2 P&P WORKSHOP Best Practices for Assessing Damages and Placing Bids

3 This presentation serves as a reminder to assess conditions both inside and outside along with what is expected in the bid and damage report content.

4 Vendor Management and The top reconvey reasons are listed below. These damages are awardable work to the P&P vendor network when bid and reported accurately. Mold Roof Water Plumbing Freeze Structural Furnace damage

5 Vendor Management and Identifying Sources and Subsequent Damages With every damage we encounter, there is a cause damage and a subsequent damage. All damages need to be accurately assessed, reported and bid. For example, a property has roof damage from a recent tornado. The tornado is the primary damage that caused the roof damage and subsequent interior water damage.

6 Identifying Exterior Sources and Subsequent Interior Damages Exterior It is important that any damaged areas discovered to the exterior have interior corresponding photo documentation and report notes on your PCR and transferred to Vendor Web whether subsequent damage is being caused or not.

7 Identifying Exterior Sources and Subsequent Interior Damages Common mirror damages are: Missing or damaged gutter/downspout systems causing interior subsequent water and/or mold Missing or damaged siding causing interior subsequent water damage Missing or damaged shingles causing interior subsequent water/mold damage

8 Identifying Exterior Sources and Subsequent Interior Damages Interior It is important that any damaged areas discovered to the interior also have corresponding photo documentation and report notes on your PCR and transferred to Vendor Web whether subsequent damage is being caused or not. Not all interior damage have an exterior source/cause.

9 Identifying Exterior Sources and Subsequent Interior Damages Common mirror damages are: Plumbing damage caused by freeze or theft causing interior subsequent water and/or mold Plumbing damage caused by Mortgagor Neglect causing interior subsequent water and/or mold

10 Now that the source and subsequent damages have been identified in the field, we ll look at examples of the PCR information and how it should transfer in your office to Vendor Web.

11 The following is an example of an incorrect source determination. The mold is not from humidity/no air circulation but is actually from the sump pump crock overflowing. The correct source selection should have been inoperable sump pump with verification the sump present is operable, replace using allowables if found inoperable and utilities on or being transferred.

12 This PCR reflects the incorrect source identified. The data is incorrect from the field and will be incorrectly reported up to our clients and investors exposing all parties to unnecessary risk and liability.

13 The corresponding Vendor Web update reflects the same incorrect information. This issue will be recurring potentially causing high dollar repairs needed to mitigate.

14 The following is an example of a correct source determination. The mold is from damaged downspouts causing water to collect in the exterior corner of this property. When correctly identified and bid, both the downspout work and mold remediation can be awarded to our P&P vendor network.

15 PCR sections for both mold and gutter/downspouts all reflect the same information. Below is gutter report and corresponding bid.

16 PCR section for the damaged downspouts and bid are consistent with the below mold information. This covers all bases source and bid to address; subsequent damage and bid to address.

17 Mold is now accurately reported and bid into Vendor Web providing a clear picture and action plan that we can take up to our clients and investors with confidence.

18 Proper Bid Content What information needs to be included in a bid and why? For an accurate bid we need three basic components: o Source o Scope o Supporting photos

19 Bid Content Source As discussed in this presentation, accurate identification of source is a key aspect to Property Preservation. Once the source is identified and addressed, the subsequent damage is no longer active to take from the property s value. While addressing the subsequent damage is important, our primary focus is stopping the source and preventing further damage.

20 Bid Content Scope When providing a bid a detailed and complete outline of scope needed is an upfront expectation of our Vendor Network. Lack of details given in the bid content is the primary reason for cut bids. This includes but is not limited to location, dimensions, all materials needed.

21 Scope Details Example The content of Bid A throws a red flag due to blatant scope and pricing discrepancy. The bid will be processed as it resulting in a reduction in the bid amount. On the other hand, the content of Bid B is complete. Accurately outlining all work to be done and justifying the cost requested.

22 Bid Content Supporting Photos Photo documentation is one of our largest areas of opportunity and reasons bids are reduced. You may accurately identify the source and provide a perfectly detailed scope description, however, if your photos do not support the bid will be reduced to what is visible in the photos or denied all together. As you are filling out the PCR, ensure you have photos to support your scope description prior to leaving the property.
