2 POLICIES AND PROCEDURES Welcome to the Office of Professional Studies in the Health Sciences at Drexel University College of Medicine. Our post-baccalaureate pre-medical programs include the Medical Science Preparatory (MSP), Interdepartmental Medical Science (IMS), Drexel Pathway to Medical School (DPMS), Drexel Pathway to Medical School II (DPMS II), Master of Biological Science (MBS), Master of Medical Science (MMS), Veterinary Medical Science (VMS), Evening Post-Baccalaureate Pre-Medical (PMED), Interdisciplinary Health Sciences (IHS) and Master of Interdisciplinary Health Sciences (MIHS). The Pre-Professional Studies Programs include the Master of Laboratory Animal Science (MLAS), Online Master of Laboratory Animal Science (Online MLAS), Master of Forensic Science (MFS), Master of Criminalistic Science (MCS), Pathologists Assistant (PathA), Master of Histotechnology (MHP), Clinical Research Organization and Management (CROM), Certificate of Study in Clinical Research (CSCR), and Clinical Research for Health Professionals (CRHP). This Policies and Procedures Student Handbook is the official document of the Office of Professional Studies in the Health Sciences at Drexel University College of Medicine. It does not replace, but rather supplements, the policies and procedures as stated from the Provost s Office ( Our handbook is to be used to acquaint students with the Office of Professional Studies in the Health Sciences programs and to clarify the requirements and procedures followed by graduate students at Drexel University College of Medicine. 7 MATRICULATION All required admission documents must be submitted prior to matriculation into any program. Failure to submit these documents will result in dismissal from the program. Required Admissions Documents: 1. Tuition Deposit 2. Personal Data Form 3. Immunization Form* 4. Official Final Test Scores (MCAT, GRE, MAT, DAT, SAT, etc...) 5. Official Final Transcript showing Degree Conferred 6. Health Insurance Waiver or Proof of Health Insurance** *Not required for online program students. **Not required for part-time and online students. REGISTRATION Registration processes vary amongst the programs. Refer to your respective program Academic Administrator in regards to course registration for your particular program. The student is responsible for any/all transactions processed against his/her academic record. The transaction date (i.e., the date a drop, add or withdraw action occurs) will be the effective date by which refunds will be determined. COURSE DROP/ADD POLICY Please note that dropping a course and withdrawing from a course are distinct actions and are governed by different policies. Courses may only be dropped during the 15 calendar day drop/add period, starting from the first day of the term. Refer to your program calendar for dates. Dropping a course results in the course being removed from the student s academic record without a W appearing on the transcript specifically, neither the course nor the grade of W appears on the student s transcript. It is the responsibility of the student to be aware of the drop/add period deadline dates. COURSE WITHDRAWAL A course withdrawal is processed for grade purposes only and may not change a student s course registration or tuition and related charges for the term. Students in programs charged on a per credit basis should consult their program academic administrator. A semester student may withdraw from a course any time up to the day before the final exam/quiz/assignment to receive the W grade. If the student sits for the final exam/quiz/assignment, the final course grade will be awarded. Quarter program students have until the end of the 6 th week of the course to receive the W grade. Quarter students are not permitted to withdraw beyond that point without penalty. Dropping or withdrawing from courses can have serious financial and academic implications, possibly affecting billing, financial aid, and VA benefits. Students are strongly encouraged to consult with their academic advisor and financial aid counselor before withdrawing. UNIVERSITY WITHDRAWAL AND LEAVE OF ABSENCE If a student s participation in an academic program is in the need of being interrupted or discontinued, it is the student s responsibility to inform the respective program s academic administrator to ensure that all relevant documents are completed and processed. It is the student s responsibility to meet with the Bursar and Financial Aid offices after meeting with your academic administrator in order to become aware of what tuition charges are owed to the University.

8 ADJUSTMENT OF CHARGE WITHDRAWALS 1. University Withdrawals When a student withdraws from the University, the effective date is determined in the following manner for withdrawals: When written notification is sent to the respective program academic administrator, the effective date of the withdrawal is the latter of: a. The date the academic administrator receives the written notification; or b. The date indicated by the student or postmark on the written notification. 2. Leave of Absence Tuition and fee refunds for a leave of absence follow the same criteria as that of a University Withdrawal (see above). 3. Incomplete Grades At the discretion of an instructor, the grade of "I or INC (Incomplete) may be reported in place of a letter grade for any course in which the instructor deems that the work has not been completed and that the student can complete the work within an agreed upon time (not to exceed one year from the start date of the registered course), which must be in accordance with University policy and the statute of limitations governing grade changes. The conditions and terms for the completion of the course are at the discretion of the instructor and are to be mutually agreed in understanding upon by the instructor of the course and the student. If a final grade is not submitted within one year, the "INC" or I will turn into an "F" on the student's record and will be reflected in the student s GPA. The grade of "F" will be considered a permanent grade. REPEAT OF COURSES Students may be permitted to repeat for credit any course for which they have received a grade of C or below ONLY. If the program allows the repeat, the repeated course MUST be the exact same course, not a replacement course. In the case of a practicum, the repeated course must be the exact same discipline of the original practicum failed course and at the same practicum site. Repeating a discipline at a different practicum site is not repeating the course. The Request to Repeat a Course form must be completed by the student and submitted to the academic administrator. When a course is repeated, both the original grade and new grade remain on the student s transcript. The grade received in the repeated course replaces the original grade in the calculation of the cumulative GPA. REMEDIATION POLICY Students who receive a final course grade of C-, D+, D, or D- are eligible to sit for a course remediation exam. Students who receive an F in a course are not eligible to remediate. The remediation exam will be a cumulative exam, covering all content presented during the semester. If the student passes the remediation exam, the final letter grade for the course will be changed from their existing C-, D+, D, or D- to a C. If the student fails the remediation exam, their original final grade will remain unchanged. A student cannot earn a grade higher than a C for this course. A student is only allowed one attempt at a remediation exam per course. RETAKE EXAM POLICY A faculty member may allow a student to remediate an individual exam during a course to replace an exam grade where they received a grade of F. The new exam grade will replace the first exam grade. A student that elects this option may not remediate any other exams in the course nor may they sit for a remediation exam to replace the final grade for the course. Not all courses and programs offer remediation exams. This policy does not apply to any medical school course.

9 TUITION AND FEES The tuition and fees for the academic year can be found at: ard% pdf Tuition and fees are set for one academic year. Withdrawal and refund policies may also be posted on the Drexel University web site at: PAPERLESS BILLING Students receive notifications to their Drexel account when payment is due. Students may view their latest ebill at Students have the ability to grant permission to other payers, such as parents and employers, to be authorized users, which gives them access to the ebill 24 hours a day, and allows them to make online credit card payments on the student s behalf. Additionally, students that may have more than one family member paying their bill can authorize multiple users. Drexel University has established a deferred payment plan for graduate and part time undergraduate students attending the University as part of an employer education assistance program. Students accepted into this plan may defer payment of the portion of their tuition reimbursable under their employers' program until the end of the second week of classes of the NEXT term. To be eligible to participate in this plan, the student must print out, complete and mail the application provided by the due date of the billing statement. Along with the application should be proof of employment, a copy of the employer's education assistance plan and a check, money order, or credit card authorization to cover the $30.00 participation fee. A completed application and $30.00 fee must be submitted each term. Please retain the Billing Statement you receive for your records. It is the only original billing statement you will receive for the term. Tuition balances not covered under an employer education assistance plan must be remitted by the original due date. Final payment, in full, of the tuition must be received by 4:30 PM on the Friday of the second week of classes of the subsequent term. Collection actions will have to be taken if the tuition and fees are not paid in full and on time. It is important to remember that the student is personally obligated for any and all financial obligations made to the University regardless of employment status or the length of time it will take their employer to process their reimbursement. In achieving this, ODS collaborates with and empowers individuals who have documented disabilities by working together proactively to determine reasonable and appropriate accommodative measures. In efforts to ensure compliance with current legislation and eliminate attitudinal barriers against people with disabilities, ODS also provides guidance and education to the campus community. For additional information, students can also access the ODS website at REGISTERING WITH ODS Drexel University is committed to providing students who have disabilities with an equal opportunity to fully participate in its courses, Co-Op employment, programs, and activities. Students of Drexel University who have a disability and need accommodations in order to attain equal access need to register with the Office of Disability Services (ODS). Registration includes six main components, which are all explained in more detail below: Requesting Accommodations Engaging in the Interactive Process Submitting Documentation The Determination of Reasonable and Appropriate Accommodations Receiving and Delivering the Accommodation Verification Letter (AVL) Updating with ODS each term REQUESTING ACCOMMODATIONS Students who are seeking accommodations in education, employment (including Co-Op placements), programs, and activities at Drexel University due to a disability, must make a formal request for accommodations with ODS. ENGAGING IN THE INTERACTIVE PROCESS Once a formal request for accommodations has been submitted to ODS, the student will want to schedule an appointment to discuss their request with ODS. The interactive process is designed to be an engaging experience, allowing students to work directly with the ODS staff in discussing the specific impact of their condition, identifying barriers that exist for them in the given environment and determining possible accommodations that could provide them with equal access at Drexel University.

11 SUBMITTING DOCUMENTATION Along with the request for accommodations, the student needs to submit appropriate medical or psychoeducational documentation. The documentation must present an impairment or condition that substantially limits one or more major life activities. The documentation must also be up-to-date, addressing current levels of functioning and the current impact of the impairment or condition in the academic environment. ODS documentation requirements can be found at: THE DETERMINATION OF REASONABLE AND APPROPRIATE ACCOMMODATIONS ODS considers all requests on a case-by-case basis and in a timely fashion. ODS will make a determination of reasonable and appropriate accommodations based on the request for accommodations, the supporting documentation, the interactive discussion between the student and ODS staff, and the essential learning outcomes of the relevant programs, courses and activities at Drexel University. If a student fails to submit the required documentation to ODS, the request may be denied. If the documentation submitted does not sufficiently support the requested accommodation, the request may be denied. Once ODS obtains complete documentation and has engaged in the interactive process with the student to discuss the request, ODS will determine if the individual is entitled to reasonable and appropriate accommodations. Approved accommodations are intended to minimize the impact of the disability in the given environment while maintaining the academic integrity of the course, program or activity. Should the student be granted accommodations by ODS, an Accommodation Verification Letter (AVL) will be issued to the individual, specifying the accommodations to which they are entitled for the given term. RECEIVING AND DELIVERING THE ACCOMMODATION VERIFICATION LETTER (AVL) All approved accommodations are written into the Accommodation Verification Letter (AVL) by ODS staff. AVLs given to students in the School of Medicine are only valid for one year (the year is indicated on the AVL above the listing of accommodations). The student must share their AVL with anyone who will be administering the accommodations listed (i.e.: faculty, advisor) within a reasonable period of time, if they are to receive those accommodations. When a student has been granted testing accommodations by ODS, the AVL must be given to the faculty member at least 5 days in advance of an upcoming exam or quiz, in order for the student to be guaranteed the accommodation(s). UPDATING WITH ODS EACH TERM Accommodation Verification Letters (AVLs) given to students in the School of Medicine are only valid for one year. If the student wishes to continue using accommodations in a subsequent year, a new request for accommodations should be submitted to ODS. The student should then schedule a follow-up appointment with an ODS staff member to discuss the request made. In order to avoid any interruption of services, the Request for Accommodations should be submitted to ODS within a reasonable period of time. TEMPORARY CONDITIONS Impairments and conditions that last less than six months are considered transitory, and therefore not covered under the Americans with Disabilities Act (ADA). ODS staff, however, may be able to arrange services as a courtesy to students requesting adjustments due to temporary impairments. Arrangements are made on a case-by-case basis. CONFIDENTIALITY The Office of Disability Services is charged with the responsibility for maintaining disability-related documentation of all students and employees of Drexel University. ODS is committed to ensuring all records are kept confidential as required by law. Information will not be released without consent unless federal or state law requires or permits it. Information will be shared with others in the university community on a need-to-know basis only. However, a student may sign a written consent form giving our office permission to discuss the disability and limitations with faculty and staff, and/or parents who require further information.

12 FINANCIAL AID & COLLEGE WORK STUDY The Financial Aid Office plays an integral role in administering a variety of scholarship, grant, loan and employment programs (Federal Work Study). We aim to assist and counsel students and families in identifying the necessary financial resources required to further reduce student debt. Our goal is to serve and meet the needs of our students in the most expedient and efficient manner possible. All students must complete the Free Application for Federal Student Aid (FAFSA) and the Institutional Financial Aid Application (if enrolled in a Graduate Program) in order to be considered for any financial aid from the University. The FAFSA deadline is May 1 prior to the academic year for which funds are needed. However, March 1 is the preferred submission date and students can file as early as January 1. The most efficient way to file the FAFSA is via the internet at: Students will need the FAFSA pin in order to electronically sign the FAFSA. All continuing students that cannot locate their FAFSA pin, please log onto as soon as possible. To add, all students must place Drexel s school code: on the FAFSA in order for it to be received by the University. Students will be notified via mail if additional Financial Aid requirements are needed. If you have not picked up your account, please go to to obtain your account. Your Drexel account is the official method that our course directors, faculty and staff use to communicate with you. Important information about registration, course offerings, programs, and services are sent solely to your Drexel account. You can access your account via the web at Without the Drexel account, you will not be able to access Banner Web, which means you will not be able to register, access your grades, financial aid information, and other student data pertaining to your academic career at Drexel University. SHUTTLE SERVICE The mission of the Drexel University shuttle service is to provide transportation for students as a means of enhancing safety and to provide transportation to or from campus. Special markings permit easy shuttle identification from a distance. Students, staff, and faculty are allowed unlimited usage at no charge. Upon boarding a shuttle bus, all students, staff and faculty are required to present a valid Drexel University ID to the driver. 13 ALUMNI ASSOCIATION The Drexel University College of Medicine Alumni Association is an active and integral part of Drexel University College of Medicine. Each year the Association sponsors educational and social programs for alumni, medical and graduate students as well as residents. In addition, we provide scholarships and commencement awards, support student organizations, Research Day, Alumni Weekend, the 50th Reunion, and College of Medicine fundraisers. We are also a network and resource for our members, connecting alumni with classmates, other alums, and the College of Medicine. CLASSROOM DEMEANOR Students are asked to use their own sensibilities especially when attending classes. If there are clinical aspects of your respective program, students may be required to adhere to a dress code. Therefore, students are expected to dress according to the institutional/departmental guidelines from which they are participating. Public displays of affection are not permitted in an academic setting. Attendance to class is expected. Many classes have a mandatory attendance policy. Students are responsible for knowing which classes require attendance as part of their final course grade. Students are urged to attend all classes. IMMUNIZATION RECORDS With the exception of online programs, all students are required to show proof of proper immunizations as required by the University. Students must provide immunization records, including Rubella, Measles, Mumps, Chicken Pox, Tuberculosis and Hepatitis B upon acceptance into the program. Without proper documentation being received by the respective program office, students will not be permitted to register for courses, attend class, or sit for exams or quizzes. HEALTH CARE Routine and emergency medical services are available to the students through the Hahnemann University Hospital or the Student Health Service of Drexel University. During the student s clinical practicum, emergency medical services are available through the facility s employee health services or emergency room. All full-time students are responsible for providing proof of medical insurance while enrolled in the program. Phone: Fax: STUDENT COUNSELING The Student Counseling Center offers a variety of therapeutic and academic counseling services, all free of charge, to Drexel University College of Medicine students. An exception is formal psychoeducational and neuropsychological testing, for which there is a fee. Center City staff provides professional and confidential assistance in a supportive atmosphere. The phone number for the Center City Hahnemann Campus is For more information please visit: STUDENT SAFETY The Drexel University Department of Safety and Health maintains and provides to the students a variety of safety educational materials and manuals which are available on-line on their website at STUDENT ROLE IN EVALUATIONS Student participation in curriculum and organization issues is valued and welcome. Completion of evaluation forms at the end of each semester/quarter. Class representative, individual, small group, or class meetings with the Senior Associate Dean, the Program Directors or Academic Administrator.

14 GRADUATE STUDENT GOVERNMENT The Graduate Student Association (GSA) is the student government organization of all the College of Medicine graduate programs. The overall purpose of the GSA is to promote communication, understanding and intellectual stimulation among graduate students, the University, and the community at large. All graduate students are voting members and are encouraged to contribute their time and services to the activities of the GSA. In the past few years specific effort has been made to encourage each program to designate at least one student to attend the monthly meetings of the GSA to ensure a broad based representation. The GSA elects student representatives as voting members for several standing and ad hoc committees of the graduate programs and the University. These appointments provide an avenue for students to actively participate in all levels of the University's governmental system and ensure that the graduate student body is kept informed of graduate program and University policy matters. Graduate students serving on such committees must maintain a minimum grade point average of 3.0. In the case where the GPA drops below the 3.0, the representative is required to resign their position and have it replaced by the alternate representative. The GSA sponsors annual events open to all students and faculty. The GSA sponsors and/or participates in inter- and intramural sports, Graduate Student Research Day (Discovery), Commencement and New Student Orientation. STUDENT PROGRAM REPRESENTATIVES Each class will select a representative who will interact with the program administration. The class representative is responsible for speaking on behalf of the class and presenting their concerns, requests, suggestions, comments etc., to the program administration. There are also one or more representatives to the Graduate Student Association. This may or may not be the same person as the class representative. In addition, the Institutional Animal Care and Use Committee (IACUC) typically has a student representative from the MLAS program GPA AND GRADUATION REQUIREMENTS All students are required to maintain a minimum GPA of 3.0 in every semester. Matriculated students whose semester GPA goes below 3.0 may be placed on academic probation. Matriculated students with a cumulative GPA of less than 3.0 for two consecutive semesters are subject to dismissal. A minimum graduate GPA of 3.0 is required to receive the program degree and diploma whereas a minimum graduate GPA of 2.75 is required to receive the program certificate. Additionally, all courses must be passed with a final letter grade of C or higher. All students must complete an application for degree form via DrexelOne no later than deadlines specified in the academic calendar. Students must be matriculated in his or her college or school during the last term in which coursework is taken. Students must receive final approval for graduation from their department representative. If a student completes all requirements for graduation in any term prior to the spring term, the degree will be awarded in the term in which the requirements are met. WITHDRAWAL OF A DEGREE The Program and University reserve the right to withdraw a degree even though it has been granted should there be discovery that the work upon which it was based or the academic records in support of it had been falsified. In such a case the degree will be withdrawn promptly upon discovery of the falsification.

ACTION FOR ALLEGET CASES OF MISCONDUCT A matriculated student will have the opportunity to present his/her version of any allegation of misconduct to a University Conduct Officer. ALCOHOL & DRUG POLICY Drexel University s policy regarding alcohol is consistent with the laws of the Commonwealth of Pennsylvania. The consumption, distribution, or service of alcoholic beverages must be in compliance with the Pennsylvania Liquor and Crime Codes, which define the lawful consumption and service of alcohol and prescribe sanctions for violations. The consumption, distribution, or service of alcoholic beverages must also comply with University regulations and policies found in the link below.

16 MSP PROGRAM The Medical Science Preparatory (MSP) program is a one-year graduate level certificate program designed to help students enhance their credentials for application to medical or other health profession schools by improving their science background and Medical College Admissions Test (MCAT) scores, (or other admissions test scores, i.e. DAT, OAT, GRE, etc.). Students in the MSP program should have completed the premedical science requirements and may need to enhance their science preparation in order to take or retake the MCAT or other admissions test. Those students who successfully complete the program will receive a Certificate of Program Completion. Requirements for successful completion are based upon students completing all course work with no grades less than a C (A C- grade is less than a C) and achieving a minimum graduate GPA of Students must also release their final MCAT or other admissions test scores following completion of the program. CURRICULUM OVERVIEW Students in the MSP program take four graduate level biological science courses from the disciplines of anatomy/histology, biochemistry/cell biology, pharmacology, and physiology. Also included are undergraduate level review courses in physics and chemistry, graduate courses in laboratory techniques, and community service. In addition, students enroll in a two-semester MCAT preparation course taught by Princeton Review. Through this course mock MCATs are given periodically throughout the academic year. These may or may not be computerized exams. Students are required to take the MCAT in the spring or summer, following completion of the program. Allowances may be made for students preparing for the DAT, OAT, or GRE. COURSES Advanced Topics in Chemistry I and II Advanced Topics in Physics I and II Concepts in Biochemistry and Cell Biology Lab Techniques in Biochemistry and Molecular Biology Graduate Pharmacology Special Topics in Anatomy Biological Function and Regulation Community Dimension of Medicine Strategic Concepts in Science and Verbal Reasoning I and II EXAMS, QUIZZES, AND GRADING MSP course exam and quiz schedules including any requirements and responsibilities will be handed out by each individual instructor in the course syllabus. There will be no make-up quizzes or exams offered for any non-medical reason including medical school interviews. If you are sick, it is the student s responsibility to contact the Medical Science Preparatory office administrator, Laura Mangano at Laura.Mangano@drexelmed.edu or at (215) , in addition to your course instructor PRIOR to the quiz or exam. All courses are graded with +/- letter grades, except for the Strategic Concepts in Science and Verbal Reasoning I and II, which is graded satisfactory/unsatisfactory. ACADEMIC REQUIREMENTS Successful completion of Part I courses (i.e. Advanced Topics in Chemistry I) are prerequisites for the spring semester. A student must pass the first part I of the course in order to enroll in Part II in the spring. All students requesting a letter of recommendation should notify their professors at the beginning of the semester. No recommendation will be provided until the student has completed the first semester courses and a FERPA form from the main office. It is the students responsibility to formulate a relationship with their professors during the fall and spring semesters.

17 PLEASE NOTE: Those who complete the MSP program with a 3.00 minimum graduate GPA and receive a 27 on the MCAT are guaranteed admission to the MBS program for the following year. Those students who complete the degree requirements during this second year will receive a Master of Science (M.S.) degree. Although students in good academic standing have the option of returning for the second year, they are not required to do so. Students failing to achieve the 3.00 minimum graduate GPA and/or the 27 MCAT will be reviewed on a case-by-case basis for consideration into the MBS program. Students taking the DAT, OAT, or GRE will be considered separately as well. 22 IMS/MBS PROGRAM CURRICULUM OVERVIEW: The Medical School s Interdisciplinary Foundations of Medicine (IFM) curriculum allows first-year medical students the opportunity to immediately begin confronting clinical issues. The Interdepartmental Medical Science curriculum follows the IFM curriculum. Clinical symptoms, symptom groups and cases provide the framework for an interdisciplinary presentation of curriculum content. Using symptom-based modules of varied length, basic science and clinical faculty present information from the biomedical and clinical sciences in a lecture-based format. Each basic science discipline teaches the material needed to meet its overall learning objectives in an order of presentation that best facilitates a student's grasp of concept and content. Discipline-specific and integrated lectures, labs, small-group sessions with both basic science professors and clinicians, and community-based clinical experiences are an integral part of the curriculum.
