3 Hughes School District Disaster Recovery Plan. 3 Overview This document details Hughes School Districts Disaster Recovery Plan (DRP) in terms of procedures and processes to fully recover from technology failure or manmade or natural disasters. This is a live document, and as such, contents detailed in this document may change from time to time.

The technology coordinator and the technology coordinator will go around to all builds and see what damage has been done to our wiring and electrical systems. The Technology Coordinator will present a list of all damaged equipment and status of internet and intranet. The technology coordinator will contact outside vendors concerning IT operations. The technology coordinator will contact all vendors that will be used to get operations back up and running. The administration with the help of the other teams will determine if the damage is to great to continue to operational a current location. The technology team will setup alternative location with the help of the other teams.

The transportation and bus drives will check to determine the extent of the damage. The transportation director with the help of the bus drivers will be ready to help move equipment to alternative location if necessary. The transportation director with the help of the bus drivers will help with the clean-up. The transportation director will begin transporting students to designated areas.

The director and others will go around to all buildings to determine what items and materials can be used. The director will make a list of materials that are needed to restore facilities to useable conditions The director and maintenance crew will be ready to help move to alternative site if necessary. The director and maintenance crew will help with the clean up. The director and maintenance crews will work to restore the buildings as fast as possible to a safe and useable condition.

The Cafeteria Manager and Cafeteria Staff will check in the cafeteria and see what resource can be used. The Cafeteria Manager and Cafeteria Staff will prepare to move all equipment and alternative site if needed. The Cafeteria Manager will present a list of needed equipment and supplies. The Cafeteria Manager and Cafeteria Staff will begin cleaning food preparation area.

Coordinator Janice Base Dean of Student Bowles, Melvin Technology Coordinator Phipps, Calvin The superintendent with the help of administrators will go to the effect areas and determine its cause. The superintendent and other administrators will have the affected area secured with the help of police and fire dept. The superintendent and or other administrators will start the calling list to get info to all staff members. The superintendent will notify all alternative sites for possible move to their location. The superintendent or other administrator will contact all necessary vendors to be on standby. The superintendent or other administrator will notify the media as the type of disaster and scope. This will also be used to notify interested parties of ongoing progress. The superintendent will get info from the different teams as to the materials that can be used. The superintendent will determine which items are needed and order them. The superintendent will oversee the cleanup process and keep all teams on task. The superintendent will oversee getting the buildings ready for students. The superintendents will keep all concern parties up to date on progress being made. The continuation of services will be given the highest priority. All efforts will be made to get back up and running in the shortest amount of time.
10 Hughes School District Disaster Recovery Plan. 10 Emergency Action Plan Security All visitors must check into the main office before they can go anywhere on the premises, therefore all visitors must have on a visitors pass. Police < > Always Report: Any suspicious/ criminal activity Workplace violence Thefts of <organization> and/ or personal property Bomb threats Suspicious Objects Harassing Communications Lost and/ or Found properties First Aid & CPR The following employees are to perform rescue or medical duties during an emergency: Any Employees with knowledge of first-aid is authorized to assist hurt or injured employees. First Aid & AED Procedures If the person is unresponsive: Call 911 immediately. Call main office. Tell main office your specific location. Main office will page CPR/AED Team Members via intercom. If needed, front main office staff will take AED to the victim s location. CPR/AED Team will report to the victim s location and begin life-saving procedures. Re-route traffic away from the victim and secure treatment area.
11 Hughes School District Disaster Recovery Plan. 11 Employee Notification In the event of emergency, employees will be alerted by: Emergency Notification System Sounding of an Alarm Verbal Announcement Description of the Announcement: Terrorist Incident or Hazardous Material incident: A (type of incident) has occurred in the area. The agent can be harmful if it comes in contact with humans by ingestion, inhalation, or absorption. Please stay away from open windows and do not leave the building. FIRE: There is a problem in the building. Everyone vacate the building. TORNADO: A tornado warning has been issued for Hughes AR. All employees proceed to <tornado shelter>. Terrorist or Hazardous Event In the event of a TERRORIST or HAZARDOUS INCIDENT involving chemical, biological, or radiological agents, the employees are to remain in the building and use shelter-in-place procedures.
12 Hughes School District Disaster Recovery Plan. 12 Tornado When a Tornado warning is issued by the National Weather Service, the Tornado sirens will be activated. Upon hearing the tornado sirens, all employees will proceed to the nearest designated Safe Zone. If you are in a building, stay in that building and go to the nearest designated shelter area. If you are outside, immediately enter the nearest building and proceed to the nearest designated shelter areas. Refer to the Area Exits & Safety Zone Map. Earthquake In the event of an EARTHQUAKE, employees are to remain in the building and locate a safe area. The safest areas are away from windows and potential falling hazards such as bookshelves and machinery. In the event of an EARTHQUAKE, all employees should take cover under their desks and then evacuate the building in a safe manner. Be aware that aftershocks may occur after the event.
13 Hughes School District Disaster Recovery Plan. 13 Fire In the event of FIRE or SMOKE in your area, Remember the acronym RACE! Rescue - Help anyone in immediate danger from the fire. Alarm - Activate the nearest Fire Alarm Pull Station. Call Report: Your NAME and TITLE There is a FIRE In what BUILDING, FLOOR, or ROOM What is burning if known Do: Contain - Close door to fire origin Send visitors to <exit> Do not use elevators Clear hallways if possible Extinguish - Take the Fire extinguisher to the fire and operate: P- Pull the metal pin A- Aim the Nozzle at the base of the fire S- Squeeze the handle S- Sweep the fire from a distance of 5-15 feet IF EVACUATION IS NECESSARY FOLLOW THE EVACUATION PLAN POSTED BY ALL ENTRANCES AND EXITS.
14 Hughes School District Disaster Recovery Plan. 14 Bomb Threat If a bomb threat via telephone is received, signal a co-worker to call the Police and attempt to keep the caller on the line. Use the list below to record information. Check-List for Receiving Bomb Threats: Time and Date Reported: How Reported: Exact Words of Caller: Questions to Ask: When is the bomb going to explode? Where is the bomb right now? What kind of bomb is it? Why did you place the bomb? Where are you calling from? Description of Callers Voice: Male - Female Young - Middle Age - Old - Accent Tone of Voice: Background Noise: Is Voice Familiar? -YES - NO Who did it sound like? Other Voice Characteristics: - Slow - Rapid - Normal - Excited -Loud - Disguised - Broken - Sincere Time Caller Hung Up: Remarks: Recipient Name: Phone: Location:
15 Hughes School District Disaster Recovery Plan. 15 Active Shooter In the event of an active shooter: Take immediate shelter. Proceed to a room that can be locked or barricaded and secure that room. Turn off any devices that may emit sound. Keep yourself out of sight and take adequate cover/protection, i.e. concrete walls, thick desks, filing cabinets, or any other object that will stop bullet penetration. Silence cell phones. CALL 911 and provide: This is Hughes School District at 310 College St. Hughes, AR and we have an active shooter. If you were able to see the offender(s), give a description of the persons(s) sex, race, clothing, type of weapon(s), location last seen, direction of travel, and identity if known. If you observed any victims, give a description of the location and number of victims. If you observed any suspicious devices (improvised explosive devices), provide the location seen and a description. If you heard any explosions, provide a description and location. Wait patiently until a uniformed police officer, or an official known to you, provides an all clear. What to do if taken hostage: Do not speak unless spoken to and then only when necessary. Avoid arguments or appearing hostile. If first aid or medications are needed, let someone know. Be observant. Be prepared to speak with law enforcement personnel.
16 Hughes School District Disaster Recovery Plan. 16 Shelter in Place Critical operation shutdown procedures are not required, because employees are not authorized to delay shelter-in-place or evacuation procedures for this purpose. Shelter-in-place away from open windows for terrorist or hazmat incidents involving biological, chemical, or radiological agents. Employees are not allowed to leave the area or go home until accountability measures have been completed. Evacuation Any employee physically able to help will make sure all employees and visitors in need of assistance have been helped. If there is anyone who cannot be evacuated, {Name of Employee} will be responsible for notifying emergency responders of the location of the person. After an emergency, employees are to gather in the following location(s): {Enter Location(s)} Water Under the floor water detection or physical detection: Make appropriate phone call. Determine source of leak if possible. Assess the severity of the leak: If the leak is not severe, take appropriate action to stop the leak. If simple action is not enough to stop the leak. Water leaking out of the ceiling: Make appropriate phone call. Determine the source of leak if possible. Assess the severity of the leak: Proceed immediately to cover exposed machines in the path of the leak. If simple action is not enough to stop the leak, proceed with an orderly power down of computers and follow evacuation procedures.
17 Hughes School District Disaster Recovery Plan. 17 Utilities For Sewer, Natural Gas, Heating/Cooling, Fire Alarm, and Water Failures, Contact: <proper authority> For Electrical Failure, ensure emergency power is operational and that all essential equipment is running. Example 1: At this time, Hughes School District, is not releasing any information concerning the incident that occurred today. A formal press conference will be held at a later time. Example 2: The Hughes School District experienced a (tornado, flood, fire, school violence event) today. We know the following information: Injuries: Faculty involved: Student involved: Deaths: School will be out till further notice. Example 3: Due to bad weather, Hughes School District will not have classes today. Please check your local TV or radio station for further information. Example 4: Due to bad weather, Hughes School District will conduct classes starting at 9:30 A.M.
