4 BEFORE YOU Arrive Getting ready to come to the U.S. SEVIS I-901 and Visa SEVIS I-901 Fee The SEVIS I-901 fee is required by the U.S. Department of Homeland Security for all foreign nationals who come to the United States for the purpose of pursuing a full course of study in institutions such as colleges, universities, and language training programs. Find more information about the SEVIS Fee and I-901 form used to pay the fee at i901/index.htm and about SEVIS in general at: To Pay Online: Complete form I-901 online at Provide the necessary Visa, MasterCard, or American Express information and make sure to write your name exactly as it appears on your I-20. Print a copy of the online receipt and keep a copy for your records. CHECKLIST: g Pay your SEVIS I-90 fee g Get your F1 visa g Complete Health & Immunization Form g Pack for your move F1-Visa You should carefully plan for the application of your F-1 student visa. Apply as early as possible to allow sufficient time for visa processing and to avoid any delays. Keep in mind that even if you apply early, your F-1 visa will not be issued until 120 days before the first day of classes. Nevertheless, it is best to apply early and have the consular officer hold your application and issue the visa after the 120 days. STUDENT VISA CHECKLIST Please visit to learn more about scheduling your visa appointment. Plan to present the following documentation during your visa interview: Current, valid passport: Please check the expiration date on your passport. If your passport will expire less than 6 months from your planned arrival in the United States, or is damaged, or you do not have a page for a visa, get a new passport before your interview. One photograph: Two inches square (51mm x 51mm) color photograph, less than 6 months old, against a white background, full front view of your head and shoulders. Please use scotch tape to stick your photo on the front cover of your passport. DS-160 application form confirmation page. Visit ceac.state.gov/genniv for information and instructions. Original bank receipt for application fee: Please glue or tape the application fee receipt onto the bottom of DS-160 form confirmation page. Expired passports: Bring all passports containing all previous U.S. visas, even if expired. SEVIS form I-20: Bring a properly completed form. It must be signed by both the Designated School Official (DSO) and the applicant. Name on form must exactly match the name in your passport. Visit for more information. Proof of finances: Proof that you can support yourself during your entire stay in the U.S. without working. This is a bank statement and/or letter of support from your sponsor proving the funds that are shown on your form I-20. Resume/CV: Detailed information about your past academic and professional work experience. Official transcripts of returning students: If you have previously studied in the US please bring past official transcripts. Be prepared to speak about the following during your visa interview: Academic study plan: Detailed information about your study. You may be asked why you chose the university, program and/or major. You may also be asked about your career goals after college. 5 HELPFUL INFORMATION HEALTH & IMMUNIZATION FORM Packing In addition to your clothes, you may want to pack something that reminds you of home and makes you feel comfortable. This might be a poster, favorite movie or CD, and/or photos of friends and family members. Most U.S. students will display similar items in their room to create a personal space that makes them comfortable and reminds them of home. Visit housing.ku.edu/what-to-bring for helpful packing tips. Clothes When you are packing for Kansas it can be difficult to decide what to pack. Most airlines allow for 23 kg of checked luggage but please check with your airline before you fly. Weather Summer: Summer weather in Lawrence is hot and humid. Daytime temperatures range from 26 C 40 C (80 F to 105 F), but it is usually cooler at night. Most students dress very casually in the summer months. Women wear dresses or skirts and blouses, and sometimes shorts and T-shirts. Men wear light pants and shirts and also wear shorts in the hot weather. You should wear loose fitting clothing that is comfortable. Do not be surprised to see university faculty wearing shorts and sandals to classes. They like to be comfortable in the heat, too! Special Weather Conditions Early and late summer is a time when tornadoes may occur in the Midwest. A tornado is a whirling wind with a rapidly rotating, funnel-shaped cloud that touches the ground and can cause damage to people and property. Lawrence has an excellent warning system of very loud sirens that sound if danger is immediate. You will hear a siren test each week on Monday at 12:00 noon. Don t worry, this is just a test. You should become familiar with what to do if a severe storm or tornado happens. A severe thunderstorm or tornado watch means that there is a possibility that weather conditions could produce a severe storm or a tornado. You should stay inside away from windows and listen to one of the local radio stations or watch the television for any developments. A tornado warning means that a tornado has been seen in or is moving toward the Lawrence area. If this happens, the city s sirens will sound, telling you to take cover immediately. Health & Immunization Forms To ensure you stay healthy during your time at KU, we require all students to receive proper immunizations before coming to campus. Being in close quarters with other students and the experience of a new atmosphere puts you at risk for certain illnesses. Please have a physician or nurse complete the form on the opposite page or send in a copy of your immunization history to the Student Health Services. If you have any questions, please contact Student Health Services at You may want to bring some formal attire for special occasions but day-to-day dress is typically casual. Many international students will bring a national costume along with formal dress for organized international student events. You should also bring a light waterproof coat or umbrella. The leaves on the trees change colors to bright orange, yellow, and red. At the beginning of the fall semester, temperatures are usually still very warm, but in October and November the weather will become cooler. If you do not own a light jacket, you may wish to purchase one. Winter and cold weather follows Fall. Winter begins in December, but it can become cold and snow may occur in November. Winter: Heavy, warm clothing is necessary for this time of the year. Average temperatures between November and March range between C (18-56 F). A heavy winter coat, boots, gloves, and a hat are necessary for the winter months. It is also important to remember that winter brings snow and ice and that you must take extra care in getting around. Shoes or boots made for walking in snow are especially helpful this time of year. 6 HEALTH & IMMUNIZATION FORM (continued) exemptions and waivers Meningitis Health Information Facts, Policy and Waiver Information, University Of Kansas - Lawrence Campus To reduce the spread of bacterial meningitis among the student population, the Kansas Board of Regents requires all incoming students residing in university housing to be vaccinated for meningitis or to sign a waiver indicating that they refuse to receive the vaccine. Noncompliant students will be placed on administrative hold (Enroll and Pay Negative Service Indicator) following the first week of classes and remain on administrative hold until the compliance is documented with Student Health Services. Students will be unable to enroll for the following semester until the hold is released. Furthermore, it is strongly recommended that students living in other forms of group housing such as sorority/fraternity houses, Naismith Hall, etc. receive the vaccination. The KU Lawrence campus encourages all other students to consider vaccination as well as to become knowledgeable about meningitis and its symptoms in order to reduce their personal risk. The vaccine is available at Watkins Memorial Health Center. What is meningococcal meningitis? Meningococcal meningitis is a severe bacterial infection of the bloodstream and meninges (a thin lining covering the brain and spinal cord). It is a relatively rare disease and usually occurs as a single isolated event. Clusters of cases or outbreaks are also possible. Who gets meningococcal meningitis? Anyone can get meningococcal meningitis, but it is more common in infants, children, and young adults. Also, college freshmen who live in dormitories have a slightly higher risk of getting this infection than others their age. How is the germ that causes this type of meningitis spread? The meningococcus germ is spread by direct close contact with nose or throat discharges of an infected person. Many people carry this particular germ in their nose and throat without any signs of illness, while others may develop serious symptoms. What are the symptoms? Although most people who are exposed to the meningococcus germ do not become seriously ill, some of them may develop fever, headache, vomiting, stiff neck and a rash. Up to 25 percent of patients who recover may have permanent damage to the nervous system. The disease occasionally causes death. How soon do the symptoms appear? The symptoms may appear two to 10 days after exposure, but usually within five days. When and for how long is an infected person able to spread the disease? From the time a person is first infected until the germ is no longer present in discharges from the nose and throat, he or she may transmit the disease. The duration varies among individuals and with the treatment used. What is the treatment for meningococcal meningitis? Certain antibiotics are very effective in eliminating the germ from the nose and throat. Penicillin is the drug of choice for meningitis. Should people who have been in contact with a diagnosed case of meningococcal meningitis be treated? Only people who have been in close contact (household members, intimate contacts, health care personnel performing mouth-to-mouth resuscitation, day care center play-mates) need to be considered for preventive treatment. Such people are usually advised to obtain a prescription for Rifampin from their physician. Casual contact as might occur in a regular classroom, office or factory setting is not usually significant enough to cause concern. People who think they have been exposed to meningococcal infection should contact their local health department to discuss whether they should receive preventive treatment. Is there a vaccine available to prevent meningococcal meningitis? Presently, there are two vaccines that will protect against several of the strains of the meningococcus germ. waiver of meningococcal meningitis immunization (does not receive vaccination) I have chosen not to be immunized. Evidence of bank account in your home country may be requested Room A linen pack will be included in your on-campus room. The linen pack contains a pillow, pillowcase, sheet case and blanket so you do not need to pack any of these items. Remember, it s often cheaper to buy items for your room in the U.S. rather than having them shipped from your home country. Electricity The electricity in the U.S. is 120 V with a frequency of 60 Hz. The electrical outlet is technically known as the NEMA 1-15 (North American 15 A/125 V ungrounded), a simple plug with two flat parallel pins, or blades. Banking and Pocket Money If preferred, you can try and set up a US bank account before you arrive as rules, regulations and policies between banks vary. Don t worry if you can t set up an account; KU AAP staff will help you after you arrive in the U.S.. It is not wise to carry large amounts of cash or foreign currency. The amount you need to bring will depend on your personal spending habits. It is recommended to have $250 - $500 USD cash and $750 - $950 USD in traveler s checks to cover your expenses for your first few weeks. What to Bring Immigration documents: Passport, Visa, I-20, Letter of Acceptance, and SEVIS I-901 Fee Receipt. Original documents: Academic Transcripts, Academic Certificates, English Proficiency Test Scores (TOEFL, IELTS, Password, or other accepted test) and bank statement that matches the funds shown on your I-20. Residence address: Remember to pack your housing confirmation letter so your address is easily accessible when you arrive. Health Forms: Proof of Health Insurance Completed Immunization Form (see p. 7-8) Flight itinerary: Go to internationalku.com/flight to submit your flight details Cash: $250-$500 cash. Submit Before You Leave Traveler s checks: $750-$950 in small denominations. Housing form KU Student ID PRE-ARRIVAL CHECKLIST You should buy traveler s checks before you leave your home country. Traveler s checks are much safer than carrying large amounts of cash and can be cashed at airports, exchange bureaus, and most banks. Record the serial numbers of your traveler s checks and keep them in a safe place in case you lose or misplace them. A debit and credit card are also recommended. Please check with your local bank at home to confirm you will be able to use the card in the U.S. and what charges will be applied to your account. Visa, MasterCard, and American Express are widely accepted in the US. To use a debit card, you will need to know your PIN (Personal Identification Number) a 4 code used to withdraw money from a cash machine (ATM). Textbooks All textbooks can be purchased at the KU campus bookstore during orientation week. Books will cost approximately $500 - $600. The condition of the books you buy will also affect the price. Some textbooks may be available at a discounted rate if you buy them used. New textbooks will be more expensive and some books may be available electronically! Don t Forget Correct clothing: Remember it is normally warm in Lawrence in August. Try dressing in layers so you are prepared for the weather when you land. Electrical adapter: U.S. plugs are 120 V with a frequency of 60 Hz. Prescription medication: Keep medication in original pharmacy packaging in case you are asked questions at customs. Be prepared to show the original prescription from your doctor. Emergency information: Store this in your wallet and purse at all times. See last page of this guide for numbers. Laptop: Not required, but there is wireless internet service available on campus. Reminder: All carry-on liquids and gels must be 3.4 ounces (100mL) or less by volume and in one 1 quart-sized, clear, plastic, zip-top bag ( You should pack all other liquids and gels in your checked luggage. DO NOT bring any sharp objects, such as scissors or a penknife as these will be confiscated by TSA airport security. DO NOT bring any food or beverage items. 7 To prepare yourself for arrival, follow the checklist on the previous pages. You might feel tired or disoriented at the airport. It s ok and normal to feel this way. Long travel can be a little stressful for everyone. WHEN YOU Arrive Arriving at the airport Do not be shy about asking airport staff for help. As part of the airport transfer service, there will be a friendly greeter with this sign to meet you at the airport: Remember it is your responsibility to contact the transfer company immediately by telephone or if your flight schedule changes, you miss your connection, or if your flight is cancelled. If you do not call, we will not know how to meet you. Any changes must be made at least one hour prior to your original arrival time in Lawrence. Kansas City International Airport (MCI) The airport is very busy. If you do not see your greeter after 15 minutes please follow these directions: Find the nearest public pay phone Pick up the handset receiver and dial or Phoning is free and easy from a public pay phone. You do not need coins to call. Once an operator answers, please say Hello, I m a Kansas University AAP student and I can t find my driver. My name is (say your full name slowly) from (home country name). I am waiting in Terminal (letter or number) and wearing (color and description of clothes) The friendly operator will help find your greeter/driver promptly. If you arrive before your move-in date, you will need to stay at a local hotel. Please see page 27 for a list of hotels in the area. On your scheduled move-in date, please follow instructions on your Arrival and Accommodation Confirmation Letter as to when you need to report to your residence hall. Have your passport available for check in. Upon arrival, reception details and the week s orientation schedule will be provided in your welcome packet. All orientation activities are mandatory. After move-in, you are invited to an evening welcome reception to meet the KU AAP Team and other new KU students. Reminder: Please do not be late for orientation. What to expect during orientation week Orientation consists of multiple days of introductions, exploration, and registrations. Typical orientation activities include: Registration and ID card issuance Academic program overview and class registration Math and English placement exams Immigration and SEVIS: policies, procedures overview and document verification Campus tour Health insurance and immunization verification Visit campus bookstore, bank and/or post office Meet and greets with staff, new students and peer mentors Fun! ORIENTATION DOCUMENTS All fees must be paid in full, and all documents listed below must be correctly and completely submitted in order to be able to register for, and attend, your classes. You must bring the following documentation with you on your first day of orientation: Passport Visa I-20 form Electronic I-94 card Academic transcripts (original) Academic certificates (original) TOEFL, IELTS, password or other relevant evidence of English proficiency (original) Bank statement (original) Current address in home country Health & Immunization Form Remember: All students are required to attend all orientation events. If you cannot attend, you must contact KU AAP prior to orientation. Fritch, Ph.D. Interim Managing Director, KU AAP Dr. Fritch received his Ph.D. and M.S. degrees in Geology from Baylor University and graduated with a B.S. degree in Geology from Lake Superior State University. He comes to KU from his role as Provost at the American College of Greece in Athens, and prior to that from academic administrative roles at Northeastern University. Dr. Fritch brings extensive experience in international education to KU and is looking forward to meeting the newest batch of KU AAP students! The University of Kansas is focused on ensuring student success, making this a truly wonderful place to work, and to study. The Academic Accelerator Program at KU is designed to ensure a student s successful transition to college and life at a U.S. university, and I am thrilled to manage such an outstanding program. Dr. Antha Cotten-Spreckelmeyer Interim Academic Director, KU AAP Antha Cotten-Spreckelmeyer holds a Ph.D. in English from the University of Kansas and holds degrees from University of California-Riverside, the University of Michigan, University College London and the National Library of Scotland. Professor Spreckelmeyer developed KU s Humanities & Western Civilization writing instruction program, and teaches courses in Western Civilization, World Literature, biography and popular culture at KU. She also directs study abroad programs in Great Britain, France and Italy. As interim Academic Director of the KU AAP, I have the benefit of working with both instructors and students on a daily basis to make sure we develop the best possible curriculum. I have been teaching at KU for over twenty years, and love interacting with first-year students. Their energy is contagious! As Student Services Director, John works with a team of student service advisors to create programs, events, and services to foster international students transition and acculturation to university life in the U.S. Before coming to KU, John served as associate dean of student success at Washburn University, Topeka, Kansas, and the director of student academic services at Loyola University Chicago. John holds a B.A. in psychology from Denison University in Granville, Ohio and an M.A. in community counseling and Ph.D. in higher education from Loyola University Chicago. Being a Jayhawk is a way of life for all students and faculty at the University of Kansas. 17 STUDENT Support Moving to a new country can be challenging in many ways. You may feel homesick and miss your family and friends very much. KU has many student support services to help you, and you should remember that you are not alone. Read on for tips and advice on integrating into your new environment, as well as support programs you can find on campus. Safety The University of Kansas Police Department operates 24 hours a day each day of the year and is the point of origin for all emergency services, as well as a variety of university services after normal business hours. Tips on Cultural Differences The U.S. welcomes and represents many different culture who share the same space and lifestyle. However, there are some general characteristics that prevail in U.S. society and it is important to know them in order to facilitate your adaptation process. Equality and Familiarity Generally, Americans treat people equally regardless of differences in social class, age, gender, race, national origin or sexual orientation. It is expected for people to interact showing mutual respect in spite of their differences and backgrounds. However, do keep in mind the general style of interaction and communication in the U.S. is informal. Americans value individualism more than collectivism and this behavior is reflected and encouraged in the classroom. Perception of Time The U.S. is an achievement-oriented society which often revolves around time, deadlines and due dates. Organizing activities and projects around deadlines is essential to turn in quality work in a timely manner. Keep in mind that Americans value punctuality and consider it rude to be late on any occasion. Make every effort to be a few minutes earlier to scheduled appointments, meetings and classes. If your class begins at 9:00 a.m., try to be there between 8:50 and 8:55 a.m. Similarly, if a project or homework is due by a certain date, you must turn it in by the given date. Not doing so can negatively affect your grade since extensions for individual students are rare. 30 The University of Kansas InternationalKU.com 3 1

18 Hygiene Americans are very concerned with cleanliness, and it is not unusual for them to take a bath every day, change their clothes every day and wash their hair several times a week. This manner of eliminating body odor along with the regular use of deodorants and antiperspirants is generally preferred over the use of strong perfumes and colognes. Americans tend to find natural body odors unpleasant. Classmates, roommates or co-workers may avoid a person who has bad breath or unpleasant body odors. Verbal Communication Understanding the communication style Americans prefer is important to developing solid relationships with faculty, classmates and co-workers. During conversation, Americans do not like interruptions and typically take turns speaking in a medium tone of voice, not too loudly or too quietly. Communication is usually direct, clear and often to the point, meaning using long monologues or extensive words to convey your message is unnecessary. Also, Americans avoid controversial topics with people they don t know well such as religion, politics, or money. General topics such as sports, weather, music or school are often preferred. Another area of communication that is well accepted in American culture is asking questions to receive or clarify information. This is especially important in the classroom, where faculty may prefer interaction and view questions as a sign that students are interested in learning the material. If direction on a particular assignment is not clear, it is the responsibility of the student to ensure they thoroughly understand what is expected to obtain a good grade. One of the most important characteristics of nonverbal communication in the United States is maintaining direct eye contact when conversing. Avoiding eye contact and looking away when you are doing the talking or listening part of a conversation, can be considered rude or show a lack of interest in the other person. It can be difficult to adjust to this style of communication, but by just remembering that it is just a different custom and practicing eye contact, your interactions with Americans can be increasingly positive. Classroom Etiquette There are some classroom behaviors in the United States that you may consider inappropriate or disrespectful in your country. Eating, drinking, and raising objections in class are behaviors that might occur in a U.S. classroom. Raising objections and questioning topics discussed in class are in fact ways to show respect to professors because they denote interest in the class material and active participation is encouraged. Attendance is very important, especially on the first day of classes when projects, the syllabus and rules are discussed. Faculty members are usually very strict about attendance and may drop students from the course if they miss a few classes. For international students, it is critical that this does not occur since it can jeopardize your immigration status and ability to stay in the country. General U.S. Laws There are many federal, state and local laws you must follow. Please be sure to familiarize yourself with these laws. The following are some general laws to keep in mind: The legal drinking age is 21 and legal smoking age is 18. It is also illegal to purchase alcohol or tobacco on behalf of individuals under age. The use or possession of illicit drugs, including marijuana is illegal. Driving without a license, driving with a suspended or revoked license and driving under the influence of alcohol is illegal. Dating a minor (under the age of 18) is illegal and if engaged in sexual relations, it is considered statutory rape. This is the case even if you receive consent from the minor. Acts of domestic violence, which may include mental, verbal or physical violence, or damaging mistreatment of a spouse or partner, is against the law. Americans may feel uncomfortable if you stand or sit too close when you are speaking to them. 19 Academic integrity Cheating and other forms of academic dishonesty are not tolerated at KU. Behavior that constitutes academic misconduct is outlined in the University Senate Rules and Regulations: policies/governance/usrr.htm. Students are responsible for knowing and following the rules and regulations. Rules about academic misconduct are strictly enforced. Calculating your GPA Your KU grade point average (GPA), posted on your Degree Requirements Checklist, will exclude course work transferred from other institutions, course work taken by correspondence, credits earned by examination, and course work taken while classified as a non-degree seeking student. Individual schools may use your KU + transfer GPA for admission or advancement differently. This is designated as KU and Transfer Cumulative GPA on your Degree Requirements Checklist. You should learn how to calculate a college GPA. The steps below explain the process. Step 1 Compute the grade points you earned for each course by multiplying the number of credit hours earned by the point value assigned to each grade. Step 2 Total all grade points earned. Step 3 Divide the total grade points you earned by the number of hours you are taking. A = 4.0 A - = 3.7 B+ = 3.3 B = 3.0 B- = 2.7 C+ = 2.3 C = 2.0 C- = 1.7 D+ = 1.3 D = 1.0 D - = 0.7 F = 0 Course Cr. If you drop below a 2.0 cumulative KU GPA, you will be placed on academic probation as prescribed in the CLA S Academic Standing Policy. (Students admitted to professional schools should check with the school about specific academic standing requirements.) When placed on academic probation, you will have an enrollment hold placed on your account. You will also have a specific term GPA required; failing to meet this requirement results in dismissal from the university. 34 The University of Kansas The KU Card All enrolled KU students are eligible for a KU Card. The card is used for many KU transactions. It s your official student ID card, bus pass, library card, and dining services meal-plan card. It is your access card to get into your on-campus residence and the Ambler Student Recreation Fitness Center, and your access card to athletic events and other oncampus services and facilities. Your card and Beak em Bucks Your KU Card is automatically linked to a declining balance account called Beak Em Bucks, which provides a secure, reliable, and convenient method for paying for photocopies, printing, laundry, KU Bookstore purchases, and food replacing the need to carry a lot of cash and coins. Beak Em Bucks can also be used at off-campus merchant locations. To use Beak Em Bucks, you need to add cash to the account. You can do this one of three ways: Sign up online for optional campus fees Go to the Kyou Portal at ku.edu Use a campus cash-to-card machine. You cannot get a KU Card until after you have enrolled.
