2 How to Use This Plan Disasters take many forms and require response at multiple levels. For disasters that threaten employee well-being, Company Name formal written Emergency Preparedness Instructions take precedence over operational issues covered in this plan. Once immediate emergency response has been made, operational matters will be addressed through this Business Continuity (BC) Plan. All employees should review the BC Plan for background information. The (title or name of person) administers this plan. All managers and leaders should review this plan and create a unit-specific plan for their Natural Work Teams. All Company name managers perform one or more roles when responding to an event an Company name - Wide Business Continuity role, a Critical Business Function role, and/or a Natural Work Team role. With the lists below, determine where you fit in. Refer to the Business Continuity Roles Chart on Page 2 for guidance and team acronyms. A. You hold an PROVIDERS NAME -Wide Business Continuity Role if you are one of the following: Crisis Management Team President of Company Name General Counsel of Company Name Human Resources Director of Company Name Vice-President of Business Operations of Company Name Crisis Advisors/Specialists Director of Facilities and Transportation Department Director of Information Systems Department Director of Safeguards and Security Director of Environment, Safety, and Health Employee Notifications Team Director of Communications and Marketing Team (CMT) to be assigned by CMT on case-by-case basis Company Name Status Coordinator (to be named by Crisis Management Team) B. You hold a Critical Business Function Role if you are a manager responsible for: Employee Issues Office of Human Resources Payroll Payroll Office See flowchart Travel Needs Travel Office and instructions Procurement Procurement Office Page 6 Business Communications (Event Response) CM Business Communications (Voice/Page) Telecommunications/ISD Computer and Network Capabilities Information Systems Department Office Facilities and Equipment Facilities & Transportation Department C. 4 Introduction The main section of this document provides you with a visual diagram of the process flow followed by a written description of that process. The reference section of this document provides you with information and forms to ensure business continuity in a disastrous event. The process flowcharts for three leadership roles are: 1. Company name -wide Business Continuity Role 2. Critical Business Function Managers 3. Natural Work Team Managers Potential disasters that could disrupt Company Name business Natural Disasters o Tornado o Earthquake o Flood o Winter Storms Hazardous Material Event Terrorism Civil Disobedience Malicious Act Who to Call: Fire Department: 911 Ambulance: 911 Police: 911 Watchforce Guards: Nurse or Medical Facility: Information Systems Security: See Also Badge Emergency Card
5 Company Name Business Continuity Flowchart Event will trigger formation of Crisis Management Team based on availability of members Will event affect operations at worksite? NO Use normal Company Name emergency responses Crisis Advisors (CA) YES CAs collect information on event impact, duration for CMT -Facilities (FTD, ESH) -Computer network and services (ISD) -Utilities (FTD, ESH) water, phone, gas,electric,sewage -Road conditions (HR, FTD) -Other safety/security issues - (S&S, ESH, FTD) Crisis Management Team Review information from CAs to make decisions A. Operational Decisions -Will this prevent attendance at work site? -Which sites are affected? -Will we close? (pay implications) -Will we work at alternate site(s) such as homes, rented office space? B. Communication Decisions -Assign OSC to gather and relay reports from field -Determine best level of communication (i.e., calling tree vs. media) -Determine frequency, content of reports from OSC -Create message content Activate Status Coordinator and continue to review reports and make decisions Communicate decisions to Employee Notification Team Employee Notification Team (ENT) Communicate per CMT instructions CM - , if available -Newsline, if available -Phone/pager tree for all Directors -Radio/TV "closings list" - Company Name website, if available OHR - Voic Message - Post notices at keypads
6 Company Name -Wide Business Continuity Role If you are a member of the Company Name -Wide Business Continuity Team, your purpose is to lead the company through the crisis by: Staying safe Assessing and deciding on alternatives to normal workplace assignments Continuing normal operations Providing timely information to employees suppliers customers public Maintaining records for successful tracking and recovery of data once the disruption has been resolved Ongoing Maintenance and Testing of the Business Continuity Plan The Company name president has named the Director of Business Operations (BusOps) as the senior manager in charge of the Business Continuity Plan. In this role, he/she will Maintain an Company Name Business Continuity Policy Assure broad communication of the plan to Company Name employees, managers, and stakeholders Assure scheduled periodic reviews of the plan contents for accuracy and completeness Conduct testing activities, including documentation of outcomes and changes, to determine effectiveness of the plan and readiness of resources Business Continuity Exercise Company Name -Wide Business Continuity Team An exercise will be conducted at least annually. The exercise will be a tabletop review or simulation of a mock disaster scenario. All key players will participate in the test supported by a drill master, timekeeper, at least two observers skilled in the BC process, and a recorder to maintain documentation of the events. Run the simulation, hold a lessons learned review of the exercise, and make modifications to plans as required. The exercise may need to be repeated if the process is revised as a result. Document the exercise as part of the BC Plan maintenance cycle. Exercises for Individual Critical Business Functions and Natural Work Teams A similar exercise will be conducted for the individual Critical Business Functions and Natural Work Teams. The smaller teams may use either the written materials from the Company Name -Wide Business Continuity Team exercise or design their own. Documentation of the test and resulting changes to the plan must be forwarded to the Business Continuity Manager (Director of BusOps) for archives.
7 Critical Business Function Managers If you are one of the Critical Business Function managers, your purpose is lead one of the company-critical support groups through the crisis by: Staying safe Maintaining operations for important company functions Assessing and providing needed supplies and resources Maintaining Records for successful tracking Providing timely information to employees and suppliers Providing timely information to the Status Coordinator
8 Natural Work Team Managers If you are the manager of a Natural Work Team, your purpose is to lead your team through the crisis by: Staying safe Providing important functions to your customers, as capabilities permit Assessing your current requirements and communicating your needs to the Company Name Crisis Management Team (CMT) Continuing normal operations as much as possible Maintaining records for successful tracking Providing timely information to employees and customers Providing timely information to Company Name Status Coordinator via your team s Reporter
