1 ADDENDUM 1 TO REQUEST FOR PROPOSAL #626-DC GRADUATE COLLEGE ONLINE APPLICATION AND CRM SYSTEM University of Nevada, Las Vegas Purchasing Department 4505 Maryland Parkway Las Vegas, Nevada (702) Date of Release: November 18, 2014 Date and Hour of Bid Opening: Tuesday, November 25, 2014 at 3:00pm PST The following questions were raised and are answered below: 1. Our proposal includes a custom solution. The time needed to coordinate to respond to the RFP will make it difficult to respond by November 25th. Would a two week extension be possible? Answer: No, our process is too time sensitive to make a two week extension viable. 2. On section : What type of integration to Salesforce are you expecting? Please explain how SalesForce is currently utilized within the Graduate School and what type of integration you envision (one-way push, bi-directional, etc.). Answer: We need a seamless bi-directional push/pull between all systems. We do not currently have Salesforce implemented. 3. On section : Can you explain the requirements around calculation of student awards and tuition? How would this differ from the calculation processes in PeopleSoft? Answer: We need to have the ability to do financial calculations within queries, communications, and offer/decision letters. This will be in addition to the calculation processes in PeopleSoft. 4. On page 21, 1j: Are you requesting a proposal for just recruitment and the application process at this time or are you looking for a proposal for retention, communications and event management at this time as well? Answer: We will accept submissions for all parts of the GEM funnel, from recruitment through alumni placement.
2 5. On page 24, 6j: Can you explain the forms process flow (e.g, require electronic signature). Answer: We require the processing and tracking of forms that are initiated by multiple users (i.e. students, staff, faculty), that route to multiple users for review and electronic signatures, and that are trackable along the way and finally submitted electronically to the Graduate College. Signatures must be secure. 6. On page 25, 7c: Can you confirm a knowledge base for internal and external users is in scope? If so, can you describe the procedure for loading initial content (e.g, number of articles and format for conversion). Answer: Yes, we would like a knowledge base for both internal and external users; content would be created and loaded by the Grad College and perhaps other units on campus. We would be working in Word and PDF, but are open to other formats as needed. 7. On page 25, 8c: Can you explain the requirements around integration with thesis/dissertation electronic review? Please describe the current system and what pieces will need to be integrated. Answer: We would like to streamline our process. Right now students submit hard copies of their documents to do formatting reviews, and then provide feedback, request changes and approve the final version before student submits the hard copy and uploads the electronic version to ProQuest. It would be our preference to streamline this by moving to electronic submission to the GC and review of documents, and then have an easy step for final document submission to UNLV and ProQuest. Students also will have to run their document through ithenticate and submit the final report; ideally, this would be integrated, too, in some way. 8. How many users do you anticipate using the system in the first year? Please list both administrative users and students as separate totals. Answer: Administrative users will be between ; Students will submit applications for admission, GAs, scholarship/fellowships and we anticipate approximately 3,500 5,000 unique users. 9. On page 21, end of first paragraph: Which UNLV systems already use Salesforce for data analytics? Answer: The office of undergraduate admissions currently uses Salesforce for data analytics. 10. On section 2.4.6: In addition to PeopleSoft, are there currently any additional systems used to manage applicants, prospects, admitted students, enrolled students, and graduates that would need to integrate with the system? Answer: HRMS; Perceptive Software.
3 11. On section 2.7.2: Can you provide an example scenario? What type of offering is being referred to? Answer: Offering refers to the ability to update the metadata related to degree and program offerings. We do not have any specific scenario in mind. 12. On section Can you provide an example scenario? Specifically, define a tickler. Answer: Example: Prospects, Applicants, or Current Students who fall into certain categories (i.e. International Prospect; Applicant to a STEM program; Current Student who is enrolled in our Research Certificate Program; etc.) will receive certain predetermined communications and messages at designated times, with appropriate automatic follow-up depending on their status. Tickler: system should allow for communications to be automatically sent according to a predetermined future date that is determined by business rules. 13. On section D, #4, Applications - O. Can you provide detail on your current application review process? Answer: A student submits an electronic application. The Graduate College completes the initial evaluation. The department logs into the system to review the application, uploaded documents, and the Graduate College evaluation. The department enters their recommendation and all required conditions. The Graduate College reviews the department recommendation and makes a final decision, and publishes a decision letter to the applicant. We plan to streamline and update this process in the new system, as well as integrate GA and financial support offers/info with the admissions offer letter. 14. How many end-users will be in the system? Answer: backend users from the Grad College, graduate programs/departments, and other campus units. 15. Can you provide additional details on the different roles/groups that you anticipate (e.g. Admissions, Recruiting, Graduate Team, etc.)? Answer: There will be various roles to teams within the Graduate College, as well as roles designated for graduate program/department users, as well as possibly other units on campus who we coordinate with (i.e. HR, finance, registrar, etc.). Each role will need different access and permissions. 16. What edition of Salesforce is currently implemented (Professional, Enterprise, Unlimited)? Answer: We have not yet implemented Salesforce, so this decision will be made at the end of the RFP process. 17. What aspects of Salesforce are being utilized today? Answer: None within the Graduate College. 18. Outside of Salesforce and PeopleSoft, what other systems would this solution need to integrate with in the future?
4 Answer: See above, # Are you currently using any marketing/ communication software (e.g. Constant Contact, icontact, Vertical Response, etc.)? 20. Does the university currently use a landing page/ab split testing tool? 21. Does the University currently have a preferred payment authorization provider or system? Answer: We currently use authorize.net. 22. What gaps are you seeing between your processes today and Hobson s Apply Yourself software? Answer: Our processes require dynamic pages, dynamic questions, and dynamic sections. We require single accounts for students. We require software that supports our admissions plus GA plus scholarship/fellowship applications. We require software that is sufficiently robust to meet our needs. We require a portal environment that is dynamic and adaptable. We require a back-end single sign on. We require enough customizable roles and permissions for end users. 23. Are there any other data migration requirements other than migrating from Hobson s ApplyYourself? 24. Does the university currently have an online application process? If so, can you provide an example or link to the application? Answer: Does the University currently utilize a de-duplication tool for leads? Answer: No, but we expect that the new system will do so. 26. How many reports and dashboards are you looking to have implemented initially? Answer: We do not have the exact number but we expect to have numerous reports and dashboards. 27. Do you have sample reports or mockups of desired reports that you can share? Answer: No, we do not have any current mockup to share. 28. Does the university currently use any systems for event management? Answer: We have used EMT Connect, Google Forms, EventBrite. We need a centralized system to manage events, RSVPs, communications, tracking of participation (short and long term), etc.
5 29. Will the University review responses from vendors who conduct the majority of development work offsite? Our team performs most of the development work from our office in Itasca, IL and meets with the client during key phases of the project agreed on by both parties. Answer: Yes. 30. What will the UNLV project team look like? Is there a dedicated technical project manager? Will the internal team be full-time, part-time, or a combination? Answer: Existing staff will be dedicated to implementation and managing the transition. We have an experienced systems analyst (now Exec Director of Systems and Operations), a 50% systems and data analyst, an experienced Director of Admissions & Records (advanced experience in PeopleSoft, Apply Yourself, etc.), a recruiter who will assist with the CRM, and an Exec Director of Grad Student Services who will assist with the progression/completion components. The associate dean and dean are experienced and engaged in the process, too. 31. On section : Explain if and how your solution supports ODBC data sharing. Is this question aimed at how UNLV can query / download / export data out of the solution? Just looking for guidance on the exact driver for this requirement. Answer: Yes. 32. On section 2.3.2: What SSO technologies are currently in use at UNLV for (a) applicant/prospect authentication and (b) faculty/staff authentication? Answer: a) none; b) active directory. 33. On section D Statement of Work: e. System should integrate seamlessly with PeopleSoft allowing regular data flow in both directions. What types of data would UNLV envision flowing back into the Admissions / CRM application from PeopleSoft? Answer: The flow of data from PS to the new system will largely be info about current students to assist with their tracking, messaging, communications, etc. Examples potentially include: GA data, enrollment data, bio/demographic data, residency, probation/separation info, forms/milestones tracking, degree audit info, service indicator data. ALL OTHER TERMS, CONDITIONS AND SPECIFICATIONS OF THIS RFP REMAIN THE SAME.
