Progress Reports updated for new school year - All Progress Reports with start dates later than 5/1 were inactivated. Older PRs will still be expected to be completed. New PRs were generated with start dates of 8/11/15. NOTE: We are continuing to address items previously listed as top priority 4. GTID Student school assignment comes from GUIDE be sure you that GTID has been claimed by new school when students transfer within your district THIs is also essential for SLDS access 5. Using Reports Methods of using reports in GO to assist with local supervision

Q & A General Q & A Please speak to us after the meeting for any specific system needs Meeting Notices Removing IEP a purpose 1. Select reschedule button 2. Select Modify Meeting Purpose Micole Talley Paula Gibson Paula Gibson, Micole, and Paula 3. DE-SELECT IEP as a purpose (notice that the reelig purpose is greyed out and cannot be deselected) 4. Message below will be displayed. i. First option will remove/discard the IEP ii. Second option will keep the IEP and create a new IEP meeting notice so that date can be changed if needed.

3 5. Submit the notice so these changes will occur. The new IEP notice should be given to parent if the 2 nd option was selected 6. Once this has been done, the elig can be completed, or the elig meeting date can be changed, or the elig notice can be closed as created in error if appropriate. 7. At this time, this is available only to system admins..share your thoughts on whether this should be available to SCHOOL ADMINS also --- or to Sp Ed Teachers. Remember that we want to DECREASE (not INCREASE) support tickets as we make this change! Assigning a School to a User On the grey bar Select the ADMIN link Type the User s last name and search (you can filter for active, current, or ALL status for the user) You will see the user name and the assigned role of the user. If the user profile or role needs to be edited, select the edit icon on the far left. If the School needs to be edited, select the edit button in the School column. You will notice that school assignments are not needed for System level users (admins or ReadOnly) After selecting the school icon, the screen below will show. Select ALL schools that are appropriate for that user then identify which of those schools is the primary school.

4 Users will appear in the Assign CaseManager list for all schools to which they are assigned. School admins will be able to access students, teachers, dashboard information, and reports for all schools to which they are assigned. Using Reports & Other Information in GO to Assist with Local Supervision 2. Progress Reports - We are working on a report to show overdue PRs for your district. Until this is ready, consider periodically asking for screenshots of PR dashboards to be sure no one has any overdue PRs. Or, a school admin could ask teachers to show their PR dashboards. 3. Student Records - REMEMBER to do a screen print/then paper print of Overrides which are submitted with any changes and all Transfer forms. Save those in a folder for yourself. Later, work with your SIS person to RECOVER all of those dates which are likely to be REJECTED as outside of enrollment in your district or outside of the current school year. 4. CRITICAL report to monitor - In IEP REPORTS - Select Meetings then select Meeting > 10 days overdue. Please work to resolve these quickly. There really should be NONE still open from last year. 5. IEP Report ESY YES and Deferred 6. IEP Report AT Yes and More Information Needed 7. Services Report All teachers should be running a report on services for their students NOW and verifying that the current schedule matches the services in the IEP. Consider asking teachers to sign and send you a report verifying that these match. In this same report look carefully at the description of the time..it should NOT say anything like this: 5 1 hour sessions daily - Math 8. GOALS report be sure that teachers know this is available to help them with Data Collection related to Goals 9. NEW SYSTEMS ask casemanagers to run a report on the primary and secondary disabilities for students on their caseloads and verify that the students have been properly setup. Consider asking teachers to sign and send you a report verifying that these are accurate.

5 Exiting a Student TIP When EXITING a student, do not use an exit date which is prior to a date on any form completed in GO. The student exit date is used to determine the end date for the date range for which you are able to see information in a student file. Example you completed an AR on 4/14/15. The student moves out of your district and you enter an exit date of 4/13/15. When you use the EXITED filter in search and open the old case, you will not be able to see the 4/14/15 AR because you do not have rights to that info due to the exit date. We plan to add a future audit to prevent this error when exiting a student.
