1 WineWeb: Payment Gateway Guide This document describes the options and considerations for establishing credit card processing services and integrating them into WineWeb s e-commerce, wine club and point-of-sale services. Components Accepting credit cards for sales transactions involves several entities. The two most important are the following. You need both established before you can process credit card transactions through the WineWeb services. In fact, if you use both our e-commerce and POS services, you may need two of each established. Merchant Account: This is the agreement and account that allows you to accept credit card payments and transfers funds received to your bank. It specifies all the transaction fees and other charges. Your bank or a company that specializes in merchant accounts can assist. Gateway: A software system that sends credit card transactions over the Internet to your merchant account. Your merchant account provider typically establishes this at the time the merchant account is setup. WineWeb has developed the integration to over 25 gateways. If you would like to use a gateway not yet integrated to WineWeb, contact us, however note that development costs for additional gateways are borne by the client. These can range from several hundred to several thousand dollars, based on the complexity and certification requirements. POS Credit Card Gateway Considerations Depending on your credit card gateway and the way you want to handle in-person credit card transactions, you may need to make changes to your credit card gateway account. Your gateway was likely setup to process e-commerce transactions, which are card-not-present transactions. Many gateways require a separate account to handle card-present (retail) transactions. While the POS can process transactions as card-not-present, there is usually a better transaction rate available for card-present swiped transactions. You ll need to check with your merchant account provider and inform them that you ll be sending swiped credit card transactions over an Internet gateway. Since these transactions are approved over the Internet, you won t need a retail card swipe terminal that connects to a phone line; instead you ll have a USB-connected card reader. Our e-commerce / POS system can support the following gateway configurations: A single gateway account that can handle card-not-present and card-present transactions. A single gateway account that handles card-not-present transactions and all POS transactions are sent as card-not-present. A gateway account for e-commerce and a separate gateway account for POS. The second gateway account is setup in the Preferences page of the POS system. Additional gateway accounts for wine club processing, although clients typically use their e- commerce gateway for club payment processing. 1 July 2014

2 Gateway Selection Matrix Not all gateways have the same feature set, so you need to choose the gateway based on these features and the WineWeb services you intend to use. The following matrix aids in that selection. We recommend PayPros unless you have a specific need for another gateway. Contact John Zajac at PayPros at ext to get started. 3 Notes: 1. In addition to supporting all transaction types, PayPros supports the Magtek IPAD device for debit PIN transactions and a payment vault with an account updater for wine club card numbers. These advanced features can decrease your cub payment declines and also reduce your PCI scope. 2. CDG Commerce has a low monthly fee if you are only using e-commerce and clubs. It does not support POS (card-present) transactions. 3. Elavon is not recommended for new merchant accounts as their underwriting department is inconsistent and at times will attempt to force software changes without any regard to the underlying Visa/MC rules. 4. FirstData is no longer supported due to complexities of client setup, server operating system issues and support responsiveness issues. 5. Sage is not recommended due to gateway stability and support responsiveness issues. Disclaimer: WineWeb has reseller agreements with several merchant account / gateway providers. This is typically done to obtain enhanced support services. These arrangements pay a referral fee or revenue share, which is an immaterial revenue stream for WineWeb. Gateway Account Setup Once your merchant account provider has established your gateway account, you need to provide the WineWeb system with information about your gateway account. In addition, you ll need to ensure that your gateway account settings match to your business requirements. Auto Settlement: The gateway account must be set to automatically settle open batches of transactions each day. This is usually the default for most gateways. If you have a choice of batch settlement time, choose a time just before midnight Central US time. AVS and CVV Matching: For e-commerce gateway accounts, the system checks the address of the cardholder (AVS) and the security code on the card (CVV). You can usually define the rules on these checks. For example, you may want to require that the 5 digit ZIP Code match, but you may not need an exact match on the street address or the 9 digit ZIP Code. If you use the Wine Club Shipment Processing service to process batch payments for wine club members, make sure that the CVV code is not required for every transaction. As the PCI standards do not allow storage of the CVV, wine club transactions are sent without a CVV. If you are using PayPros, make sure they setup Decline Minimizer on your account and also chain your multiple accounts so each has access to the card numbers in the payment vault. HTTP Referrers Some gateways allow you to specify the URLs that have access to call the gateway program. If this functionality is required or desired, refer to the help page on the gateway setup page for the programs that call the gateway routine. IP Addresses Some gateways allow you to specify the IP addresses that have access to call the gateway program. If this functionality is required or desired, refer to the help page on the gateway setup page for the server IP address ranges. 3 July 2014

4 Account Setup in WineWeb Depending on the gateway chosen, the WineWeb system requires some information to interface to your gateway account. This section guides you through the process of setting your authentication credentials in the WineWeb system to integrate with that gateway account. Login to your WineWeb account From select the Login menu option and either Winery Login or Wine Merchant Login, then enter your ID number and password to login. Set your default gateway account Your default gateway account controls all card-not-present transactions including e-commerce and wine club orders and, if you have a single gateway account, your point-of-sale transactions. Navigate to Orders: Ordering Options. Select your gateway account provider from the selection box. Click the help link in the gateway section to view the data that is required for your specific gateway and enter that into the appropriate fields there. Press the update button when you are done. Set a gateway account for point-of-sale If you are using WineWeb s point-of-sale service, you ll need to do this step. Your gateway service provider may require a second gateway account to process point-of-sale orders as card-present or swiped transactions. Navigate to Orders: Point-of-Sale: POS Preferences, then select the Payment Gateway tab. Select whether you want to process swiped transactions as card-present or card-not-present. Then select your gateway account provider from the selection box, or choose to use your e-commerce gateway for these transactions. Click the help link in the gateway section to view the data that is required for your specific gateway and enter that into the appropriate fields there. 5 Set a gateway account for wine clubs The wine club processing services use the e-commerce gateway unless you specify an override gateway for a wine club. If you need this override gateway, navigate to Clubs: Club Setup and click on the appropriate wine club name. There is a gateway section there (similar to the above) with data fields to specify your gateway parameters. Press the update button when you are done. Setup tasks for PayPros Decline Minimizer If you plan to use the PayPros Decline Minimizer service to store the card numbers of your wine club members in their payment vault, once the gateway is setup, you ll need to go to Clubs: Club Processing, then select option 2. Credit Card Check. Check the box to Update payment vault with any cards not yet in vault and run the process. This process performs authorize-only transactions against each credit card and stores the card number in the payment vault. Allow a couple of days between this process and the actual credit card processing batch so Decline Minimizer has a chance to update the card information in the payment vault. Testing the gateway setup To test that the gateway is setup correctly, browse to your website and start an e-commerce order. For the credit card, you can use a personal card, which you can then cancel and refund the order or you can use a card number of (15 4s and an 8), which should produce a decline message (versus a user authentication message). To test the POS gateway, enter an order and swipe a personal credit card and confirm the order. Then from the order confirmation page, press the link to cancel the order, which also voids the charge. 5 July 2014
