1 Microsoft Publisher 2003 Overview: Participants will learn how to create brochures and newsletters to support parent-teacher communication and for student projects. 3 Getting Started To Open Publisher: Click START PROGRAMS MICROSOFT OFFICE 2003 MICROSOFT PUBLISHER (Sometimes it will be located in the Programs list) This is what you will see when you open Publisher You will use the Task Pane on the left side of the screen to make your selections. Task Pane There are 4 types of new documents you can create listed at the top of the Task Pane under NEW FROM A DESIGN: Publications for Print [offers a layout for a variety of publication types with picture and text placeholders to create personalized publications] Web Sites and Design Sets [helps create a set of publications, such as letterhead, business cards, and brochures, all with a common design theme] Blank Publications [allows you to create your own publication without a wizard] 3

6 Select Objects Text Box Table Word Art Insert Picture (Clip Art or Picture from File ) Line Drawing Tool Arrow Tool Circle Tool Rectangle Tool Auto Shapes Design Gallery Object Publications for Print Publications for Print are excellent resources because you can choose a layout you like and add your information to it. You can also change the color scheme, fonts, and other aspects of the publication very easily to suit your needs. Selecting a Publication to Edit 1. Open Publisher and select Publications for Print 2. Select the document you want to create (for this example, we ll select NEWSLETTERS) 3. Left click to choose the layout/design you want from the right side of the window. 4. Fill in the information in the PERSONAL INFORMATION box that pops up (or to continue, just click OK). 6

7 5. In the Task Pane on the left side of the screen, you will see a list of options you can change: a. Click NEWSLETTER OPTIONS to choose how you plan to print the publication (one or 2-sided printing) b. Click PAGE CONTENT to choose the number of columns you want on each page c. Click PUBLICATION DESIGNS if you change your mind about the design you chose d. Click COLOR SCHEMES to choose the color palette for your publication e. Click FONT SCHEMES to choose the font styles you want 6. Then click and type information where you see placeholder text 7. Right click pictures you would like to change and select CHANGE PICTURE CLIPART or FROM FILE 7

8 Customizing Your Publication 1. Zoom in/out by clicking the plus and minus signs on the STANDARD TOOLBAR 2. To move from page to page in your publication, click the page numbers at the bottom of the screen under your document. 3. Remove unwanted pages by clicking on the page you want to remove and then click EDIT DELETE PAGE 4. Add extra pages by going to the last page of the document and clicking INSERT PAGE MORE OK (or you can make appropriate selections from the box that pops up) 5. Insert a Drop Cap at the beginning of an article: Click FORMAT DROP CAP 6. You can also create a CUSTOM DROP CAP 7. REMEMBER: Save early and save often!! 8

9 Blank Publications In this example, we ll create a trifold brochure Open & Set Up a Blank Document 1. Click BLANK PUBLICATIONS & choose a publication (we ll pick FULL PAGE by left clicking that choice in the Catalog Window) 2. Click FILE PAGE SETUP and click LANDSCAPE to change the orientation of the page 9

10 3. Click ARRANGE LAYOUT GUIDES to set up the margins for your trifold brochure (to guide your placement of the objects on the document) a. MARGIN GUIDES Tab: set up your margins so they are.5 (use down arrow to set each margin) b. GRID GUIDES Tab: make 3 columns using the up arrow next to the number of columns 4. INSERT PAGE OK Adding Text To add text to your blank publication, you need to add TEXT BOXES: 1. Click the TEXT BOX button 2. Click and drag a text box over the spot on the document where you want the text to appear 3. Click inside the box and type 10

11 Connecting Text Frames What are connected text frames? When text frames are connected, text that won t fit into the first text frame automatically appears in the next text frame. A chain of connected text frames can span multiple pages and have numerous columns. If text frames are connected, they will have the Go To Next Frame and Go To Previous Frame buttons on the lower-right or upper-left corner of the frames How to connect text frames: 1. Once text boxes are created, the Connect Text Boxes toolbar will appear. 2. Click the first text box and click CREATE TEXT BOX LINK button 3. Move the mouse over the second text box (it turns into a pitcher spilling over) and click inside the 2 nd text box. 4. Click inside the first text box and begin typing. When you reach the end of the box it will automatically continue into the second text box. AutoFit Text What is AUTOFIT TEXT? Sometimes you know that you have information you would like to fit into one spot on your document. Using AutoFit Text will help take the guess work out of making the font just the right size for the space you have. Using AutoFit Text: 1. Create your Text Box that you plan to use. 2. Click inside the text box so you see the insertion point blinking. 3. Click FORMAT AUTOFIT TEXT BEST FIT 4. When you begin typing the text is very large, but as you type it gets smaller. 11

12 Insert a Table 1. Click the Insert Table icon on the left side of the screen 2. Click and drag over the spot where you want the table to appear 3. Choose desired table elements & click OK Use WordArt 1. Click the WordArt icon on the left side of the screen 2. Choose a style by left clicking 3. Type your text into the box that pops up & click OK 12

13 4. Use the WordArt toolbar to change colors of your WordArt (you must have it selected with handles around it to use the toolbar) Images Clipart 1. Click the PICTURE FRAME tool 2. Choose CLIP ART from the list that pops up 3. Type in your search and click GO 4. Scroll through and left click the picture you want to insert 5. Click and drag the picture into place on the document 13

14 From File 1. Click the PICTURE FRAME tool 2. Click PICTURE FROM FILE from the menu that pops up 3. Click and drag a rectangle over the spot on the document where you want the picture to appear. 4. Search for the picture by clicking the down arrow and navigating to the place where you saved your image. 5. Double click the image to insert it. [TIP: if you are creating a template for students to work with, use the EMPTY PICTURE FRAME tool so they can choose their own pictures from a file where they ve saved them] Create Borders You can add some interest to your publication by creating picture borders 1. Use the Rectangle tool to outline part of the document you want to frame with a border. 2. Make sure your rectangle is selected (with handles around it) and click FORMAT AUTOSHAPE (OR double click the AutoShape) 14

15 3. Click the BORDER ART button on the box that pops up 4. Choose the BorderArt style you want on the left and a preview will appear on the right side of the box 5. Click OK a. If you are happy with the size of your BorderArt, click OK b. If you want to edit its size, click the up or down arrows next to WEIGHT, then click OK c. To change the border you created, double click it and repeat steps 3-5 TIP: You can create borders for Text Boxes and Images. You will follow the directions above, except you will either click FORMAT TEXT BOX or FORMAT PICTURE to begin. Be Creative! Use the Rotate Button to rotate text boxes, pictures and other objects on your publication Use AutoShapes to add interest to your publication Tools for Fill, Text, & Line Color Fill shapes with color (double click the AutoShape to change FILL & LINE COLOR) Change line thickness around text boxes and picture frames or use BorderArt 15
