2 Class Parent Duties and Responsibilities The class parent is one parent in the classroom whom the teacher can call on to arrange for help with class projects, prep work, field trips, hot lunches, etc. The class parent is the liaison between the parents in the classroom and the teacher(s). The duties of the class parent will vary according to the teacher. You may wish to work with one or more parents in the class but it is the teacher s wish that there is only one class parent that they directly work with. Please take the time to communicate with your teacher as to what type of help he or she may like. Please be respectful of the teacher s class time and try to communicate with them at their convenience. This could be before or after school or via the telephone. The following guide will give you a brief overview of the different activities or tasks that will need the assistance of the class parent. There will probably be some activities over and above these mentioned that your individual teacher will require your assistance. CLASS LIST Once you have been confirmed as a class parent it is your responsibility to collect information from each family in your class to compile a contact sheet. A letter is attached for you to use for this. When your class list is complete you can either or send a hard copy to each family, as well to the teacher. SAMPLE

We have many opportunities to be a part of the activities that our school puts on throughout the year. Our lfes.hotlunches.net website is the first thing you can do if you haven t already. You can go on the website and register your child in his/her class. Because our school has many opportunities to help out, such as class parties or helping with our Fundraising activities, or just giving out important information from the teacher or school, I am making a contact list for our class, so I can communicate to you what may be going on. If you haven t already registered your child on the website or you didn t leave contact info on the website, please fill out the bottom of the form and return back with your child, or you can me. I will be making the list and sending it out to all of you so we can communicate as a class. 5 FALL FUN FAIR This is our first big event of the school year and it requires a lot of parent volunteers in order for us to be to go ahead with it. Each class is assigned a particular game/station and is responsible for finding volunteers for specific time slots. Once you have met with the Class Parent Coordinator, she will let you know what your station is and provide you with a sign up sheet that you can use. This event requires you to be out there and letting parents in your class know when it is, what they can do to get involved and how important parent involvement is. SPORTS DAY Sports day events are organized by the teachers at LFES. The class parent is responsible for making sure that the shift schedule is filled up with parent volunteers. You are also responsible for making Rice Krispie squares for recess snack on the day of Sports Day. Lunch is paid for and provided by the PAC free of charge. This includes hot dog, chips, drink and a freezie. TEACHER S GIFTS This is a time to give back to our teachers. It has become popular to do a group gift. For Christmas time and, at the end of May, beginning of June you can send a note home letting the parents in the class know you are collecting donations for a group gift. Best to give a couple weeks before you want to give the gift to collect the money and have time to purchase or make it. Every parent can give what they feel is appropriate, or suggest an amount that may work (ex: $2-$5 from each child) and some parents may wish to do their own gift. Your teacher s colleagues can often help with gift ideas and gift certificates are always a popular idea and easy! Students enjoy signing a special card for their teacher. Just remember to keep this a positive time of giving.

6 HOT LUNCH The morning of hot lunch there is always a need for volunteers to help with sorting and organizing the food for that day. Parents can sign up online to help with this time. You as a class parent are responsible for having 1-2 parents there at lunch time to pick up and distribute the food for that day. Arrive at 11:50 to pick up your hot lunch from the kitchen and deliver to your classroom. Please note that the students are not allowed to help with picking up hot lunch from the kitchen. This is only to be done by an adult only. Place the orders on each child s desk. If you are missing any food items, please bring the order form to the kitchen for exchange or pick up. Please return all empty boxes, trays etc to the kitchen. Some teachers like you to stay and help with clean up. CLASSROOM PARTIES AND CELEBRATIONS These will vary greatly from class to class. You need to check with your individual teachers as to their expectations.

7 THE CHRISTMAS TEA This is one of the main fundraising and community events at our school. Each class is responsible for making a craft to sell at the tea. You are responsible for coordinating this. Each child will make 2 of the same craft. The parents will get the first chance to purchase the crafts through the classroom and the remaining crafts will be available for sale at the tea. Once you have finalized the craft you are making, you must get it approved by the Class Parent Coordinator before going ahead and purchasing all the supplies. A lot of times you can get items donated. You will need to arrange a convenient time with you teacher to make the craft during class time. It is important the children can make this craft on their own or with little help. There is an idea book with photos of crafts made in the past. This will be available to look at in the parent room. The Christmas Craft By the end of September you should be checking with your teacher and gathering ideas for your craft. All crafts need to be approved by the Class Parent Coordinator and the Christmas Tea Committee. This is to avoid duplicates and to make sure that it is sellable. You can start collecting your supplies any time after the craft has been approved. Check with parents in your class for donated supplies or ideas. The budget for the Christmas craft this year will be: Kindy Grade 3 $70.00 per class $1.55 per craft Grade 4-5 $ per class $2.00 per craft

8 All receipts must be kept and you will not be reimbursed for any reason if your amount exceeds the limit. The treasurer would like all receipts to be kept separate from personal purchases and that includes subtotals. We have to keep the receipts for our records and it makes it easier if expenses are on a separate receipt. Thank you. Keep in mind there are some supplies in the PAC room, paint brushes, glue guns etc. If you return any supplies not used for a refund, we also need this receipt to be included with your reimbursement form. SAMPLE CRAFT DUE: Dates are to be announced-each year is different. CLASSROOM CRAFT DUE: Please bring a sample of your craft to the PAC room for pricing. At this time please have your cost sheet filled and include this with your sample. Once a price has been determined, you can send a letter home to the parents. I have enclosed a sample. Classroom crafts must be completed by date to be announced. Unsold crafts and monies collected can be turned into the PAC room, date also to be announced.

10 Reimbursement for Christmas Craft Expenses Please get a separate receipt for expenses (please do not purchase personal items on same receipt.) Expense form is available online at the hotlunches website under documents. If you return any items that were purchased on the original receipt, please include the refund receipt. Maximum reimbursement: $70.00 Primary Grades ($ per class) $ Intermediate Grades ($ per class) Once you have completed all of your shopping for your craft then it is ok to submit your expenses for reimbursement. Fill in all information on the reimbursement form and attach receipts. Return to the Class Parent Coordinator for approval of expenses. A basket is provided in the PAC room with my name on it. A cheque will be issued once the expenses have been approved for payment.

11 SAMPLE Hi Everyone, The upcoming 2 weeks will be busy with the Christmas Tea happening on Friday, November 30 th. I hope everyone has had a chance to sign up for some sort of involvement in the Tea, because it is truly a rewarding event as well as a huge fundraiser for our school! We have completed our class craft. The craft will be available for you to purchase from Wednesday, November 10 th to Friday, November 19 th. The cost will be each. If you wish to purchase your child`s craft and are not able to make it to school personally, please send money into school in a clearly marked envelope with your child`s name on it and the craft will be sent home. 12 SAMPLE Hi Everyone As the year comes to a close, it is that time again to show appreciation for your teacher. I will be organizing a group gift. If you would like to be included in this, please send in any amount you feel appropriate in a marked sealed envelope with my name on it by date, so I can have time to purchase the gift(s). I would like to present the gift to the teacher on this day so if you would like to be there too, that would be great! Any ideas are always welcome.
