UEVE and TEM s SDS doctoral school (ED 535) Following the August 19 th 2010 the Higher Education and Research Ministry s agreement, Télécom Ecole de Management (TEM) has the ability to enroll doctoral students and to deliver the doctoral diploma jointly with the Université Evry Val d Essonne (UEVE) in the subjects covered by the society for sciences (SDS said sciences de la société in French) and human sciences doctoral school s accreditation Training goals The doctoral program aims at delivering the doctoral diploma, which gives the doctor grade Doctoral school director and doctoral program director s roles The SDS doctoral school director is an UEVE s faculty member, named by the UEVE s faculty members. S/he is a member of the university scientific committee. S/he gives the final approval of the enrollments, theses defenses and extensions. TEM doctoral program director is a TEM faculty member, named by TEM s board. S/he heads SDS doctoral school, the research executive committee, and to TEM board committee. Her/his role consists in enrolling TEM s doctoral students, and the UEVE s management sciences students. S/he is in charge of the re-enrollment extensions, to plan the doctoral training, to check that thesis will be defended in good conditions, and every year to organize the thesis tracking committees. 2/23

3 2. Research students types and enrollments Admission to a doctoral degree can only be validated if the doctoral student respects the matriculation s requirement and pays the doctoral fees. Doctoral students have to justify of an annual financial support equal to doctoral contract. In order to be able to accept international applicants who are not EU citizens, Telecom Ecole de Management must fill out a "Foreign Applicant Form" requested by the Ministry of Economy, Finance and Industry, based on the interministerial instruction No. 486/SGDN from March 1, Then the School will receive - or not - the authorization from the French Ministry of Defense to enroll the candidate. Without this authorization, in no way can the candidate be admitted in the School Diplomas requested to enroll as a research student To enroll for a doctoral thesis, research candidates must have a Master 2. On the contrary, those justifying over five years studies since their A-Level must get an exemption to enroll. That is handling the following: A research work project (about 15 pages) to a expert named by TEM doctoral program director; An application file (including the research work project, CV, reporter s feedback, publications, etc.) approved by the research executive committee (CER in French comité executive de la recherche ). Once that process validated by a majority approvals, the enrollment is effective Registering the thesis subject To be sure about the thesis originality, the doctoral student must, after enrolling to the first year, check on that her/his subject is not already registered by another doctoral student. Any change (thesis title, director, etc.) must be justified by to the doctoral program director and to the doctoral school director via the research supervisor. 3/23

4 3. Studies organization 3.0. Supervision Research supervisor The research supervisor looks at the scientific work, supervises it, and commits her/himself on its quality. S/he is recognized by a scientific community, including the persons working on the thesis report and the jurors. The research supervisor s task is to orientate the doctoral student and to dedicate her/him an adequate part of her/his time. During the project, her/his role consists in: Referring on bibliography, the methodology and the scientific matters; Creating a research framework with the doctoral student (a three year must be enhanced through time); Challenging the achieved results discussing and checking them; Respecting the research project s deadlines; Enhancing the doctoral student s results (publications, seminars, patents, etc.); Handling material conditions for the doctoral student; Ensuring smooth relations with partners if existing, even delegating it to the doctoral student; Developing the doctoral student self-trust to achieve her/his project; Planning with the doctoral student her/his workload; Integrating the doctoral student in the doctoral program; Debating about the work opportunities; Advising on the doctoral training courses; Encouraging mobility; Introducing the doctoral student to the professional networks in order to fostering her/his work opportunities. The thesis supervisor has to ensure that the doctoral student takes initiatives and is creative. S/he has the duty to inform the doctoral school of work impairments, and to ensure that the reenrollment and the thesis defense are done. Overall, s/he has to plan the doctoral student publications. In case of disagreement during the first two years, the doctoral student is authorized to change her/his thesis supervisor. That means that s/he will have to notify her/his decision to the doctoral program director and the SDS doctoral school director. The thesis director can also stop her/his mentoring by notifying it to the doctoral program director and the SDS doctoral school director. According to the doctoral schools rules, a thesis supervisor cannot handle over eight human and social sciences thesis. 4/23

5 3.0.2 Thesis advisor As stated in the research student s enrollment form there is a minimum of 30% supervision ensured by the thesis advisor with the approval of the research supervisor who can prepare a research supervision grade (in French habilitation à diriger des recherches, said HDR ) 3.1 Planning of the doctoral program training The doctoral program training is planned over three years. The two first include three weeks per year dedicated to fundamental modules (see appendix 3); The third year (in case of an extension: the fourth) are on specific modules related to the subject (see appendix 3). The modules are taught in French and in English. Both languages deliver the same program, the English one is adapted to the French Pedagogical requirements The academic transcript is based on the European Credit Transfer Systems (ECTS). One ECTS is equal to about 25 to 30 working hours including learning activities such as: lectures, seminars, researches, etc. In order to defend a thesis, it is necessary to get at least 60 ECTS (30 for employees) Attendance Doctoral training s attendance is compulsory. Tests are done to check it. Nonetheless with the approval of the doctoral school, some students living far away from the campus can follow part of their doctoral training outside. 5/23

6 3.2. General conditions Co-tutorial A co-tutorial process between French universities as well as business schools and the foreign ones was created for doctoral studies. This co-tutorial process is ruled by the January 18 th 1994 decree on the creation of co-tutorial processes between French and foreign higher schools. Therefore a convention (see appendix 4 for the general information and requirements) bounds the two institutions with reciprocal principles Joint-supervision If a research student has two French research supervisors from two different French schools, a joint-supervision is required. The requirements are similar to the co-tutorial one. Therefore a reciprocity principle bounds each co-supervision by a convention Industrials conventions for research training (Conventions industrielles de formation par la recherche, CIFRE) Over 28 years old, research students can prepare their thesis while working and do researches outside their company with an external research team. Those conventions enhance business technological researches. Three partners are associated: a company the doctoral student the institution s research unit supervising the thesis (see general conditions and requirements in appendix 4) Doctoral contract Students can prepare their thesis with a doctoral contract (see general conditions and requirements in appendix 5). 6/23

7 4. Languages The doctoral thesis can be written and defended indifferently in French or in English. 5. Studies approval 5.1. Annual progression, re-admission The thesis tracking committee gives its approval research students to re-admit doctoral students to the following year. Its members meet once per year to check the doctoral student work s evolution. This committee has four to five persons: Two TEM faculty members; One UEVE faculty member working in the SDS doctoral school team; The doctoral student s thesis supervisor; If different, the supervisor. Each student presents her/his thesis progression. The approval to pass to the next year is given by simple majority at the end of each presentation following a public consultation and a private debate. If there is disapproval, the doctoral student, enable to re-enroll is excluded from the doctoral program Studies planning Doctoral studies correspond to three years of research work. Exceptionally, a complementary year can be granted following a request from the research supervisor, and the approval from both: the doctoral program director and the SDS UEVE/TEM doctoral school manager. 7/23

8 6. Diploma 6.0. Thesis work 6.1. Thesis defense request The research work project file has to be handed a month before the thesis defense. That means that the research candidate achieved 60 ECTS (30 if s/he is working). In conformity with the August 7 th 2006 decree, the research supervisor prepares the research work "defense project" according to the experts and the jurors suggestions. The research candidate is due to contact the doctoral school in order to know its expectancies regarding the thesis defense with a fully written request. Then, the doctoral school will deliver her/him an attendance certificate. Thus, the file has to be submitted digitally three weeks before the defense in order to register the authorization to defend. The defense s feedback/report is handed to the research candidate after the defense After the thesis defense When the thesis defense is over, the following documents must be signed and handed out to the doctoral program director: Thesis defense s statement; If necessary, the complementary report justifying the merit; The juror s approval on the thesis copyright. Following the thesis defense s statement and the complementary report reception, the doctorate certificate is edited. In order to deliver the doctorate diploma, the thesis defense report and the thesis copyright form have to be handed to TEM library. 6.4 Thesis copyright In conformity with August 7 th 2006 decree concerning the copyright conditions, TEM ensures that thesis have an electronic register. Therefore, the final matriculation digital and hard copy is done a month after the thesis defense (three months if changes are required by the juror). 8/23

10 Appendix 1 THESIS CHARTER Télécom Ecole de Management Adopted by the Internal Research Committee on October 31 st, 2001 In conformity with the decree dated March 30 th 1992, this charter aims at providing a formal definition in a single document of the rights and responsibilities of all parties involved in preparing a research thesis, as defined in the decree of September 3 rd, 1998 decree. Elaborating a thesis depends on the research supervisor and the research student s agreement. Their agreement will define the research and the general principles necessaries to the development of the thesis. Both the research supervisor and the student have important rights and duties. This charter defines their engagement, incorporating a deontology applied throughout the school and its governing institute. Its goal is to preserve and ensure the school s excellence in research s intellectual contributions. Télécom Ecole de Management considers it essential to respect the established principles to defend a co-tutorial thesis. From the beginning this charter is signed by the doctoral candidate, her/his research supervisor, and the associate dean for the doctoral school. The aim of a research supervisor and a doctoral school director is to obtain funds for the research students looking for a professional position. From an initial stage, the resources available should facilitate the research student s professional development. Once enrolled in the doctoral school, the doctoral candidate has to follow the policies on teaching and conferences/seminars activities. The thesis advisor may suggest complementary training programs to improve the candidate s scientific skills and competencies. These trainings, certified by the doctoral school director, will enhance the student s opportunities and aim at ensuring her/him a work upon completion. Likewise the doctoral candidate will, with the help of the doctoral school and Télécom Ecole de Management, contact potential employers (laboratories, universities, companies in France or abroad). This strategy should include participation in doctoriales, school-sponsored conferences, seminars and other activities. According to the specificities and the laboratories, these additional training programs may include a stay at a company or a laboratory overseas. 1. The thesis, a step to a personal and professional project A personal and professional project frames the thesis goals and ensures its excellence. This includes defining the overall scientific focus of the thesis and the general conditions in which the candidate will prepare and submit it. Télécom Ecole de Management, including the research supervisor, the doctorate program director, the doctorate school director and the relevant departments, undertake to provide based on national data a sound basic knowledge of academic and professional development for doctoral students. Whereas the doctoral student undertakes to respond to any career surveys whether they come from the school, the alumni association or other researchers. So that s/he accepts to respond to enquiries from young research students seeking advice or assistance informing her/his primary thesis advisor as well as his doctoral school director for four years after graduating. The future research supervisor will inform the applicant on the general conditions to prepare her/his thesis: ministerial research grants, regional scholarships, industrial scholarships, charity scholarships, industrial research training contracts, etc. 2. Subject and conditions of thesis realization Admission means the doctoral candidate has defined her/his research topic, its context and the host institution. The research must be original and informative. The topic must be subject to an agreement between the research student and her/his supervisor and formalized upon enrollment. The supervisor must define and collect the general conditions to enable the student to work within the defined timeframe. Therefore, the research student will be completely integrated within her/his host institution, where (s)he can use the same facilities as the permanent researchers to do his/her research work (materials, ICT tools, documents, possibility to participate in seminars and conferences and to present his/her work in scientific meetings, be they congresses for research students or larger meetings). Any particular work requirement must be detailed and appended to this charter. The research student commits him/herself to respect the general policy and contracts of Télécom Ecole de Management, its laboratory and the doctoral school s specific policies, the rules concerning confidentiality, intellectual property and industrial property of the host laboratory, and the school s ICT user guide. 11 3. Supervision and thesis tracking Télécom Ecole de Management shall inform the doctoral candidate of how many theses her/his supervisor is supervising. The research student has a right to personal supervision and mentoring from her/his research supervisor who is bound to dedicate her/him time. Both the student and thesis advisor should specify in writing the frequency of their meetings. Obviously, the research student will be required to dedicate his/her time to her/his thesis. S/he must inform his/her thesis advisor of any difficulties. The doctoral candidate is committed to hand in at least one report per year and to submit his/her work to the thesis tracking committee. The research supervisor is also engaged in checking regularly the progression of the candidate s work, in reading and criticizing her/his submissions with a reasonable time, in debating with the candidate new orientations according to the results achieved. The research supervisor has the duty to inform the student of any compliments, positive feedback or objections and critics that his/her work engenders. 4. Research structuring process The authorization to defend a thesis is given by the doctoral school director after approval from the doctoral school program director of Télécom Ecole de Management. Before hand, the works of the doctoral student are checked by two experts supervising researches, named by the research supervisor following the recommendations of the SDS doctoral school director and Télécom Ecole de Management doctoral program director. At least a third of the jury must be from outside the SDS external, and the entire jury must not exceed six members overall. Jurors must be experts in their academic fields and not involved in the doctoral candidate s research, except for the research supervisor and the program director. 5. Thesis time length A thesis is one step in the research process. The doctoral candidate must respect the deadlines according to the spirit of the doctoral program and her/his interest. The thesis submission is due within three years of enrollment. At the end of the second year, the deadline may be extended if necessary. Extensions can be granted upon the candidate s request (if justified), following the primary thesis advisor s approval. This extension does not guarantee that funding will continue. Extensions are exceptional. They are proposed to the doctoral school following the doctoral program director and following a meeting with the research student and her/his research supervisor. They apply in certain circumstances, such as work restraints, specific research areas, risks taken, etc. An extension shall not modify the nature of the research or the candidate s engagement as defined in this charter. In all cases, enrollment in the doctoral program requires that the student reapplies each year at Télécom Ecole de Management. To respect the timeframe, the research student and the thesis supervisor have to respect their engagements on the time necessary to conduct the research. Failing to respect these engagements will imply mediation between the research student and her/his research supervisor. Publications, patents or industrial reports show the thesis quality and impact either from the thesis itself or from articles published during or after the thesis. The doctoral student s name should appear among the co-authors. The confidentiality, intellectual property and industrial property rules are those used at the host institution. 6. Mediation process If there is a disagreement between the research student and the supervisor a mediator can be contacted. In all cases, s/he will listen to all parties and propose a solution. Mediation does not in any way change the responsibilities and duties of the parties to this charter. The mediator aims to be impartial, and s/he is chosen among the doctoral school members. If mediation fails, the research student or any other party may contact the SDS doctoral school director who will listen to all, aid and propose a solution. 7. Particular disclosures All Télécom Ecole de Management s theses that take place out of the campus must be subject to a specific contract. 13 Doctoral Training Planning Academic year: 2012 / 2013 Appendix 3 In the Science des Sociétés (SDS) doctoral school, TEM offers to its doctoral students and those of the UEVE a full range of trainings, in term of research s content, methods, tools or skills. Each research student has to validate its trainings with 60 ECTS (30 for workers). Those credits are awarded following other doctoral schools trainings. TEM management doctoral students have during the first year three weeks fundamental courses (except from workers and non-french speakers). The other trainings are in option. If possible they are provided during dedicated weeks to ease their access to students working or not living next to Evry. At the end of each academic year, the research students present their work development. 14 Fundamentals Academic year: 2012 / 2013 The first year of research is based on the fundamentals modules. It aims at exchanging on the epistemology and the research process, as well as helping the doctorate students to look further and to improve her/his research project. Several meetings with researchers from different backgrounds allow them to confront approaches. It provides a good environment to socialize, initiates research students to become researchers, and encourages them to develop team work. Those thirty hours modules are compulsory during the first year (except for working and non-french speaking students). In the second year the SDS modules are limited to 16 persons. The last three weeks are dedicated to students who prepared a personal work. That means: in the morning presentations and debates with researchers (internals and externals), representatives of different approaches and methods. Whereas the four first afternoons the research students present to their classmates and known researchers a work linked with their research. The fifth one is dedicated in debating in groups with a researcher. Fundamentals 1: Theories and research design Coordinator: JL Moriceau, for 30 H, ECTS: 10. The research students presentations are on books theories critics. This aims at discovering books, using new ideas and questioning theories. Fundamentals 2: Research methods Coordinator: JL Moriceau, for 30 H, ECTS: 10. The research students presentations are on research methods and the coherence between research question, methods, and the researcher s position. This enables to understand how a generic method really applies, and discuss on difficulties. Finally, the doctoral students get to know more about the various methods, as well as the required reasoning. Appe Fundamentals 3: Analysis and interpretation Coordinator: JL Moriceau, for 30 H, ECTS: 10. The research students presentations are on analyzing and the giving their understanding of case studies through questionnaires, interviews, observations, pictures, etc. They will develop their cognition; demonstrate their rigor, improve their leadership defending their views, and solving issues. Overall that module questions the relation between chosen methods with the expected interpretation. 14/23

15 Appendix 4 CIFRE Contract Reminder of the CIFRE contracts: Fund by a company (3 years fixed term contract or unfixed one) with grants from the ANRT on behalf of the Ministry; Amount of the help: minimum annual gross salary Euros; Public targeted: research student willing to prepare a thesis in partnership with a company; Duration: 3 years maximum; Requirements: the candidate must have a recent Master and not being enrolled on a doctoral since over a year; Deposit request: 4 copies of the full application to send to the ANRT (41, boulevard des Capucines PARIS, France). 17 Appendix Academic 5 Doctoral year: 2012 contract / 2013 Contract purpose: The research student... dedicates her/his research on preparing her/his doctorate. Madam/Mister will have, according to the contract (A or B), one or a few complementary missions, including but not limited to the following: Teaching as a part of a pedagogical team; Diffusing scientific and technical information; Enhancing the technical and scientific results; Giving her/his expertise to a company, a public service, an administration, a public institution, a charity or a foundation. Various dispositions Thus the following dispositions fully apply: The decree n of April 23 rd 2009 on research student contracts from public higher education or research institutions; The decree n of January 17 th 1986 on the status of civil servants non-permament except from the articles 1 st, 1-2, 1-3, 1-4, 4, 5, 6, 7, 8, 9, 22, 28-1, 29, 45, and the titles VIII bis, IX, IX bis et IX ter; Of the Institut Mines-Télécom management solely for those having the following status: o Title 4 : exclusivity and professional secrecy; o Title 5 : intellectual property; o Title 9 : professional journeys; o Title 11 : holidays chapter I : paid holidays; o Title 12 : social protection and action legal protection; o Title 13 : unions except the article 73 on the fair consultancy commission (the CCP that is commission consultative paritaire in French); o Title 14: public liberties. 17/23

Here afterwards known as «the Parties» Preamble: In conformity with the policy applying to the respective countries, it is agreed that: TEM relates to the January 6 th 2005 decree concerning international joint supervision thesis on doctoral training; Statutory texts for the partner institution (if relevant): Article 1: Purpose This convention aims at defining the general conditions of the international joint supervision thesis on behalf of Miss / Mister... to defend her/his thesis on the following subject:.... Article 2: Administrative conditions 2.1 This joint supervision starts on / / 20 (dd/mm/yyyy) and lasts three years. However, this duration could exceptionally get one year extension by an agreement between the two parties: Failing over the three years, the doctoral student enjoying an extension according to the national process. 2.2 The doctoral student is enrolled in both universities. (S)he is exempt of registration fees in... (partner institution) will approve to exonerate her/him of her/his tuition fees. 2.3 The research work will take place in TEM (France) and in... (partner institution) by alternated periods, for months per year stay in France and months per year in 20. 19 2.5 The doctoral student is responsible of her/his personal expenses (housing, foods, travel, insurance, etc.). TEM and... (partner institution) will arrange the other necessities during her/his stay. 2.6 The doctoral student will have to respect each national institution s administrative conditions and legal requirements. 2.7 The institutions commit themselves to define an credit transfert system to adapt it to the doctorate. 2.8 The publication work and the intellectual property are owned by the institutions research departments assigned to their countries legislation. Article 3: Pedagogical conditions 3.1 Thesis supervisor: According to TEM, Miss / Mister..., professor in TEM supervises... s thesis. 3.2 Doctoral student s engagement:... undertakes to respect TEM s doctoral program expectancies. That includes signing, respecting TEM doctoral program regulation, and the thesis joint supervision, attending the doctoral training, and the publishing requirements. 3.3 The authorization to defend a thesis and the oral presentation process are ruled by the two institutions national laws, presented in this convention. 3.4 An annual report will present the thesis evolution. 22 General conditions to defend a thesis Appendix 7 TEXTS REFERENCE Doctoral training order of August 7 th 2006 Article 18 The authorization to defend a thesis is given by the institution dean, after the approval of the doctoral school director, following the research supervisor (named by the dean) recommendations, habilitated to supervise researches or being one of the mentioned types in the article 17 ( ), on doctoral school director recommendations, following the research supervisor. The experts must be doctoral school and the institution externals. Experts from higher education or foreign research institutions can be contacted. The experts take on informing their approvals with a written report handled by the dean to authorize the thesis defense, following the doctoral school director agreement. These reports are communicated to the jury and to the candidate before the defense. Article 19 The thesis juror is named by the dean following the doctoral school director and the research supervisor s views. The juror is limited to 3 to 8 seats. That means half of it includes French or foreign personalities, external of the registered institution, chosen for their scientific skills, based on the joint-supervision thesis agreement ( ). Half of the juror includes professors or teachers as designed by the universities national council or teachers of the same level who do not depend on the higher education ministry. The jurors members name a president, and on the contrary, a defense expert. The president is a professor or acting executive or a teacher from the same level as mentioned the last paragraph. The research supervisor, if s/he is part of the juror, cannot be chosen defense expert, nor as juror president. Article 20 The defense thesis is done in public, unless an exemption exceptionally given by the dean if the thesis subject requires confidentiality. Before the defense, a short description of the thesis is disclosed in the institution (...). After the defense, the thesis disclosure is ensured among the academic community. During the debates, the juror appreciates the research candidate s works quality, its ability to place them in a scientific frame, as well as her/his presentations assets ( ). The president signs the defense report, countersigned by the jurors. This report mentions one of the following honors: cum laude (with honor), magna cum laude (with great honor), summa cum laude (with great honor). The highest honor, for doctoral candidates having exceptional skills proved by their works and the defense, can only be given after a juror s secret and unanimous ballot. In such case, the juror jury prepares a supplementary report justifying that distinction ( ). 22/23
