4 OVERVIEW Content management can help improve a company s profitability by improving communications with employees, partners, and customers. 6 As part of its content management solution, Documentum provides a universal content repository capable of storing and managing all content types from scanned images and XML documents to engineering drawings and rich media. The Documentum Content Server provides a variety of content services for categorization, distribution, transformation, and rich media support. To access content in the repository and use the Content Server, Documentum provides several applications that can be deployed on BEA WebLogic Server or BEA WebLogic Portal. The Documentum applications provide content management functionality in a variety of application contexts electronic document management, Web content management and digital asset management, records management to name just a few. These applications, running upon the BEA WebLogic Platform, can be made accessible to employees requiring only a standard Web browser for access. Documentum also offers a framework for managing all forms of content including multiple languages, and for integrating with back office systems and portals offering personalized access to content. The solution includes the following components, some or all of which can be integrated into an existing IT environment and integrated together into a comprehensive solution: Documentum Enterprise Content Management (ECM) client applications, running on BEA WebLogic Server. 7 Documentum Portlets for BEA WebLogic Portal, which provides a comprehensive suite of Documentum enterprise content management capabilities through portlets. Documentum Inter-Enterprise Workflow Services (IWS), which uses standard messaging protocols such as JMS, HTTP/S, SMTP and Web services (SOAP) to provide seamless connectivity between Documentum workflows and BEA WebLogic Integration enterprise processes. 8 Web Publisher: Gives non-technical business users the ability to create, manage, and publish content for multiple, multilingual sites using a standard Web browser. Webtop: Provides direct access to the Documentum repository and content management services from within a standard Web browser. Documentum Business Process Management (BPM): Enables companies to link content-related processes managed by Documentum with BEA WebLogic Integration, which controls enterprise-wide processes spanning multiple applications. Web Development Kit: The framework for Documentum Web applications, the WDK allows developers to customize and extend the BEA-Documentum solution. Documentum Collaboration Services: A new addition to the suite of content server functionality, collaboration services will become available across all clients in an update planned for the end of Support for collaborative workspaces, discussions and native access to content will be available. Built as an open, scalable solution (see Figure 2), the BEA-Documentum platform enables a business to leverage its current technology investments while also enabling rapid application development and deployment with a robust industry-standard Java 2 Enterprise Edition (J2EE) development environment, native Extensible Markup Language (XML) capabilities, and a serviceoriented architecture. 9 The BEA-Documentum solution gives developers the opportunity to leverage the world s leading, industrial strength application server, BEA WebLogic Server, which enables IT organizations to deliver enterprise class applications in less time with reduced costs while simplifying infrastructure complexity. The automation of content management enables a business to push information to its customers, employees, and partners faster and ensures that the content is accurate. In some cases it makes sense to deploy the, the Documentum applications behind a secure firewall and leverage the Documentum Caching Services to push approved content outside the firewall, where the content can then be copied directly to the file system of a BEA WebLogic Server for publishing online. Managers and their employees can use the Documentum applications running on BEA WebLogic Server to automate content creation, update, and approval process, and the applications publish content on the company s intranet for employees to use. The Documentum applications on BEA WebLogic Server can be configured to work with Documentum JDBC Services (see Figure 3), which offer the ability to access a Documentum repository as a data source. The service allows developers to create applications that connect to a Documentum repository, perform SQL queries on the repository, and dynamically display content. Note that while this method of integrating the BEA-Documentum content management solution is useful for creating custom applications for content management, Documentum Content Services for BEA, which works with BEA WebLogic Portal, offers a more simplified development environment for building queries and delivering content. The power of content management can extend much farther over the Internet to employees, customers, and partners by means of BEA WebLogic Portal. FIGURE 3. 10 DELIVERING CONTENT WITH BEA WEBLOGIC PORTAL Companies are moving quickly to create enterprise portals, and are looking to capabilities such as workflow automation, security, and version control to ensure that all content is trustworthy, accurate, and reliable. Effective, enterprise-wide, and scalable content management has become essential for companies implementing an enterprise portal. By integrating BEA WebLogic Portal with Documentum content management, an enterprise can combine the management of structured and unstructured content with business rules governing content access and services personalized by user profiles, so that the right piece of content can be delivered to the right individual at the right time. Documentum Content Services for BEA WebLogic Portal (see Figure 4) provides personalized content to users by enabling developers to create business rules that describe user preferences, and applications that query an underlying content source to return the content that each user wants to see implicitly or explicitly. The Documentum Content Services implements the BEA Content Management service provider interface (CMSPI), which enables developers to leverage Workshop to visually create and manage content queries that can access either a Documentum repository or an instance of Documentum s Caching Services balancing fast access to public information with secure access to protected data. 11 Personalization enables businesses to use profiles and usage-tracking information to make the user s experience with the portal more productive. For example, a financial services brokerage could implement a portal that offers different content based on the type of person logging in a customer could see published reports and research, while a service partner could have access to marketing programs not visible to customers, and employees of the brokerage would have access to internal documents not available to anyone else. If a customer spends more time in the certain section of the portal, a suggestion box might appear that recommends more content from that section. BEA WebLogic Portal includes tools that enable developers and business users to define rules to display content conditionally based on user and content characteristics. By directly correlating Documentum s comprehensive content metadata to BEA WebLogic Portal user profile tags, the integration enables the delivery of dynamic content relevant to individual users. BEA WebLogic Portal provides the ability to define properties that are associated with specific portal users. Each user has a profile that identifies allowable values for each property. BEA WebLogic Portal properties are then associated with object types and content metadata to create queries that compare allowable values for a property with the metadata values for a particular document in the repository, to retrieve the appropriate content. Documentum Content Services for BEA WebLogic Portal facilitates the retrieval of personalized content in two steps rule creation and query execution. In the rule creation phase, the BEA WebLogic Portal rules-based personalization tools allow the enterprise to create rules and queries for content, and directly relate the content metadata to the user profile tags. Given the rich metadata that can be stored in the Documentum repository, rules can be targeted, leading to a richer, more personalized experience for the end user. The content creators and editors use the Documentum Web Publisher client to publish content, and managers use Documentum Webtop, Administrator and Digital Asset Management tools to contribute and manage content. In the query execution phase, a simple BEA WebLogic Portal content/personalization tag placed in a JavaServer Page executes a rule or query. The rule or query then executes against a Documentum repository or Documentum s Caching Services server. Using these integrated tools developers can quickly and easily set this up in BEA WebLogic Workshop and remain insulated from the inherent complexities of J2EE. Documentum Content Services for BEA enables businesses to easily scale their support for an ever-increasing volume of personalized interactions on their Web sites and serve up trusted content pertinent to each user. 12 OFFERING CONTENT MANAGEMENT IN THE PORTAL Businesses can take the power of content management a step further with BEA WebLogic Portal and offer fundamental content management functions through the use of Documentum Portlets for BEA WebLogic Portal. Besides delivering the right content to the right people in a timely fashion, businesses might also want to use portals as centers for contributing content, updating important information, providing feedback, participating in structured workflows, and perhaps even reviewing and approving content. In cases where content contributors are spread out over remote locations or the organization manages multiple portals or multi-lingual portals, using a dedicated content management application may not be as efficient as providing contextualized content management functions in the form of portlets in a portal-based business application. Documentum Portlets for BEA WebLogic Portal (see Figure 5) provides a pre-packaged set of content management functions that can easily be exposed through the BEA WebLogic Portal infrastructure with an easy-to-use interface and a consistent look and feel. Documentum Portlets deliver powerful content management functionality that includes: Contribution, check-in, check-out, and version control of content objects The ability to act on workflow tasks, view notification messages, and check the status of active workflow processes A convenient location where the content most critical to daily activities can be accessed or tracked on a subscription basis A sophisticated search capability combining full-text and content attribute criteria In addition, Documentum s WDK for Portlets enables developers to customize the pre-existing portlets and develop custom portlets based on the Documentum content management services. BEA WebLogic Server Documentum Content Server Repository To illustrate by example, a manufacturer might implement a dealer portal for online procurement, training, technical support, and sales incentive programs for dealers and their employees. Using Documentum Portlets, the manufacturer can automate content creation so that dealers and their employees can create reports and business forms remotely using a Web browser to access the portal, without requiring specialized client applications. BEA WebLogic Portal provides the user interface for the content management functions. The portal can deliver a differentiated experience to its users, as well as an organized view of the applications and content they need access to. The portal can access a repository containing a wide variety of documents, including forms, policies, marketing collateral, purchase orders, photos, training videos, and executive correspondence. Documentum Portlets (see Figure 6) significantly reduce the need to create customized programming interfaces and integration code and are a fast and cost-effective way to expose content management functionality through an enterprise portal. The following portlets enable creating, locating, reviewing, revising, and delivering content securely and reliably: Cabinets: Displays folders and their contents, and lets users navigate, check in/check out, contribute objects, and update versions. Recent Files: A convenient location where users can view objects recently created/revised/ checked out, and view object format and locked/checked out status. 14 Inbox: Provides a place where users can forward, reject and dismiss workflow tasks, and view notifications. Subscriptions: Lists content and folders that the user is subscribed to (like a my favorites list) gathered in one location for easy access and monitoring changes. Workflows: Displays a list of active workflows and actions that can be taken on them. Browse by Category: Displays a navigable hierarchy of indexed categories for content in the target location and allows users to move through the categories to locate content. Search: Helps users quickly locate content with a sophisticated search combining full-text and content attribute criteria. In addition, Documentum offers the following Web Publisher portlets: Web Publisher: Provides users with a summarized view of Web Publisher, allowing them to easily view vital information such as the number of unread tasks. Submit Content: Lists all Web Publisher templates that a user is allowed to access, and a summary list of files created, published, and checked out. Published Content: Provides users with a list of published documents that are in active lifecycle state, with content grouped by category. Web Publisher Portlets allows developers to integrate publishing capabilities into their portal environments using a simplified and easy-to-use interface. Web Publisher Portlets offer the full capabilities of Documentum s Web Publisher to deliver content to multiple communication channels including the portal, corporate Web sites, and even mobile devices. Documentum Portlets are discrete components built on the Documentum Web Development Kit (WDK) in accordance with the Portlet Specification standard (JSR 168), which enables developers to create a one-stop-shop portal that can access multiple sources of content and run multiple business applications The portlets can quickly be incorporated in BEA WebLogic Portal and easily reused in multiple applications. Enterprises can further customize the portlets to fit their needs. Documentum Portlets for BEA WebLogic Portal give content authors and contributors a single, integrated portal desktop, with implicit and explicit personalization for more targeted and effective content delivery. The content management solution offers the ability to leverage existing information assets within the enterprise and distribute those assets throughout the extended enterprise. It offers a rapid development environment to build and deploy content-rich applications that enable the creation, management and delivery of any type of unstructured content from inside the portal. 15 COLLABORATIVE CONTENT WITHIN BEA WEBLOGIC PORTAL Documentum eroom is a highly flexible collaborative environment that enables people to work closely toward common goals, deliverables, and outcomes both within the enterprise and beyond. This may include external entities such as partners, suppliers, customers, and clients. These distributed teams need a way to work closely, productively, and creatively. They need to plan, collaborate, strategize, and make decisions as they design and build new products, coordinate their supply and demand chains, engage clients, and work on other key business initiatives. Highly relative aspects of these collaborative workspaces need to be available to end-users via the BEA WebLogic Portal. eroom is working to provide a suite of portlets that provide access to select eroom data. They can also be customized to meet a variety of needs such as multi-project dashboards. FIGURE 6. 16 DEVELOPING CONTENT-RICH APPLICATIONS The Documentum Web Development Kit (WDK) provides a powerful framework for rapid development of content-rich applications. Documentum WDK is a developer s toolkit, based on J2EE standards, which speeds development by providing over 170 pre-built, Java-based content management components. The library of components, which is part of the WDK, includes reusable, pre-built objects that perform the most common Documentum content management functions in fact they are the underpinnings for all of Documentum s Web clients. The WDK framework also provides developers with the ability to build custom applications using either the supplied or custom-built components. The components run on top of BEA WebLogic Server, the same platform that runs BEA WebLogic Portal. Therefore, developers can take advantage of one application server platform to develop and deploy both their portal and content management solutions. With these building blocks, developers can quickly create and deploy new portal and Web-based applications. The J2EE development platform allows developers to leverage the inherent scalability and high availability characteristics of BEA WebLogic Server, and enables easy migration for applications built on previous WDK versions by preserving existing customizations. In conjunction with WDK, Documentum offers the Business Objects Framework, which provides a proven scalable pattern for implementing content-management oriented business logic. By implementing this functionality in Documentum Business Objects, the framework ensures the integrity of all content-oriented transactions. This pattern allows for Documentum Business Objects to be associated with Documentum s pre-built Web applications as well as custom-built applications. Business objects are reusable functional units that allow developers to associate business logic with a Documentum repository type or a standalone service. The Business Object Framework, which resides within the Documentum Foundation Class (DFC) library, enables pluggable components that implement middle-tier business rules. Since the framework is part of the core DFC layer, the behavior is consistent across user interfaces, and the business logic layer is separate from the presentation layer. The Documentum service-based business objects (SBOs) act as building blocks for a content management solution, enabling developers to implement type-neutral service interfaces to content management functions and use pre-defined or custom developed services. Documentum offers a BEA WebLogic Workshop Control, provided as part of BEA WebLogic Workshop (see Figure 7), which enables developers to easily make use of the Business Objects Framework and reduce time spent in development. Using Documentum Business Object Control (DBOC) for BEA WebLogic Workshop, developers can access Documentum as an enterprise information resource, and use all service-based objects available which means they can integrate their solutions with custom ECM services even from third parties. DBOC provides quick and easy access to core content management functionality through the Business Object Framework. Using the DBOC, developers can easily include a Documentum Service Business Object (SBO) into a Workshop project and access just as if it were any other control type. The DBOC dynamically interrogates the local Business Object Registry so that developers can use both Documentum-supplied and third party custom business objects. 14 BEA WHITE PAPER BEA-DOCUMENTUM INTEGRATED CONTENT MANAGEMENT SOLUTIONS
18 CONNECTING CONTENT PROCESSES WITH ENTERPRISE PROCESSES Documentum Business Process Management (BPM) enables developers to automate contentcentric processes and connectivity to enterprise processes managed by BEA WebLogic Integration (see Figure 8). The Documentum BPM solution includes the following: Workflow Engine: Embedded in the Documentum Content Server, this proven, scalable engine provides execution and management of content-centric business processes, binding relevant content and data and performers to the process at runtime and controlling business and transition logic for simple serial process flows as well as complex parallel and conditional process flows. Inter-Enterprise Workflow Services (IWS): This is the glue that binds Documentum business processes to enterprise processes managed by BEA WebLogic Integration. IWS uses standard messaging protocols such as JMS, HTTP/S, SMTP, and Web services (SOAP) to provide seamless connectivity between Documentum workflows and BEA WebLogic Integration enterprise processes. BPM Tools: A rich set of tools to model and configure business processes, configure integration activities, track audit events, and report on active, inactive and completed process activities. Documentum IWS supports both inbound and outbound integration with BEA WebLogic Integration processes. It offers correlation between inbound and outbound events, full auditing, and automatic post-processing to link BEA WebLogic Integration process activities to content events in Documentum. For example, a report generated by SAP placed into a JMS message queue by BEA WebLogic Integration can be picked up by IWS and imported into the Documentum repository, where it can automatically invoke a workflow or lifecycle in Documentum. Documentum also provides a rich variety of Web-based interfaces for business processes, including Documentum Portlets, Webtop, Web Publisher, and Digital Asset Manager.
