We notify you when an account is placed so you can identify it in your system as an E-COMP account You Send the Data on an Automated Basis: Once the policy is placed, you will electronically send our system the payroll data, every time a payroll has been run We Classify the Employees & Debit the Premium: We properly classify the employees and make sure officers are excluded, if applicable. Our system then calculates workers compensation premium earned and debit the premiums every time a payroll is run no reconciliation or money handling required by your company Minimize Audit Adjustments: Audit process handled internally by E-COMP with little or no additional paperwork from you or the insured. Every worker s comp. policy is subject to an audit however, having a pay-as-you-go policy can help minimize the impact of an audit because premium is calculated on actual payroll and not estimated payroll.
7 How to Submit Business E-COMP Process Submitting You can submit leads to E-COMP : Online at Submit Lead Form For Quote By completing an E-COMP Flyer and returning by or fax to By calling or ing your Program Specialist with client/prospect contact information We need the following information to get started: Company Name FEIN Contact Name Type of business Phone # Process Once your lead is received, you will receive a confirmation Your program Specialist will make initial contact within one business day, normally same day Once all information is received, quotes are provided within 24hrs Quotes are sent to your client/prospect and also to you Follow ups are made to place the account Broker of Record Process Guidelines Payroll to Payroll Broker of Record changes can be submitted to some of our carriers mid-term (Travelers, Guard and Hartford). Other carriers accept Broker of Record changes at renewal. Direct Bill to Payroll Broker of Record changes can be submitted days prior to renewal There is a 3-10 day waiting period To process a Broker of Record change, we need a signed BOR change letter and a copy of the client s current policy declaration page Process Once the BOR is processed, you will receive a confirmation After the waiting period has expired, your program specialist will your client and you a new application and EFT form to sign Once documents are completed and returned, coverage is placed and communicated to you and your operations contact Coverage is placed and communicated to you and your operations contact

11 Glossary Agent of record (AOR) - The agent who has been recognized by the insured or customer as his or her authorized representative for handling the specified insurance transactions. Agent of record letter - A simple letter that a new agent sends to an insurer as formal notice that he or she has been authorized to take over an insurance account from another agent. It permits the insurer to change its records to reflect the change. Audit - Verification of books or accounts to determine their accuracy. Certain policies written on a reporting or adjustable form give the insurer the privilege of auditing the policyholder's records to verify the accuracy of the premiums paid. Broker of record (BOR) - A licensed broker who has been designated by the policyholder to represent that policyholder. Dividend - An amount of money paid to the policyholders of a mutual insurer because of their ownership interest. A stock corporation may also pay a dividend to its policyholders if it writes participating insurance. In either event, the amount is payable on the basis of certain savings in losses or expenses realized by the insurer on that participating class of business. Expense constant - a flat premium charge made on small workers compensation policies based upon the fact that the expense factor on such risks is inadequate to cover the cost of issuing and handling the policy. Modification rating (Mod Rate) - Rating plans that allow for the modification of the stated or base rate by the application of credits or debits. These rate modifications may be available for such factors as loss experience, size, classification peculiarities, multiple location premium dispersion, or other individual risk modification plans. NCCI (National Council on Compensation Insurance) - An association of insurance companies providing workers compensation insurance. Its main functions are rate making, collecting related statistics, and developing rating plans relative to compensation insurance. Operates through administrative bureaus located in many states. Headquarters: New York, NY. Terrorist insurance - Insurance coverages or policies designed to protect an insured against physical damage caused by terrorist acts.
