: 1 Create the workflow transition action. 2 Type a description related to ERP export. 3 Choose the transaction Export data to XML from the Type list. 4 Select the export rule from the Select export script to use list. To specify import/export options: 1 Type a unique name for the new data import rule. 2 Type a number in the Frequency to check folder field to specify how often, in minutes, to check for import data. 3 Type or browse to the path for the default import folder for spooled data. 15 4 Select a variable alias set if you require translation of variable names from your ERP system to PDMWorks Enterprise. To specify export options: 1 Type a unique name for the new data export rule. 2 Select a BOM that comprises the data to export. 3 Select an enterprise variable to identify the XML data section in the export file. 4 Select a variable alias set if you require translation of variable names from PDMWorks Enterprise to the ERP system. 5 Select an option for exporting configuration data. 6 Select an option for exporting parent/child relationship data. 7 Type the path or browse to the folder in which to save export data. 8 Type the name of the export file.
